4 ABOUT THE MANUAL Audience This manual is meant for Ministries/Departments and States/UT s users who are willing to avail messaging services. We have 9 different services for which there are individual forms. 1. Single User Subscription Form 2. Bulk User Subscription Form 3. NKN User Subscription Form 4. Relay Server Request Form 5. LDAP Authentication Form For Applications 6. Distribution List Request Form 7. SMS SERVICES Request form 8. Change/Add IP Request Form 9. IMAP/POP Request Form Purpose The purpose of this application is to provide you step by step instructions on how to fill the form and use the facility of online forms. We have tried to replace the conventional paper forms by making it online and more convenient and easy as per user perspective. Also, we have made sure that it should be efficient and exact replica of the traditional used paper forms. We are going Digital on each step, so the whole idea behind making these forms online was to make it user friendly. Authorship This manual has been developed by Messaging and SMS division, National Informatics Centre, Ministry of Electronics and information Technology, Government of India.

6 Introduction to Online forms:- Single User Subscription Form This form is for creating account of a single user. Bulk User Subscription Form This form is for creating Bulk account for a complete domain / a group of users. NKN User Subscription Form This form is for creating account of an NKN user. Relay Server Request Form This form is to get the access of relay server to send s from an application LDAP Authentication Form for Applications This form is to get access to the LDAP server. LDAP servers provide directory services to the application servers and mainly used for authentication purpose over internet and intranet. Access will be given to sites enabled over HTTPs only Distribution List Request Form This form is to create a distribution list. It is a mailing list where people are subscribed to a list which is used by an individual or an organization to send material to multiple recipients. SMS SERVICES Request form This form is for availing SMS services. Using this service a user can send SMS from an application server. User is provided credentials to register with SMS gateway Change/Add IP Request Form This form is to request for IP change. It can be for RELAY / SMS / MAILADMIN / LDAP AUTH / LAST LOGIN DETAIL. IMAP/POP Request Form This form is to enable POP3/IMAP services. These services are POP3 Protocol: - If user wants to access their from only one single device and need constant access to their , regardless of internet availability. IMAP Protocol: - If user wants to access their for multiple different devices, and want to receive quick overview of new .

7 Single User Subscription Form This form is for creating account of a single user. Note: The login ids will be generated based on the existing address policy. ** Please check the policy Step 1: Click on Home and from the list select single user subscription form. Accept the terms and conditions to proceed further.

8 Step 2: After accepting the terms and conditions, proceed to fill the form Employment Details a. Enter your employment details. Select an option of employment whether you are a central government employee or a state government employee. b. If you are central government employee enter your Ministry/organization name c. Enter the department or division name to which you belong to. Personal Details d. In the personal detail section select the title from the drop down (Mr., Mrs., Ms., Shri. Dr.) e. Now enter first name, middle name and last name (Please note that the name category should only have letters, [.], min.length 1 and max. length 50 are allowed in first name.) f. Select your date of birth from the calendar. g. Enter your designation in the organization/ Ministry. Contact Details h. Enter your address, city with pin code. i. Enter you telephone number(std code, 3-5 digit, Telephone: 8-15 digit). Select your country code and enter the mobile number Other Details j. Enter your preferred / Auth id. Also enter another preferred /Auth id. For clarifications on address please refer policy ( k. Enter the date of Retirement/date of completion of contract (contractual employees/consultants) in the format (DD-MM-YYYY). l. Check the employee description (You will be either regular employee or contractual employee). Select any one of them m. Mention the description of the account as FREE or PAID and also mention the reason for free accounts in the box given and if paid, provide the project no. of the paid account. Enter the Captcha value to verify the account details.

10 Step 3: This page shows the preview of the details filled earlier in the form. If you want to EDIT any details click on edit button to make changes and if the details filled are correct and verified click on CONFIRM.

11 Step 4: After step 3 i.e. preview page, you will be redirected to the next page where you will be asked to generate PDF of the form submitted. Click on generate PDF to download the filled form in PDF format.

