1 Prevue Online How-To Guide Creating a Position with a Concurrent Benchmark Page 1 Introduction Each position in Prevue Online must have an activated benchmark before it can be used in a Prevue report. In many Prevue reports, a candidate s scores are matched against the benchmark for a position, and the more closely a candidate s scores match the benchmark, the better suited a candidate is for the position. In this way, Prevue reports help organizations to compare candidates to various positions within their organizations. The following How To Guide will show you how to create a new position and create an activated benchmark using a Concurrent study. A Concurrent Study gathers assessment results from the top performers in a position to create a Benchmark for the position. You must have at least two assessments completed by top performers to create a Concurrent Benchmark Study. When a Concurrent Study is used to create a benchmark, the results of the selected assessments are compiled and used to calculate the ideal benchmark for each scale that the Prevue Assessment measures. By gathering data from employees in your own organization, Prevue helps you to create a reliable and highly customized benchmark for the position. After the results are compiled, disagreements between concurrent candidates can be resolved using the Benchmark Development Report as a guide. This How To Guide will take you through each step of the process. Creating a Position with a Concurrent Benchmark Step 1 Step 2 Step 6 Step 7 Step 7 STEP 0: (Rqd) Access the New Position Page To access the New Position page, click on <New Position> under the <Positions> menu. STEP 1: (Rqd) Enter Position Name Enter the name of the position. Step 3 STEP 2: (Opt) Enter Position Description Describe the position in a few sentences. Step 4 STEP 3: (Opt) Select the Scope Step 5 The scope refers to what scales will be used when candidates are assessed for this position. You cannot change the scope once you save the position. The standard scope is WNS1S2IP, which contains all of the scales. STEP 4: (Opt) Select the Style Select the style of the position. The style determines how certain text will appear in some Prevue reports. Note: This field may be edited if the style is not appropriate for the position. STEP 5: (Rqd) Select the Owner & Account Access Select the login that will be responsible for this position. A private position can only be used by the owner login or an administrator login. STEP 6: (Opt) Add Categories To help find the position in the Position List at a later date, click on <Edit> to add the position to one or more categories. STEP 7: (Rqd) Select the benchmark creation method To select the benchmark creation method, place the dot next to Using a Concurrent Study and click <Save and Continue>.

2 Prevue Online How-To Guide Creating a Position with a Concurrent Benchmark Page 2 Step 8 STEP 8: (Rqd) Using Quick Add to invite a New Concurrent Candidate The Quick Add feature allows you to invite Concurrent candidates who have not previously been entered in Prevue Online, to complete an assessment. Once the candidate completes the assessment, the results will be used to build a Concurrent Study benchmark. Use the Quick Add text boxes to enter the names and s of the Concurrent Candidates and click <Add> after each participant. STEP 8: (Rqd) <Add> a New Concurrent Candidate The page will refresh and the candidate will appear in the list below. If you have set the Concurrent Study to send invitations automatically, then the invitation for each candidate will be sent at this time. Note: It is advisable to check the settings before inviting candidates. Click <Edit Settings> and follow the instructions on Steps STEP 8: (Rqd) Wait for the Candidate to Complete the Assessment If the candidate has a P next to his/her name, then the candidate must still complete the assessment. If you have set the Study to send status invitations automatically, then when the assessment has been completed, a status will be sent to the specified recipients (see Step 12).

3 Prevue Online How-To Guide Creating a Position with a Concurrent Benchmark Page 3 Step 9 STEP 9: (Opt) Customize the Invitation & Status Note: You may customize your default preferences ahead of time from the Administration column by scrolling down to s and selecting Default s. If you have previously done this, skip to Step 16. To customize the invitation & status , click on <Edit Settings> located next to the <Add Candidates> button in the center of the page. (See Steps 10 15) STEP 9: (Opt) Customize the Invitation & Status To customize the invitation & status , click on <Edit Settings>. (See Steps 11 15) Note: You may customize your default preferences ahead of time from the Administration column by scrolling down to s and selecting Default s. If you have previously done this, skip to Step 16. Step 10 Step 11 STEP 10: (Opt) Send Invitations s Automatically The Invitation s are set to go out automatically. If you do not wish to send s automatically when a candidate is added to the Concurrent Study, select <No> then click on <OK> to save the changes. Note: Setting the Invitation to No will require you to manually invite the candidate on the Concurrent tab. See Step 19 for further instructions. STEP 11: (Opt) Customize the Invitation & Status s To customize either the invitation or status , click on <Edit/View >. If you do not need to customize the s, skip to Step 16.

4 Prevue Online How-To Guide Creating a Position with a Concurrent Benchmark Page 4 STEP 12: (Opt) Customize the Recipient List To change the list of recipients from the account defaults, select Customize. Step 12b Step 12 Step 12a STEP 12a: (Opt) Select the Recipient To Select the recipients by placing a dot next to the recipient type, if the recipient has a login on PrevueOnline.com. If the recipient is not a login in PrevueOnline.com, type in the address(es) in the To: field. To add an address, type the address and separate multiple addresses with a semicolon. You can use your Prevue Online address book to add contacts by clicking on <To >. STEP 12b: (Opt) Select the From Address You can change the From address to the system standard address (info@prevueonline.com). Leaving the From set to Send from Activity Owner, will use the Position Owner s address as the sending address. STEP 13: (Opt) Save the Step 13 To save the changes you made, click on <Save & Close>. STEP 14: (Opt) Send Status s Automatically To send status s automatically when a candidate completes an assessment, select <Yes>. Note: Ensure that a recipient is listed next to the To: field if you have selected <Yes> otherwise the system will not know which address to send the Status to. Step 14 STEP 15: (Rqd) Return to the Concurrent Study Click <OK> to continue. Step 15

