2 Time2Track USER MANUAL The Center for Civic Learning & Community Action at Adler University has partnered with Time2Track to log Social Justice Practicum (SJP) students non-clinical hours and distribute and collect required evaluation forms. This Time2Track User Manual is divided into two parts. Part 1 Students/SJP Interns details all of the information needed for the SJP student to have a smooth introduction into Time2Track as a non-clinical hour log tool. Part 2 Site Supervisors walks all SJP Site Supervisors through the most important aspects of Time2Track for their roles. You may select any subheading to direct you to that page within the User Manual. There will be hyperlinks to Time2Track Support throughout the manual as necessary. 5 CENTER FOR CIVIC LEARNING & COMMUNITY ACTION SOCIAL JUSTICE PRACTICUM (SJP) The Social Justice Practicum (SJP) is a first-year, non-clinical and non-discipline specific experiential practicum that occurs during the Fall and Spring Terms. The SJP is designed to help students learn how to work alongside the community as an agent of social change; and serves as the catalyst for students to realize and understand their own strengths and responsibility to contribute to social equity. The SJP helps students to gain the knowledge, skills, and perspectives necessary to be socially responsible practitioners. 6 PART 1 STUDENTS/SJP INTERNS Time2Track URL: Time2Track Resources for Individuals: CREATING SJP TIME2TRACK PROFILE At the beginning of your 1 st semester at Adler University, you will receive an from SJP Coordinator to create your Time2Track account similar to the excerpt below. Time2Track You will be logging your hours and being evaluated by your site supervisor. The system we use at Adler University for this is called Time2Track. Site supervisors are being given access this week, and will be creating accounts through the month please be aware of this when attempt to link your supervisor. We will discuss Time2Track in the upcoming workshops. You will need to create an account with Time2Track, and you will need a key to do so. Please go to the login page at this link: You will need to fill out the information to create a profile, and enter this key: XXXX-0000-XXXX-0000 The link will send you to following screen. 6 SJP - Time2Track User Manual 2017

7 IMPORTANT SJP PROFILE SETTING REQUIREMENTS (See above) Use your Adler University Select Non-Clinical for SJP Authorization Key The authorization key is a SJP-specific key for Adler University s Center for Civic Learning & Community Action. With this authorization key you will: Have access to Time2Track for 1 year o After your SJP, you will have access to only view and reference your non-clinical practicum hours and forms. Have access to the list of Community Partners/SJP Sites and their respective Site Supervisors Log SJP internship hours on a regular basis through your SJP placement Compile and generate aggregate data and reports on your non-clinical practicum Access to view and fill-out SJP required documents: o Mid-term Evaluation o Final Evaluation Signing Up Continue the sign-up process as show below. Enter Authorization Key provided by SJP Coordinator in August Select Program Start Date as advised by SJP Coordinator 7 SJP - Time2Track User Manual 2017

8 Create a password that is unique to you and that fits with any Time2Track password specifications Confirm password Click Finish SJP PLACEMENT: TERM, SITE, AND SUPERVISOR To begin using Time2Track, you will be required to add a Placement, or SJP Site, on Time2Track profile that will be linked to your SJP hours. The following images will walk you through the Time2Track screens you will be presented with. Please follow along this manual as you set-up your own Time2Track account. Add a New Placement Click on Placements under the gear icon on the top right corner Select Add a New Placement Enter data under the pop-up screen titled Add a New Placement Level: Non-clinical Course: SJP Section-[Your Adler University Graduate Program acronym] Training Site: [Your Selected SJP Site] from the drop-down menu Term: 2017 Fall NOTE: The SJP spans over 2 academic terms, thus you will need to add a placement for each semester, i.e. one for Term 2017 Fall and one for 2018 Spring. This helps Adler University with more accurate reporting capabilities. 8 SJP - Time2Track User Manual 2017

9 Site Supervisor: Select the [Name of your assigned Site Supervisor] at your SJP Site from the dropdown menu. NOTE: If you do not see your Site or Site Supervisor name from the drop-down menu, please contact the Center for Civic Learning & Community Action at or direct line (312) SJP HOURS: ADDING FIRST ACTIVITY Add a New Activity To enter your first of many SJP hours to your Time2Track account follow these steps. Click on Activities Select Add a New Activity NOTE: Here, you will add activities that only you can see. You will have an opportunity to review, revise, and select a series of activities to send to your Site Supervisor later on. 9 SJP - Time2Track User Manual 2017

