Agent Goals Each time you log in, you will be taken to your Agent Goals page where you can review your monthly and total goals and transactions. At the beginning of each month, you will be asked to enter/confirm your buyer and listing transaction goals for the month. You can continue editing future monthly goals until you lock it in at the beginning of the month. You can also view the goals of other agents in your division. Click Continue to IMS to continue to the Home page.

2 2 Navigation Bar Home Search Builder Floorplans Quick link to builder websites. BLC (MLS) - Quick link to local MLS Leads Enter New Lead Click here to self enter a lead into your database. You must provide an address and phone number. Lead Summary This will take you to a page that gives you a complete overview of your IMS. View Leads Pulls up all of your active leads in chronological order. Create New Campaign Set up campaigns to send out to multiple leads in your system. You can create new groups by status, key words, main reasons for buying, etc. Review Campaigns Review any pending campaigns. Agent Profile Enter your professional contact information and upload a photo to be included in the header of your Gateway Campaigns. Notification Preferences Sign up to receive texts, s, or both. Sales Current Pipeline Links to all sales that have not yet closed. Closed Sales All sales that have closed. Cancelled Sales Sales that have cancelled. Listings Featured Listings Enter your personal listings by MLS# to have the home featured on the home page of your agent website. Suggestion Box Make Suggestion Make an anonymous suggestion that will be sent to the owners and IT department. View Suggestions Review all previous suggestions and responses. Forms View Forms View and download Easy Street and NAR forms. Reports Transaction Report View all buyer and seller transactions for your team at any given time. ESR Gateway Clients Produces a list of all clients that have opted in for Gateway, but have not been set up. Past Clients Lists closed, current, or canceled clients in an easy, printable format. KB (Knowledge Base) Agent Documents Contains collateral, utility guides, and other tools for agents to use. 3 3 Lead Rotation When you are NOT in rotation, the red text at the top of the box will read WEB Leads are NOT currently being received. To turn your leads ON, click Turn WEB Leads On. When you are in rotation, the black text at the top of the box will read WEB leads are currently being received. To turn your leads OFF, click Turn WEB Leads off. Make sure the phone number displayed is the correct number to reach you at that time. To change the number the lead router will call to reach you, simply change the text within the boxes below Current Phone Number and click Update. Lead Finder This is a quick way to locate a specific lead in your database or in the lead pool. To search for a lead, type a last name, first name, phone number, or address in the text box. Select the appropriate search terms with the radio buttons and click Search. Client Behavior This is another search feature. In this section, you can search leads based on their recent web activity. To search for leads, select the appropriate search terms from the drop menus and click Search.

4 4 Links These are quick links to other sections of the IMS. Enter A Lead Follow this link to enter a new, self generated lead that is not already in the system. Lead Summery Follow this link to view a summary of all leads in your database, broken down by lead status, scheduled activities, and lead contact status. View Leads Follow this link to view all leads in your database. Lead Pool / Lead Pool (Uncontacted Only) Follow these link to view leads in the lead pool. Client Requests When a lead registers on our website, there are three different areas that they can click to ask for specific information from an agent: 1. To view special incentives 2. To schedule a time to view a home. 3. To get a CMA These leads are considered top priority as they are asking to be contacted for a specific reason. Featured Homes Click on either of the blue numbers (if other than 0) to view all of the leads that have viewed a featured new home in the last 24 hours or 7 days. Featured new homes are builder inventory homes that are featured on our website. These are considered HOT leads and should be contacted ASAP.

5 5 Clients on Website Now Click on the blue number to view all of the leads that are have been on the corporate website or your personal website within the past 15 minutes. These are considered HOT leads and should be contacted ASAP. Quick Links Follow these links to view leads within each stated status. It is important that you put your leads in the appropriate status. Whenever an agent logs into the IMS, these Quick Links should be checked. Any leads in new lead status should be addressed immediately as it will be removed to the lead pool if not changed from new lead status within 72 hours. This also helps the agent determine what activities are to be done that day and allows them to attempt to contact any not contacted leads. New leads, past due leads, scheduled activities, and not contacted leads should be addressed by agents daily. Hot Clients These are considered hot clients because they have shown activity on our website or have viewed properties the agent has ed. This should also be looked at daily by an agent to stay on top of active clients.

