1 Selecting and Generating Reports There are a wide range of reports that you can order based on candidate or staff assessments in SHL on Demand. There are two different options for ordering reports in the system; either they will be automatically generated for all your candidates when they have completed their assessment process, or you can order one or more reports for specific candidates on an ad-hoc basis. Both reporting options are described in this guide. SHL on Demand Application Guide A 1 v1.0
2 Introduction The questionnaires and tests that you use on the SHL on Demand system all have reports available to assist you when interpreting your candidate or employee assessment results for a variety of different purposes. Depending on the instrument you use this can be a simple test score report for an ability test or a large number of reports focusing on for example team work, leadership styles, competency fit or candidate feedback for the OPQ32. For more information on available reports from SHL for different instruments visit There are two ways of ordering reports on SHL on Demand. You can either decide up front which reports you want to order and generate for all you candidates in a project or configure it as part of the project setup process. These reports are called automatically generated reports in SHL on Demand. If you want to then order additional reports for one or more candidates, after they have completed their assessment, you can use the on-demand report function in SHL on Demand to select the reports you want, and the candidates you which to generate them for. These reports are called optional reports in the system. Automatically generated reports The automatically generated reports in SHL on Demand are selected as part of the project configuration process. This section gives a summary of the steps you need to complete to configure a project and select the automatic reports you wish to use. For a complete guide on how to set up a project visit the Application Guide section on The example below shows how to configure an OPQ32 Candidate Report to be automatically generated whenever an individuals assessment process is completed. Step 1: Step 2: Step 3: Step 4: Log in to the SHL On Demand system and click on the Project Maintenance tab along the top of the window. Click on the Create New Project link at the left hand side of the page. On the Create Project Details page, choose the project template you want to use, e.g. the > Personality Template type, using the drop down box. You must also choose a Project Location and enter a Project name and Project description in the appropriate boxes. Click on the Create new project button. This will create the project for you in the system and take you to the Configure Project Rules page. On the Configure Project Rules page, click on the Select Instruments and Reports link on the left hand side. A 2 SHL on Demand Application Guide
3 Step 5: On the Select Instruments page, make sure that the instrument you want to use is selected, in our example we use the OPQ32r, then click on the Select Reports button. Step 6: Scroll down through the list of available reports on the Select Reports page until to find the OPQ32 Candidate report and make sure that it is selected by ticking the box in front of the report name. If you want to change the report language use the dropdown list next to the report name. If no dropdown list is available the report only exists in the stated language. Once you have confirmed your selection, click on the Save button at the bottom of the list to return to the Configure Project Rules page. Tip: You can select additional automatically generated report at this point if you want, e.g. an OPQ Manager Plus report. SHL on Demand Application Guide A 3
4 Step 7: Step 8: Step 9: Step 10: The Project Rules page shows the information that you have already entered along with an overview of the project. When you are happy with your configuration click the Save button. To complete the project setup, follow the normal project configuration, candidate invitation and project launch process. Refer to the complete guide on how to set up a project in the Application Guide section on The report for each candidate or employee will be available for you to read on your Tasks page. It will be listed as a task in the Other outstanding tasks list. Click on the Read Reports underlined text to open the report in Microsoft Word or save it to your preferred location. Once you have opened the report from Task page it will no longer be available as a task but you can access it at any time on the Reports page. On the Reports page the report name is listed in the title column to make it easier for you to locate the correct report if you have several reports for an individual. REMEMBER! You can only change and add new automatically generated reports up to the point when you click on the Launch project link. If you forgot to set up an automatically generated report or want to order more reports for specific candidates or employees use the optional report order process below. 5 On-demand reports If you do not want to generate the same report for all candidates or employees in a project you can use the on-demand or optional report function in SHL on Demand. This functionality can also come in handy if you forgot to configure the report you wanted as an automatically generated report before you launched your project (see the automatically generated report section above for more details). You can request optional reports at any time after a candidate has completed their assessments. This section outlines the process for ordering an optional report in SHL on Demand. In our example we use we are ordering an optional OPQ32 Candidate Report for one specific candidate James Jones. Step 1: Step 2: Step 3: Step 4: Log in to the SHL on Demand system and click on the Project Maintenance tab along the top of the window. Select the project that James was assessed in. Either by typing it in the Project Name filed or by using the wild-card function, e.g. Grad* for Graduate recruitment and then click on Search. Select the appropriate project from the list displayed on the Project Maintenance page by clicking on the blue underlined project name. You are now on the Project Details page. In the left hand navigation section Reports and Data there is an action called Generate Optional Reports. Click on this option. Tip: If you cannot see this option due to it being minimised click on the [+] sign before the Report and Data title and it will expand. If you still cannot see the option your project has not been launched and no candidates will have completed their assessment. Step 5: On the Optional Reports page you will see the list of candidates that you can generate additional reports for. Select your candidate by ticking the box in the Generate column. 6 Tip: If you cannot see your candidate it is likely he or she has not yet completed the assessment. You can check this by clicking on the candidate name on the Project Details page above and make sure their status is Scored in the Task Status filed. Step 6: Step 7: Step 8: Step 9: When you have selected one or more candidates/employees in the Focus list you select the report you want to order using the dropdown list in the First Report filed. In our example we select the OPQ32 Candidate Report. When you have selected the report you have to choose the report language in the Select a Language dropdown list next to the report filed. We choose English (International). To select more than one report for the same candidate or employee repeat the steps above using the Second and Third Report fields. Then click on the Generate Reports with default Norm Groups button. You need to confirm your selection on the Select Optional Reports screen by clicking on the Generate reports button. Step 10: Click the Generate report button and wait until you get a confirmation message on top of the Select Optional Reports screen confirming that your report is being generated. DO NOT click on the Generate report button again or you could be charged twice for your report. A 6 SHL on Demand Application Guide
7 Step 11: You can now check the Tasks tab where your report(s) will appear shortly in your Other outstanding tasks list. Click on the Read Optional Reports underlined text to open the report in Microsoft Word or save it to your preferred location. Step 12: When you have opened the report on the Task page it will no longer be available in your task but you can still access it at any time on the Reports page. This works the same way as for all reports in SHL on Demand, both optional reports and automatically generated reports. REMEMBER! You can request optional reports at any time after a candidate has completed their assessments. 8 The best practice templates are pre-configured with assessments and reports for some common scenarios. If you are in doubt about which assessments and reports these are, and you need to assess in one of these situations, refer to for more information.
