2 The Salutor registration system is a product of FINGO, a software company based in Wrocław, Poland. FINGO was established in 1999 on the Polish and German IT market, where we specialize in designing and developing software. A team of over 40 enthusiastic and talented developers, support services specialists and QA specialists work on our products. Some of our customers include Messe München International, T-Systems, and Oliver Wyman. FINGO always offers the highest quality at competitive prices and puts the wishes and requirements of its customers first. We support our clients out of Wrocław and Munich Salutor is a professional and flexible event registration and participant management system for planning, running and evaluating business events and company meetings. Our software is designed for the organization of many different kinds of business events, such as trade fairs, conferences, road shows and annual general meetings. It is a convenient tool for managing the registration process and attendee data, as well as supporting ticket sales and communicating with the event s participants. With Salutor you are able to offer both your guests and participants a convenient and straightforward way to register online, while you receive an overview of the event before, during and after it. You can choose between two models to fit your company s needs. We offer Salutor as SaaS or as an On-premises version. Thanks to the design of our system, it is possible to purchase only those modules that you really need for the organization of your events.

4 REGISTRATION EVENT CONFIGURATION The planning phase of your event and the actual work begin by configuring the event in Salutor. Once the configuration is in place, with only a few extra steps you can set up the registration and data collection features, which are optimized for each type of event. The validity date and details of the tickets can be defined at this time, too. The context is a tree structure of your content in which events and their attributes can be saved hierarchically. This makes it possible to save data with a given context and to download data and the configuration parameters (e.g., participants data, tickets, messages, resources, etc.) of a given event or a group of events. Types of events The registration processes are customized according to the type of event (trade fairs, conferences, etc.) in order to collect the relevant data about participants and to simplify the registration process for users. 4
5 REGISTRATION Using the Salutor system, you can offer convenient online registration to all users. You can also complete a registration process directly from the back office module, if necessary. During the registration set-up you can define different types of participant groups, such as visitors or journalists, and collect as well as process data specific to these groups. During the registration set-up, you define and configure the following parameters: Type of registration What kind of participants do you expect? Mode of registration Will the participants register only themselves or will they also have the right to register their co-workers? Do they have the right to order multiple tickets during one registration process?eintrittskarten Tickets Confirmation s Language versions Design and content of the registration website and the voucher Questionnaires, etc. Unique URL addresses and multiple languages The system enables you to prepare the registration process in many language versions, each with its own content. Once configured, the system automatically generates separate and unique URL addresses for the registration process in each language version. Managing registrations In certain circumstances, you may delete selected registrations and deactivate registration entirely. In an inactive configuration, you can change basic data ( addresses, ticket settings, the content of the questionnaires, or the whole layout of the website). 5
6 REGISTRATION Groups of participants Depending on the type of event, the participants can be divided into different groups. The registration processes are automatically adjusted to particular groups in order to optimize data input. For example: Journalists - after receiving accreditation, they don t buy tickets but require an entry badge Visitors - they buy tickets or receive promotional tickets Modes of registration Salutor provides a choice of different modes of registration: Self & Other mode This mode allows one to register multiple participants (e.g., colleagues) during a single registration process, even while optionally excluding oneself. This mode saves time during data entry because a part of the data (e.g., the data of the company or its address) may be the same for all the workers of the organization. It is also enough to make one combined payment for all of the registrants tickets. Self mode This registration mode is for only one participant per registration process. Add to Cart mode This mode of registration is derived from the Self & Other mode. The difference is that in this registration process, one orders tickets using a shopping cart and then assigns the tickets to particular participants. The same mode of registration can be defined in different ways, using programming logic and design. 6
7 REGISTRATION QUESTIONNAIRES & BACK OFFICE MODULE With the Salutor system you can create questionnaires for the registration process, allowing you to learn interesting information valuable to your event organization and marketing strategies. All questions and answers can be written in multiple languages. Lists of questions To create a questionnaire in Salutor, you prepare lists of questions. Particular questions can be asked in a questionnaire during the registration process. For each question you can choose to make the answer mandatory, allow one or more defined answers made available with either a checkbox (multiple answers) or a radio-button (only one) and decide whether written comments can be part of the answer. The back office module is a tool through which activities in Salutor are managed. It is available only to you, the client, through a web browser (login ID and password) and a secure, encrypted connection. Closed user groups and secure access All Salutor clients have an account and login to the administrative back office module, which is available through encrypted connections. You can create multiple accounts for different members of your organization, so that those responsible for organizing events can work independently. 7
8 TICKETS AND PAYMENT Ticket management is flexible and can be adapted to fit the event requirements exactly. Ticket sales and payment are convenient and safe for your guests and for you, the event organizer. Ticket management Adding to a context during registration set-up in Salutor, you can select ticket types from a predefined list and assign them to events or groups of events (contexts) Multiple languages names for the tickets can be given in all languages for which registration is availableunterschiedliche Preise und Währungen. Different prices and currencies Defining target groups you choose which type of participants the ticket is intended for Preview of relationships Data editing, removal, and cancellation Print@Home tickets Salutor automatically generates a voucher with all the information about the order, including a ticket integrated with a unique bar code for on-site identification. Registrants can access their voucher-tickets through the link in your confirmation and can print them at home. The vouchers design and content are customizable; e.g., they could contain information on public transportation. 8
9 TICKETS AND PAYMENT Promotional tickets Event organizers or exhibitors can offer visitors promotional tickets, providing free entry to the event. Multiple entry tickets The validity period for each ticket can be defined differently. Each type of ticket can be valid for only one or more than one day. Tickets with the option of re-entry You can decide whether tickets will enable the visitor to exit and re-enter. Online payment Salutor offers online payment using PayPal Express safe for your customers and simple for you. If you are already working with another online payment provider, we can create a system interface that allows this service to be used within Salutor. 9