6 6 Builder Floorplans/Communities Search > Builder Floorplans/Communities Quick links to builder websites. Note: Builders may vary by ESR division. BLC (MLS) Search > BLC (MLS) Quick link to local MLS. Enter New Lead Leads > Enter New Lead Click here to self enter a lead into your database. You must provide an address and phone number.

7 7 Lead Summary Filters Leads > Lead Summary Click on Lead Summary to go to a page that gives you a complete overview of your IMS. Use the filters highlighted here to search leads. Lead Status Leads > Lead Summary Click on the blue numbers to view all of the leads within each status. The four columns break down the leads in each status to all, scheduled, not scheduled, and past due. Call Center Response Rate Leads > Lead Summary Displays the number of calls that were answered and that went to voic . This is not an interactive section.

8 8 Search Leads Leads > Lead Summary Use these filters to search for leads by last name, first name, , or phone and various other criteria. Scheduled Activities Leads > Lead Summary Click on the blue number to view all of the leads that have activities scheduled for today or tomorrow, that are past due, or scheduled for any activity within the next 3 days. Contacted Leads Leads > Lead Summary Click on the blue number to view all of the leads that were last contacted within the various timeframes.

9 9 Lead Filters Leads > View Leads Similar to the home page, this page has numerous filters you can use to search for leads. All leads that meet the given search criteria will display below the lead filter block in chronological order. Click Hide Lead Filters at the top to collapse the filter section. View Leads Leads > View Leads This is the lead s note card. From here you can see the lead s name, lead source, record an attempted call, send an , record a client s contact, view lead status & next scheduled activity, lead entry date, last update date, ESR Suggest & Gateway statuses, last contact records, client activity, last website visit, search engine keyword history, suggest properties, and properties viewed statistics. You can view the Quick Notes by clicking on the lead s name or status. Leads > View Leads Icons below the lead s name identify the lead source. Globe = ESR Web Lead Single Silhouette = Self Entered Lead Double Silhouette = Agent Web Lead Phone = Call Center Lead (green = answered, red = voic , yellow = unknown) Click Attempt Call to record a call being made now or made sometime today/yesterday from you to the client. Click to open the IMS Editor & send an to the client directly thru the IMS. (This records the in the lead notes) Click Client Contacted Me to record a call or from the lead to you. Use the checkbox to select a lead to be transferred to another database.

10 10 Leads > View Leads The red box shown here indicates a change to the contact info for that lead. There are 2 types of notices A) New info has been entered by this client on xx/xx/ xxxx. - Click See New Notes, then Dismiss B) New info has been entered by this client on xx/xx/ xxxx. *Contact Fields Updated* Please Reconcile - Open the Quick Notes by clicking the lead name or status, and click on the gray Contact Info tab. The drop down box to the right documents each time they entered new contact info. Check ALL occurrences for new phone, , name, etc. Click My Notes to view lead notes, s to view s sent to the client via IMS, All Notes to see any note recorded for this lead. Click the blue dot to mark a lead as Hot. The dates to the right indicate when the lead entered our system, and when the last update took place. Leads > View Leads ESR Suggest use this button to Enable / Disable the ESR Suggest campaign for a lead. This should almost always be canceled once contact has been made with a lead and the lead becomes an active prospect. The ESR Suggest s are written with the assumption that you have not yet made contact, and they ask for a response from the lead regarding the search criteria. ESR Gateway View the total/active number of Gateway campaigns set up for this client. Use the Pause All button to stop future s. Be sure to disable all Suggest & Gateway campaigns once a client is Pending/Sold. Leads > View Leads These sections indicate the last contact(s) with the particular lead, including Time since last # of s sent Time since last contact Type of last contact Time since last call Attempted calls (successful / unsuccessful) Calls made in the morning (8:00am - noon) Calls made in the afternoon (noon - 5:00pm) Calls made in the evening (5:00pm - 8:00am) The Contact History, Search History, and Lead Stage History shows a pop out list of the specific information for that lead.

