CDL s mission is to improve the life chances of all children, especially those at high risk, by increasing school success. Plain Talk is relevant, practical, engaging, informative, and fun it just doesn t get any better than this! Attendee ABOUT THE PLAIN TALK ABOUT LITERACY AND LEARNING INSTITUTE Attendees include superintendents, state and district office administrators, principals, teacher leaders and coaches, and technical assistance providers (average attendance at Plain Talk is 1,200). Booths are strategically placed in high traffic areas, interspersed within the hallways feeding into the Institute sessions. A geographical snapshot of the last three Plain Talks shows attendees hailing from 49 states and Canada, with a dash from England and Australia. 100% of Plain Talk attendees visit the exhibitor booths. 95% of Plain Talk attendees report that they leave with knowledge, strategies, and tactics they will apply. 1

We hope that you will find the Institute to be a profitable experience in terms of contacts and business generated. We offer a variety of ways for educational vendors to participate in the Institute and are confident you will find the right venue for your needs. ASSIGNMENT OF SPACE Upon receipt of completed Exhibitor Application and payment in full, CDL will assign booth space on a first-come, first-serve basis. Phone calls will not be accepted to reserve exhibit space or other exhibitor opportunities. BOOTH FEES & SERVICES Plain Talk About Literacy and Learning has identified space for both exhibit tables and vendor exhibits. The exhibit areas are beautifully decorated, carpeted, and surrounded by casual seating areas. The exhibit areas are centrally located in relation to meeting rooms, food functions, and attendee services. No decorator or exhibit company has been contracted. All booths are offered at $1,800US and include two registrations. WHAT YOU GET Table top exhibit space with one 6 table (draped), and 1 chair; or an 8 x 10 floor space for floor-standing exhibits 2 complimentary registrations Recognition in the program and on our website REGISTRATION ALL EXHIBITOR REPRESENTATIVES WHO WILL BE MANNING THE BOOTH MUST BE REGISTERED FOR THE INSTITUTE. Booth exhibitors are provided two complimentary registrations which allows admission to all activities, including meals. You can register up to 2 additional staff per company at a discounted rate using the attached registration form. Additional staff beyond this must pay the regular attendee registration price. SET UP & DISMANTLING*** Booth Set-up: Sunday, March 12, :00 pm 7:00 pm Exhibitors not set up by 7:00 pm on Sunday, March 12th will be considered no shows and their exhibit space may immediately be utilized by Institute Management for any other exhibitor or purpose. ALL MATERIALS SHIPPED TO THE HOTEL MUST BE RETRIEVED NO LATER THAN 5:00 PM ON SUNDAY, MARCH 12, Booth Tear Down: Wednesday, March 15, :45 pm 2:15 pm Tear down may begin no earlier than 12:45 pm and must be completed no later than 2:15 pm. ***This is a preliminary schedule. Exhibitors may not pack or tear down prior to 12:45 pm on Wednesday, March 15th. Failure to comply will jeopardize an exhibitor s participation in future CDL events. Neither CDL nor the Hilton accepts responsibility for items left in the Exhibit Area. In the event that the exhibit space is not vacated/dismantled according to these instructions, Management is authorized to move, remove, discard and/ or return, at its discretion and at the exhibitor s expense, all goods and property. CDL and its agents will not be liable for any damage or loss to goods or property by reason of such removal and/or disposal. Only those products and services sold or delivered directly by the exhibiting company and included on each application may be displayed or promoted. 3

6 ADVERTISING In addition to exhibiting, companies may wish to reach our attendees and speakers via advertising. Ads may be purchased in our Institute program and our daily e-newsletter. Program: All attendees will be provided with a program. The program will include the schedule, details on speakers, sessions and exhibitors, and other information. Daily E-Newsletter: Each morning an newsletter will be distributed to all attendees via . It will include last minute schedule changes and additions as well as information on special events. All paid advertisements in the daily e-newsletter will be included in each of the 3 e-newsletters; placement may vary. Mailing List: Get in contact with attendees before or after Plain Talk. The attendee mailing list is $300 and is available