5 Prevue Online How-To Guide Creating a Position with a Concurrent Benchmark Page 5 STEP 16: (Opt) Receive the Status If you have set the Study to send status s to your address, then you will receive an similar to the one on the left whenever a candidate completes their assessment. Once you are notified that all of the candidates have completed their assessments, you can continue to create a benchmark for the position. You may click on the hyperlink in the Status to help you sign into Prevue Online and bring you to the Position s Concurrent Study tab. Step 16 Step 17 STEP 17: (Rqd) Return to the Position List After the Candidate Has Completed the Assessment If you do not click on the hyperlink in Step 16, sign into PrevueOnline.com and click on the <Position List> under the <Positions> menu. If you are already in the position, skip to Step 19. To select your position, click on the magnifying glass next to its name. You may use the Search options at the bottom of the page to help you locate the Position in the list. Version View Assessments International Inc. Permission to Copy

Step 18 Step 19 STEP 19: (Rqd) Check Completed Concurrent Candidates Click on the <Concurrent> tab to see the list of Concurrent candidates. You must have at least two candidates listed with the necessary assessment sections listed under the Completed column in order to create a Concurrent benchmark. Note: Refer to the Scope of the Position at the top right side of the Position Details page to determine if the Concurrent candidates have completed the necessary assessment sections. Also Note: If the candidates have missed any of the necessary assessment sections, you will not be able to include them in the benchmark study, as this will cause an error. Refer to the How-To-Guide Reassessing Candidates, to reset any missed assessment sections. Step 20 STEP 20: (Rqd) Check Completed Concurrent Candidates To create a new benchmark using the Concurrent candidates, click on the boxes next to the candidate s names and then click on <Build Concurrent Benchmark> button.

7 Prevue Online How-To Guide Creating a Position with a Concurrent Benchmark Page 7 Step 21a Step 21b Step 21c Step 21d Step 21e Step 21f STEP 21a: (Rqd) Enter Benchmark Information Use the following steps to set up your new benchmark: STEP 21b: (Rqd) Enter Benchmark Name Use a benchmark name that will help identify it at a later time. For example, Concurrent. The benchmark name will never appear anywhere except when working with your benchmark. It is not viewable in reports. STEP 21c: (Rqd) Benchmark Status The benchmark status will remain Not Activated until you have confirmed the validity of the Benchmark and choose to activate it (see Step 27). STEP 21d: (Opt) Enter Benchmark Description Enter a note to describe the benchmark. Step 21e: (Rqd) Date Created and Date Last Edited The system will automatically generate the date created and the date the benchmark was last edited. Step 21f: (Rqd) Total Candidates and Concurrent Candidates The system will automatically generate the total number of candidates and the list of Concurrent Candidates used in the creation of this benchmark. Step 21g: (Opt) View Benchmark Reports You may view either of the two reports by clicking on View Benchmark Description Report or View Benchmark Development Report.

8 Prevue Online How-To Guide Creating a Position with a Concurrent Benchmark Page 8 Step 23 Step 22 Step 22: (Opt) Adjust the Benchmark To adjust the benchmark, click on Benchmark and then on the box in the scale you want to adjust - the box will change to Green. Clicking Critical will allow you to paint the scale box Red. NOTE: there must be a minimum of one box between the green and red sections. Clicking on Erase will allow you to put the appropriate scale sections back to White. STEP 23: (Rqd) Save the Benchmark To save the benchmark, click on <Save & Close>. Clicking on <Save as New & Close> will allow you to compare the original Benchmark with the one you manually adjusted. STEP 24: (Rqd) Benchmark List Once a Benchmark has been created the Position Details will show the Benchmark in the Benchmark List. The notation of ME next to a Benchmark indicates this Benchmark has been manually edited by the user following the benchmark generation. STEP 25a: (Rqd) Accessing Benchmark Reports Step 24 Step 25a Clicking on the notepad icons < > to the left of the Benchmark, will give you the two Benchmark Reports.

9 Prevue Online How-To Guide Creating a Position with a Concurrent Benchmark Page 9 STEP 26: (Opt) Open the Benchmark Development Report Step 26 To view the Benchmark Development Report, click on < > to the extreme right of the Benchmark name. This report will help analyze the benchmark you just created, to determine if any adjustments are necessary. Click on Open or Save to view/save the.pdf Benchmark Development Report. STEP 26a: (Opt) View the Benchmark Report Read the Benchmark Development Report and note the scales where the concurrent participants scores differed. Part 2 of this report displays a Concurrent Study benchmark graph and the areas of disagreement are denoted with a <*>. The Score distribution graph displays how the scores of all the participants clustered or were distributed to identify areas of agreement or disagreement If you do not need to adjust the benchmark, skip to Step 27.

10 Prevue Online How-To Guide Creating a Position with a Concurrent Benchmark Page 10 Step 27 STEP 27: (Rqd) Activate the Benchmark To use this position in Prevue reports, you must activate a benchmark. To activate the benchmark, place a checkmark to the left of the benchmark name, by clicking on box next to the Benchmark then select the <Activate> button. Note: To activate a benchmark for the first time, your account will be charged a total of 40 credits. After initial activation you may activate a different benchmark for this position at no extra charge. Once activated the Benchmark will show an A next to the Benchmark s name. Step 28: (Opt) Improving the Benchmark Now you have a position with an activated benchmark, built using a Concurrent Study. It is advised that you periodically review and revise the benchmark for your Positions. You can continue to work to improve the accuracy of the benchmark for your position by doing more Concurrent Studies and by doing a JDS Study (see the How To Guide - Creating a Position with a JDS Benchmark). You may now use this position to build Prevue reports. You may want to create an Activity based on this position. To do so, please refer to the How To Guide - Creating an Activity.
