3 CHECKFREE SMALL ADMINISTRATION BUSINESS Administration The Administration page provides smart page functionality, intuitively guiding users through common tasks related to CheckFree Small Business setup and maintenance. Objectives After completing this course, you will be able to: View and edit other business users information Change a business user s password Add a business user Recognize notifications sent when a Level 2 user adds a new user Modify the business name, address, telephone number, and address Recognize the authority matrix for the My Account tab Caution. At the time of implementation, the financial institution chooses the options presented on the Administration tab. 2
4 Manage Authorized Users This page allows the Level 1 business user to view and edit other business users information. Level 2 users can edit their own information and Level 3 users information, but not other Level 2 users information. Choosing one of the business users names, the Level 1 and Level 2 users can edit the business users : Name Phone number address Authority Level User ID Password 3
5 Changing Password Level 1 user can change the password for every business user. Level 2 user can change the password for Level 3. Business users can update their own password. Tip. The password must be 8 characters without spaces. It is case sensitive and must contain at least two of the following: an uppercase letter, a lowercase letter, a number, or a special character. Special characters that cannot be used are ( ) > < = 4
6 Add Business User A Level 1 user may add Level 2 and Level 3 users on the Administration tab. Level 2 users can only add Level 3 users. 5
7 When Level 2 users add a new user, they are informed the Level 1 user must approve their request. To increase Level 1 user control and awareness of activities occurring in CheckFree Small Business, when a Level 2 user adds a Level 3 user, a notification is sent to the business address indicated during enrollment. When the Level 1 user logs in, a notification states that the approval of the new user is required. An in-product message is also received stating the Level 1 user must approve the new user. Tip. These approvals and alerts only apply when additions or changes occur to a business user or a bank account within the CheckFree Small Business product, not when made via SIS or Builder. 6
8 Deleting a User A Level 1 user is notified if a Level 2 user deletes a Level 3 user, but the Level 1 user does not need to approve the request. Updating Business Information The Update Business Information page allows the Level 1 user to view and edit personal information such as telephone number, address, etc. 7
9 Authority Levels This section explains multiple-user authority levels, a feature in CheckFree Small Business. In CheckFree Small Business, business users can authorize multiple business users access to the service and can designate an authority level for each person. Authority levels determine the functionality that business users can access and actions that business users are able to perform in CheckFree Small Business. The following table provides an overview of the authorized tasks and features for each user level.