11 11 Leads > View Leads Click the next appropriate box as the lead enters each stage. Clicking one box will automatically mark all preceding stages as complete. Leads > View Leads This section shows a record of all visits by the lead to our website within various timeframes. The source/ keywords in the gray box indicate the search engine used and they keywords used to bring them to our site. Click Keyword History to see how their searches may have changed over time. This can also be helpful for use in subject lines to catch their attention. Click Suggest Properties to manually send properties to the client. Click Properties Viewed Statistics to see search criteria statistics in various charts/graphs. Lead Quick Notes Access the Lead Quick Notes by clicking on the lead name or status from the lead note card. From the Lead Quick Notes pages, you can Record calls you make to the lead & contact received from the lead Send an to the lead View the lead s search history View the time & type of the last contact Update the lead stage View/Edit the lead s contact info and qualifying information Add/View Attachments such as a credit report or preapproval letter Set up ESR Gateway searches, and view ESR Gateway activity Send anesr Suggest , and view ESR Suggest activity View the lead s activitiy tracking on the website Request a free credit report View/update the lead status, mark the lead HOT, and opt in/out of Client Care s View pending, closed, and canceled transactions for the lead View & schedule activities for the lead View & add notes for the lead

12 12 Attempt Call Clicking the blue Attempt Call link at the top will open a window with the leads phone numbers. You can record a call made at that moment, earlier that day, or any time the day before. By recording whether or not you spoke to the client, you can track the best time to call the lead. Send Clicking the blue Send link at the top will open a window with the IMS Editor. The buyer s address(es) will be displayed here. You can select more than one recipient if there are multiple addresses saved for this lead. Your address will go here. Enter a Subject for the here. You can enter additional addresses not saved to this lead here. You must have at least one address saved for the lead to use the IMS editor. Add EasyStreet Attachments Select any EasyStreet Attachments you wish to include in the here. Select a signature to include at the bottom of your here. You can edit existing signatures or add new signatures by clicking the link here.

13 13 Edit Signatures Lead Quick Notes > My Signatures / Edit This is an example of the Edit Signatures page that is accessed by clicking the blue Edit link mentioned in the previous illustration. You can create a new signature by clicking here. You can also view and edit the details of any existing signatures. Be sure to select a default signature by going back in to Edit Signature after the initial save and select the box at the top titled Is Default? You can view default signature status here. Create New Signature Lead Quick Notes > Edit > Create New Signature Create a new signature by clicking the blue Create New Signature link in the illustration above. Enter a Title for your new signature here. Format and edit your signature using the tools here. Insert a photo using this tool. In the pop-up window, select My Images, then click the Upload Image link at the top to upload an photo from your computer. Click the blue Update link at the bottom to save changes. Attach a File to Your Click the link here to find a file on your computer. After you have selected the file, click Attach to add the file to the .

14 14 Using an Template Access templates using this tool. You can select from EasyStreet templates and your personal saved templates. Select either ESR Templates or My Templates, then template you wish to use from the list displayed and click Insert. To save a new template, type a name for the template here and click Save Template. 15 15 Search History Access a quick list of the lead s search history on our website by clicking the blue Search History link here. Client Contacted Me Record a contact from the lead to you by clicking the blue Client Contacted Me link. Select the contact type (call or ), and the day/time of the contact, then click Save to update the lead contact records. Lead Stage You can update the lead stage by clicking the appropriate box to represent the lead s current stage. After you click update, any previous stages not selected will be automatically marked as complete. Click the blue Lead Stage History link to view the date and time each lead stage was completed.

