REASON AND SOLUTION: It was found that the EvolutionCommon database linked to the company database runs on a higher version when syncing, than the actual company does. Please see the company s system settings below: But the linked Common database which values are shown below below when running the following script on it select * from _etblcommonver

2 Therefore, always ensure that the linked EvolutionCommon database is running on the same version as the company, where the synchronization is running from and then rerun the synchronization. ARTICLE 2: The different versions of.net Framework are limited in which operating systems they can be used with. This article offers solutions to these limitations. As important modules such as Bank Manager and Cash Manager uses.net Framework V4 it is important to understand this systems setup limitations in the client s environment, especially when it comes to troubleshooting clients error messages. YOUR MAPPING GUIDE OF.NET FRAMEWORK.Net Framework Version 4 can be used with both Windows 7 and a Windows Server 2008 R2 operating systems..net Framework Version 3.5 Service Pack 2 is usually used with Windows Server 2008 (standard). However,.Net Framework Version 4 can be used if SP1 for Windows Server 2008 has been installed..net Framework Version 4 can be used on Windows XP but it requires Windows XP SP3. Please note that Microsoft will no longer be supporting Windows XP as of 31 December Net Framework is BIT specific. Fortunately the install file on the Evolution disk (from version 6.80 onwards) can be used on any 32 or 64 BIT PC as it s a multiple BIT install file.

3 Windows 7 comes standard with.net Framework 3.5 but this is not listed under the normal Control Panel Programs and Features application list as its part of the Core OS..Net Framework Version 4 will be listed as two separate instances as seen below. There is currently no Service Pack for.net Framework Version 4 itself. Certain applications on your PC will automatically use the.net Framework version required and available on the PC. You can view which.net Framework version is being used with your Windows 7 operating system under Programs and Features when you turn Windows Features on/off. Summary list of.net Framework versions and SP s: o.net Framework 2 mostly uses Windows XP with SP2 installed. o.net Framework 3 uses Windows Vista o.net Framework 3.5 uses Windows 7 o.net Framework 3.5 uses Windows 7 with SP1 installed. o.net Framework 4 requires manual installation. o.net Framework 4.5 is currently in the beta vase and will utilise Windows 8.

4 ARTICLE 3: This article will discuss how you can standardise the colour used for the transaction line, as has been indicate in the image below, to black. Currently the system changes it automatically to blue. This problem seems to occur even when using the main field font colour on the top of the design screen as outlined below. REASON AND SOLUTION: The reason for this problem is that that sign has been used on the Item Description. Evolution recognises this as a hyperlink and then highlights the sentence automatically. To undo this hyperlink open the View Report Tree option on the Design screen, select the relevant field on the Design screen, as indicate below, and then change the colour on the left on the Report Tree on the HiperLinkColor field.

6 ARTICLE 4: This article will outline the difference between the Single Entity and Multiple Entity Reporting options as highlighted below. SOLUTION: This is actually with regards to Branch Accounting Single Entity Reporting: Select this option if you want only the consolidated head office to run the monthly VAT reports, found under Reports Common Tax Report, as all transactions across the group will be reflected on it. Multiple Entity Reporting: Select this option if you want all of your branches to print their own VAT reports

7 ARTICLE 5: The following error message may be received when creating a new location in the Evolution Fixed Assets module. REASON AND SOLUTION: It might be that a character such as a comma (,) semicolon (;) or single apostrophe ( ) has been used in the Location description field Therefore rather refrain from using such characters where ever possible. ARTICLE 6: It might happen that s originating out of Evolution are being sent out but instead remain in your Outbox in MS Outlook. In this instance when you click on the Send and Receive button in your Outlook the following error message will be displayed.

8 SOLUTION: The following solution has proven to be successful in some instances but it does require the assistance of your client s local IT consultant. Create a new mail profile for the local application e.g. Outlook, which can be located on the Control Panel Mail. Click on the Show Profiles button then the Add button as shown in the image below. This should be done by the IT consultant. Notes: You will still be using the same Outlook account. Don t edit the existing profile, rather create a new one.

