1 End of Year Statements in Connect Now (running & printing) First, you will want to verify that all funds are correctly marked as tax deductible or not, that there is no missing information in your family information and that all the contributions for the past year have been posted. If you wish to view the ParishSOFT end of year checklist, found on their end of year resources page, please click here. It will walk you through the process of working on the checklist. After doing so, please follow the directions below for printing statements. 1) First, log into ConnectNow and you will be at your typical home screen: 2) Next, click on Offering and then on Report in the blue section below Offering and you will be at a screen similar to below: 3) On the left side, under the Category of the Reports, click on Contributions, next under the Report area, click on Statements.
2 4) You will want to select all funds, by clicking on the box to the left of the Description header, as seen below. Click the underlined section to Select all records, as seen below: 5) Click the Next area, seen above and you will be on the Options tab, as seen below:
3 6) Verify and set up the following information to report on the Registered givers for your parish Under the Option, select the Report format as a Detailed report and the Delivery format as Paper Statements. Under the Sorting area, leave it on Date Desending unless you prefer something different. Under the Filters area, verify that the dates only list the year/date range which you would like to report on. Review the Amount preferences and edit if needed per parish specifics. (clicking the Include $0 Contributions checkbox will make any donation of $0 entered in the system to appear on the statements. These are typically the pledge down payment of $0, which you typically will not want to show) Verify that the Membership area, typically leaving it on Registered/Active families unless you wish to send the thank you letters to all givers.
4 (if you wish to send to all givers, switch to Family Registration of Both and Family Group of All Groups.) Under the Givers area, select the Show filtered givers as seen below. This will allow the Filters, Amount and Membership areas to be applied to your search. Under the Contribution Source leave the Family selected, unless you also have member donations. If you do, click to include the Member Contributions in the Family statements, as seen in the second image below. Under the Electronic Statements leave the default box checked. (until you set up Electronic statements) Or 7) Click the Next screen and you will see the Template options, seen below: 8) Adjust the Statement Date to be one consistent with the sending of your statement. Under the Body of Statement you can include a customized message by clicking New Template in the dropdown and from there typing in a template name and the contents of what you want your letter to show. This would be the
5 area where you would type a thank you message for your parishioner contributions. *As of January 2017, it appears that the best match to the existing template s font/size is to pick the MS Sans Serif 12pt font for both your template and your printed name. The templates will only allow 1500 words, and if the words you use are close to the 1500, this will fill up the whole first page of the letter, allowing you to print double sided for the contributions on the second side. Otherwise, if your message is shorter, then the template will start to fill in signature, printed name, and contributions right after whatever you ve specified for your letter s content. 9) If you wish to add a signature to your letter, ender the Signature area, either select a signature you ve saved, or click on the down arrow to add a New Signature. Give it a name, and click Browse to search for a scanned document of your pastor s signature. Please note, the signature should be in a picture file. If you have questions on formatting your picture, please click here for the ParishSOFT guidelines. 10) Also, under the Printed Name area, either select a name you have already saved, or click to create a new name, and add in the name of your new template along with the text. (again, MS Sans Serif 12 pt is the closest to matching the existing fonts on the template)
6 11) Click the Next, and you will be on the Givers screen which will compile which families have given, per the specifications of your Funds and Filters screens. You will see records similar to below: 12) To print all the statements, click on the check box to the left of the Family Name as seen above, then click the Select all records as seen below:
7 13) Next, click the View Statements button in the bottom right corner. It will select all family records that have donations, which are registered to your parish. 14) A popup window with your parishioner letters will appear, as seen in the image below. (please be aware that if you have a popup blocker you may need to enable Connect Now to send popups to your computer) Please note the top is formatted to fit a #10 envelope.
8 And the detailed contributions area is seen similar to below. It will appear directly below the contents of your letter, depending on the length of it.
