7 introduction What is the EBM? The Espresso Book Machine, referred to as the EBM in this guide, makes retail-quality, paperback books at high speeds about 5-10 minutes each. It s best used for print runs between a single copy and a few hundred copies, and is suitable for any type of content. The EBM is essentially three machines that work together. One (a Xerox 4112) prints a book s pages, also known as the book block; another (an Epson R2000) prints a book s cover; and finally, one last machine binds the pages into the cover, and trims them all to size. Voila! A book emerges, ready to be read or sold on the spot. This guide will help you prepare the two PDF files you ll need to print a book on the EBM one for the book block, and one for the cover. It will also provide additional information on design, copyright, and other considerations in self-publishing. Books produced on the EBM are Perfect bound, which means that hard glue is used to bind the pages into the spine. This differs from other methods such as sewn binding. This method accommodates any number of pages, so one is not limited to a page count in even multiples of, say, 16, as would be required by some other processes. Hardcover binding is not possible using the EBM. However, books are still solid, and will last as long as any paperback you might find at a library or bookstore. 7

8 introduction What can the EBM Print?»» Books comprised of an author s original work (words, images, art, etc.).»» Books for which one owns the legal copyright, or has explicit written permission from the copyright holder to print.»» Books that are unrestricted by copyright, or in the public domain. Many works are available through sources such as Google Books, Hathi Trust, The Gutenberg Project, etc.»» Books available in the On Demand Books catalog at United States government documents.»» A single copy of an electronic text (ebook, course notes, etc.) that was purchased legally. If you re planning to print your own original work on the EBM, this guide will help you format and design the content so that it comes out looking great! Here are some minimum and maximum considerations:»» 40 pages minimum (one printed page is equal to one page of a PDF document. A sheet of paper has two pages in that there are two sides. So, a 40-page book contains 20 sheets)»» 800 pages maximum»» Book width between (max may be less if the book contains more than 100 pages; see trim size guide in the COVER DESIGN SECTION)»» Book height between So, a landscape-oriented book is possible, as long as the width does not exceed 8.25 inches. The machine cannot turn paper sideways to make an 11-inch-wide book. 8

9 introduction The Cover Save cover formatting for last. Typesetting and editing may alter the page length of a book, which must be known in order to set up the cover accurately. Cover designs for print on the EBM should be centered on a landscape, ledger-sized page. A later chapter of this book describes the process in detail. Nothing can be printed on the interior of the cover the inkjet printer used to print the cover does not support duplex printing. EBM staff can design a cover for you at an hourly rate. The Book Block The book block prints double-sided on portrait, letter-sized (8.5 x11 ) paper. One PDF page is printed on each side of a sheet of paper so a 40-page book contains 20 sheets. It is not possible to print in one-sided mode. If you would like content on only one side of each page (e.g. only on the right-hand pages, with left-hand pages left blank), then blank pages must be inserted into the PDF to create this effect. The standard book block is printed in black-and-white, but it can be printed in color for an additional fee. Please ask the EBM coordinator for specific information. The cover will always be printed in color. 9

10 introduction Copyright Copyright, a form of intellectual property law, protects original works of authorship including literary, dramatic, musical, and artistic works, such as poetry, novels, movies, songs, computer software, and architecture. Copyright does not protect facts, ideas, systems, or methods of operation, although it may protect the way these things are expressed. -US Copyright Office Your book is protected by copyright as soon as it is created and fixed in a tangible form that it is perceptible either directly or with the aid of a machine or device. This means your work is protected as soon as it is saved on a computer or written down by hand. Copyright can be registered with the US Copyright Office as an official legal measure. Registration creates a public record, which has benefits where lawsuits and copyright claims are concerned. Copyright involved in litigation must be registered for legal efficacy. International Standard Book Numbers (ISBN) An International Standard Book Number, or ISBN, is a unique 13-digit number used as the basis of inventory systems by bookstores and book wholesalers. ISBN numbers are specific to individual books not only by title, but also by version and format. For example, a print version of Alice in Wonderland will have a different ISBN both for hardcover and paperback, and another for an ebook format. 10

11 introduction The ISBN system is used internationally. The U.S. agency responsible for ISBNs is R.R. Bowker Company. ISBNs can be purchased legally from R.R. Bowker via myidentifiers.com. If you plan to sell your book through bookstores or retailers, then you will need an ISBN. Otherwise, to sell your book through Amazon, a personal website, or in-person, you do not need an ISBN or barcode. There are ISBN re-sellers who purchase large blocks of ISBNs and sell them individually at lower prices. This violates the terms of sale under which the numbers were purchased. The MSU Libraries will not print books with ISBNs obtained in this way. Barcodes A barcode allows a product and its price to be identified by scanning instead of manually typing letters and numbers. Scanning is faster and more accurate. Most book retailers and book wholesalers will require a barcode to stock your book. Barcodes are used to identify retail products, using one of two systems: the UPC (Universal Product Code) or the EAN (European Article Number). Barcodes for books utilize the EAN system because they begin with the country code 978 for an imaginary country called Bookland. The EAN barcode has two parts: the ISBN code on the left, and the price code on the right. Most retailers require the price to be embedded into the barcode. You can use a free barcode generator provided by Bookow, a webbased formatting service for self-publishers. Bookow generates an image file to be added to the back cover of your book. 11

