1 LIBRARY SERVICES FOR NURSING STUDENTS ON PLACEMENT Introduction The advice in this guide should be read in conjunction with your Library Induction Handbook and other relevant guides produced by the UWL Library Service. Whilst you are on placement, it will probably be more difficult for you to visit the library sites at Paragon, Ealing or Reading. You should ensure that you make allowance for this in planning your research and your use of the Library, and make full use of alternative resources wherever possible, in particular: UWL electronic resources: databases, e-books and e-journals NHS Athens Core Content electronic resources (see page 5) Local NHS library services Please remember that, if you have books on loan, you are responsible for them at all times. You will be expected to return them promptly and to pay any charges owed for overdue items. Items on loan from UWL may be renewed, subject to the usual conditions, by telephone or using your online account. Items borrowed from an NHS library are subject to their own conditions of loan. You are strongly advised to pay off any fines before going on placement. If you have fines outstanding, your library account may be blocked and you may be unable to make full use of online and telephone renewal services when you need them most. If you need to visit a UWL library while on placement, check the Library Catalogue first, to ensure that the items you want are in stock and available. Books that are on loan may be reserved for collection at any UWL library site when they become available. Accessing UWL Library Services To access to the full range of library services and other resources, make sure you have the following information before going on placement: Library borrower number (beginning with P, on your student card) Library PIN (four-digit number, available from the Library Issue Desks) Your student login and password: for access to webmail, UWL e-direct resources, Blackboard and PebblePad 2. Returning Books Books borrowed from UWL may be returned to any UWL library site (including Reading). All sites have self-service machines and book bins enabling items to be returned when the library is unstaffed. UWL books cannot be returned at the NHS library at your placement (or vice versa). 3. Managing your Library account 3.1 Checking your library account online You can check details (including due dates) of your current library loans online using the My Library Account button on the Library website or from the Library Catalogue: You can also access your Library account via Blackboard, when you are logged in, from the University Library tab, under Renew Loans. Use your borrower number (the number on your 2 L50 11/13

3 student card beginning with P) plus your four-digit borrower PIN number to access your borrower record. 3.2 Renewals Loans may normally be renewed up to three times, unless they have been reserved by another reader. They must then be returned to the Library. You can renew loans in several ways: use the My Account option on the Library Catalogue via the Library website telephone the automated 24 hour service in person or by telephone at the Issue Desk of any UWL library site use the self-service machine at any UWL site Items that are reserved must be returned no later than the end of the current period of issue and may not be renewed Please check your UWL student account regularly. We send courtesy reminders when your library loans are due back. We will also send notices if your loan has been recalled and must be returned because another user requires it. 3.4 Fines Make sure that you do not allow library fines to build up over 10, as you will then be unable to use the online or telephone renewal facilities. You would then have to return the books to the Library for renewal and payment of fines. Library fines can be paid in cash at Paragon House Library, or (for payments of 5 or over) by telephoning the UWL Cash Office ( ) and quoting your debit or credit card details (please note there may be a delay in removing fines from your Library account when you do this). Cash payment cannot be made at Reading. 4. Finding Information Use the library s search engine Summon to search for materials in all formats including books, DVDs, e-books, journal articles and other electronic resources. If you are searching specifically for books or e-books click the boxes to the left labelled Items in the library catalogue and Book/eBook: this will exclude journal articles from your search results. The results screen will tell you which site an item is held at and its shelfmark location, and whether there is an e-book copy available. Click on the item to be taken to the catalogue entry for further details. E-books can either be read online or downloaded for reading later (you will need to log in for this). If you are looking for a specific book you can also use the Advanced search option from the search results screen (to the right of the search box) and enter the specific information you know (such as the name of the author, title, etc.). Alternatively, you can click Journal articles on your Summon search screen, to limit the search to these and exclude books and other items, and also apply various other criteria using the search facets on the left hand side to Refine your search further. The Library Service provides access to a wide range of specialist electronic databases, most of which can also be accessed from home and on placement as well as on campus. Instructions on how to use the main databases in your subject area are given in the appendix of this guide, and in other subject-specific guides produced by the Library Service (available for download from the Library website). 4 5. Specialist Contact Information Each course has a designated Academic Support Librarian who will be able to give you expert advice on using library facilities and resources. They also run group induction and user education sessions, and are able to offer help on an individual basis by phone, or in person. SEARCH for Health module There is further training and advice on finding and using information to support evidence based practice available through SEARCH for Health, the Library s online training module. It covers searching databases, literature reviews, referencing and critical analysis of the literature. Nursing students should already be enrolled on Search for Health on Blackboard, which should appear in the list of courses. Contact Marc Forster if you are not enrolled but would like to be. 7. Sconul Access The Sconul Access scheme enables students at one university (depending on their course) to access library facilities at other universities that are members of the scheme. For a list of libraries go to To check your eligibility you will need to complete the online registration process and choose the university library you wish to visit. Inter-Library Loan Service If you are unable to get a book or an article you need in any other way, then we may be able to obtain a copy from other sources using the Inter-Library Loan service. 5 Library Services at NHS Libraries Local NHS libraries will provide help to nursing students whilst on placement. You may use them for reference and, for the duration of your placement only, to borrow materials. Please refer to the individual Trust library website to see the general facilities and services available there. You must abide by their rules and regulations. If you borrow any materials from Trust libraries it is your responsibility to return them there and to pay any outstanding fines. A full list of libraries for NHS South Central is available at: To find details of library services in NHS London refer to Most local NHS libraries will provide access to computing facilities but you will need to have a user account and password. Please note that there may be restrictions on the use of memory sticks at NHS libraries, and you are therefore advised to save documents to your UWL Online (Blackboard) account instead (separate instructions are available for this). The NHS Library Charter for students on placement in NHS South Central (2010) sets out what services students are entitled to at NHS Libraries in the South Central region whilst on placement The Charter is available on the NHS South Central website at: The Pan-London Student Charter for NHS Placement Students (2006) outlines the basic services that students are entitled to whilst on placement in London. Local variations may apply. The Charter is available on the M25 website at: NHS Athens Core Content Electronic Resources As a student on an NHS funded course you are entitled to access the NHS Core Content electronic resources. Log in to this using the MyAthens link at : This is in addition to the UWL electronic resources you have access to. It includes additional electronic resources, and is administered separately by means of your Athens account. You should already have been notified of your account details via your UWL , together with a link to activate it. For further details, or in case of difficulty, contact the account administrator for UWL, Mike Sharrocks (details above, p.4). Please note that NHS libraries will provide guides to the NHS electronic resources, but they are unable to provide training. 5 L50 11/13

6 APPENDIX A brief guide to accessing databases and e- journals You can access databases containing journal articles and references, e-journals, e-books and the library catalogue through the relevant links on the University Library Home page (below). You will need to log in with your student id number and password (i.e., the same details you use to access your account and Blackboard). Please note that if you are trying to log in from within an NHS workplace you may experience difficulty due to firewalls in operation there. DATABASES for JOURNAL ARTICLES & REFERENCES Many articles and references can now be found directly from the Summon search box on the Library home page (as previously described). Some results will include a link to the actual articles (full-text) whilst others will only have a reference or short abstract. You may then need to obtain the full article if you wish to read it see the next section for details. However, for a complete literature search you are advised to use one or more of the specialist healthcare databases available. To do this, go to the library website (above) and click on Databases A-Z on the left to see the following screen: 6 L50 11/13

7 Click on the relevant first letter of the database you want to access (e.g. C for CINAHL) and then click on the database name when it appears in the list. You should then be prompted for your UWL edirect login. Enter your username (student ID number) and password. For some databases you may also need to select UK Higher Education and University of West London to identify yourself. Health databases to use These are the main health related databases that you will use. A full list is available on our website. Maternity and Infant Care (formerly MIDIRS) CINAHL Medline CDSR Social Care On-line PsychArticles IBSS HMIC Internurse Index to journal articles relating to the midwifery profession, pregnancy, labour, birth, postnatal care, and neonatal care and the first year of an infants life. Cumulative Index to Nursing and Allied Health Literature. The main database indexing the journal literature in health issues, healthcare and Nursing Covers the massive English language medical literature The Cochrane Database of Systematic Reviews A database of systematic reviews of high quality controlled research carried out in many different areas of the health sciences. For issues around the social context of health. A psychology database International Bibliography of the Social Sciences Health and social care management A peer-reviewed nursing database with articles from ten specialist journals, including British Journal of Nursing. There are online tutorials for each of the key databases that demonstrate how to search for and save references, as shown below. The demos can be rewound and paused as necessary. 7 L50 11/13

8 Search the database and you will either find articles with the full text that you can print, or download for later use, or just a reference. In this case you may then decide you need to find the full journal article see the next section for details. AFTER YOUR DATABASE SEARCH FIND THE ARTICLES Once you have identified journal articles you wish to read and have saved the references, the next step is to obtain the articles themselves using the following sequence of steps. 1. Search UWL e-journals A wide selection of e-journals is available for you to access and download through the Library website using your UWL e-direct log-in details. For an online demonstration showing how to download an e-journal article follow this link below: To make them easy to find, rather than providing links to each publisher s website, we have a central A-Z list of them all which you can access from a link on the Library website. Enter the journal name as given in the reference (e.g., British journal of nursing) and click Search If the journal is available online then you will be shown details, together with one or more links (as access to the journal in question may be provided by several different publishers). Choose the appropriate link with content that includes the publication year(s) you are interested in. Click on the database name (in the example above, Internurse) and log in using your UWL edirect details. If you are accessing e-journals off campus, you may need to follow different instructions, for example Users outside UWL should click on the Shibboleth Login link. Use the rest of the reference (year or volume/part/page numbers) to select the correct volume and issue of the journal, find the article and a link to download it. 2. Check for Print journals in UWL Libraries Paragon and Ealing libraries each subscribe to a number of printed journals. This source is easily available to onsite students, otherwise your Academic Support Librarian may be able to obtain copies for you if you are studying at another campus or entirely online. 8 L50 11/13

9 To search for these using Summon, enter your search term in the Summon search box. On the results page tick Items in the library catalogue and Journal/eJournal under Content type. If there is a printed copy available you will see an entry similar to this with a link to further details: Alternatively, use the UWL Library Catalogue to find out if the journal is available in print form. Click More Search Options, enter the name of the journal, and in the search box labelled Collection select Journals from the drop-down list. The catalogue entry will tell you where the journal is and which volumes are available. You can then read or photocopy the article (checking the copyright rules first), or request a copy from the library site where it is held. Tip: Don t forget to check the printed journals available at your local NHS library, in case they have a copy. 3. Apply for an Inter-Library Loan If the journal you need isn t available in any other way, we may be able to get a copy of a specific article for you by means of the Inter-Library Loan service. Articles requested in this way will usually be supplied in electronic form by means of a link from the British Library. You will need to fill out a request form available from the library issue desks and sign the copyright declaration for each article required. There is a nominal charge for this service, and students are limited to 20 requests. Full details can be found on the Library website: 9 L50 11/13

10 SAVING AND MANAGING REFERENCES There are three main ways in which you can keep track of searches you conduct and the references you retrieve. 1. Save search results in Summon On the Summon search results page click the folder icon to the top right of each entry to save that reference to a temporary folder (for the duration of the Summon session), as follows: Click the folder icon named Saved items at the bottom right of the page. You will then have several options, including Print, or Export to RefWorks (see below). 2. Create an account with the Database Host Each database is provided by an external database host service. EbscoHost (which hosts the CINAHL database) and Ovid (which hosts Medline and the Cochrane Database of Systematic Reviews) are examples of these. Each of these has its own facility for creating a personal account. You will need to click the link Sign In or My Account (depending on the host service), follow the link to create an account (if you don t already have one), and enter your details. This will allow you to maintain a personal space with that host where you can save both individual references and search histories (for running again at a later date, or to provide evidence of your strategy). 3. Create a RefWorks account RefWorks is a commercial web-based facility that allows you to store and manage bibliographic references for use in your own work. It is licensed for use by UWL students and staff, but in order to use it you need to create your own personal account. This must be done initially from within the University, but once you have an account you can access it from anywhere. Your RefWorks account will enable you to do the following: Import references from an external database or other source Manually create and edit references Organise your references into separate folders Format references to a standard format (including UWL Harvard) Create a bibliography from selected references Make citations in the text of your work, linked to your list of references For further details of RefWorks go to: 10 L50 11/13