10 An Add a New Activity box will pop-up. Notice that the placement site you had previously added in the signing-up step will automatically display in this box. Enter: Enter Date of activity performed Verify the Placement automatically displayed is accurate o NOTE: If at any point throughout your SJP year your site placement changes, you can change it here by selecting Add a Placement, or by repeating the Adding SJP Placement steps above. Select Site Supervisor from drop-down menu Revise Treatment Setting o NOTE: Treatment setting selection is already linked to the specific SJP Site and will automatically appear in your screen. However, if the identifier does not match well with the setting, please select a more accurate treatment setting for your SJP Site. o If accurate: keep. o If not accurate: select closer match from the drop-down menu. Select Activity Type from drop-down menu o NOTE: If your SJP activity is not represented in the drop-down menu options, you can add your own Custom Activity. See Page 12. Enter the number of Hours you spent in this particular activity o Time2Track tracks hours in quarter hours, or 15-minute increments. Assessments: o For your non-clinical SJP, administrating assessments to your Client type will be unlikely. For now, skip this portion of your activity entry, and proceed to Schedule as recurring if needed. Schedule as Recurring: o Helpful Conversions 15 minutes:.25 hours 30 minutes:.5 hours 45 minutes:.75 hours 60 minutes: 1 hour 90 minutes: 1.5 hours Useful to pre-log activities that will occur on a regular basis and will involve the same: Treatment Setting, Activity Type, Client, and Hours. 10 SJP - Time2Track User Manual 2017

11 o Using this option allows you to enter the information one time, and the system will automatically populate your calendar with the activities at the recurrence frequency you have selected. Click Save or Add & Enter Another according to your needs. NOTE: You will have to confirm the activities before sending to your Site Supervisor for approval. If the activity has changed, you can edit the activity before confirming. ADDING A CLIENT Depending on your SJP project, you will be working directly with clients (individual, couple, family, or group) from the target population. For the purpose of enhancing the SJP tracking and aggregated data reports, specifying who the recipients of your direct work are is imperative. Time2Track facilitates this process while maintaining the integrity of clinical practicums also in a nonclinical setting. Time2Track allows you, the SJP intern, to create your own individual and group identifiers. While this is not a mandatory or required field, it does enhance the mid-term and final reports from your SJP. Additionally, the demographic analytics gathered from your SJP can be a powerful visual for your SJP final presented at the annual SJP Symposium. 11 SJP - Time2Track User Manual 2017

12 The Time2Track videos further explain in detail how these work. Below, you will find screenshots of what to expect when you enter your Individual and Group activity details. 1. Individuals - include demographics (i.e. age, gender, etc.). Individual contacts may not be common for the SJP. 2. Groups - clients are a group of unrelated individuals or multiple people you are working with from the target population. 3. Family clients - are required for activities that involve family or couples therapy. As a non-clinical practicum, you will only need to keep track of Individual and Group client types. Client Codes Client codes are used to protect the identity of your client as well as maintain the integrity of the recording process of your activities. You will create your own coding system made-up of combining up to 6 letters or numbers. NOTE: Time2Track has a coding sheet available for you to use. Tracking Demographics Time2Track keeps track of Number of groups you ve serviced Demographics of the individuals in the group Individuals and respective demographic information Time2Track does not keep track of Group attendance for each session When adding a new client, either Individual or Group, Time2Track recommends keeping in mind the following: 12 SJP - Time2Track User Manual 2017

