1 Report Builder The Report Builder allows you to create custom reports based on predefined Report categories and templates. The category describes the type of Report, for example, Age Analysis, Appointments, Charges, Charges - Applied Payments, Claims, Patient List, Collections, Procedure Denials, etc. Each category will be assigned to a template. The template defines the view of the data. Most Categories have only one template choice. If you change the category or template, or select a report in the Saved Reports list, the Fields on Report and Filters grid will be cleared.
2 Creating a Report: Select the Category and then the Template: Select the fields you want from the All Fields list. You can either double click on a field or select it and push the Add Fields button (>). You can add all the fields by pushing the Add All Fields button (>>).
3 Some fields in the All Fields list are indented. If any of these fields are selected it will create a totals or summary report. These fields are versions of the un-indented field above it. These fields are one of these types: Min - shows the minimum value for this field Max - shows the maximum value for the field Sum - shows the total value for all the entries in this field Average - shows the average value for all the entries in this field Count distinct - shows the count of distinct entries in this field. (most used to get distinct patients) Report Level Options Exclude Totals: Select this radio button to exclude report totals Subtotal: To create subtotal rows, select the Subtotal checkbox. When the report is run a separate row will be added that subtotal fields on the reports. For min/max/average fields this will be the min/max/average for the larger group. Grand Totals: Select this radio button to display a grand total at the end of the report.
4 Sort: Click on this button to bring up the Sort options screen: Renaming Fields/Date format: You can double click on a row in the Fields on Report grid. This will open a window which allows you to change the displayed name for the field on the report. For date fields you can also change the date format. Select Filters: Double click on the filters in the lower half to enter in your selection criteria you want for the report. A filter will limit the entries selected for the report. For example a provider selection, a department selection, date of service selection. A window will open where you enter in or select specific data allowing you to set the filter. Once you hit okay, you will then see an entry in the value column in the grid. To remove a filter, double click on it and when the popup opens hit the cancel button.
5 Colored Filters: Some rows in the grid are in red. This means you must select one or more of them. They will be in red until you meet the selection criteria, at which point all of them will turn white. Some of them are grouped. If you select a Date of Service - Begin you must select a Date of Service - End. Saving a Report: To save a report, select the Save button. This will open a window where you can enter a report name. If you have the correct permissions, there will be a Company Report checkbox. If the Company Report checkbox is checked it will be saved as a company report which everyone can see, otherwise it will be saved as your report and only you will see it. When saving a report, the validations are skipped. You have the option to save reports without selecting filters. You could then load it anytime you want, select the filters and run it. If the report is always run with the same filters, you can save the report with the filters completed as well.
6 Scheduling a Report: When you push the Schedule button a window will open that allows you to schedule it. This is the e-medsys standard scheduling window. You can ignore the printer, and results will be saved as a comma separated value (csv) file in the e-medsys\rpts\ folder. The file will be named based on the report name with the date-time added. When you schedule the report, the system will validate the parameters to ensure all the necessary filers have been entered. Running a Report: When you push the Run button, the report is validated and if valid will then run.
7 Running the report might take some time depending on the report and selected filters. When it is done running a window will open showing the results. This window will have a button to save the report as a comma separated value (csv) file. A window will open up allowing you to choose the folder and file name. There is also a button to print the results. There is a drop-down showing the results display types. The default is a data-grid. If the report is a summary report with one totals column and one or two non-totals columns, the drop-down will have different graphing types; bar chart, line chart, pie chart.
8 Saved Reports Report Library: This checkbox will be selected if your practice has access to our advanced reports. This library was created based on reports in our InformRx and Report Generator modules. If you are interested in getting the complete set of Advanced Reports, please contact TriMed support. My Reports: These are reports that have been saved by you. Company Reports: These are reports that have been created by someone within your group that has permissions to save company reports.
