2 Configuring Outlook 2003 Outlook Configuration for NCMail Open Outlook 2003 No account defined, Yet To add account to Outlook 2003, Click on Tools > accounts Click on Add a New account. Select add a new account Click Next > 2

3 Select IMAP for NCMAIL ClickNext> The following information was entered: User Information Server Information Your Name: Access.Denied Incoming Server: cms.ncmail.net Address: Outgoing Server: smtp.ncmail.net Logon Information Username: Access.Denied Password: ********** 3

5 You have set up your account in Outlook Open mail client and check you. 5

6 Outlook 2003 LDAP configuration Click on Tools > accounts Click on add a new Directory or address book Click Next >> If you wish to connect to the NCMAIL LDPA server Select (LDAP) ClickNext > 6

11 How to Configure Outlook 2000 Open Outlook 2000 Confirm that Outlook is setup for Internet mail only. If you have Outlook 2000 configured for Exchange, it will not work From the menu Bar click on tools > click on accounts Click on add > Mail Account When Prompted, type your name. Enter your address 11

12 Server Type = IMAP Incoming mail server = cms.ncmail.net Outgoing mail server = smtp.ncmail.net username is your firstname.lastname. Leave the password field blank. 12

13 Click Finish Click Close Click Yes. This will download your folder list. You will be asked to enter your password 13

14 Creating a signature file with Outlook 2000 Open Outlook 2000 Click on tools > Options <click image to enlarge> Click on the mail format tab 14

15 At the bottom Click on the Signature Picker button In the Create New Signature Window Enter a name to define your Signature file. 15

16 To type out your signature file select the radio button Next to Start with blank Signature. Click Next. Type out your Sigfile. Click Finish. Or If you have a Signature saved as a text file select the radio button next to use this file as a template. 16

17 Click Next. This will return you to the Edit Signature Window. When you are finished click Finish. You will be returned to the signature Picker Window Click Ok 17

18 This will bring you back to the Option Window Click Ok. Click the New Message button. Your Signature file should be in the body of your new message. 18

21 How to View Headers in Outlook 2000 Open your Client Open Message In the message menu bar click on View In the message menu bar click on View Select Options Select All (Crtl + A) copy (Crtl + C) and paste (Crtl +V) this information into a new and send it to spam@ncmail.net along with your message 21

24 How to View Headers in Outlook Express If you have lost a folder you should first check and make sure that it is subscribed to. In this case I have lost a folder named Invisible Folder This is my Folder List. To check your subscribed folder list click Tools IMAP Folders Notice that the Invisible Folder is there. Subscribed folders have an icon next to them. The Invisible has no Icon (not Subscribed to) To subscribe to the folder select Invisible Folder and Click the Show Button 24

25 You will now notice the Icon next to the Invisible Folder. Check your folder list. Your Invisible Folder is now present in your folder list. The steps are the same for Outlook

26 Creating a signature file with Outlook Express 6 Open Mail client Click on Tools > Click on Options Click on Signatures tab 26

27 Click New button to create your signature file. (By default your sigfile will be named Signature#1) If you would like to type your signature file Click the radio button next to Text 27

28 Enter your Signature information (for test purposes I placed the NCMail disclosure statement in the text area.) -Or- If you have your signature information in a text file you can point Outlook Express to your file. Click the Radio button > Click the Browse button, find your file, Click Ok 28

29 After the signature file is selected click check box This will place your signature file on your outgoing s. If you have more than one account setup in outlook express Click on Advanced tab. This will allow you to select what accounts you want to associate your signature file with. When you are done Click on Ok.Click on Create Mail Icon. When Clicked, your signature file will be placed on your new . 29

31 Configuring Outlook Express (MAC)for IMAP From the Tools menu, select Accounts. The Accounts window opens. Select the Mail tab and click on the New button above it. 31

32 The New Account dialog will appear. Choose IMAP as the Account type and Click on OK. The Edit Account window opens. Enter your full name. Enter your address in the form Enter your Username (firstname.lastname). For the IMAP Server, enter cms.ncmail.net. If you would like Outlook Express to remember your password without you having to type it every time you check mail, type it in the Save Password window and put a check mark in the box to the left. This is not recommended unless you are the only person with access to this computer.(by selecting this option you are not in complience with the NCMail usage policy) If you are connected to the NorthCarolina State Network enter smtp.ncmail.net. for your SMTP server. *If you are connected to the Internet using a commercial Internet Service Provider (ISP), then you must enter in your ISP's SMTP server information. Contact your ISP's System Administrator for more information.* Click on the Advanced tab in the Edit Account window to configure additional options for managing your IMAP folders. You can create special folders in your NCMail account by putting a check mark next to Store special folders on IMAP 32

33 server and then specifying a path for Sent Items or Drafts. Deleting Mail If you wish to permanently remove messages you have deleted in Outlook Express from the NCMail IMAP server you have to quit out of the Outlook Express program, click on the radio button next to Mark messages as deleted and check the option to Purge messages from IMAP folders on quit. This options "cleans up" deleted messages at the end of your session. The other option to Purge deleted IMAP messages when leaving IMAP folders allows you to mark messages as deleted in an active IMAP folder. When you leave the active folder to go to another folder, messages in the active folder will be deleted. This option "cleans up" deleted messages as you go. Alternately, you can move deleted messages to a special Deleted Items Folder on the server, and delete them at a later date. Click OK to save your changes. Note: If you do not select any deletion options, mail will be left on the NCMail mail server until you log into your NCMail account to delete it directly. If you do not delete mail, you may risk going over your mail quota and being charged. Your NCMail account will now appear in the Accounts window which you can close by clicking on the small box in the upper left hand corner. 33

34 An NCMail folder will also now appear in the main Outlook Express window. Highlighting the NCMail folder for the first time, you will be prompted for your password. 34

35 Upon authentication, a list of your NCMail mail folders on the IMAP server will appear under the main NCMail folder. All the messages on the server, including your new messages, will be downloaded to the corresponding folders on your personal computer. 35