13 Add members of a couple, family, or group to Time2Track as Individuals, then group them together accordingly. The group age is determined by the majority of the members. Groups can be empty if you don t need to track demographics. Empty groups will count towards the total of groups you worked with during your SJP practicum. Managing Groups Add all individuals who have ever attended Add any new individuals to the group Activities can be logged for an individual and/or a group containing the individual Individual demographics will only be counted once. Unless you are correcting a mistake and an individual never attended the group, NEVER remove an individual from a group. Removing an individual from the group will remove demographics from totals. You don t need to take group attendance. You don t need to create a separate group for each session. If you have a group that meets once a week, you can create one group and keep adding attendees as individuals. For more links and information, please visit Time2Track s helpdesk at LIST TAB You may view the status of your added activities in the List tab under Activities. Select different filters that cater to your needs. The screenshot below displays all activities with an unconfirmed and confirmed Status - from you, -as well unsubmitted, submitted, approved, and rejected Approval Status from your selected Site Supervisor. 14 The List tab allows you to make changes to your activities. You can delete activities or change activity details individually for particular situations, or you can address the changes as a bulk action. Single Action Changes: Changing Site Supervisors Under some circumstances, your Site Supervisor might change in the middle of your SJP. In order to maintain an accurate tracking system, reflecting this change in your SJP Time2Track profile is imperative. There are several ways that you can change your Site Supervisor. These changes need to be communicated to the SJP Coordinator (see Page 5 for contact details) to ensure a smooth transition and maintain an open line of communication. Please notify the SJP Coordinator if you do not see your newly assigned Site Supervisor on Time2Track so that we can make their names available to you, and so that they can have access to the hours you submit for approval. If you have already created and activity, you can go back and change the details, including your Site Supervisor by following the guidelines below. Go to List under Activities Select the activities that you need to amend under Type/Client o Click on the drop-down menu under Supervisor and select your Site Supervisor Save 14 SJP - Time2Track User Manual 2017

15 Bulk Action Changes For bulk action changes, please select all of the activities you wish to amend. Keep in mind that the change should will be uniform throughout your selected activities. Go to List under Activities Check all activities you wish to change Choose bulk action that reflects the change you want to make from the drop-down menu Save Custom Activity The Custom Activity Types tab allows you to include any activity that represents your SJP on-site time that is already not listed under the drop-down menu in Activities. Name your activity and select the most appropriate Activity Type for your custom activity. Custom Treatment The Custom Treatment settings will not be needed during your SJP due to its non-clinical nature. If you wish to learn more about this tab, please find the Time2Track tutorial under Time2Track Support. 15 SJP - Time2Track User Manual 2017

16 REQUESTING HOUR APPROVALS FROM SITE SUPERVISOR This step is instrumental in having a successful and smooth SJP experience. After you have logged your SJP hours in Time2Track, you must submit a request for approval to your Site Supervisor. If you have more than one Site Supervisor, please select the name of whom supervised you during the listed activity from the drop-down menu. Steps to follow: Go to Approvals Click on Submit Hours for Approval/Create a New Approval Request Select the activity listed that you wish to have approved Add Notes o You can add distinguishing notes that will aid you and your Site Supervisor in the review process; e.g. specific reading materials used for trainings, facilitation techniques implemented, neighborhoods reached in community outreach efforts, etc. This is not compulsory, but Site Supervisors really appreciate additional information in order to assist them in recalling particular SJP hours. The Activity Types tend to be broad and general, thus it is useful to add specifics. 16 SJP - Time2Track User Manual 2017

17 Approval Status Once you have successfully completed your first Approval Request, including getting the hours approved by your Site Supervisor, your Activity List will look similar to the image below. You can take advantage of the various filters located at the top of your screen to display specific activities. The image below is displaying all activities besides repeating or Scheduled activities for the future. These settings give you a full picture of all the activities you have inputed and confirmed on your Time2Track log. There are four possible labels that you will see under Approval Status: 1. Unsubmitted: You have yet to send an approval request for this activity. 2. Submitted: You sent an approval request, but have not received a response from your Site Supervisor. 3. Approved: You sent your approval request, and your Site Supervisor approved your hours. 4. Rejected: You sent your approval request, but your Site Supervisor rejected your request. a. Site Supervisors are expected to provide feedback when rejecting SJP hour approval requests. b. If this is a problem, please communicate with your Site Supervisor. If the issue persists and you have not received any feedback, please communicate your concerns with the SJP Coordinator. 17 SJP - Time2Track User Manual 2017

18 FORMS: COMPLETING EVALUATIONS This tab allows you to view, fill-out, and submit midterm and final evaluation forms as required by the Center for Civic Learning & Community Action to receive credit for your SJP. You will be asked to submit 2 forms for your SJP intern. SJP Intern evaluations to fill out: 1. Mid-term evaluation of Self, Site, and Supervisor due in December 2. Final Evaluation of Self, Site and Supervisor due in April SJP Site Supervisor evaluations to fill out: 1. Mid-term evaluation of SJP Intern due in December 2. Final Evaluation of SJP Intern due in April You are responsible for submitting the two evaluation forms one for each term as part of your requirement in fulfilling the SJP. Due dates and specific guidelines for your SJP cohort will be given out to you at the SJP Coordinator s discretion. IMPORTANT: The evaluations are only visible to the Center and are not shared with SJP Site Supervisors. Similarly, Site Supervisor evaluations of SJP interns are submitted to the Center and will not be visible to the SJP intern. You will receive an invitation from Time2Track to your registered account (your Adler ) each time there is a new form to be completed. The will provide you with a link to the Forms Tab in your Time2Track account to begin the filling in the form. 18 SJP - Time2Track User Manual 2017