to rent for a one-time use. The list contains attendees names, professional titles, and mailing addresses in an Excel file. The list is generally ed the same day it is ordered, unless otherwise agreed upon. Attendee addresses are not available for purchase. Content All ads must be directly related to reading/education products or services. CDL reserves the right to reject any advertisement for any reason whatsoever. Mechanical Specifications - All ads should be provided as.jpg or.tif files, at least 300 dpi at desired print size. - Design can be in full color. - Files obtained from the Internet or artwork created in MS Office applications are generally not suitable for high quality output. To avoid additional costs, please supply files in accordance with the defined criteria listed above. 10 RULES & REGULATIONS INSTITUTE EXHIBIT POLICIES REGULATIONS & RESTRICTIONS All exhibits must be educationally oriented; products and services must be related to reading, teaching, or the field of education. CDL reserves the right to determine the eligibility of any exhibit/exhibitor for inclusion in Plain Talk, either prior to or after the execution of the Exhibit Contract. Booth exhibitors are encouraged to sell on the exhibit floor and are responsible for all appropriate taxes and licensing. All promotional activities must occur within exhibit space. Distribution of promotional items, circulars or advertising materials is limited to within exhibit space. Exhibitor activities are also prohibited in any location other than the exhibit area. Exhibitors are expressly prohibited from assigning, subletting or sharing exhibit booth space. Interference of any kind with the space of other exhibitors is prohibited. CDL reserves the right to limit exhibits or activities therein that detract from the character of the exhibit area and/or Plain Talk as a whole. This reservation includes persons, things, conduct, printed materials, or anything of a nature objectionable to CDL. In the event of such occurrence or restriction, neither CDL, nor the Hilton, is liable for refunds including, but not limited to, exhibit fees and other expenses. LIABILITY AND INSURANCE CDL and/or the Hilton will not be responsible for any expenses incurred other than payments included on the Exhibitor Application form if Plain Talk is cancelled for any reason, nor are they responsible for any loss to Exhibit Booth and/or materials due to theft, damage, fire, or any cause whatsoever while exhibits are in transit to or from Plain Talk or while they are in the building. The exhibitor assumes entire responsibility and liability for losses, damages, and claims arising out of injury or damage to exhibitor s displays, equipment, and other property brought onto the premises of the Hilton and shall indemnify and hold harmless the hotel agents, servants, and employees from any and all such losses, damages, and claims. The exhibitor acknowledges that the Hilton does not maintain insurance covering the exhibitors property and that it is the sole responsibility of the exhibitor to obtain business interruption and property damage insurance covering such losses by exhibitor. PRIVATE PARTIES Exhibitors shall be authorized to host private parties in the Hilton at the approval of CDL. Exhibitors agree not to host private parties during scheduled hours of Plain Talk s meetings, exhibits and other functions. CANCELLATIONS All cancellations must be made in writing and received by CDL no later than February 13, Cancellations received prior to February 13, 2017 will be refunded less a 25% service fee. No refunds will be made after February 13, In addition, if the exhibitor has not checked in and set up by 7:00 pm on Sunday, March 12, 2017, CDL may utilize the space for any purpose without refund to exhibitor. CONTACT The CDL staff works hard to ensure not only the quality and success of Plain Talk, but the quality and success of our exhibitors experiences. Please feel free to contact our staff if you have questions. CDL will employ reputable guards when the exhibit area is closed. The duty of the guards will be to protect the general exhibit area against fire and catastrophes. The exhibitor is solely responsible for his own exhibit against loss or damage from theft, accident, or other incident at all times. All property of the exhibitor is to remain at all times in his care, custody, and control. Exhibitors should secure items of value at all times and are required to maintain appropriate and adequate insurance to cover injury, loss, or damage to the public, attendees, their employees, and property. 9
