Welcome The vision of DABCC, Inc. is to overcome technical hurdles in planning, supporting and deploying Server Based Computing solution. Today most organizations supporting Citrix and Microsoft solutions experience numerous problems in the administration needed to cure failed auto-created printers. To address this issue, DABCC has developed Advanced Print Manager (APM), a fully functional utility designed specifically to resolve these problems. DABCC Advanced Print Manager Administrator s Guide Page: 5

What is Advanced Print Manager? Advanced Print Manager 4.0 is an enterprise solution that allows a customer running Microsoft Terminal Services and/or Citrix MetaFrame Presentation Server 4.0, to efficiently and quickly manage client printing. The Problem Based on our experience, the vast majority of Citrix MetaFrame and Microsoft Terminal Services deployments suffer from failed client side printers that were not properly set up or managed. We have found that if you open up Event Viewer, you will invariably find a large number of autocreated printer event error failures. What does this mean? Two things: First, you are wasting a great deal of time needlessly and as a result have unhappy end users without the ability to complete their work. And secondly, you need a solution to prevent this from occurring, but should it happen, you need an automated tool to create a workaround. Advanced Print Manger (APM) is that solution and much more. APM lets you solve this problem in minutes instead of hours. The cause is simple in order to successfully auto-create printers, the corresponding server printer driver must be loaded on the server and the client printer driver must be identical to the server s printer driver name. Unfortunately, this is not always the case. When the client machine s printer driver name does not match the MetaFrame server s driver name, you end up with a failed auto-create. With Windows NT Workstation / 2000 / XP as the client machine, this becomes an issue when using third party drivers as Windows NT Workstation / 2000 / XP and windows server 2003 both use standard NT driver naming conventions. The issue is more prevalent with Windows 95, 98 and ME client machines. The problem is that the driver names will differ slightly between Windows NT / Windows 2000 / Windows Server 2003 and Windows 9x, thus causing the printer to fail that you are trying to auto create. As an example, you might have the following driver name on your client machine: HP LaserJet 4/4MP. When you install the same driver on a Citrix MetaFrame Presentation Server or Microsoft Windows server running in Terminal Services application mode, the driver name may appear as HP LaserJet 4. The absence of the /4MP portion of the driver names means that this printer will not be auto-created. Many times administrators, with limited time, tend to ignore managing these errors until a user calls and complains. At this point the damage has already been done. Advanced Print Manager was created to address this problem and more! DABCC Advanced Print Manager Administrator s Guide Page: 6

The Solution At DABCC, we believe that the way to fix a complex problem is through a simple solution. Advanced Printer Manager is just that. The concept is to address failed auto-created printers in the same manner as a word processor addresses a misspelled word; ie, through a simple to use graphical user interface (GUI) that sits between the misspelled word and the dictionary required to correct the mistake. The principal behind Advanced Print Manager is to utilize a list of MetaFrame Servers, parse through their logs to find the failed printer drivers, and then present those drivers to the administrator. The administrator then selects the correct driver from APM s dictionary. Once selected, APM automatically installs the correct driver on the client machine, thus saving potentially hours of work. From this core philosophy, we have added all of the additional features needed to provide you with a robust solution to manage your Terminal Services printer needs. 10 S E C T I O N 2 The Basics DABCC Advanced Print Manager Administrator s Guide Page: 9

The Basics Advanced Print Manager 4.0 allows for complete enterprise printer driver mappings management to Microsoft Terminal Services and Citrix MetaFrame Presentation Server servers. In order to accomplish this, Advanced Print Manager introduces a few key concepts and features. The following provides more information on those concepts and features. Printer Driver Mappings Databases Advanced Print Manager 4.0 has the world largest known printer driver mapping database. This database is used to identify a compatible mapping for a failed Citrix MetaFrame and/or Microsoft Terminal Services client printer which failed to auto-create during login. The databases also have the ability to be updated through the application and will be updated on a regular basis. The result will be the database mapping keeping pace with both new hardware and software while speeding up the administrator s ability to quickly create mapping. Managed Products Advanced Print Manager 4.0 supports Citrix MetaFrame Presentation Server 3.0 and below and Microsoft Terminal Services for Windows Server 2003 and Windows 2000 Server. The administrator has the ability to select which products are monitored in a specified group of servers. This flexibility allows the administrator to create groups of servers that are only Microsoft Terminal Services only, Citrix MetaFrame Presentation Servers only, or both. Server Groups Advanced Print Manager 4.0 allows an administrator to create as many groups of servers to be managed as desired. Each Server Group contains common criteria to be managed that is unique to the particular Serve Group. The criteria in a Server Group are as follows: Managed Products o Citrix MetaFrame Presentation Server servers o Microsoft Terminal Services servers DABCC Advanced Print Manager Administrator s Guide Page: 10

Managed Event IDs Best Practice system configuration settings Server Group Analysis Filter UPD Usage Removed printer drivers SMTP configuration With Server Groups an administrator can group servers based on physical location and/or event ids being analyzed or a group of servers that is just comprised of events from the past week. It is completely up to the administrator. Server Group Analysis Filters Advanced Print Manager 4.0 adds the ability to filter the Event Log Events per the following criteria: All Events configures Advanced Print Manager to analyze all events in the Event Log Since last Server Group analysis configures Advanced Print Manager to analyze only the Events logged since the last time the servers in the current Server Group were analyzed Custom allows an administrator to specify the beginning and end range of events to analyze. Server Group Analysis filters are specific to the current Server Group. This allows an administrator to create Server Groups based on a specific date range. Managed Event IDs Advanced Print Manager 4.0 adds the ability to mange a multitude of Microsoft Event Log error Event IDs that are created when an end user fails to auto-create a printer. Advanced Print Manager 4.0 manages the following Event IDs: Citrix MetaFrame Presentation Server 3.0 events: The 1103 Event ID represents the failure of a client-side printer for servers running Citrix MetaFrame Feature Release 1 on top of Microsoft Windows Terminal Server 4.0. This option is required to manage failed auto-created printers on servers running Citrix MetaFrame XP Feature Release 1 on Microsoft Windows Terminal Server 4.0. DABCC Advanced Print Manager Administrator s Guide Page: 11

The 1104 Event ID represents the failure of a client-side printer whose printer driver is restricted by the farm's Compatibility List. For a list of denied and acceptable printer drivers, please check your printer driver Compatibility list in the Management Console for MetaFrame Presentation Servers The 1106 Event ID represents the failure of a client-side printer for servers running Citrix MetaFrame XP Feature Release 2 and below. This option is required to manage failed auto-created printers on servers running Citrix MetaFrame XP Feature Release 2 and below 1107 The 1107 Event ID represents the failure of a client-side printer for servers running Citrix MetaFrame XP Feature Release 3 and above. This option is required to manage failed auto-created printers on servers running Citrix MetaFrame XP Feature Release 3 and above. 2 - The UPD 2 Event ID represents the successful use of the Citrix Universal Print Driver (UPD). This option is required to manage successful UPD usage. Microsoft Terminal Services server events: The 1111 Event ID represents the failure of a client-side printer for servers running Microsoft Terminal Services on a Microsoft Windows 2000 w/ SP2 and above. This option is required to manage failed auto-created printers on servers running Microsoft Windows 2000 and above with Terminal Services enabled. (SMTP) Advanced Print Manager 4.0 adds a built in (SMTP) system that allows administrators to send s to end-users of failed client printers based on the status of the printer. Advanced Print Manager comes with predefined s for: Printer drivers that have been successfully mapped Printer drivers that are still in process of being rectified Advanced Print Manager also allows an administrator to create custom messaging to be sent to an end-user. This allows the administrator and/or IT department to keep the end user updated on the status of their printers, and positively affects the end-user / administrator communication. Advanced Print Manager 4.0 also includes an address usage feature. This feature allows APM to use the client name of the failed printer driver. In order to use this feature the Citrix MetaFrame Presentation Server much be configured to use the username domain naming convention. For more information on this feature, please refer to the Configuring MetaFrame Presentation Server for address usage feature found in the troubleshooting section of this document. DABCC Advanced Print Manager Administrator s Guide Page: 12

Note This feature is available for Citrix MetaFrame Presentation Server ONLY. Citrix Universal Print Driver Settings Advanced Print Manager 4.0 adds the ability to configure how the Citrix MetaFrame Presentation Server s Universal Printer Driver will behave on a per server basis, how client-side auto-created printers will be auto-created and how the Universal Print Driver (UPD) will function on a per farm basis. Note This feature is available for Citrix MetaFrame Presentation Server ONLY. Citrix Universal Print Driver Usage Advanced Print Manager 4.0 adds the ability to present the administrator with a list of client printers that did not auto-create with the native printer driver, and hence failed, and were forced to use the Citrix Universal Print Driver. Advanced Print Manger will list the following information about the printers that were successful or failed to auto-create using the Universal Print Driver: The server the printer failed to auto-create on The client name the printer failed to auto-create on The printer name that failed to auto-create The Universal Print Driver that was used to auto-create and/or failed to auto-create. Note This feature is available for Citrix MetaFrame Presentation Server ONLY. Spooler Watcher Advanced Print Manager 4.0 has a basic Print Spooler watcher built in. The Spooler watcher allows an administrator to view the Print Spoolers in the managed Server Group and their status. This allows an administrator to quickly determine when a server s Print Spooler is faulty. DABCC Advanced Print Manager Administrator s Guide Page: 13

Print Server Configuration Advanced Print Manager 4.0 s allows an administrator to configure the best practice printer subsystem registry configurations. Advanced Print Manager has a detailed description of each setting and will warn you if you are trying to use a feature that is disabled through a registry tweak. This helps an administrator quickly configure the Print Spooler on each server from a central location while configuring Advanced Print Manager to mange the proper configuration settings. Reports Advanced Print Manager 4.0 allows an administrator to generate, view and print reports of all the information mined during a session. Advanced Print Manager 4.0 generates the following reports: List of all Citrix MetaFrame Presentation Server Print Driver Mappings List of all Microsoft Terminal Services Print Driver Mappings List of all the printer drivers installed on a Citrix MetaFrame Presentation Server server List of all the printer drivers installed on a Microsoft Terminal Services server Generate a WTSUPRN.INF file for all Microsoft Windows NT 4.0 TSE mappings found in the managed Citrix MetaFrame Presentation Server farm Generate a WTSUPRN.INF file for all Microsoft Windows 2000 Server mappings found in the managed Citrix MetaFrame Presentation Server farm Generate a WTSUPRN.INF file for all Microsoft Windows Server 2003 mappings found in the managed Citrix MetaFrame Presentation Server farm. Terminal Services Centralized Management Advanced Print Manager 4.0 extends enterprise centralized management of printer drivers and printer driver mappings to Microsoft Windows Terminal Services. When administrators create a new Server Group, they are prompted to define what type of printer driver mapping management they would like to use, centralized or distributed. Distributed Mappings INF Management Advanced Print Manager 4.0 allows an administrator to configure management of all failed printers and printer driver mappings on a per server basis. This gives the administrator the ultimate flexibility in managing failed printer driver mappings at the expense of additional administration. DABCC Advanced Print Manager Administrator s Guide Page: 14

Centralized Mappings INF File Managed Advanced Print Manager 4.0 adds the ability for all printer driver mappings to be managed in a centralized fashion, per platform and Server Group. This allows an administrator to create a printer driver mapping on one server and have it automatically added to all other servers, of the same platform, in the same Server Group. DABCC Advanced Print Manager Administrator s Guide Page: 91

Spooler Watcher Advanced Print Manager 4.0 allows an administrator to view the status of, stop or start, the Print Spooler service on each server in a Server Group. It presents the location of the default spooler directory and gives the administrator the ability to change it. The Print Spooler is required to be running on a server if the end-users want to print. It is not unheard of to have Print Spoolers hang or stop. Advanced Print Manager 4.0 allows an administrator to view the status of the Printer Spooler on each server thus saving time in daily maintenance. How to View the Print Spooler Status To load the current status of the Print Spooler on every server in the current Server Group, click the Start button on the top right of the Spooler Watcher tab. DABCC Advanced Print Manager Administrator s Guide Page: 93

How To Set The Spooler Directory The Print Spooler spools its print jobs to a folder on the local drive. As a result, in a multi-user environment, it is not uncommon for the Spooler Directory to become full of documents, sometimes in the gigabytes. It is a best practice to store the spooler directory of the drive with enough disk space. I recommend at least 1.5 gigabytes free, just to be safe. Advanced Print Manger 4.0 gives an administrator the ability to set the Spooler directory to a drive that meets the requirements for disk space. The following defines how to set the default spooler directory on a particular server. 1. Click to select the desired server from in the Spooler Service list box 2. In the Default Spooler Directory folder enter the desired directory in the Spooler folder text box and click the Save button to commit the setting to the server registry. Note The new spooler directory will not be used until the Print Spooler is restarted. DABCC Advanced Print Manager Administrator s Guide Page: 94

Print Server Settings Advanced Print Manager 4.0 allows an administrator to configure a best practice setting to the servers in the current Server Group. All an administrator needs to do is check or uncheck the settings and click the Save Settings on Selected Server button to save the setting to the server in the combo box, or click the Save Setting on All Server button to save the setting to all the servers in the current Server Group. The following settings are configurable: Suppress Spooler Service Information and Warning Events from being logged to the Event Log - Check this box to disable the logging of Print Spooler Information and Warning Event Log events. Disable generating a beep on errors generated while printing documents - Disable the printer beep. Disabling this can reduce bandwidth/increase performance. DABCC Advanced Print Manager Administrator s Guide Page: 95

Disable Spooler errors from being displayed on the server console -- Suppresses spooler error messages. Sometimes the spooler service will refuse to restart after a shutdown, giving a system error 12. The most likely cause -- unanswered printer error popup on the console of the server. Disabling these error messages can make the restart more reliable. Disable print spooler pop-up message from being displayed on the server console. In some environments, the NT print spooler notification dialog is seen as a nuisance. Disable allowing non administrators from installing printer drivers. When a client makes a connection to a network printer, the default action is to allow any required printer drivers to be installed. In some cases, you may want to prevent the client from automatically installing the printer driver. If you allow a client to install printer drivers when they connect, the Spooler service is likely to start consuming extra CPU cycles, if the driver has not been tested with Terminal Services.