19 NOTE: You will need your login information to continue. Steps for all SJP evaluations: Click on Start Form o NOTE: Status column will read Sent Fill-out all the multiple choice and short-answer questionnaire Select Save if you wish to finish at a later time o NOTE: Status column will read In-Progress If you saved your form, return to the Forms tab and select Continue Form Save and Submit Form o NOTE: Status column will read Submitted RESETTING PASSWORD If you need to change your Time2Track password for any reason, you will need to go to to do so. The Center has no access to change or search any of our students or site supervisors personal account login information. Select log in at the top right corner of your Time2Track screen Click on forgot password at the bottom right corner of the log in square Enter the address you used to create your Time2Track profile Click send password reset 19 SJP - Time2Track User Manual 2017

20 o The following message will appear on your Time2Track webpage: We ve sent password resent instructions to [your linked to Time2Track]. That should show up in the next few minutes. 21 The link provided by Time2Track Support under Click this link to resent your password will send you to Time2Track s website where you can enter your new password. NOTE: If this does not work, please contact Time2Track Support. 22 PART 2 SITE SUPERVISORS Time2Track URL: Time2Track Resources for Supervisors: REGISTRATION Soon after your SJP Project Proposal has been accepted by the Center, and an SJP student has selected your site for their internship, a staff member from the Center will add your name and site to Time2Track under Adler University Chicago Center for Civic Learning & Community Action institution. This account is free of charge for site supervisors. If you have fee-related questions, please contact Time2Track support services. You will then receive an from Time2Track similar to the image below to the address listed on the SJP Project Proposal submitted to the Center s Manager of Community Partnerships. Please be sure to check your Spam folder. In order to use the Time2Track database, you will be required to create a profile. Please note that the image above lists our Center as our former department name, Community Engagement. Additionally, 22 SJP - Time2Track User Manual 2017

23 the Adler University point-of-contact is subject to change. Please refer to Page 5, Contact Information, for the most up-to-date contact information. Time2Track Certification Requirements While there are no certifications required to be a Site Supervisor for the SJP from Adler University, Time2Track does require new site supervisors to input data with regards to certifications and qualifications. Once you login into the system you will be asked to select Degree, Qualifications, Qualification ID and the State/Province of Qualification. Thus, if you do not have any of the certifications listed below, please fill-in the required data as recommended by the Center for each section: Degree: Select "Other" Qualifications: Select "Other Certification" Qualification ID: Enter NA, N/A or None. State/Province of Qualification: We suggest the same options as detailed in Qualification ID or you may enter the state/province where your site is located. If you have any of the listed certifications please select from the proper field and follow the prompts until completion. This data is required to establish an account in Time2Track to approve your SJP intern(s) hour logs and complete their student evaluations. You will be able to see your SJP intern(s) hour logs once they submit them on Time2Track for approval. They will have to select your name under the Preferred Supervisor dropdown menu, submit their hours, and then the system will populate your intern(s) hour log to your Time2Track account. Login Information You will need to remember your login information to access Time2Track, including your (same as listed on SJP Project Proposal) and the password you created at the time of registration. 23 SJP - Time2Track User Manual 2017