12 introduction Glossary Alignment - The arranging of elements in or along a line, or into relative positions. Back matter - Anything included in the book block following the core matter. This can include the afterword, about the authors, bibliography, etc. Bleed - The cushion area past the edge of pages that content (images or graphics) can extend to. This is used to force graphics to extend to the very edge of the page. CMYK - Cyan (C), Magenta (M), Yellow (Y), and Black (K). Primary pigments used in printing; combined to create other colors. Content - The words and graphics of a book. This includes all Front Matter, Core Matter, and Back Matter. Copyright - Rights given by law to the creator of a work to print, publish, and sell copies of the work. Core matter - The main content of book, from where page one begins until the last numbered page ends. Cover - The element that contains a book s bound pages. This includes all content displayed on the front, back and spine of the book, such as a title, author name, synopsis, barcode, etc. DPI - Dots (D) Per (P) Inch (I), which refers to the level of detail in a graphic element. The higher the DPI, the finer the detail. 12

13 introduction Drop caps - The first, or first few, decorative capital letters that begin a paragraph, often marking the beginning of a chapter or section of a textual work. Front matter - Anything included in the book block that comes before the core matter. This includes a title page, copyright page, acknowledgments, any blank pages, etc. Gloss - In printing, this refers to the shiny finish that some papers exhibit. Glossy stock typically displays poppier colors than matte stock. Guides - Lines in design programs that can be positioned freely on a page to mark areas for alignment. Guides are for reference and are non-printing objects, meaning that they will not appear on printed pages. Indentation - Space left in a line of text to mark the beginning of a paragraph. Any space cut into a margin. ISBN - International (I) Standard (S) Book (B) Number (N). A unique number used to identify a certain format of a certain book. Justification - Setting of text flow relative to a page or column. Spacial settings for a line of text. Landscape - A document orientation where the page is wider than it is tall. 13

14 introduction Lorem Ipsum - Nonsensical, Latin filler text used as a placeholder in typesetting and graphic design. Margin - The blank space between content and a page s edge. Margins are the distance from the edge of the page to where your content starts. Master - A page whose elements are applied to other pages. Matte - A dull finish that is not glossy, typically referring to paper stock. Colors don t display as vividly on matte as on gloss. Page count - The number of pages a book contains, including those left blank. Each side of a piece of paper counts as one page. Portrait - A document orientation where the page is taller than it is wide. PPI - Pages (P) per (P) inch (I). The number of pages in a stack of paper one inch high. Printer - A machine used to place graphic elements on paper or other similar media; or an entity or company offering printing services and/or operating a printing press. Publisher - An entity or person responsible for the distribution (and often editing, design and marketing) of media to the public. Recto - The side of a piece of paper that will appear on the right of a two-page spread. The front of each leaf of paper. 14

15 introduction RGB - Red (R), Green (G), Blue (B). Primary colors used in displaying graphic elements on a monitor; combined to create other colors. Rights holder - The person or entity who owns the copyright to a work. Self-publishing - While it may sound complicated, selfpublishing is simply the act of printing, marketing and distributing one s own work, either physically, electronically or both. Trim size - The final size of your book (width x height). Typesetting - The act of formatting the pages of text and graphic content for consumption as a collected package, often a book. Verso - The side of a piece of paper that will appear on the left of a two-page spread. The back of each leaf of paper. 15

19 cover setup Layout of the Cover Document The cover document should follow these requirements:»» Centered on a 17 x11 page»» A bleed of 0.25 on all sides of the cover image»» No crop or registration marks The EBM can only print covers on 17 x11 cover stock. This does not mean the cover will be this large, as there is a range of trim sizes that a book can be set for. The cover itself is laid out on an 17 x11 document, and the excess is trimmed off. The document must be formatted like the diagram below with the back cover on the left, the spine in the center, and the front cover on the right. 6" 17" back front 11" 9" spine 19

