1 User Guide 2016, Release 5 The Benefit Dashboard is designed to assist in the management of your company s benefit enrollments. From qualifying life events to ongoing new hire enrollments, the dashboard will help you stay on top of any actions that are needed. This guide will provide an overview of the key features for each section of the dashboard. By default, only HR+ users will have access to this new dashboard but security access can be customized to grant access. We welcome your feedback! Please contact your Service Team if you have any questions or suggestions. Table of Contents: 1. Pending Enrollments Track outstanding enrollments and nudge employees to take action a. Nudge Feature: This option allows the user to send a reminder to the employee and/or their manager. When selecting this option, the user will be able to choose who to send the notification to. By default, it will also send an notification, but this could be deselected. The message can be edited as needed as well. There is also the option for Nudge All (Filtered) which will nudge all of the employees in the current view. b. Update Elections: This is a direct link to the employee s Update Elections page and allows eligible users to make administrative benefit election updates on behalf of the employee. 2. Enrollment Results Review and report on all of the completed benefit elections a. Manual Carrier Update Tracking: The ability to track manual updates on a carrier website is available if needed. This is driven by a check-box under Carrier Update. When selecting the check-box, the user will be prompted to either process or audit the election. Notes and supporting documents can also be added. Any actions can be reviewed by selecting the icon. 3. Events Stay updated on processed qualifying events and terminations 4. Reports Easily access all of the most common benefit reports 5. Benefit Plans Get the details on all of the benefit plans available to employees

2 Pending Enrollments This is the go-to page for managing any outstanding enrollments - either for ongoing new hire enrollment or during company-wide open enrollment. This page will list any missing benefit records for employees who are expected to be eligible based on their assigned Benefit Tier. By default, this page will include all employees who meet this criteria and list the individuals with the earliest expected Effective Date first. Once an employee has all of the expected elections recorded, they will no longer display on this page. There are a number of different filter and sorting options available on this page. Most notably, there is the ability to change the Enrollment Type to New Hires Only, which will display only the employees hired within the last six months. To view the specific outstanding benefit options for an employee, select the icon. If there is the need to view only outstanding enrollments for certain benefit types, carriers, dates, etc., then filters can be applied by selecting the desired options and selecting the icon. The filters can be removed by selecting the icon. The icon will also refresh the information on the page. Urgent Outstanding Enrollments: This icon will display if an individual s enrollment end date is either in the past or within 7 days. Nudge Feature: This option allows the user to send a reminder to the employee and/or their manager. When selecting this option, the user will be able to choose who to send the notification to. By default, it will also send an notification, but this could be deselected. The message can be edited as needed as well. There is also the option for Nudge All (Filtered) which will nudge all of the employees in the current view. There is a column for Days Since Notified which will list the earliest of either when the most recent nudge was issued or the number of days since they were benefits eligible. By selecting the link, a full audit trail of nudges issued will display. Update Elections: This is a direct link to the employee s Update Elections page and allows eligible users to make administrative benefit election updates on behalf of the employee. Page 2 of 5

3 Enrollment Results In contrast to the Pending Enrollments page, this page is intended for reviewing already completed enrollments. This page can work as an alternative to system reports such as the Employee Benefit Elections report, as it will allow filtering on the page itself. There are three different options for sorting elections on this page: Employee Name, Enrollment Date and Effective Date. For example, the Enrollment Date sorting option could be used to view the most recently processed enrollments. The Export current view option will export all of the currently filtered data into a CSV file and will provide other relevant information, such as the covered dependents and address information. If there is the need to view only elections for certain benefit types, carriers, dates, etc., then filters can be applied by selecting the desired option and selecting the icon. The filters can be removed by selecting the icon. The icon will also refresh the information on the page. Here is what each icon represents: Audited: Election has been processed and audited. Processed: Election has been processed. Not Processed: The election has not been marked as processed. When an election is updated in the system, the status will automatically reset to Not Processed. Note: The Carrier Update feature is not related to EDI feed transmissions and would not automatically update when a file is sent. If you would prefer to hide the Carrier Update feature, please contact your Service Team. Page 3 of 5

4 Events This page will provide an overview of any Qualifying Events (including those processed via the Update Elections feature) and employment terminations for employees with elected benefits. Records will be listed in the order of the Date Processed. In the header row, it will also list the Event Date, Event Type and Details. The Details will list the user who made the update and any attachment that was uploaded with the action. Additional details can be found by selecting the icon. The expanded details will list the benefits modified as well as the resulting coverage details (ex. Opt in status, coverage level, and payroll cost). The filters can be utilized to narrow down the information. Selecting the icon to apply a filter and select to remove it. Note: Additional notifications are available for Qualifying Events and child dependents who are due to age-out of coverage. Please contact your Service Team if you d like to enable either of these notifications. Page 4 of 5

5 Reports In addition to being available in the Report Library, we have now centralized the most common benefit reports into this special section on the. Along with each report, there are now descriptions to help provide more details on how to best utilize these to your advantage. Benefit Plans This page will provide an overview of the setup details of each benefit, per Benefit Tier and per plan year. When selecting the icon, most of the relevant setup information will be listed. For Medical, Dental, and Vision benefits, it will list the monthly employee and employer costs. For age-banded benefits, such as Voluntary Life and Disability, the full age-banded rates table will display. Note that the plans can be filtered based on the Plan Year Start as well as the Benefit Tier. Page 5 of 5