24 CONNECTING WITH YOUR SJP INTERN ON TIME2TRACK Currently, the only way Site Supervisors can be linked to their SJP intern(s) is after the SJP intern has added their first activity to Time2Track (See Part 1, SJP Interns to learn about the process) and sent a request of approval through Time2Track listing you as their Site Supervisor. Your Time2Track home-screen will show this message: As the institution, the Center has limited access and rights with this process. It is vital that communication with Site Supervisors and their respective SJP intern(s) is clear, consistent, and frequent. We recommend that at the initial meeting the Site Supervisors and SJP interns create an agreement, verbal or written, on how often the hour approval requests should be sent throughout the duration of the SJP. For example: An SJP intern may be at your site 3 times per week, for 5-7 hours. Rather than sending and receiving 3 hour approval requests from the SJP intern, you may agree to approve hours once a week, to confirm the SJP hours. Alternatively, you may decide to approve hours bi-weekly. Meaning, you will be asked to review 6 days of SJP internship totaling anywhere from SJP hours, for this particular example. We leave this to you as the Site Supervisor and the SJP intern(s) to determine as it should be what works best in accordance with the respective organization, communication style, and nature of the SJP project. APPROVALS TAB Request to Approve SJP Hours I. Notification An will be sent from Time2Track to your Time2Track login address immediately after your SJP intern(s) submits a request to approve hours. 25 * Please note that the information above reflects a Center s student-dummy account and not an actual or current SJP intern or Site Supervisor s account information. II. Review SJP Intern s Hours There are two main ways in which you may review your SJP intern s hours on Time2Track. 1. Follow the hyperlink under review this student s hours provided in your Time2Track notification Login to Time2Track URL directly and follow the instructions on your screen to view and review hours needing approval. Whether you follow the hyperlink in your or you login directly using the Time2Track URL, you will be directed to the same screen, under Approvals Tab, similar to the screenshot below. 25 SJP - Time2Track User Manual 2017

26 III. Filters As your SJP intern(s) progresses, you may want to use the Approvals Filters as shown below to assist you in displaying only the necessary information. Adjusting the filters will alter the list of activities shown under Approvals Tab. The image below shows all the activities without any filters, both approved activities (Approved status) and activities that have been submitted for approval, but have not yet been approved by you (Submitted status). Approve SJP Hours For the SJP intern to receive credit for this internship, full collaboration with Site Supervisor is necessary. Approving SJP hours is crucial for a successful and smooth SJP year for all parties. The approval request reviewed above will send you to screen under Approvals tab similar to the image below, but reflecting the corresponding SJP information, including SJP intern s name, practicum term, site name, and site supervisor s name. To approve hours Select Activities with Submitted status by clicking the activity title under Placement hyperlinked in blue font as shown in the image above and it will direct you to a new page specific for that activity. o You may use Filters to facilitate the process as needed. 26 SJP - Time2Track User Manual 2017

27 After a new window on your Internet browser loads, you may review the activity approval request. We have asked SJP interns to make the activity inputs as specific as possible given the Time2Track database parameters. While Time2Track allows for general activity types, SJP interns may include additional distinguishable information for each activity as necessary. We encourage you and your SJP intern(s) to discuss and establish how much information is needed by your Site and for you as a Site Supervisor to effectively review hours. See Part 1, Add a New Activity, Page 9 in this manual for more information. Select Approve or Reject as the activity submission warrants. If you select Approve, you will be prompted with a new window to ensure you want to approve the activity, which gives you the opportunity to review the submission once more and add a comment. o Click Submit to approve activity, or Cancel if you wish to reject activity. If you select Reject, you will be prompted with a new window to ensure you want to reject the activity, which requires you to provide helpful feedback as to why the activity has been rejected. o Click Submit to reject activity, or Cancel if you wish to accept the approve activity. 27 SJP - Time2Track User Manual 2017

28 Regardless of the whether the request was approved or rejected, the SJP intern will receive an notification after you submit a response to the approval request. If further action on behalf of the SJP intern is necessary, they will follow Time2Track instructions as necessary. FORMS TAB This tab allows you to view, fill-out, and submit midterm and final evaluation forms as required by the Center for Civic Learning & Community Action. Final Evaluation of Self, Site and Supervisor due in April IMPORTANT: The evaluations are only visible to the Center and are not shared with SJP interns. Similarly, intern evaluation forms for the same term of self, site, and supervisor are submitted to the Center/Adler University and will not be visible to the Site Supervisor at any time. Completing Evaluations You will receive an invitation from Time2Track to your registered account (same as listed in SJP Project Proposal) each time there is a new form to complete. 30 RESETTING PASSWORD If you need to change your Time2Track password for any reason, you will need to go to to do so. The Center has no access to change or search any of our students or site supervisors personal account login information. Select log in at the top right corner of your Time2Track screen Click on forgot password at the bottom right corner of the log in square Enter the address you used to create your Time2Track profile Click send password reset o The following message will appear on your Time2Track webpage: We ve sent password resent instructions to [your linked to Time2Track].