9 ADDITIONAL NOTES TO CONSIDER The client might be using Telkom as the ISP. In this case you could use one of the following in the Outgoing server field, on the setup screens of creating the new profile: SMTP.DSL.TELKOMSA.NET or SMTP.SAIX.NET Keep in mind that Evolution automatically detects which is the current or last logged in Outlook profile when you send mails from it. When setting up the new Outlook profile select the prompt option and then open Outlook. Outlook will then ask you which specific profile to use. Afterwards Evolution then knows which Outlook profile to send mails to. Once this has been setup you can remove the prompting option. You can then back up the old profile, delete it and then load this information onto the new profile. This is done so that the logged in Outlook account still has access to all of the current Inbox, Sent Items, Deleted mails, Contacts etc. items. On the profile setup screen, it may be possible to enter a different SMTP (Outgoing) server name than the current official ISP's recommended server name for incoming mail. In other instances that might not be accepted and outgoing mails might still be hampered.

10 ARTICLE 7: The following type of message may be received when revaluing an asset on Fixed Assets Transactions Asset Transactions Revaluations: SCENARIO BACKGROUND: The following details were used for the revaluation transaction: Asset MIKE, Straight Line 10 Years, R with Book Start Date 1 May The revaluation transaction date was 30 April With normal depreciation the Book Value on 30 April 2010 equalled R with R depreciation per year from 1 May 2006 to 30 April 2010 which equalled R accumulated depreciation. REASON AND SOLUTION: Evolution simply can t allow you to use a new Book Value on the Revaluation transaction screen which is less than the current Book Value upon the transaction date. This is to allow the accumulated depreciation in the ledger accounts to correspond with the depreciation reports. Therefore, on 30 April 2010, the only new Book Value that can be entered and accepted in the New Value field must be higher than R

11 ARTICLE 8: This article will discuss what the Deposit Order on the POS Transactions screen is, as this is a required field when selecting the Deposit Refund transaction type und Till Transaction. You will not be able to process any deposit refund transaction if there is no value selected on the Deposit Order dropdown. SOLUTION: In short, the deposit order is the relevant sales order numbers as linked to the selected customer on the POS Transactions screen when the sales order was initially processed. This transaction therefore allows you to repay a deposit that was made on a specific sales order. To solve this problem do the following: On the Order Entry Defaults Sales Order tab, select the Use Deposits option below with the relevant Transaction Code next to it.

12 Make sure you note the order number generated when you process a new sales order. At the bottom of the screen, enter a deposit amount.

13 On the POS Transactions screen notice that the Deposit Order dropdown is empty if the deposit Refund Till Transaction has been selected on the top without having competed the Customer field as indicated below. Select customer 5012 for this example. The relevant orders where a deposit has been made will now be available on the Deposit Order dropdown below

14 When this has been done, notice the deposit amount entered earlier has automatically been populated in the Amount field. This transaction can now be processed. Please note this only works with invoices processed on a sales order and not on the POS invoice screen. ARTICLE 9: The following error message could be received when previewing or printing the Age Analysis (or perhaps any customer or supplier related report, for example, Transactions report)

15 TROUBLESHOOTING STEPS: The following troubleshooting steps could be followed to find the cause for the above error message: 1. Export the Customer (or Supplier depending on the relevant module) Maintenance grid to MS Excel and identify via the Remove Duplicates function in Excel, that account IDC has actually been duplicated on the Customer grid 2. Check if the account is also duplicated in the CLIENT table. In this case it wasn t so we can move on to the next step. 3. On the Customer Maintenance screen for account IDC, we discovered that the customer has 2 Default Delivery Addresses which is invalid

16 SOLUTION: 1. Identify the Account ID of the problematic customer IDC. in this case Run the folloiwng script first to confirm the duplictaed default option SELECT * FROM _etbldeladdress WHERE IACCOUNTID = 37 This is clearly incorrect on the _etbldeladdress table: 3. Run the following script to resolve the problem: update _etbldeladdress set bdefault = 0 where iddeladdress = 38

17 4. Rerun the report and confirm if resolved ARTICLE 10: What could cause any report or document that you preview to continue calculating thousands of pages without end and never seems to be able to display the expected report data? This can be seen at the bottom left of the opened report/document Preview screen. SOLUTION: 1. First ensure the standard report/document you re using is not a customised (copied from the standard ones) as its design layout may be corrupted in one more than one way. 2. If the standard report/document is still resulting in the above problem, then create, link and register a new EvolutionCommon database as it was proven in a recent incident that the standard layout itself was corrupted. Alternatively, create a new Common DB, export the standard layout from it and import it into the currently used Common DB ARTICLE 11: For those who may not know this already, this is an easy way to use the excel feature of removing duplicate records in a column. We ll be using the following case study to explain further: A list of warehouse stock items has been exported to Excel but you could have up to 5 different instances of the same stock items, as linked to 5 different warehouses, on your Excel spreadsheet.