16 16 Lead Status Change the lead status using the drop down menu here and clicking Update. You can also mark a lead as HOT, and opt the lead in/out of Client Care s. Sales View all pending, closed, and cancelled sales for the lead here. Click on the blue Status link to the left to view the details for that transaction. Activities View and complete scheduled activities for this lead using the links here. Today s activities will appear in green. Past due activities will be red, and future activities will be yellow. Clicking the blue activity type link will open the appropriate function to complete that activity. Click the blue Not Completed link to the right of the status to delete the activity. Schedule a new activity here. Use the drop-down menu to select an activity type, enter a title for the activity, and a date & time, then click Schedule. Lead Notes Enter new notes for the lead here. View the lead s qualifying summary here. View existing notes here. You can toggle between all notes, my notes, and my s. Completed activities appear in green. Not completed activities appear in red. Client care notes appear in blue. Agent and system notes appear in black.

17 17 Contact Info Access the lead s contact information by clicking the Contact Info tab. Add or edit contact information by typing in the appropriate text field. Click Save Contact Details to save new information. Click Reset Last Saved to undo changes. Access new contact information entered by the lead here. Use the drop down menu to view information entered on various visits to the site. Click the green arrow next to new information to replace what is currently saved. Qualifying View and update pertinent qualifying information here. Attachments Attach files to the lead quick notes here. We recommend attaching all pertinent files to the lead quick notes such as the lead s credit report, preapproval letter, etc. Click on Choose File to upload a file from your computer. Once you have selected the file, click Upload File to add it to the quick notes.

18 18 ESR Gateway View the lead s opt-in and statuses here. Manually opt a lead in by clicking the Opt-In this client button to the right. If a lead has opted-out, and they wish to opt-in, please partners@easystreetrealty.com with the lead name and instruction to opt-in to Gateway. If a lead s has bounced, you will see the notice here. If that is the case, please enter a valid address in the Contact Info tab, then click the Resent Bounced to Active button. Create an ESR Gateway search Click Create New Campaign to begin a new ESR Gateway search. Enter a campaign name that will also be used as the subject for the s. Enter the campaign end date, and frequency. Click Create this Campaign to access the campaign search criteria. Edit your campaign Click Modify to edit the campaign name (also the subject), campaign end date, frequency, or to pause/unpause a Gateway campaign. Click View/Edit to access the search criteria.

19 19 Search Criteria Edit the search criteria for the Gateway campaign in this window. Click View Current Criteria to see a quick list of the current saved search criteria. Click Suggest/Compare Criteria to view suggested search criteria based on an analysis of the most recent properties viewed by the client. Click Calculate # of Properties to see how many properties match the current search criteria. Click View Properties/Send to view all properties that meet the current search criteria and send the initial Gateway . Click Save Criteria to save the current displayed search criteria for this Gateway campaign. You must save the search criteria to proceed to the View Properties/Send step. Click Revert Criteria to go back to the last saved criteria. Click Clear Criteria to delete all search criteria from this window. When editing search criteria, the red X deletes selected criteria, and the green + opens available selections. The category name will change to green when criteria have been selected for that category. View Properties/Send After you have edited the search criteria and have narrowed the list of homes to a manageable number (check the number of matches by clicking Calculate # of Properties), click the View Properties/Send button to view the matching listings. Review each listing by reading the basic information shown in the pop-out window, or clicking the blue View Property link to access a link to the listing on our website for more detailed consumer information. To access agent-only information, you must manually find the property in your local MLS. If you wish to include the listing in the initial Gateway , click the box here.

20 20 Any home that appears in this initial list, but is NOT selected, will also be omitted from all future search results. If you want to include a custom message to your client, click the box here and type your message below. This message will only be included in the initial , it will not be included in future Gateway s. Once you have selected all listings that you wish to include in the initial , and have edited your personal message if applicable, click Send to activate the Gateway campaign and send the initial . ESR Suggest ESR Suggest is an automated listing search program that analyzes a lead s search activity on our website to determined their probable search criteria. A lead s ESR Suggest criteria is automatically updated when the lead s search behavior on the website changes. Enable/Disable a lead s Automated ESR Suggest s by clicking the Enable/Disable button here. When you Disable ESR Suggest, the lead will no longer receive any automated s and should be set up on a Gateway search unless they are in a contract. ESR Suggest should almost always be disabled once a client has entered into a contract to purchase. There is a series of pre-written messages that accompany all ESR Suggest s, unless manually suspended. The s are formatted to initiate a response from the lead regarding their home search. Once you have made contact with a lead and discussed their search criteria, these pre-written messages should be suspended by clicking the Suspend Messages button here. Suspending the pre-written messages will NOT disable the ESR Suggest s as a whole. The lead may continue getting ESR Suggest s without the prewritten messages if the program is still enabled.

