3 I. Organizer Basics This guide will take you step by step through all of the organizer s basic functions. We are always here to help with any problems or questions that you may have, please feel free to contact our offices at any time for live support!! Begin by logging in to the organizer using your assigned user name and password. A B When you log in you will see the organizer s main screen. The black bar on the left is the organizer s navigation bar that allows you to easily perform all of the organizer s functions. infosnap, inc. Page 3

4 A. Navigation Bar VIEW View the form as it is displayed online. From the view screen, you can toggle between forms, edit, print, and view all forms. EDIT View, search, polish, and edit your forms. Edit mode will also allow you to manually delete and add forms. REPORT Run applicant reports with or without attached forms. SAVE TO EXCEL Export your current forms into a Microsoft Excel spreadsheet with the click of a button. /LETTERS/NAME TAGS/LABELS Merge, print, and customized letters, name tags and labels to your current forms within the organizer. IMPORT Download and import newly submitted forms into the organizer. EXPORT Edit, match and export forms from the organizer into your existing database. ADMIN Controls all of the settings and parameters for the organizer. *This feature is not available to all users. B. Forms, Filters, Help, & Quit CHOOSE FORM - If your school has more than one form (i.e. Upper School, Middle School, and Lower School), you can select the different forms under the Choose Form dropdown box. CHOOSE FILTER If you click on the Choose Filter dropdown, you can filter/sort your data in the organizer based on selected criteria. HELP The help button connects you to infosnap s Online Help Portal. From this portal, you can enter online meetings, request help, and securely upload/download files. QUIT To exit the organizer, select the Quit button infosnap, inc. Page 4

5 II. Importing New Forms From the main screen within the organizer select the IMPORT button from the organizer s navigation bar. Once your forms are completed online they are stored in our secure servers. Select DOWNLOAD NEW to import new forms into the organizer. *Note You will always be able to tell that you are IMPORTING records when the organizer s Navigation Bar is GREEN. infosnap, inc. Page 5

6 After selecting DOWNLOAD NEW, the organizer will confirm that you want to download the new forms. The downloaded forms will be displayed in the organizer s import screen after download. Next select the POLISH ALL feature to polish the information in the new forms. The POLISH feature formats selected information within the forms and consistently formats predefined fields (example: john smith will be polished to John Smith). Click OK infosnap, inc. Page 6

7 After you have downloaded the new forms, accept them into the organizer. Click ACCEPT ALL to accept the forms into the organizer. When the forms are in the organizer you should get this confirmation, click OK to continue. Newly imported forms are now displayed in the main page of the organizer. infosnap, inc. Page 7

8 III. Features A. View - If you want to View/Print your forms in the organizer, simply select the VIEW button on the organizer s navigation bar. From the VIEW screen, you can toggle between forms, edit forms, print individual forms, or print all forms. The status bar at the bottom of your screen displays the number of forms you are currently viewing. By default, the organizer will display all forms. This can be changed by manually selecting individual forms or by using the form filters (prior to selecting VIEW). Use the Previous and Next buttons to toggle between your forms. The Edit This Form button allows you to make changes to the form you are viewing. The Print This Form button allows you to print the form currently being displayed. View/Print All Forms previews your forms in HTML format using your default web browser. You can then select print to print all of the forms. Use the Exit button to return to the main screen of the organizer. infosnap, inc. Page 8

9 B. Edit - To Edit your forms, click on the EDIT button in the main screen of the organizer From the edit screen you can search forms, polish forms, and delete forms. EDIT any of the data by simply selecting the cell with the erred information POLISH ALL data (if perhaps this step was skipped during the import) DELETE allows you to permanently delete records in the organizer database. This useful tool allows for the deletion of duplicate, incomplete, or test records. To delete a record, select the record you wish to remove. Select the delete button and you will get a confirmation messages. Select OK to confirm the removal of the selected record. **Should you accidentally delete a record, please contact your infosnap customer support representative infosnap, inc. Page 9

10 C. Report Click the REPORT button in the main screen of the Organizer This is the infosnap Applicant Report. The infosnap Applicant Report with Forms is the same report, but each student s forms are attached at the bottom You can SAVE, , and PRINT these reports infosnap, inc. Page 10

11 D. Save to Excel- Click the SAVE TO EXCEL button in the main screen of the Organizer This file can be modified and saved for any reporting that you may need infosnap, inc. Page 11

12 IV. Help Feature A new feature for the organizer is infosnap s Online Help Portal. By clicking on the HELP button on the organizer s main page you will be directed to a secure web page where you can: Request help via the Online Support Ticket Form Enter a Live Meeting room with a Configurations Consultant Safely and securely download/upload files infosnap s Online Help Portal infosnap, inc. 13 infosnap s Online Support Ticket Form By clicking on the Request Help link, you will be redirected to infosnap s online support ticket form. Select the type of issue you are having, a brief description of the issue, the best method for contact, the best time to contact you, and verify the contact information which the organizer prepopulates. Once you have completed the support request, click submit and your information will instantly be sent to the configurations team at infosnap! Remember, you can always call or the configurations team directly if you do not have access to the Help Portal.
