3 Adding Collaborate to Your Course Menu 1. Login to your course. 2. Make sure Edit Mode is ON. 3. Make sure your Course Menu is in List View. 4. First make sure that Collaborate is not already on your course menu. It might be listed as Collaborate (Chat). If it is not there, continue 5. Put your mouse over the white plus sign in the upper left corner of the menu. 6. Choose Tool Link from the list that appears 7. Choose Blackboard Collaborate Scheduling Manager from the drop down list of tools. 8. Enter a name for the new Tool Link and choose to make it available to users (your students) 9. Click on Submit. 10. Move the new tool link to the desired location in the course menu. Blackboard Collaborate and WVU ecampus 3

4 Create a New Session 1. Click on the Collaborate tool link now available on your course menu. You will see: 2. Click on the Create Session button. 3. Complete the form: a. Session Information Session Name First provide a title for the session, by default it will be the name of your course section. If you neglect to do this or wish to change your mind, you can edit the session name later. Start Time Select the date and time you would like the session to start. End Time - Select the date and time you would like the session to end. Remember if you are going to reuse the session to set the End Time after the last session. *Some people choose to make their session open for the entire term. That makes it easy to share a guest link to the session, to share the phone information ahead of time, and to prevent students or attendees from entering the wrong room. Repeat You can set up a session to repeat and select the attributes. Early session entry This setting allows you to select how early participants can enter a session. As a best practice, allow access at least 15 minutes prior to the start of a session to allow the participants to resolve any technical issues before the live session begins. 4 WVU Information Technology Services

5 b. Room Options You can change the settings for Session Types. Room attributes, Grade Center Integration and Assign Roles. Select each heading to expand for the available options. Session Type Select is you want the session to be course specific or if you want the session to be shared across your courses. A shared session can be shared across all of your section or selected sections. Room Attributes (optional) Grade Center Integration - Choose whether or not to integrate with Grade Center and how many points for grading. Assign Roles - Choose the role people will have by all or by assigning a role to an individual. Blackboard Collaborate and WVU ecampus 5

6 4. Click on the Submit button to create the session. 5. After you successfully create the session and when you click on the Collaborate tool link in the future: Enter a Session From the list of sessions, click Launch Room or click on the name of the session you wish to join. Depending on your browser, you will be prompted to save and open or run a join.jnlp file. Wait for the session to start. Refer to this handout for details: 6 WVU Information Technology Services

7 Delete a Session You can only delete a session you manually create. Click on the option button next to a session. Choose Delete from the drop down list. Or check the box next to a session and click on the Delete button. View and Manage List of Recordings Click on the link to Recordings to the right of Sessions. You will then see a list of the recordings you have made. If you do not see all of your recordings, check the dates in the Start and End Date boxes. You can view a recording: (a) click on its name or (b) choose Play from the options menu, or (c) click on the (>>) button in the Collaborate column. You can delete a recording by clicking on the option button next to its name and choosing Delete. If there are multiple recordings that you wish to delete, you can select them then click on the Delete button: You can change the name of a recording by clicking on the option button next to its name and choosing Edit. 8 You can create an MP4 version of a recording so your students can view it on a smart device. Click on the Convert link in the MP4 column. Once the conversion is complete, you will see a green triangle button in the MP4 column. Profile While in a Collaborate session, click on the Edit menu. Choose Preferences > Profile > My Profile. You can supply a small photo of yourself and enter other information. Change Connection Speed While in a Collaborate session, click on the Edit menu. Choose Preferences > Session > Connection Disable Visual Notifications for Participants Joining If you are annoyed by the small windows that float up from the lower right corner of your monitor every time someone enters your session, turn off this feature by unchecking that box. 9 Advancing Slides You, as the moderator, can use the Page Explorer to navigate to the desired slide: Click on the forward or backward arrow or double click on the desired slide thumbnail. Or if you close the explorer, you can use the arrow buttons or the drop down menu that will appear: Individuals must have moderator access to be able to view and use the page explorer. Promoting to Moderator You can give a guest attendee moderator access so they can present content to the other participants: 1. Click on the Open Participant Options Menu button next to the guest s name: 2. Choose Give Moderator Privileges from the drop down list. Blackboard Collaborate and WVU ecampus 9

10 a. Alternatively, click once on the person s name, then click on the Tools menu. Select Moderator then choose Give Moderator Privileges. 3. Click on Yes to confirm this decision. 4. Your guest presenter will join you at the top of the list of participants as a moderator. Best Practices Review Collaborate-Best Practices for Moderators. This document provides useful information to get started as a moderator in a Collaborate session. Also, provide your participants with the link to Collaborate Best Practices for Participants to help them get started. See the list of resources at the end of this document. Presenting Tips While moderating a Collaborate session you should keep in mind the functionality of Collaborate. Review the following tips to improve your experience as a moderator and your participants experience Guest Link - Save a copy of the guest link to your session ahead of time in case ecampus is unavailable. You may even send the guest link and the call in numbers to your students prior to the session as a backup. Web Tour Participants are not able to follow the moderator on a web tour through an authenticated site. When a site requires a username and password, the participants will be left at the login page. If you want participants to see what you can see on your screen on an authenticated site, use the application sharing feature of Collaborate instead to demonstrate that web site. Use a web tour when you would like each user to login into an authenticated site using their own credentials; you will retain the ability to bring the participants back to the presentation at the same time, after they have explored on their own. Maximum Speakers If you notice Collaborate starting to slow in performance, too much bandwidth may be being used. To alleviate some of the problem, decrease the number of speakers who can talk at one time. This does not stop the capability of the participant or moderators to speak but limits how many people can talk at the same time. Application Sharing When using the application sharing feature of Collaborate, the application you would like to share with the participants cannot be minimized. Collaborate cannot discover the application when it is minimized. Look for the yellow outline. Collaborate provides a useful tool (yellow outline) to help the moderator know what is being shared with the user, anything inside the yellow outline will be seen by the participants. 10 WVU Information Technology Services