20 cover setup Graphic elements that reach the edge of the cover, such as backgrounds and pictures, will need to be bled off the edge. Bleeding prints over the trim guide, and then the excess is trimmed off. This avoids the white margin borders. To bleed elements, simply extend them.25 beyond the trim guides. Any less of a bleed will risk having white borders around the edge. The EBM staff suggests using InDesign to set up the document X X All MSU Library computers have InDesign available for use by those with a valid MSU NetID. Limited access is available for community patrons. The EBM staff can provide a template when necessary. Alternatively, PowerPoint, Publisher, or any other capable software can be used. 20

21 cover setup Images Images should have a resolution of at least 300dpi and saved as a standard image file such as JPEG, PNG, or (non-animated) GIF. For the highest quality image reproduction, use TIFF image files. Higher resolutions will greatly increase file size and can be imperceptible to some printers. Image files should be the same size or larger than the size they will be printed. Larger images can be scaled down without a loss in quality, but enlarging a small image will result in blurry and/or pixelated image reproduction. Remember, any images printed in the book block will print as black and white, even if they are included in the PDF as color images. Color may be requested for an extra $0.10 per color page. Color Settings The color displayed on screen and the color that prints on the EBM may not be an exact match, but steps can be taken to ensure colors are reproduced as accurately as possible. Whenever possible, design and export the cover files in CMYK color mode, as opposed to RGB. This will ensure the most accurate color reproduction when printing. 21

22 cover setup Calculating Spine Width The width of the book s spine depends on the length of the book and the thickness of the paper. There is a relationship between trim width and page count, so in cases where the page count is high, the spine becomes too wide. Cover content is pushed into the trim range and clipped by the blades. 55 book block setup Front Matter Front matter contains all of the pages before the book s core matter. Front matter typically includes:»» Blank Page»» Half-Title Page»» Title Page»» Reverse Title Page»» Dedication»» Table of Contents»» List of Illustrations/Tables»» Foreword/Preface/Author s Note/Acknowledgments»» Introduction The title page and reverse title page are necessary for every book. All other elements of the front matter are used only if they are relevant to your book. Keep in mind that many readers will skip the front matter and go directly to chapter one. If an introduction or preface is necessary to understanding what follows, consider making it the first chapter instead of placing it in the front matter. It is customary to start with a blank page, a half-title page, or both, before any other content. A half-title page contains only the title of the book, omitting the author and publisher as they appear on the full title page. The title page should contain:»» Full Book Title (main title & subtitle)»» Edition»» Author»» Publisher & City, State»» Year of Publication 55

The reverse title page, sometimes called the copyright page, is a left-hand page because it is on the back of the title page. Reverse title pages typically contain:»» Publisher s Full Address»» Copyright Notice ( 2016 All rights reserved.)»» Country where book was printed.»» ISBN»» Acknowledgments»» Statement about paper manufacture or durability.»» U.S. copyright statement as a warning against infringement. A dedication page is completely optional, but if you include one, it should appear immediately after the reverse title page. The table of contents comes immediately after the dedication or the reverse title page. It lists everything succeeding it. The halftitle page (if used), title page, reverse title page, and dedication (if used) are not listed on the Contents page. Core Matter The core matter is the book s primary content; the pages that contain the principal substance of the book. In a picture book, this is the pictures; in a novel, this is the story; in play, this is the dialogue; etc. 56

57 book block setup The front matter and back matter are supplementary to the main text; they provide background and context. Back Matter Back matter refers to content that follows the last chapter. This may include:»» Appendices»» Notes, Glossary, Bibliography»» List of contributors»» Illustration credits»» Index Your book may have some or none of these sections. Like the list of front matter, it s rare that a book needs all of these. Be sure to format the back matter similarly to how the front matter is formatted. This will ensure a consistent and easy read. Page Numbers Front matter does not necessarily require page numbers. It is common to number these pages using a separate numbering system than the core matter, such as lowercase roman numerals. Therefore, it may be easier to create this section as a separate file as they can easily be combined into one book block file later as PDFs. The EBM staff is available to help with file merging. Pricing may vary depending on the level of assistance is required. Core matter pages are numbered. A word processor s numbering feature can be used to format them. Page numbers are typically aligned to the top or bottom of the outside margin, sometimes centered. Pick a font for the page numbers that either matches 57

58 book block setup the book block or complements it. Book numbers are typically the same font size (or just a bit smaller) as the content. Page 1 is usually the first page of content. It is the first page to the right of the spine it is a recto page. Page One 58

