1 Creating Shift Offers to Help Fill Open Shifts The Shift Offers feature allows schedulers to offer a compensation adjustment for an open shift and then automatically notify selected providers about the incentive for working the shift. This would be the next step for a scheduler who s sent out an Open Shift Notification that hasn t yielded results. Once a provider is assigned to the offer shift, a Compensation Adjustment will be automatically added and reflected in Tangier (e.g. Compensation Reports, Adjust Worked, etc.). Creating Shift Offers Begin by right-clicking on an open shift on the Tangier EPS Schedule screen and selecting Shift Offers from the drop-down menu. Select Add in the box that displays. 1
2 Shift Offer Details Dialog A Shift Offer can be in the form of an increase to a provider s hourly rate in dollars or percentage, and/or as a flat amount in additional compensation. A reason code for either type of adjustment must be selected. Enter the Shift Offer details in the dialog box that displays: 1 Enter the Compensation Adjustment details. Select a Reason Code for the compensation adjustment. Choose the compensation adjustment type and enter the adjustment amount. You can add an hourly rate increase by dollars or a percentage, and/or offer a flat amount to work the shift. 2 Comments entered will appear on the Compensation Adjustments report. 3 Selecting a Location Contact will create a signature in the Shift Offer notification . The default <None> adds no signature to the notification. 4 Select providers who will receive the Shift Offer. Checking the Select All Available Providers box only excludes those providers with a scheduling conflict (designated by the icon). 5 Select OK to save the Shift Offer. 2
3 The notification will display once the Shift Offer has been saved. This s message will vary depending on several factors. Providers will be instructed to reply to the Shift Offer If the schedule has not been published, OR If the location does not allow providers to make Shift Requests. Providers will be instructed to make a Shift Request: If the location allows providers to make Shift Requests AND The schedule is published. 3
4 Once made, Shift Offers can be viewed by right-clicking on the shift at any time and selecting Shift Offers from the menu. Double-click on an offer to display its details and make changes if necessary. There also is a new Shift Offer report (see page 9) available under the Compensation Reports menu option. A Resend Notification button will appear in the Details box once a Shift Offer has been created. This resends the original offer to the providers. 4
5 Accepting Shift Offers A Shift Offer can be accepted either by the scheduler manually assigning a provider to the shift or by a provider using the Shift Request task in the Tangier personal calendar. Manually Assigning a Provider A scheduler can manually assign a provider to an offer shift. The scheduler will be prompted as to whether or not to apply a Shift Offer when assigning a provider to the shift. Once a provider has been assigned to an offer shift, the compensation adjustment will be added to the shift. The adjustment is viewable on the Compensation Adjustments report... and the Adjust Worked dialog. 5
6 Using Shift Request to Accept a Shift Offer If a location allows providers to make Shift Requests and the schedule is published, then a provider who receives the Shift Offer will be instructed to accept the offer by making a Shift Request. This will be done via the Location Schedule(s) view in the provider s Tangier personal calendar. A provider who wants to accept the Shift Offer will log into their Tangier personal calendar and go to the Location Schedule(s) view to make the Shift Request. An automatic will be sent to Location administrator(s) once the provider adds the Shift Request. 6
7 The automatic notification from the provider can take one of two forms. If a location allows providers to only make Shift Requests and not auto-assign themselves to open shifts, the will instruct the scheduler to review and approve the request via the Tangier Web Admin Request Calendar. To approve the request, log on to Tangier Web, go to the Request Calendar, and select the pending request. 7
8 On the next screen, change the request s status from pending to approved. Select Update to save the request and assign the provider to the shift. If a location allows providers to auto-assign to open shifts using Shift Request, the provider will be assigned to the shift, the compensation adjustment will be applied, and the scheduler will be notified. 8
9 Things to Consider Multiple offers can be made for the same shift. However, a provider only can be on one offer per shift. Once a provider is on any offer, he/she is removed from the eligibility list on all others. If an offer is changed or deleted, you will be prompted to notify the eligible providers via . If a provider is added to/deleted from an offer, you will be prompted to notify that provider via . A Shift Offer and any changes made to it become part of the Shift Assignment Audit Trail. Shift Offer Report The Shift Offer report can be found under the Reports/Compensation Reports (Net) menu on the Tangier EPS Schedule screen: 9
