7 Chapter 1: Introduction Chapter 1: Introduction The versatility of HP LaserJet multi-function devices (MFPs) is a clear advantage for any company looking to deliver maximum functionality, with a minimal investment, in a minimal amount of floor space. With a single device, end users can print, copy, fax and scan documents or even scan-to- . Because they pack the features of several office machines into a single, compact design, MFP devices can be deployed throughout an organization for easy accessibility. Unfortunately, the same features, accessibility, and ease-of-use that make MFP devices so desirable also create an undeniable potential for unauthorized and wasteful use. At the very least, employees may use these devices to copy and fax personal documents, wasting time and consumables. More troubling is the potential for unauthorized faxing or ing of sensitive and proprietary company documents, with no way to track the illicit transmissions to a particular employee. Capella Technologies MIPA for HP LaserJet and Color LaserJet printers and MIPA-MFP for HP LaserJet or HP Color LaserJet MFP products help companies and organizations of all sizes laying the groundwork for a comprehensive tracking system and secure their MFP devices against such misuse by controlling access. The MegaTrack In Printer Agent (MIPA) lets you record and monitor HP LaserJet printer and MFP activity directly at the device, enhancing accountability and giving you the ability to assign costs, forecast expenses and target waste and abuse. By collecting data directly inside the printer or MFP, MIPA gives you a precise accounting of printing functions. Because this in printer solution is not reliant on SNMP traps or MIB polling, MIPA offers improved accuracy and reliability over other tracking and data collection systems. Each time the printer or MFP finishes printing a document, MIPA collects important data about the job and records it to either the printer s hard disk or to a small amount of compact flash memory. The data can then be accessed and uploaded by the MegaTrack Reporting Tool (MRT), providing meaningful analysis of printer and MFP activity. Paired with HP DSS or Capella Technologies SecureJet or MIPA-MFP authentication solutions, MIPA can also record user-specific information for scan, copy, fax, and other digital sending activities. For fast and easy yet secure end-user access to MFP devices, Capella Technologies offers its MIPA-MFP authentication solution. MIPA-MFP is the combination of the MIPA tracking capabilities with a PIN authentication mechanism. Network administrators designate a unique PIN code/password to each user. PIN codes can be kept relatively short and numerical, providing fast logins through the front panel display keypad on the MFP device. End-users must enter their PIN code to access predetermined MFP functions, limiting access to authorized parties. To enhance tracking capabilities, user 7

8 Chapter 1: Introduction names can be associated with departments, groups, or cost centers as well as specific addresses. Capella Technologies MIPA-MFP authentication solution locks the outgoing from address so that it matches the user who is currently logged into the MFP device. This provides an electronic paper trail in the event that the scan-to- or functions are used to leak proprietary, personal, or other sensitive information. MIPA and MIPA-MFP are supported on a variety of HP LaserJet printers and MFP devices. Please see the product compatibility matrix for a complete listing of supported products. The following guide will provide instructions on installing and configuring the MIPA and MIPA-MFP products. 8

9 Chapter 2: Installation Chapter 2: Installation This chapter describes the procedures required to install MIPA and MIPA-MFP products and the User List Editor System Requirements MIPA and MIPA-MFP System Requirements Please see the product compatibility matrix for a complete listing of supported products. Before installing MIPA or MIPA-MFP in your printer or MFP device, please be sure it is running the latest Hewlett-Packard base firmware available from User List Editor System Requirements.NET Framework 1.1 Microsoft Windows 2000 or later Hardware Installation MIPA and MIPA-MFP can be delivered in two forms: on a physical USB or Compact Flash device that is installed into your printer or in a file that is downloaded to your printer. The next section describes the installation of physical devices. If you have received an electronic file, please see Software Installation Procedure below. Installing the hardware component of MIPA or MIPA-MFP into the HP LaserJet must be done in accordance with HP s written instructions for each printer model. It is important that the USB or Compact Flash be installed in an appropriate slot. On some printers, there is a reserved slot. Placing the DIMM or Compact Flash card in the reserved slot may prevent the printer from initializing. 9

18 Chapter 3: MIPA Configuration Push parameters If desired, printer data can be auto-uploaded (pushed) to the MDS through one of two transfer protocols: FTP or HTTP. File Transfer Protocol (FTP) is a standard for transferring files between computers with different operating systems. However, this protocol has latency between the beginning of a request and the time that data is ultimately received, which can cause a session to time out prematurely when transferring through a firewall. For this reason, FTP is best suited to uploading data to an internal database server. Hypertext Transfer Protocol (HTTP) differs from FTP in that connections are usually terminated once a particular request (or series of requests) has been completed. HTTP is the preferred method of data transfer if your database server is located off-site, or beyond your firewall. Additional settings include the Server Name, which Server Port to use when transferring the data, server Login name, Password, and an Initial Folder in which to store the uploaded data. TIP: To validate that a device is pushing files correctly, navigate to the folder in the directory where MegaTrack is installed, and locate the Temporary folder. The Temporary folder should contain a set of folders for each device, identified by the IP address, which has successfully pushed a tracking file (.xml) to MegaTrack. The figure below illustrates a device folder containing expected files in the default installation directory C:\Program Files\CapTech\MegaTrack. Figure 12 Default installation directory 18

In this case, the device number is 2: Choose the correct installation file Capella Technologies, Inc installation files follow a naming convention that helps identify the Capella Technologies product, the version of the product, the hp product the installation file supports, and the device number of the file system where the product will be installed. The naming convention follows the following general form: <product name>_<version>_install_<hp product name>_#.rfu <product name> - is the Capella Technologies, Inc product name. For example, MIPAPIN. <version> - is the version of the product. For example, Some Capella Technologies installation files may have multiple versions of the form: _ _install_ - identifies the file as an installation file. This could also be _remove_. A file with _remove_ will remove the Capella Technologies product from the device. <hp product name> - is the abbreviated product name of the hp device that the install file supports. For example, lj4345mpf supports the HP LaserJet 4345MFP device.. 43

44 Appendix A: Software Installation Procedure (Optional) Some Capella Technologies installation files may support multiple hp products and will follow the form: lj4345mfp_lj9050mfp # - is the device number where the installation file will be installed. This will be a number from 0 to 5. A # equal to 0 will install on the device number identified by 0:. Here is an example of an actual file name: MIPAPIN_ _ _install_clj9500mfp_lj4345mfp_lj9050mfp_clj4730 mfp_0.rfu This file will install MIPA-MFP (version _ ) on device number 0: on a HP Color LaserJet 9500MFP, or a LaserJet 4345MFP or a LaserJet 9050MFP or a Color LaserJet 4730MPF. Before beginning the file download, check that all of the attributes of the filename match the desired installation requirements. Download installation file to the LaserJet device The easiest way to install the Capella Technologies product is to FTP the installation file to the LaserJet device using a standard web browser. To initiate the installation follow these steps: 1. Start a Web Browser. 2. In the URL field, enter ftp:// plus the IP address of the device where the installation should occur (for example, ftp:// ). Figure 41 Initiate installation using FTP 44

45 Appendix A: Software Installation Procedure (Optional) 3. Drag-and-drop the appropriate installation file onto the PORT1 folder. 4. The LaserJet device will upload the file and automatically restart. After the product restarts, you will need to perform additional configuration of the LaserJet printer. Detailed steps are described in this guide (See Validating Installation and Software Licensing Procedure (Optional)). 45

46 Appendix A: Software Installation Procedure (Optional) Appendix B: Software Licensing Procedure (Optional) This appendix describes the procedures required to license MIPA or MIPA-MFP.