18 Therefore, do the following: 1. Block the whole column of the relevant record list

19 2. Go to Data Remove Duplicates 3. Select OK on the button below 4. A confirmation message will be displayed of the operation executed and the end result should look like this:

20 ARTICLE 12: The following message appears after upgrade from any version to 6.80, using Bank Manager V2, on a Local Area connection or Terminal Server environment SOLUTION: First ensured the correct version 4 Microsoft.NET Framework is installed (look at Control Panel / Programs and Features) If the above is in order, then close Evolution on the local PC and add the following subfolder structure consisting of 3 blank folders on the relevant C or D drive (e.g. C drive or D drive ) where Evolution is installed, in my (and most cases normally) the C: Drive C:\Microsoft.NET\Framework\v Open Evolution and test Bank Manager, all should be fine now ARTICLE 13: Especially when using a Standard Bank CATS statement import file, you may find that all of the transaction lines have somehow converted themselves to a 1960/01/01 transaction date, or any other obviously incorrect date. SOLUTION: When the client is exporting out of his Standard Bank CATS website, ensure the second Export Date Format option below is selected, as all other options seems to result in in the 1960/01/01 transaction date.

21 ARTICLE 14: The following error message may be received when trying to import a General Ledger Journal batch (or perhaps on any other module as well) REASON AND SOLUTION: The client may be using a TEXT or standard Excel Workbook as the import file. This must always be a CSV file. ARTICLE 15: What could cause a difference between the number of Processed and Appended records when importing main/aster GL accounts using DDS? In the DDS log file below you can clearly see that it skipped 3 records (Processed 116 Appended 113 = 3), but there is no clear error message given in the log file 04/09/ :19:45 Start of Plug-in execution. (Module: GL Accounts) 04/09/ :19:45 Publisher: Successfully opened ASCII file C:\OPERATIONAL\KLIENTE\HARVEST\IMPORT\main accounts.csv. 04/09/ :19:46 Connected to Server: "PASJHBWSBENPIE\SQL2008R2; Database: "680NEW". 04/09/ :19:46 Successfully initialised plug-in. (Publisher: ASCII; Subscriber: Evolution; Module: GL Accounts) 04/09/ :19:52 Publisher: Processed 116 records. 04/09/ :19:52 Subscriber: Processed 113 records. 04/09/ :19:52 Subscriber: Appended 113 records. 04/09/ :19:52 Plug-in execution completed normally.

22 REASON AND SOLUTION: One reason could be a difference between the Master_Sub_Account and Account value for those skilled records as can be seen below. Always ensure they have an identical value. ARTICLE 16: For those of you who don t know how to resolve the following Synch Monitor error message, this article describes the steps followed on my own PC to get it to work again.

23 SOLUTION AND TROUBLESHOOTING STEPS: 1. See if the Configuration Local Root is still valid and the specific folder shared (where relevant) and correct 2. Test the FTP server

24 3. If failing the above, check out the settings on the Control Panel Administrative Tools Internet Information Systems Manager 4. Select the relevant FTP site on the left and the Bindings button on the right 5. It refers to the currently assigned IP address for this (internal) FTP site 6. Compare that to the actual current one assigned to the PC by running the command: IPCONFIG in Command Prompt. In this case it was different than the FTP assigned one. 7. Therefore, edit the current Bindings IP address to the current one in Command Prompt above

25 8. Then select the Basic Settings on the right of the screen 9. Select the Test Settings button 10. In this case it was still failing as indicated below 11. Then select the Connect As button (still on the Edit Site screen)

26 12. Select the Set button 13. Enter the correct current settings below 14. And then test again using the Test Settings button again. This time it passed the authentication

27 Therefore, so far we have changed both the IP address and the password as both have changed since the previous time the internal FTP has been setup. 15. Back on the Sync Monitor again, select the Test FTP Server button 16. It might still be failing and therefore enter the correct new Windows password on the password field and test again: Your FTP connection should now be resolved