21 21 You can manually suggest properties via by clicking the Suggest Properties button here. This will open a window similar to the View Properties window of the ESR Gateway where you can view & select suggested properties, and edit a message to be sent with the properties. You have the option to hide/show the suggested properties and previously viewed properties within the list. When you have selected all properties to send and edited your message, click Send . Review the statistics of the properties the lead has viewed on our website by clicking the Properties Viewed Statistics button here. Analyzed listing statistics include: Price Year Built Square Feet # of Levels MLS Area Golf Course Community Zip Code # of Garage Spaces # Bedrooms New Home # Bathrooms Main Floor Master School District Bank/HUD/VA Owned Property Type Short Sale Basement Has Contingency Price Reduced # of Photos Potential Deal Tracking Our state of the art information management system tracks a lead s activity on our website. Within the tracking tab, you can view the tracking statistics for a given lead. In addition to the specific property statistics mentioned in the previous illustration, the system also tracks the number of visits to the website, number of properties viewed, number of pages viewed, number of property detail pages printed, and the number of maps printed. Activity counts are broken down into time increments: Today, Past 1-7 days, 8-30 days, days, days, days, days, and All Time.

22 22 You can also view each individual listing that the lead has viewed on our website here. You can sort the properties by clicking on the column headers. The black arrows next to the column header indicate whether the list is sort in ascending or descending order. Click the text again to switch the sorting direction. Click the blue MLS number link to activate a Property Details pop-up window. Click the blue View Property link within that window to access the full consumer detail page on the ESR website. Credit Report Click here to submit a request for a free credit report. Select an Agency from the drop down menu to autopopulate the agency, fax, attention, and to fields below. Enter your contact information in the From, Phone, and Fax fields here. Select the appropriate fields here. One of the first 3 boxes must be selected, indicating the method of request by the lead. The last box must be checked in order for you to receive a copy of the report. Enter any pertinent notes for the mortgage company, and click Generate Credit Report Request to complete. Create New Campaign > Create New Campaign Click the blue link to identify a new group of leads by status, lead notes keywords, main reasons for buying. etc., or select an existing group.

23 23 Create New Campaign > Create/Edit List Group Select the criteria for the new group on this page. Lead Note Keywords Enter keywords separated by commas. Only leads with the indicated keywords found in the lead notes will be included in this list. Lead Entry Date Range Search for leads by the date they originally entered our system. Webiste Profile Search for leads by the data within their profile. Calculate Leads click this button to get a count of the leads that match the given criteria before proceeding. Create or Update Group type a Group Name, the click Save. Create New Campaign > Create Your Create the that will be sent to the group using the IMS Editor shown. In order to address each individually, you will need to add the First Name Special Tag in the appropriate place. To save the template for future use, enter a name for the template and click Save. This is not required in order to create the campaign. Create New Campaign > Create Your The from address will be automatically filled using your EasyStreet address. Enter an appropriate subject and campaign title. Enter the date on which you would like this campaign to begin.

24 24 Create New Campaign > Add Attachments If you have attachments you would like to include with this campaign, such as collateral material or a listing flyer, you can add upload the file here. Create New Campaign > Review Campaign Click Show to view the leads included in the group. If you used the First Name tag in the , be sure the names are properly capitalized. You can view lead notes and remove individual leads if necessary. Click Preview to see the actual message. You can send a test message to yourself from this pop-up page as well to view actual formatting. Click Edit to go back to the Editor. Click Submit for Approval to send to the owners for review. After their approval has been given, your campaign will be scheduled for release. You can also toggle to view all Sent Campaigns.

25 25 Review Campaigns > Review Campaigns Clicking Review Campaigns from the top header will take you to the same page you were just on. Agent Profile Data > Agent Profile Here you can edit you agent photo, contact information, address, and name as they will appear on your agent website and auto s. IMS Notification Preferences > Notification Preferences Set your notification preferences for leads that are currently active on the website. You can choose to receive an , text message, or both when any clients in your database are on the website.

