2 What is XML? XML stands for Extensible Markup Language and is a specific computer language used for sending and receiving data. What is a Data Import? Data Import is the process of importing listings and updates into an REA account. Listings are created or updated by processing XML files, sent to us by a third party provider s system. Please note due to the required processing, a one off setup fee applies. For more information on how to request a data import setup (or change of your XML uploader), please see our post here < What is a Data Export? Data Export is the process of exporting listings and updates from a realestate.com.au/realcommercial.com.au account. When a link is created to a third party export provider, customer s listings are sent to that system. These feeds are only be provided to third party systems for specific commercial purposes (eg, window display systems); not for individual agency websites. Please note due to the required processing, both a one off setup fee and ongoing monthly fees apply. For more information on how to request a data export setup (setting up with an window display system), please contact our Customer Care Team.

3 What is a Data Extract? A data extract is a snapshot of all the listings in a customer s account, except those under a deleted status. Data extracts are provided by REA when setting up data imports from a third party provider s system, or transferring listings between REA accounts. These are primarily used to ensure listing content on our site (and associated charges) are not duplicated against a customer. To become a registered XML provider (and have the ability to send our system regular feeds to specific accounts), the feeding software must pass a series of data integrity tests including, but not limited to, ingesting a data extract from the REA system. Please note due to the work required, a processing fee applies. What is a Transfer of Listings? A transfer of listings is the process of moving all, or specifically nominated listings from one customer s REA account to another REA account. If either of these customer s accounts utilise a data import, we will create a data extract for the XML provider to match up; ensuring any transferred listings are not duplicated in our system. As part of this process, data imports are temporarily disabled but only until we ve received confirmation that the listing content has been matched up against our system. Please note due to the work required, a processing fee applies. 4 What is a Third Party Provider System? This is the system your agency use to upload and update listings on both our and other websites. These systems can also act as a CRM, and be known as: XML provider XML uploader 3 rd party provider Portal pusher Customer Relationship Management Software (CRM) Can you recommend a third party provider system I can use that send a specific type of listing or support a specific feature to you? We receive data imports from approximately 200 third party provider systems, and the features and listing support within each of these systems vary considerably. As a direct result, REA are not in a position to recommend one specific third party provider. A quick google search for real estate software Australia however, displays a range of different providers. All systems must be able to send through mandatory fields for the listings types they are uploading, however, there is no requirement to support all fields. I want to start using a third party provider, what do I need to do? As this process allows a third party full access to your agency s listings, we require specific authorisation from your office. It is best to consult with your third party provider first, to ensure they have a current data agreement with REA. Once confirmed, please select the Change my uploader button on the XML Uploads page in Agent Admin, and complete the online authorisation form.

5 What will happen to my listings when I start using a third party provider? Your active REA listing will not be affected by the change, and will remain on site whilst the third party provider imports them into their system. Once the information has been imported and matched with the Unique listing ID we provide them, your third party provider will notify us, and a data import/feed will be activated on your account. Why is my new listing or listing updates not appearing on your website? XML providers transmit files at different intervals throughout the day, dependant on their system s requirements; our REA system however, is available for uploads in real time. You can track new listings or updates within Agent Admin, on XML Uploads page. If an issue has occurred with the feed, we will display the file in Red. You can also speak to your third party provider, as we notify them of all errors related to your agency s account. Who do I contact if I have an issue with a listing or data import? XML providers transmit files at different intervals throughout the day, dependant on their system s requirements; our REA system however, is available for uploads in real time. You can track new listings or updates within Agent Admin, on XML Uploads page. If an issue has occurred with the feed, we will display the file in Red. You can also speak to your third party provider, as we notify them of all errors related to your agency s account. I am receiving the below error what should I do? (CQA) Some XML errors relate directly to REA s business and site rules. This error relates to an attempt to create a listing, which has already been active within the REA account in the last 60 days in contravention of our site s Acceptable Use Policy. 6 Can I display my realestate.com.au listings on our agency website? To assist customers in displaying listings on their agency website, realestate.com.au provide a series of widgets. More information is available here <( Please note these are a free and unsupported service. Alternatively, your third party provider may also have a solution. I want to develop my third party provider system. How do I go about setting this up and are your requirements? As these systems require ongoing technical support, maintenance, and minor changes (for both your customers and REA), you will need to have a minimum of 5 customers with REA subscriptions, who are ready to use your service. To have a complete understanding of the requirements of a sanctioned third party provider, please see our support documentation here < This contains technical information required to create a data import, and in turn, process data extracts from our system. The REA XML Functional Spec document is located at To enter a provisional data contract with REA (and then move into the testing process), customercare@realestate.com.au. Please note provisioning of accounts and data integrity testing can take between 4 & 8 weeks.

