2 Steps to Migrate to Office 365 The steps below are those required for a school to migrate off the Editure solution, and onto Microsoft Office 365 Cloud collaboration suite. Schools can contact Consulting@cathednet.wa.edu.au regarding this process. Schools should contact DigitalLearning@cathednet.wa.edu.au regarding integrating Office 365 into classroom practice. Steps in Order: 1. Record your school internet domain name. 2. Register for a free trial of Office Request a DNS change through CEO Service Desk to verify Office 365 against your domain. *(Log a job) 4. Request a DNS change through CEO Service Desk to have delivered to Office 365 *(Log a job) 5. Convert the Office 365 trial to a permanent plan *(Contact Computelec) 6. 3 1. Record your School s Internet Domain Name Your schools existing internet DNS name is currently hosted on Editure and the mysuite applications. This same domain name will be the one that is migrated to the new platform on Office 365. To register for Office 365 you need to note your schools existing DNS domain name. This will usually be the name of the schools website, and can also be viewed as part of the URL for accessing the school Editure mydesktop page. In the example below, is the DNS Domain name servicedesk@cathednet.wa.edu.au ceowa.service-now.com 3

4 2. Register for a free trial of Office 365 Office 365 requires online registration, initially as a trial, which can be converted to a permanent plan before the trial expires. When registering for Office 36, you need to have the following details at hand: School DNS internet domain (as per previous page) School Physical Address Abbreviated School Name e.g. StJoesKNX Active address on schools current domain for the Administrative Login (could be similar to SINA Admin login or a CathEdNet address) where confirmation s will be sent. Ensure you are able to access this mailbox. Office 365 Registration page: Note: When registering for Office 365, a second address is automatically added to each O365 account. The format for this address includes the abbreviated school name and is typically: username@school.onmicrosoft.com and will be used for Office 365 logins and until the change request has been completed in Step servicedesk@cathednet.wa.edu.au ceowa.service-now.com 4

5 3. Request a DNS Change to verify Office 365 Before a trial Office 365 resource can be converted to a permanent resource, the schools educational institution status needs to be verified. This is performed by Office 365 in the form of a DNS lookup against the school web address. In the Office 365 Admin Interface, and during the verification process wizard, change the dropdown list from Step by Step to General Instructions, take note of the TXT record type (highlighted below in Yellow) servicedesk@cathednet.wa.edu.au ceowa.service-now.com 5

6 Log a change request with the CathEdNet Service Desk to create this record for your domain. The Service Desk will need to know the DNS domain that has been registered as well as the TXT record details. Attach a screenshot from the Office 365 page (similar to above) to the change request. When this change request has been completed the domain verification should be successful in the Office 365 Admin Interface as below servicedesk@cathednet.wa.edu.au ceowa.service-now.com 6

7 4. Request a DNS Change to have delivered to Office 365 Before can be delivered to the new Office 365 mailboxes, a DNS change for the school mail exchange (MX) record needs to be moved from Editure to Office 365. The school needs to carefully decide the day for this change, after which will no longer be delivered to Editure and would then need to be accessed from Office 365. To find the information you need in the Office 365 Admin Interface, and during the verification process wizard, change the dropdown list from Step by Step to General Instructions, take note of the MX record type (as shown below the Yellow highlight). This can also be done simultaneously to Step servicedesk@cathednet.wa.edu.au ceowa.service-now.com 7

8 Log a change request with the CathEdNet Service Desk to change the MX record for your domain to point to Office 365. The Service Desk will need to know the DNS domain that has been registered as well as the day you would like the change to occur (see note below). Attach a screenshot from the Office 365 page (similar to above) to the change request. When this request has been completed, any sent to domain should be delivered to corresponding account in Office 365. Note: DNS changes can take hours to occur and then update across the internet. During this time may continue to be delivered to Editure, not be delivered at all, queued, and eventually delivered to Office 365. If is sent to an account that exists in Editure, but not Office 365, the delivery will fail until a matching account is created in Office 365 (see Step 6). All devices accessing account will need to change their client settings to access Office 365 (see Step 8) servicedesk@cathednet.wa.edu.au ceowa.service-now.com 8

Convert the Office 365 Trial to a Permanent Plan You need to upgrade the 30 day trial to a full version of the A2 Plan (free) by contacting Danny at Computelec and provide the details of your Office 365 domain. The details of the Office 365 resource will remain the same, but the service will not expire when the trial finishes. 10 6. Ensure Special Accounts are created in Office 365 Once Step 4 has been completed, all to domain will be routed to the Office 365 servers. If a mailbox does not exist in Office 365, a failure will be sent to the sender. There are special accounts that must be able to receive mail, and therefore should be created immediately in Office 365: admin@school.wa.edu.au principal@school.wa.edu.au as well as any other important addresses as used by the school. Note: The current list of addresses used within Editure can be listed in the school s SINA Admin pages. Any generic or service mailboxes, such as those registered for Apple ID and the Apple VPP should also be recreated in Office 365, so that App purchased and password reset s are received in Office servicedesk@cathednet.wa.edu.au ceowa.service-now.com 10

11 7. Create Staff and Student Accounts in Office 365 Office 365 allows for multiple account creation with a bulk upload feature similar to SINA. Individual user accounts can also be added ad hoc. Both of these tasks are completed within the Office 365 Admin Interface. A Sample Excel spreadsheet with the appropriate fields is available from the users and groups page and Bulk add in the Office 365 Admin Center. Note: Office 365 accounts should be per student/user. There is no longer any correlation between internet access/filtering/ as was the case with Editure servicedesk@cathednet.wa.edu.au ceowa.service-now.com 11

12 Initial Staff and Student lists for bulk uploads could be exported from Maze, and relevant fields mapped to the Office 365 bulk upload spreadsheet. Staff and students will need to be issued their new username/passwords if they are not the same as that used in Editure. They will also need to be directed to the web login page for Office 365 and alter their device configuration if they have configured (see Step 8) ceowa.service-now.com 12

13 8. Configure Devices to access Office 365 Office 365 can be accessed from any client device, either by a full Outlook Client, web browser, or an app on a mobile device. If an client was previously configured to access the Editure servers, this will continue to allow connection but no mail will be delivered to the Editure mailboxes. The Office 365 Web login is: Each client device will have a different mechanism to modify the account settings, however the benefit of Office 365 is that the automatic server discovery should configure many of the settings for you. This change should be communicated to staff and students. Note: When configuring mail clients, use the full Office 365 address (username@school.wa.edu.au) as the username and address fields. Staff and Students should access Office 365 via the web portal initially to verify access and set language options. On ipads and iphones, the Apple Mail App uses the Microsoft Exchange profile to connect to Office 365. Microsoft Office and other Apps are able to connect directly to Office 365 and may need to be deployed to devices if required servicedesk@cathednet.wa.edu.au ceowa.service-now.com 13