26 26 Current Pipeline Sales > Current Pipeline View your current buyer transactions here. Closed Sales Sales > Closed Sales View all closed buyer transactions here. Canceled Sales Sales > Canceled Sales View all canceled buyer transactions here.

27 27 Featured Listings Listings > Featured Listings Here you can add/edit the featured listings that appear on the home page of your personal agent website. Simply enter the MLS number, and click add. Edit the position of each listing on the page, but adjusting the Sort Index. Places are numbered starting with 0 at the top left, 1 at the top right, 2 at the left hand spot in the next row, and so on. Click Update Sort Indices when you re done arranging to save the changes. Delete any inactive listings or those you wish to remove by clicking the blue Delete to the right of the listing. Make A Suggestion Suggestion Box > Make A Suggestion Please use this page to submit anonymous suggestions to the management team including the owners and the corporate IT department. Suggestion Box History Suggestion Box > View Suggestions View previous suggestions and management responses here.

28 28 Forms Forms > View Forms Access nearly any EasyStreet form and Realtor form here. A full list of Realtor forms is available thru or another service provider depending on your location. Transaction Report Reports > Transaction Report View your overall transaction report over any given period. You can sort by buyer transactions, listings, or all, as well as sales, pre-approvals, cancels, closed, and net sales. ESR Gateway Clients Report Reports > ESR Gateway Report This page provides a quick list of clients that are opted in/out to ESR Gateway and indicates whether their Gateway search has been set up or not.

29 29 Past Client Reports Reports > Past Clients > Closed Sales, etc. This link provides a quick list of closed sales, pipeline sales, and canceled sales. Agent Documents KB > Agent Documents > Collateral Material, Etc. The Agent Documents links may contain various locally generate documents collateral and sales materials. EasyStreet WebMail KB > Setup > Login to Easystreet WebMail The link will take you to another page where you can login to your EasyStreet account from any computer with internet access. The links below, Setting up Microsoft Outlook and Setting up Microsoft Outlook Express, will initiate the download of a Microsoft Word document that will walk you through the setup of your EasyStreet on either of these two programs.

31 31 Technology Troubleshooting INTERNET BROWSERS (Internet Explorer, Firefox, Chrome) The IMS and signature editors do not work with Firefox 6 and higher, or with Internet Explorer 9 without modification. Symptoms of the problem are either floating windows (toolbars) appearing over the text area, or not being able to type at all in the text area. * Firefox users will need to use Firefox 5 * Internet Explorer users using IE8 or IE9 can turn on compatibility mode for our site: We are not aware of any issues with the Chrome browser. CLIENT STATUS The ESR Gateway and ESR Suggest tabs both show "Client status on our Mailing List". There are four possible values here: Active: Should be able to receive s. Bounced: A recent attempt "bounced" (could not be delivered to the client). This is sometimes just a temporary problem, so we provide a button to reset the client to Active. If the address continues to return to a Bounced status, then you might need to get a new address for the client. Held: The has been determined undeliverable. At this point you need to find a new address for the client. Unsubscribed: The has been unsubscribed from the mailing list. You only have two options here - the client must resubscribe by following the manage subscription link in the footer of one of our ESR Gateway s they already have in their Inbox, or contact partners@easystreetrealty.com with the address (not just the name) of the client. But please only do this if you have confirmed with the client they want to be re-subscribed. LEAD IS NOT RECEIVENG GATEWAY S Why can I send s to my client via the IMS, but they aren't getting any of my ESR Gateway s? The IMS uses our corporate server, which we fully control. The ESR Gateway s are sent through a third party service that manages our mailing lists. Assuming the is valid, there's no relationship between the ability to send to that address (deliverability) when comparing IMS s with Gateway s. If you encounter this issue, your first course of action is to ask your client to make sure the gateway s aren't in their Junk/SPAM folder, and possibly have them contact their provider to see if these s are being blocked for some reason.