7 I have a Project Profile. How do I edit it via my third party provider? This can be done one of two ways. 1. Sending project listings through as residential home sales or land sales. Once created, you can log into Agent Admin and assign them to the project, via the select from list tool - located on the project page. 2. Directly through your third party provider. If your third party provider s system provides fields for Project Profiles, you can specify the project ID and the order of the project listing, before sending the data to us. I recently had a transfer of listings performed however the listing agents aren t appearing anymore? Listing Agent Profiles are specific to one REA account. They are assigned to listings via the REA account s Agent ID. Once listings are removed from a customer s account, the old account s Agent Profiles are unassigned from the listings. In order to display these details again, the customer will need to create a new listing agent profile under the new account, and assign each transferred listing to it. How am I notified of errors in my data import? An is sent to the customer s default office address when an error is encountered. These notifications are generated once daily, and provide a link through to the XML uploads page in Agent Admin, where you can review the cause of each errors. Please note to rectify most errors, amendments are usually made through your third party provider s system.

8 Is my third party provider notified when there are errors? Your third party provider receives an notifying them of all successful and unsuccessful uploads, as soon as the file has been processed by our system. Any errors encountered during the feed are also detailed in these log files, accessible directly by the provider. Where can I view logs of successful and unsuccessful data imports for my account? You can track new listings or updates within Agent Admin, on XML Uploads page this displays the last 7 days of logs. If an issue has occurred with the feed, we will display the file in Red. If you would like to view only unsuccessful data imports, click the Display Errors Only check box. You can also speak to your third party provider, as we notify them of all errors related to your agency s account. Can I automatically send my enquiries to my third party providers system? enquiries are sent from our system in a standard format, and we do not export them on to any other system. Some third party providers however, have the ability to ingest these enquiries into their own systems. Please contact your third party provider to establish if their software provide this ability. I have just signed up for a Builder Select subscription. How do I have my listings moved into the new homes section? While listings cannot usually be transferred between property types there is an exception for new homes/residential home sale listings. To have this changeover actioned simply the request through to customercare@realestate.com.au

9 Can I use more than one third party provider on my one realestate.com.au/realcommercial.com.au account? Our system provides the ability to have either one or two uploaders assigned to an account simultaneously (eg. one for rental listings and the other for sale listings). We offer this service because we understand that customers find some third party provider systems better suited to certain property types and uses. To set up a second provider on your account, select the Change my uploader button on the XML Uploads page of Agent Admin, and complete the online form. Please ensure you select both providers, and nominate what type of properties we should expect from each. I have two accounts with REA, but only one with my third party provider; will this work? Our system is setup to process all listings we receive from your third party provider so this depends on the setup of their software. Not all third party provider systems support this functionality. We would recommend checking with your third party provider before making any changes to your data import or account setup. How often does my third party provider send listings to you? Third party providers transmit files at different intervals throughout the day, dependant on their system s requirements; our REA system however, is available for uploads in real time. To confirm the frequency of your provider s uploads, is best to contact them directly.