60 book block setup Chapters and Sections Consider treating the beginning of chapters or sections with formatting that sets them apart from the rest of the text. This will signify to the reader that this is clearly a new chapter or section, easing the reading experience. The first line of each chapter may be dropped 1/3 of the way down the page, or consider using a drop cap for the first letter of the chapter s content. A drop cap is when the first letter of the section falls multiple lines. Simply set how many lines tall the first letter of the paragraph should be. (The L that begins the chapter on the example page is a drop cap.) Use at least one way to distinguish between paragraphs either first-line indents, or extra space between paragraphs, such as on the example page. Often, the title of the chapter will be specially formatted with a different font, weight, and size. 64 book block setup Book Trim Sizes Width: Min. 4.5 Max Height: Min. 5.5 Max The book block prints double-sided on portrait, letter paper. Letter paper is 8.5 x11. The machine has a minimum trim of 0.5 on the top, bottom, and right-hand sides. If the document has been created on letter-sized paper, it can be proportionally shrunk 6% to fit within our maximum specification: 8 x When formatting pages for trim size, do not include crop or registration marks. The machine knows where to trim the book based on the files submitted. Trim sizes are left to the discretion of the creator. The trim size can be set to anything within the range depending on how many pages are in the book. There are examples on the next page. Notice the landscape example is still printed on a portrait page. This is because the EBM is limited to binding on the 11 side of a standard letter page. This does not allow us to exceed the maximum 8 width regardless of orientation of the content. 64

66 book block setup Margins The EBM has a wide range of possible printing margins, but there are a few suggested minimums that can make the book easier to read. A margin of at least.75 on all sides of the page is recommended for pages to print properly. Consider increasing margins that will be facing the spine of the book. This will keep text out of the crevice created by binding. For example, this book has an interior margin of 1, compared to the outer and top margins, which are set to.75 inches. The bottom margin is held at a constant.75 inches as well, though the content of each page doesn t always reach it. 66

67 book block setup Font Types and Families Using a variety of fonts can give a book character and set it apart from others, but try limiting font choices to two or three styles. Any more than this and reading can become tedious and confusing. There are two basic font categories: serif and sans serif. SERIF Serif fonts are easier to read for long periods of time. This font family is distinguished by the tails at the ends of each letter s stroke. Here are some examples of serif fonts: Times New Roman Californian Garamond Palatino Century SANS SERIF Sans serif fonts look cleaner and more modern than serif fonts. This family is characterized by its lack of tails at the ends of each stroke. Sans serif fonts are harder to read over extended periods of time. Examples of sans serif fonts include: Lucinda Sans Verdana Arial Tahoma 67

68 book block setup Font Size Fonts can range in size. Font sizes are measured in points (pts) which correlate to inches. For reference, a 72pt font is 1 inch tall. Books tend to have fonts sized between 10pt and 12pt. These fonts are easy to read, but keep audience in mind. If the book s audience may prefer a larger size, use it. If they want as much information on the page as possible (without caring about a smaller typeface), decrease the font size to as low as 9pt. The smaller the font, the harder it is to read, but larger the font, the more uncomfortable it is to read. Try to keep a happy medium between larger and smaller fonts. For example, the body text on this page is a 12pt font. Try printing a test-page from the book to check for readability before submitting the finalized file. This can be done on any printer. Tabs Generally, the tab key (used to indent paragraphs) is set to anywhere between.25 and.5. Set this distance under Paragraph settings to ensure that indentations are uniform throughout the work. 68

69 book block setup Line Spacing Books have a standard setting between 1.15 and Double spacing is usually too large to read comfortably, and single spacing too cramped. As with font size, print test pages at home to check readability. Text Alignment Text can be aligned to the right, left, or center. This determines on which side of the page the text begins, and whether the extra space remains on the right or left, or is evenly distributed on both sides. It is most common that text is aligned to the left, but this is up to the creator s preferences. Text can also be justified. This means that the extra spacing won t be stuck at the end of the line, but rather the text will be spread out to fill the whole line. The text on this page is aligned left and justified. Also, it is common that the option is given for word hyphenation. If a word is too long at the end of the line, it can be split with a hyphen to be continued on the next line. Hyphenation on this page is turned off. Novels, textbooks, newspapers, etc. most often have justified and left-aligned text. Poetry, instructional books, photobooks, etc. allow for more creativity in layout, alignment, and justification. 69

93 file submission PDF Document Formatting Submissions for print must be PDF files. The EBM does not accept other file types. Please do not send working files with the final PDFs, as the EBM staff does not make edits on the creator s behalf. Depending on the programs used, choose either the Save As or Export To PDF options. Using Adobe InDesign, it is best to export the PDF with the preset of High Quality Print, and the standard, PDF/X-1a:2001 for the best possible results. Example on page 95. Using another program, please consult the EBM coordinator to determine the best settings to select. 93

94 file submission Did my PDF export correctly? Try opening the PDF documents on another computer to ensure they ve exported correctly. Check for font and color accuracy, and ensure that other graphic aspects are correct. If something appears incorrect on another machine, the document will print incorrectly on the EBM. If fonts or graphics do not appear correctly, return to the PDF export settings to ensure all fonts are embedded and the proper PDF standard has been selected (High Quality Print).
