1 Order Lifecycle Visibility (OLV) Supplier Alerts November 2009
2 Summary of Getting Started Tasks 2 After you have Completed registration process for OLV via Trading Grid Assigned a Company Administrator Successfully logged on to OLV You (as the Company Admin) need to do the following: Set up the Message Center Set up service contacts, if needed Configure Supplier Alert Management settings Set up additional user accounts, if needed
3 Setting Up Message Center Links and Alerts 3 OLV Message Center links and notifications are both set up at the same time using the Supplier Alert Management function. Before setting up Supplier Alert Management, the Company Administrator may need to set up additional Trading Grid Service Contacts. Your company s OLV Company Administrator is automatically set up as a Trading Grid service contact. Your company s OLV Company Administrator is also the default contact. Any additional recipients of the notifications need to be set up as Trading Grid service contacts.
4 Adding a New Service Contact 4 To add a new Service Contact: - Click on the Account Manager tab. - Choose the Service Configuration button. - Choose the Service Contacts button. - Select Add New Contact from the Actions list.
5 Adding a New Service Contact (continued) 5 Enter the required information for the contact, and then choose Submit. The system will confirm that the service contact was successfully created.
6 Setting Up OLV Message Center Links and Alerts 6 To set up OLV Message Center links and automatic alerts: - Click on the Account Manager tab. - Choose the Service Configuration button. - Choose the Supplier Alert Management button. You must provide a From address for the notifications. Typically, the address of the OLV Company Administrator is used as the From address.
7 Setting Up OLV Message Center Links and Alerts (continued) 7 The Default Contact (your OLV Company Administrator) is automatically included as an contact. If you want to add additional recipients to the notification list, enable the Other Contacts check box, and then choose the Modify List button.
8 Setting Up OLV Message Center Links and Alerts (continued) 8 Choose the recipients you want to add to the Notify list, and then choose Submit.
9 Setting Up OLV Message Center Links and Alerts (continued) 9 0 day(s) = Immediate 1 day(s = Once per day 2 day(s) = Twice per day The Frequency setting determines whether the system sends all s immediately, or waits and sends multiple notifications together at the same time.
10 Setting Up OLV Message Center Links and Alerts (continued) 10 For the Alcatel-Lucent community, you will need to enable alerts for New Orders and Rejected Invoices. Other document settings on this page do not apply.
11 Setting Up Message Center Links and Alerts (continued) 11 When your settings are complete, return to the top of the page, and choose Preview Supplier Settings from the Actions list.
12 Setting Up Message Center Links and Alerts (continued) 12 After reviewing your new settings, choose Submit from the Actions list. The system will confirm that the settings were successfully updated.
13 Reasons Alerts May Not Work 13 There are several reasons why you may not be getting your alerts. The two most common reasons are: Bad address. If the address being used as the notification address is misspelled or incorrect as entered in Trading Grid, or if it doesn t exist on your server, the alert notifications will reject and you will not receive them. Verify that the appropriate address(es) are accurate. server. Your server may be setup to reject s from TGnoreply@gxs.com, which is the sender address for all alert notifications. This can be fixed by having your mail server admin update your SPAM or junk filters to accept from any gxs.com address. However, if your SPAM or junk filters are updated regularly, the problem could start occurring once more, so you would need to address the issue internally within your company. If you have verified that the above issues do not apply to you and still are not getting your alerts, please contact GXS Support.
14 Contacting Technical Support (N Amer) 14 To contact GXS for assistance with Order Lifecycle Visibility: Call EDI-CALL ( ). After you hear the welcome message, press Support is available from 8:00-20:00 ET, Monday - Friday. After business hours, calls roll to voic and will be returned during the next business day. You can also send an to: support@gxs.com When you contact GXS: Have your company name, phone number, and your Client ID ready. (If you don t have a Client ID, you can provide your name.) Identify that you are using Order Lifecycle Visibility. Provide a detailed description of the problem.