12 Step 5: After step 4 you will receive a registration number which will be required for checking the status of the form in future. Please save the number for your reference. Download the form to get the print. You will have to then get the form duly signed by the administrator and HOD of the concerned NIC cell and then it to support@gov.in

13 Bulk User Subscription Form This form is for creating Bulk account for a complete domain / a group of users. Step 1: Click on Home and from the list select Bulk User Subscription Form form. Accept the terms and conditions to proceed further. Step 2: After accepting the terms and conditions, proceed to fill the form Employment Details a. Enter your employment details. Select an option of employment whether you are a central government employee or a state government employee. b. If you are central government employee enter your Ministry/organization name c. 18 NKN User Subscription Form This form is for creating account of an NKN user. A user has to enter the preferred NKN address by referring to the policy i.e. Note: The login ids will be generated based on the existing address policy.

19 ** Please check the policy Step 1: Click on Home and from the list select NKN User Subscription Form. Accept the terms and conditions to proceed further. Step 2: After accepting the terms and conditions, proceed to fill the form Personal Details a. In the personal detail section select the title from the drop down (Mr., Mrs., Ms., Shri. Dr.) b. Now enter first name, middle name and last name (Please note that the name category should only have letters, [.], min.length 1 and max. length 50 are allowed in first name.) c. Select your date of birth from the calendar. d. Enter your designation in the organization/ Ministry. e. Enter your institute name with institute ID. f. Also, specify the project number of NKN. Contact Details a. Enter your address, city with pin code. b. Enter you telephone number (STD code, 3-5 digits, Telephone: 8-15 digits). Select your country code and enter the mobile number c. Enter your alternate id for correspondence. d. Now, enter your preferred NKN id and another preferred id. For further clarifications on id refer the policy Other Details a. Enter the date of Retirement/date of completion of contract (contractual employees/consultants) in the format (DD-MM-YYYY). b. Enter the CAPTCHA in the space provided.

22 Relay Server Request Form This form is to get the access of relay server to send s from an application. Step 1: Click on Home and from the list select Relay Server Request Form. Accept the terms and conditions to proceed further. Step 2: After accepting the terms and conditions, proceed to fill the form User Details a. Enter the name of the division. b. Enter the name of the Administrator (user) with address. c. Now, enter the mobile number and landline number in proper format (10 digit mobile number and landline number followed by STD code 3-5 digits). d. You will have an HOD assigned, please enter the HOD name with his official id. e. Enter HOD mobile number and landline number.

23 Server Details a. Enter the application name and the operating system (name, version) in the space provided. b. Now, provide us with the IP address of the system (** for staging server IP will be allowed for maximum 15 days). **Staging server- A staging server is a type of server that is used to test a software, website or service in a production-similar environment before being set live. It is part of a staging environment or staging site, where it serves as a temporary hosting and testing server for any new software or websites c. Enter the MAC address of the server and the location of the server. d. Enter the Captcha value to verify the account details.

26 LDAP Authentication Form for Applications This form is to get access to the LDAP server. LDAP servers provide directory services to the application servers and mainly used for authentication purpose over internet and intranet. Access will be given to sites enabled over HTTPs only. Step 1: Click on Home and from the list select Relay Server Request Form. Accept the terms and conditions to proceed further. The request for LDAP authentication should come after filling the form which is available on the front page of mail.gov.in in the category download forms. The prerequisites of the form are:- Access will only be given to the sites enabled on Https. Application should have security audit clearance certificate. Step 2: After accepting the terms and conditions, proceed to fill the form

27 Application Details a. Enter the name of the application and application URL. b. Provide the server IP s as BASE IP and SERVICE IP. c. Now, enter the server location and domain/group of people who will accept this application. User Details a. Enter the name of the applicant ( from the user s department) b. In the personal detail section select the title from the drop down (Mr., Mrs., Ms., Shri. Dr.) c. Now enter first name, middle name and last name (Please note that the name category should only have letters, [.], min.length 1 and max. length 50 are allowed in first name.) d. Enter your designation and organization/ Ministry to which you belong. Contact Details a. Enter your address for correspondence, city with pin code. b. Enter you telephone number (STD code, 3-5 digits, Telephone: 8-15 digits). Select your country code and enter the mobile number. c. Enter the NIC address of the applicant. Other Details a. Please select whether your application is enabled over https? Check YES or NO as per the choice. b. Please mention if your applications security audit is cleared. Check YES or NO. c. Enter the Captcha value to verify the account details.

30 Distribution List Request Form This form is to create a distribution list. It is a mailing list where people are subscribed to a list which is used by an individual or an organization to send material to multiple recipients. Step 1: Click on Home and from the list select Distribution List Request Form. Accept the terms and conditions to proceed further. Step 2: After accepting the terms and conditions, proceed to fill the form List Details a. Enter the name of division/department/ministry. b. Enter the name of the list as.@lsmgr.nic.in c. Enter the description of the list ( The list contains which names and why the list is being made)

31 Applicants Details a. Enter the applicants name and address. b. Enter the mobile number and country code of the applicant (select from the drop down). Moderators Details a. Enter the moderators name and address. b. Enter the mobile number and country code of the moderator (select from the drop down). HOD s Details a. Enter the HOD s name and address. b. Enter the mobile number and country code of the HOD (select from the drop down). Other Details Select the requirement as per your preferences:- a. Please let us know whether the list will be moderated. Select YES or NO as per your preference. b. Also, if the list if temporary. If yes, please let us know the validity date by selecting a date from the calendar) or choose NO. c. Specify if only can send mails to the list by clicking YES or NO. d. Select whether the list will accept mail from Non-NICNET address (like Google, Yahoo. Etc.), we would recommend to select NO. e. Enter the Captcha value to verify the account details.

34 SMS SERVICES Request form This form is for availing SMS services. Using this service, a user can send SMS from an application server. User is provided credentials to register with SMS gateway Step 1: Click on Home and from the list select SMS SERVICES Request form. Accept the terms and conditions to proceed further. PUSH: Where application sends notifications, alerts, information to the users through SMS. Here, application initiates the request by calling HTTP API.

35 PUSH & PULL both: Where user sends SMS to a number(10 digit Number called Virtual Number) in a particular format at his own cost and gets the response back from the respective application server. OTP- A one-time password is a password that is valid for only one login session or transaction, on a computer system or other digital device. quicksms- quicksms is a portal designed for Indian Government employees to send Official SMS quickly and access rich features of contact books. Step 2: After accepting the terms and conditions, proceed to fill the form Application Details a. Enter the name of the application with the application URL. b. Enter the SMS usage description. c. Also, please let us know the server IP address (BASE IP and SERVICE IP). Admin Details If the application is on Non-NICNET IP, please mention the details of server admin (He must be NIC employee). a. Enter the admin address and admin employee code. b. Enter the server location and name of the authorized officer (The authorized officer is the officer at the level of undersecretary or above working in Ministries/Departments/Statutory Bodies/Autonomous Bodies of both Central and State/UT Governments). c. Enter the designation and name of ministry/department/ organization. Contact Details a. Enter your address, city with pin code. b. Enter you telephone number (STD code, 3-5 digits, Telephone: 8-15 digits). Select your country code and enter the mobile number c. Enter your address in the space provided. Other Details a. Is the application enabled over https. Please select YES or NO as per the choice. b. Is the application security audit cleared? Please select YES or NO. c. Please mention the IP of the staging server which is required for testing. d. Please select the type of SMS service you wish to avail (PUSH, PULL, OTP, quicksms).

36 e. If the service is PULL, then please mention the URL path. f. Enter the expected monthly traffic both domestic and international( the count of traffic should not exceed 10- digits) g. Enter the Captcha value to verify the account details.

Step 2: After accepting the terms and conditions, proceed to fill the form IP Details Select the action request. a) Change IP b) Add IP Please let us know for which service you want to raise the IP change request for. Account name is required for SMS service only. i. Relay ii. SMS( Enter the account name for which you want to add or change IP) iii. Mail Admin iv. LDAP Auth v. Last login detail Administrator Details a. Enter the moderator s name and division/ministry/organization and address. b. Enter the contact number and address. HOD s Details a. Enter the HOD s name and address. b. Enter the mobile number of HOD. Other Details Change IP a. Please let us know the old IP and new IP(the one to be changed) b. You can request to change four IP's and replace it with new IP s c. Enter the Captcha value to verify the account details. Add IP a. Please let us know the IP s to be added(mandatory field- Add at least one IP) b. You can add four IP's c. Enter the Captcha value to verify the account details.
