1 Ordering & Scoring Bubble Sheets 1 The Scantron Evaluation System is used by professors and departments to provide bubble sheets to students for student assessment and course evaluations. Math/CS and HHP currently use their own bubble sheet system. ORDERING BUBBLE SHEETS ONLINE The BEST WAY to order bubble sheets ONLINE through our automated system. This ensures the least amount of user error on both your end and our end in Business Intelligence/Information Services. To order your sheets, open a web browser and go to: This will take you to MyWeb Faculty Services. Enter your NMU credentials to login (the same as MyNMU). From this page, click the Request Test Sheets button. NOTE: If you do not have this button, please contact Kelly Larmour (klarmour@nmu.edu) to have it added to your faculty page. Unfortunately, at this time only the instructor of the course can have access to this button. The next page is an overview of how to request test sheets. Make sure that the correct semester is in the drop-down menu and click the Semester button.
2 Ordering & Scoring Bubble Sheets 2 The next page will list your courses on it. You will need to tell us how many SETS you need for each course. Some professor know that they will be giving 4 exams in a course, so they will order 4 sets at the beginning of the semester. Other professors order one set as needed throughout the semester. You will also need to tell us how many KEYS you need per set. The number of keys dictates how many different forms of the test you have (such as Form 1, Form 2, etc.). Some professors also use a WEIGHT sheet if they have some questions worth more points than others. You will also need to tell us if this is a TEST or a SURVEY. Tests are used for assessing students (typical quiz, test, exam, etc.) Surveys have no key and are usually ordered at the end of the semester for course evaluations, either by the professor or by the department secretary. Survey results are not returned directly to the professor; they are first processed by the department and professors receive the results from the department, not BI/IS. You will also need to tell us if you want us to MAIL them or you want to HOLD them for pick up in 503 Cohodas. We can generally get the sheets printed by the next business day for you to pick up; however, if you want them mailed we recommend ordering at least 48 hours ahead of time due to mail delivery at the university. We are not responsible for items sent through campus mail. We do not recommend choosing mail for delivery of final exams. You will need to do this for every course you wish to have Scantron bubble sheets for. Once you have submitted your order, it will be processed during regular business hours. The bubble sheets are printed by Technical Services in the basement of Cohodas. We pick them up and either ship them through campus mail or hold for pick-up, depending on your request. OTHER WAYS TO ORDER BUBBLE SHEETS You may also use the form at the end of this documentation to order bubble sheets, however this is not recommended. Through human error course CRNs are often transposed. We do not recommend you fax or mail this form as it can delay processing or get lost entirely. If you use the form, please it to Kelly Larmour (klarmour@nmu.edu) and call her at so that she is aware of your order. WE STRONGLY URGE YOU TO ORDER SHEETS ONLINE! Using the online system is very easy after you have used it a couple of times. Not only does it ensure you get your bubble sheets processed in the fastest manner possible, but it also saves paper waste! GETTING BUBBLE SHEETS SCORED In order to score and process your bubble sheets, they must be physically ran through our Scantron machine. Please bring your bubble sheets to 503 Cohodas during regular university business hours. You will fill out a request form to have the bubble sheet scanned. You can do this ahead of time by printing the form at the end of this documentation, or else we will just have one available when you come to our office. Once the form is filled out, staff of BI/IS will run your Scantron sheets through the machine.
3 Ordering & Scoring Bubble Sheets 3 Please encourage your students before EVERY TEST to fill in their NMU IN and Course Sequence Number in the bottom left-hand corner of the bubble sheet. BI/IS staff will not fill in course sequence numbers and instead ask the professor to do so, which is very time consuming and can also cause human error. Announce to your class BEFORE EVERY TEST that they MUST fill out the NMU IN, COURSE NUMBER, and the BUBBLES! If this area of the bubble sheet is not filled out, including the bubbles, will ask you to do so. That is why it is very important to reiterate to your students that they must fill in the bubbles and follow the directions on the sheet! For course evaluations or surveys, the NMU IN is not necessary and will not be recorded. However, students must still fill out the Course Sequence Number!
4 Ordering & Scoring Bubble Sheets 4 BI/IS staff is unable to change answers to any questions on both tests and surveys. If students do not fill in the direct center of the bubble, their answer may not be scored. Only a #2 pencil can be used. If any other instrument (such as pen) is used, the machine will not pick up any scoring. Once the course bubble sheets have been scanned, the raw data will immediately be uploaded to MyWeb Test Score Services. DON T DISPOSE OF YOUR BUBBLE SHEETS UNTIL YOU HAVE SEEN THE DATA! If something appears wrong with the uploaded data, please contact BI/IS to ensure the data were recorded correctly. We have had to re-scan bubble sheets before, so please do not dispose of the physical sheets until you view your students scores. EVALUATION SCORING Many department secretaries will order large batches of surveys (course evaluations) towards the end of the semester. Once they have been completed, the secretary may want to send over a large box of completed surveys for BI/IS to scan. You may now list MULTIPLE COURSE EVALUATIONS to scan on the same sheet. You may choose to only fill out one form per professor and list multiple courses, or you may wish to scan all the course evaluations in your department on one form. If scoring multiple professors, feel free to leave the professor fields blank or just write Various. Once again, this form is at the end of this documentation. Make sure you also indicate that the survey/evaluation results are supposed to be sent to the departmental secretary and not the professor.