10 COMMUNICATION WITH PARTICIPANTS After a successful registration, confirmation is sent to the participant and the ticket can be sent, if desired. You can also send your participants mailings which are customized to the look of the event. After registration is complete, participants receive shipping confirmation and optionally a ticket by . The confirmation s and tickets can be adjusted to match the design and look of the event. You can define the recipients of confirmation s as registrants, the people registering them, and/or selected individuals from your organization. Languages If the registrant and the person registering them come from different countries and communicate in different languages, you can define the confirmation s in different languages. 10
11 COMMUNICATION WITH PARTICIPANTS Look & Feel The layout of s can be tailored to match the design of your event s website. Variable content Using an editor, you can add variables, conditional filters, graphics, etc. to the template. You can find more information in the description of the editor. Grouping customers by country of origin The content of the s can also be modified based on the registrant s country of origin in order to meet the needs of different groups of customers. 11
12 COMMUNICATION WITH PARTICIPANTS Salutor uses a convenient WYSIWYG text editor, which works like familiar word-processing programs and shows you the results while you work. It allows you to easily compose messages by managing message templates. templates You can create and save any number of templates in different languages to use again later. Variable content When sending messages, variable data such as the names of registrants, the tickets ordered, the ticket prices, and the unique bar code will automatically be supplied by the database. Iterations You can add to the message a list of completed registrations and the purchases made. Multiple languages Salutor includes a tool that allows you to create many independent, parallel language versions with your message templates. HTML editing In the message templates, you can use and edit prepared blocks of HTML code. Graphics You can add graphics to the message templates in order to make them more attractive or even to look more like your event s website. 12
13 COMMUNICATION WITH PARTICIPANTS You can add and create in the Content Management System (CMS) an individual event plan for your scheduled events. Users can then access the plan easily via a custom link. With this feature you can offer your visitors and guests an additional platform for information supporting your event. In an easy and convenient way, the visitors can check more detailed information such as the event schedule, contact details and directions, and can download documents. Event plan editor Salutor uses a convenient, easy-to-manage WYSIWYG text editor which shows you the results as you work, thereby allowing you to create pages within the event plan which can then be amended or updated according to your needs. Event plan page templates You can create any number of page templates in different languages to combine with various event plans or to save them for later usage. Languages The Salutor system can accommodate different language versions within a single event, thus making the events available to visitors from different countries. Look & Feel You can match the design of your website with that of your events, allowing for an exceptional experience every time a visitor engages with your event plan. 13
14 DATA MANAGEMENT Different kinds of data can be easily imported into and exported out of the system. You can manage data easily and use them again for the planning of future events, saving time and resources. Data import and export Participant data can easily be imported to Salutor (identifying duplicates) from your company databases and exported back to them. Participant data The list of participants contains a bookmark linked to detailed data of participants. The data can be filtered, edited or deleted. You can analyze all registrations and orders for each participant and view the defined relationships between the participants and the company. Registrations and orders The displayed list can be filtered or used to preview the registration and order data for all registrations connected with the displayed voucher, in all available languages. With the back office module, you can remove all registrations or an individual order, order additional tickets for a completed registration, or even carry out a new registration. Management of tickets You can define tickets independently and connect them to specific events during their period of validity. You can configure different language versions of tickets and display prices in the appropriate currency. 14
15 DATA MANAGEMENT Management of templates You can create templates in multiple languages, independent of specific events and with their own content. You can use them repeatedly and place them like tickets into a context in order to define their validity. Resource management Resources can also be added to a context, without being linked to a specific event, in order to define their validity. Resources include text and pictures that are used to create registration pages, vouchers and s, and they can also be written in many languages. Lists of questions for questionnaires Questions and the responses assigned to them can be created in multiple languages, so they can be used in the questionnaires during registration. 15
16 REPORTS AND STATISTICS & ADMISSION CONTROL SYSTEM The system allows you to generate defined and configurable reports containing different kinds of statistics. Statistics are based on actual registration data, which were not manipulated by changes in the master data: the number of registrations completed and tickets ordered the number of registrations by country the number of registrations and tickets by day the number of attendees (including the number of tickets) Salutor is equipped with a built-in admission control system. This ensures a quick and effective check-in of participants. At the same time, data is collected which can be analyzed after the event. Ticket Control System The Ticket Control System verifies tickets through a bar code printed on them (Print@Home tickets) and marks them as used in Salutor. Use on low-resolution screens The system has been optimized for use on low-resolution devices, such as handheld mobile devices. Activity monitoring The system collects data from entrances and exits for further analysis. 16
17 FEATURES Multiple languages Salutor s back office module is flexible regarding language versions, and is currently available in three language versions: Polish, English, and German. Web browser compatibility Salutor is an online application and supports popular web browsers. There is no need to install client software on the computers that you use, which saves time and money. It is possible to use Salutor anywhere, as long as one can access the application. The Salutor system has integrated full-text searching to make it easier to find what you need. Additionally, the system is equipped with powerful filtering functions which adjust the current view (participants, registrants, companies, orders, etc.) according to search and filter parameters. Resource management Text, graphics and designs can be managed in the system and saved for later usage. Tickets, s and websites of an event plan can be modified and used several times. Using Salutor is also made easy thanks to the following features: Instantaneous help with error correction; validation mechanisms; maintenance of the current context while accessing data; hierarchical structure of the content; simple navigation; constantly available hints; help tools such as sorting, pagination, calendars and wizards; a WYSIWYG content editor and bounce message management. 17
