1 Blackbaud s Mailwise Service Append Thank you for sending your data to the Blackbaud s Mailwise Service for screening and choosing the Append service. This Help Guide outlines the steps to import the Append Return File and analyse records updated by this service. The Raiser s Edge Support team can assist you if required. 2 Overview Address Searching new addresses can be added / appended where no e- mail currently exists on the records. Attributes identify which records have addresses appended by this service. These s are for those who have opted in to receive s for marketing purposes where they can have opted in via phone, signing up to a web site, via an online form and so on. For accuracy, this list of addresses is updated monthly and s are added to the list or removed from the list accordingly. Constituent Attribute added by this service:... 3 Create MailWise Attribute Constituent Attribute to be Created 1. Create the following Constituent attribute if not already present. Attribute Name Data Type Service that use this attribute MailWise Telephone Update Text Append Raiser s Edge Attributes are case sensitive and must be entered exactly as above. In Raiser s Edge version 7.85 or higher, ensure the attributes are marked as Active This attribute can be used for further data analysis, and to include/exclude records from future data cleansing services. Add new entry to Phone Types table If running Raiser s Edge version 7.94 or higher then go to Config > Tables > Phone Types and add a new phone type called New . Set the Phone number type as Address so this appears on the Addresses tab on Bio 1. If running version 7.93 or lower there is no need to add the phone type as the import can add this for you. However you may prefer to add it, to ensure correct Phone Number Type. MailWise Service Append Service Page 3

4 Import the Return File. See How to Import Cleansed Data from Blackbaud MailWise Service which contains a Help File that shows the steps to download the Return File from your FTP area and then import into Raiser s Edge. Analyse Records Updated by the Import Note that when the import process is complete, there may be constituents included in the export file you supplied that are not present in the Return file. This is because the Append Return File only includes those records where an address has been found and recipient opts into receiving . To identify the non-returns you can merge the query used to export the records for MailWise (primary file in the merge) with the query created by the Import (secondary file in the merge) and output the constituent ID and name, for example. For this process the SUB operator should be used, to SUBtract the Query created by the import from the original Query used by the Export, to isolate the non-returns. Please see How to Merge Queries for more information on merging queries. MailWise Service Append Service Page 4

5 Append Service New addresses are added to the Phone Grid on the Bio 1 screen, where the preferred address is located. The Phone Type is set as New . Raiser s Edge version 7.93 or lower Raiser s Edge version 7.94 or higher New is not marked as primary in version as you should decide if primary or not. A Constituent Attribute is also added, to identify that the has been appended and the date it was appended: The Comments field of the Attribute contains the address that has been appended on the Bio 1 screen. Query on constituents who have been flagged as Appended a Create a new constituent query with the following criteria Attributes Specific Attributes MailWise Telephone Update MailWise Telephone Update Description equals Appended AND Attribute Date equals (date of MailWise process} * b Include relevant information in the Output tab to identify the relevant constituents. For example Constituent ID and Name. * Date of MailWise process is normally the date the Return file is received. MailWise Service Append Service Page 5
