3 This is a description of all new features in EvaSys V7.1 including explanations of the backgrounds and possible user benefits. This overview uses education-targeted terminology. The Healthcare and Corporate equivalents are: Instructor = Project/Project Manager Course = Topic Dean = Department Manager The page numbers in the column Description refer to the descriptions of the respective features in the User Guides: EvaSys = EvaSys User Guide Editor = VividForms Editor Manual Function Description Benefit Notifications for instructors upon survey start When setting up time control for online surveys, you may choose to also notify the instructors at the same time when sending out online survey invitations. The existing menu now lists one more option to choose from. As usual, the template set for the notification may also be edited beforehand. 4 Editing open questions coming from online surveys and data entry assistants Until now, replies to open questions could be checked and even deleted using the survey details. Now, these comments entered in an online survey or by a data entry assistant can be edited as well. EvaSys p.202 All typos, inadequate comments, names and small mistakes can now easily be edited. Restrict access to PDF Reports until the survey has ended The newly added setting Allow survey result access for open surveys in the menu Settings/Instructor accounts restricts access to PDF Reports for instructors trying to view results of still open surveys. This will affect instructors with an active or passive user account able to view all central results as well as instructors with a LMS Plugin or a LTI interface. EvaSys p.587 This way, evaluation results won t be accessible until the very end of the survey or any other event (eg until exams are over). Additionally, you ll avoid instructors viewing only partly reports. Plug-in interface You can now install plug-ins yourself without consulting an IT specialist. The newly added plug-in interface allows installing and configuring extensions for existing features as well as completely new user interfaces and PDF reports. EvaSys p.551 sequ. Plug-ins may be developed by Electric Paper Evaluationssysteme, all partners as well as any user. 5 Filtering and deleting courses You may sort all courses by period or status (with/without surveys / anonymous / non-anonymous) using the menu display courses. All courses matching the criteria can then be selected and deleted. EvaSys p.191 Easily delete any course from the system without evaluation data. Integrated online help The now available online help is accessible via the browser for all administrators, active users and VividForms Editor users. All PDF manuals will stay available in the menu System information/ Manuals. EvaSys p.16 Now, help is available for all devices without having to download big PDF files with the manual first. Also, all articles have been tagged and can be browsed by keywords. Deleting a mass of outdated image data Use the menu System information/ System cleaning to delete pictures of open questions and original scans from complete survey periods from the system. EvaSys p.525 Reduce the size of your system to decrease backup times and the backup size. 6 Multicolored histogram and stacked bar diagram Two new functions are now available for scaled questions in the PDF report: the stacked bar diagram as well as the multicolored histogram. Both diagram types can be selected in the VividForms Editor when adding or editing a scaled question. The colors can be configured in the PDF Report administration. EvaSys p.324 Editor, p. 37 sequ. Fine tune your PDF report with up to eleven different colours while still keeping different scale sizes. Extended display of indicators Three new stacked bar diagrams can now be used to display the indicators. The color can be freely chosen and it can be activated by selecting Indicators: Display stacked bar diagram in the Report Settings. 7 Newly designed presentation slides The presentation slides have been completely refurbished. Instead of the usual indicators, it now shows stacked bar diagrams in landscape format. Activate the presentation template and choose the colors for your stacked bar diagrams in the Report Settings. EvaSys p. 343 The new presentation slides and its easy design are supposed to spark discussions and further enhance your presentation of the results. It can also be used separately as it has its own page numbering. +# Display of quality guidelines Now, all quality guidelines including its percentages and the total value can be shown in the PDF report. You can also activate table view in the Report Settings. EvaSys p. 465 Until now, it was only possible to display results as a traffic light for each item. 8 Simple configuration of the LTI Interface Since Version 7.0, it has been possible to integrate Learning Management Systems (LMS) with EvaSys using the LTI Interface. With EvaSys, you can display a number of results in the LMS such as links to online surveys for students or response rates of running surveys available to the instructors. 7.1 now brings the configuration of the LTI interface directly to the admin interface including the possibility to upload customised templates. EvaSys p. 556 sequ. The LTI interface is being supported by a number of learning platforms at the moment including moodle, Blackboard, Canvas and Brightspace. EvaSys offers a variety of services to involve both students and instructors in the evaluation process as well as to display the survey results to be configured freely. +# Automatic alerts when remaining volume license capacities decline Set two cut-off points in Settings/ Configuration/Surveys to be alerted whenever the remaining volume license capacities fall below the defined cut-off point. 9 Arabic online surveys Online surveys now can be conducted in Arabic. Language sets available for a number of foreign languages change all texts displayed in the survey and all buttons. Additionally, the layout of the survey can be mirrored for right-to-left writing as used in Arabic. EvaSys p. 179 A consistent RTL experience is now guaranteed for all Arabicspeaking survey participants. Use it for international employee surveys as well as patient surveys now available for Arabic patients as well. Arabic PDF Reports In the Report Settings, you may choose to display PDF Reports in right-to-left writing. All graphic contents such as histograms, profile lines and survey contents are meeting all requirements of the Arabic language. EvaSys p. 179 It is compulsive to have used Arabic contents in the survey for which you generate an Arabic PDF Report. Cumulative percentages Show cumulative percentages for scaled questions in PDF reports. EvaSys adds up defined responses to generate a cumulated value. Select all response options you d like to cumulate in the Data Export Configuration and go to the Report Settings to enable the display of these cumulated values. 10 Question library for Instructor s Optional Questions It is now possible to add questions from the question library when using Instructor s Optional Questions with pre-defined optional questions. It is possible to either let the instructor choose only questions from the library or questions from the library and his/her own or if he/she won t have access at all. EvaSys p. 228 This option gives you the possibility to influence the instructor s choice of items. On the other side, the instructors are being supported when choosing their items for the evaluation. Fewer notifications Optimized layout in the VividForms Editor The integrated mailing service of EvaSys displays a number of warnings and alerts as soon as an administrator has logged in. The system will now send a lot less alerts. Since V7.0, it is possible to build a survey in the VividForms Editor with two columns. The changes made have led to some minor flaws when working with scaled questions and pole texts. These have been corrected. You will have to convert existing questionnaires if you need them to be used in newer surveys. Editor, p. 100 sequ. Recently, there have been temporary shutdowns of the database server by EvaSys while backing up. This led to unimportant warning messages. The system will now wait a certain amount of time before showing the alert. All questionnaires generated in 7.0 will be adjusted when running on the new V7.1. 11 Display of successfully installed fixes The license management now lists the successfully installed fixes. EvaSys, p. 34 sequ. Check the correct installation of all fixes and report existing fixes easily to our support if needed. Security improvements The EvaSys Platform has been tested by a company specialized on penetration tests. All insights gained have influenced security improvements. Penetration tests usually are done in regular intervals to test the latest attack mechanisms on the webservers, the data base servers as well as within the EvaSys code. Performance improvements Various areas have been optimized concerning their processing time. Areas that have been optimized include the display of the subunits, the configuration bar, the question library as well as the batch events. Transaction-based databases The internal communication between EvaSys and the data base server has been converted to transactions. In case of unexpected errors, this even allows for more complex processes to be completely reversed. Until now, unexpected system errors occasionally left data fragments that could trigger side effects from time to time. By shifting to transactions, these processes will become way more stable.
