It s the easiest way you can get fast access to the latest tools to help you better manage your plan. A one-stop solution to manage all your benefits, including adding, deleting or enrolling employees Smarter, faster and easier navigation Immediate notifications of any errors or missing information Online payment options Other resources on the site include frequently asked questions and a demo on how to use your EmployerAccess tools and features. Keep in mind, all Blue Cross and Blue Shield of Georgia forms need to be completed before submitting any enrollments, deletions or changes through EmployerAccess. And be sure to keep this step-by-step manual handy to find answers anytime about managing your group benefits. You can also always reach out to your account representative if you have questions. Save some ink and paper and time! with online bill pay You can set up online bill pay at employer.bcbsga.com. It ll take just a few minutes. After that, you ll be able to pay your premiums quicker.

4 Getting started 4 Before you can use EmployerAccess, you may need to register at employer.anthem.com, where you ll create a user ID and password. After you complete the self-registration process, you ll get a link to the EmployerAccess site, employer.anthem.com. Use that link or enter it in your browser to go to the Login page. An will be sent to the main group administrator with a One Time Passcode (OTP). Then, you ll enter the code within EmployerAccess and gain access. Enter your user ID and case-sensitive temporary password. After that, you ll be taken to the Employer Portal, where you can choose what you want to do.

5 EmployerAccess Overview 5 Your Membership page is also known as EmployerAccess Overview. Here s where you can start the enrollment process, search for employees (subscribers) and check pending activities. Use the other tabs at the top of the page to access the Employer, Billing and Reports sections easily and quickly EmployerAccess Overview shows your pending activity. To access that, select View All on the right. You can resume or delete pending activity by using the hyperlinks to the right of an activity. All incomplete work is automatically saved in Pending Activity. 3 To access benefit information or make changes to an employee s benefits: Enter the member ID number (that s usually the Social Security number) or Health Care Identifier (HCID) in the View/Change Member Information section, then select Search. Or enter the employee s last and first name, and then choose Search. 4 To add a new employee, enter the member ID number (usually the Social Security number) in the Add New Subscriber section and select Submit. Note: Pending activity is work you saved to complete at another time. You can also access pending activity from the Reports tab.

6 New enrollment 6 Tips for adding new employees General An open enrollment effective date will be automatically assigned if the box under Open Enrollment Mode is selected on the EmployerAccess Overview page. An incorrect date of hire may create a wrong eligibility effective date. If that happens, you won t be able to correct the error through EmployerAccess. You ll need to contact your Enrollment and Billing representative to correct the wrong date. After you submit the transaction, you ll get a message that it was successful. The processing date is the date when the information was successfully received. Retroactive additions and retroactive terminations allow a 60-day window to process, based on the current date. Changes after that timeframe must be submitted directly to Enrollment and Billing, not through EmployerAccess. Medical During open enrollment, you may make eligibility changes within 60 days for: Life products New enrollment Add coverage Add dependent(s) Change coverage Re-enrollment Life products are not available for selection in Open Enrollment Mode. Select Basic Life when enrolling an employee only in one or more life products. There might be a reduction in benefit amount for employees who are 65 and older. Dependents are never enrolled in life coverage, even if they elect coverage. Note: BCBSGa enrollment or change forms must be completed before making any updates in EmployerAccess.

7 New enrollment, continued 7 There are four steps to the enrollment process. The steps are numbered here so you ll know where you are in the process. You ll need to complete all steps before you can submit an employee s enrollment application. If at any time you choose Save and Exit, your work will be saved in Pending Activity. Once you ve completed the steps, you ll see a message bar on the EmployerAccess Overview page to let you know you successfully completed the transaction. Step. Member information This is the page where you ll start the enrollment process. To enroll an employee (subscriber), enter the requested information. Fields with red arrows (>>) are required information. If the employee has dependents to enroll, select Add Dependent. 3 If there are no dependents to enroll, select Continue. Member information (add dependents) To add dependents to the employee s benefits, fill out the fields for dependent information, which appear below the employee information. Complete the information and choose Add Another Dependent for each dependent to enroll. When you re done, select Continue. Note: Social Security numbers are required to add a spouse. 3

Choose coverage Use this screen to choose coverage for employees (subscribers) and any dependents. 3 Select the drop-down arrow and choose the appropriate medical, dental, vision, life and/or disability coverage. When finished, select Continue. See page 9 for example. Life coverage If life coverage was chosen, you ll be directed to this screen. 3 Enter information in the appropriate fields. 4 When finished, select Continue. 4

9 New enrollment, continued 9 Step 3. Assign coverage This screen displays the employee s benefit selections. You have two options when enrolling an employee s dependents: Check the box to enroll all dependents in selected benefits. Or, if individual dependents should be enrolled in a specific benefit plan, check the corresponding box to choose coverage for that member. To help employees find provider information, choose the Provider Finder link. This allows them to search the Provider Finder website for a provider, and then enter that code into the provider number box. Auto-Pick Provider Number allows the system to pick a Primary Medical Group (PMG)/Independent Physicians Association (IPA) for all. 3 If you missed something or selected the wrong benefit plan, you can go back by selecting Previous. 4 If everything looks right, select Continue. 4 3

10 New enrollment, continued 0 Step 4. Other coverage This is the last screen in the new enrollment process. Indicate Yes or No to the questions by choosing the corresponding circle. Choosing Yes prompts you to complete the necessary information below. Choosing No will automatically lead to a No response in the corresponding checkboxes below. Enter the requested information. 3 Choose Continue to verify and then submit your request. This is the last step in the enrollment process. 3

11 New enrollment, continued Enrolling subscribers who had BCBSGa coverage with another employer You can enroll a subscriber whose coverage has terminated with another employer. Enter the subscriber s Social Security number in the Add New Subscriber section and choose Submit. This will take you to the Name Match screen. Enter the last name, first name and date of birth. This information must match the member s previous enrollment. The remaining steps are the same as in the new enrollment process (see page 7).

12 New enrollment, continued Correcting an ID (Social Security number) If you notice an error in the ID number on the Member Information page, you can: Select Correct ID Number. A new page will open. Enter the ID number in the blank field and choose Submit. You will return to the Member Information screen for continued work. Note: You can only access the Correct ID Number hyperlink through this screen. You can only change an ID number during the enrollment process. You can t change an ID number after a new enrollment is submitted.

13 Existing member maintenance 3 Member search To perform maintenance on a specific employee and/or dependent, first search for the employee. There are two ways to search: Enter the member ID number (typically the Social Security number) or Health Care Identifier (HCID) in the box under View/Change Member Information, then choose Search. Enter the employee s last name and first name. Your search will bring up an Employee/Dependent Details page. There, you can view specific information about an employee and easily initiate member update transactions by using the buttons displayed. Employee/dependent details The Employee/Dependent Details page displays a list of enrolled members and their benefits. It offers a quick overview of employee and dependent information, including: Coverage Name(s) Address Birth date(s) Relationship code for dependents Effective/cancellation dates Provider information Note: BCBSGa enrollment or change forms must be completed before making any updates in EmployerAccess.

14 Existing member maintenance, continued 4 Add or re-enroll dependents To access this screen, select Add Dependent on the Employee/Dependent Details page. You can add or re-enroll dependents to an enrolled employee s (subscriber s) coverage. New spouses and newborn dependents may be added through EmployerAccess within 60 days of marriage or birth. A dependent spouse and/or child(ren) may only be added during the group s open enrollment period or a qualifying event. Choose the event reason. Choose the event date. 3 Select the language preference and then Continue. The remaining steps are the same as in the new enrollment process (see page 7). Note: You can only re-enroll a dependent on this page if the dependent is not active in any other plan. If the dependent is active in another plan, use the Add Coverage option. A separate transaction is required when re-enrolling and adding new dependents. 3

15 Existing member maintenance, continued 5 Add coverage To add coverage to an employee s (subscriber s) benefits, select Add Coverage on the Employee/Dependent Details page. You ll be brought to this screen. Benefits can be added within 60 days of the current date. Choose the button for the person adding coverage (subscriber or dependent). Enter the effective date and signature date, then select Continue. (The signature date is the date the member signed their enrollment form.) 3 3 Choose the new coverage from the drop-down menu. Note: Only available coverage will show.

16 Existing member maintenance, continued 6 Change coverage To make changes to existing benefit coverage, select Change Coverage on the Employee/Dependent Details page. This process is the same as the new enrollment process. Choose Type of Change. Select Continue to finish. Cancel coverage To cancel the subscriber and/or dependent coverage, select Cancel Subscriber Coverage or Cancel Dependent Coverage on the Employee/Dependent Details page Enter the cancellation effective date. If your group policy is to cover employees to the end of the billing period after their termination date, enter the first of the month after that date. For example, if the event date or termination date is June 5, you would enter the cancellation date as July. If your group policy is to immediately terminate employees coverage upon termination, enter the day after their termination date. For example, if the event date or termination date is June 5, you would enter the cancellation date as June 6. 4 Choose a Cancellation Reason from the drop-down menu. 5 5 Be sure to check the box to select the member to cancel. 6 Select Continue to finish. 6

17 Existing member maintenance, continued 7 Re-enrollment To re-enroll a member whose coverage has been canceled or lapsed, choose Re-Enroll from the Employee/Dependent Details page. To re-enroll an employee (subscriber), enter the requested information. Fields with red arrows (>>) are required information. If the employee has dependents to re-enroll, check the box next to Include Dependent. 3 Select Continue. The remaining steps are the same as in the new enrollment process (see page 7). 3

18 Existing member maintenance, continued 8 Change life benefit values To update life benefits if a member has elected life coverage, select Change Life Benefits on the Employee/Dependent Details page. Enter the subscriber s new annual salary and new salary effective date. This is only necessary if the product is based on the salary. You will need to select Change this Coverage and enter the new salary. The new annual salary will appear on your premium bill. Select Continue to finish. Note: If you re cancelling a subscriber s life coverage, you may be prompted to download a life conversion form.

19 Existing member maintenance, continued 9 Reinstate To reinstate a member with no lapse in coverage, choose Reinstate from the Employee/Dependent Details page. To reinstate an employee and dependents, check the box marked Reinstate Coverage. Be sure to check all applicable reinstated members. Verify the changes before you submit the new information, then select Continue. Note: No dependents can be reinstated on canceled contracts unless the employee (subscriber) is reinstated. Benefits may be reinstated within 60 days of the cancellation date.

20 Existing member maintenance, continued 0 Edit personal information Select Edit Personal Information on the Employee/Dependent Details page to access the option to change employee (subscriber) and dependent personal information, such as address, phone number, etc. Note: You ll need to verify your changes on this screen before you choose Continue.

21 Existing member maintenance, continued Request ID cards It s quick and easy to request ID cards. Just choose Request ID Cards on the Employee/Dependent Details page. Choose which plans you would like ID cards for. Use the drop-down menu to choose a member or entire family to request a card for. 3 Choose Submit. You ll see a confirmation screen to let you know the card is on its way. 3 View/print ID cards 4 The View/Print ID cards on the Employee/Dependent Details page function is only available for members with active coverage. For any new enrollments or updates, you may need to wait up to two business days for the PDF to be available. 4 Choose View/Print ID cards. 5 Use the drop-down menu to select which member you re requesting the ID card for. 6 Choose View/Print ID cards. To see the temporary ID card, you ll need to turn off your computer s pop-up blocker because the ID card will open in a new window. Note: If products are set up with a combined ID card for all products, you only need to select one product. 5 6

22 Employer-level capabilities Reports Use this tab to generate reports, view the Subscriber/Dependent listing and more. Pending activity This example shows how your Pending Activity folder might look. Selecting Delete on a transaction on this page lets you cancel the transaction that was in process and saved. It does not cancel any existing coverage for the subscriber/dependent. Note: To ensure full access to subscriber information and accurate records, you need to be aware of pending activity and process or delete pending transactions. You re required to pay all invoices in a timely manner, according to the terms of your group contract.

23 Employer-level capabilities, continued 3 Billing Select the Billing tab at the top of the page. This tab lets you view and pay your premium bills online. You can also access information on: Open invoices Monthly activity Invoice numbers Amount due on your group health plan premium You can pay your premium, manage bank accounts, set up recurring payments and manage s addresses. 3 Select an invoice number to view details. 4 The Actions drop-down menu allows you to schedule payments, view past invoices and more. 3 The Billing page also provides access to invoices and their details. 4

24 Employer-level capabilities, continued 4 Invoice details After choosing View Details for the billing entity you want to view an invoice for, you ll have a number of options. This screen shows your current invoice in the drop-down menu and the total amount due. All of the information on this page also shows up on your statement. Invoice/membership details You can see each employee within your group by selecting Membership Details. To see more information about an invoice, select the additional links in the Invoice Details section. To see any billed adjustments for your group, select Eligibility Changes.

25 Employer-level capabilities, continued 5 Viewing invoices The Billing page provides access to view the details of current open invoices, past invoices and outstanding adjustments; all of that information can be downloaded and saved as a PDF or in Excel format. To see all information about an invoice, select the View Details link in the Open Invoice section of the Billing page. The Bill Summary tab shows a summary of all the billing and payment activity since the last month s bill, such as the: Prior billed amount. Amount paid, which includes a summary of all payments received since the last billing period. Eligibility adjustment subtotal, which shows the sum of the member retro activity processed since the last billing period, including the membership detail subtotal. Total amount due for the next billing period.

26 Employer-level capabilities, continued 6 Manage addresses and billing EmployerAccess allows you to set up notifications for yourself about online billing activity on the group and subgroup levels from the Manage Addresses screen. To assign an contact when you establish bill payment on the group level: Choose Add Case . Enter the complete address. Choose one of two contact types: employer or broker. Choose Submit to finish. To assign an contact when you establish bill payment on the subgroup level: Choose Add Billing Entity . Enter the complete address. Choose the associated billing entity from the drop-down menu. Choose one of two contact types: employer or broker. Choose Submit to finish. Note: Any administrator with an address in EmployerAccess, regardless of access, may get a notification that the bill is ready, as well as other s. The online bill pay option allows you to set up one or more bank accounts from which you can assign bill payment. Start by finding the contact information for the authorized user(s) assigned to get notifications, alerts and transaction confirmations related to online group billing activity.

27 Employer-level capabilities, continued 7 Manage bank accounts EmployerAccess is a safe and secure site. Enter valid bank account information to complete the online bill pay set-up process and start making payments online. Choose Add Bank Account from the Manage Bank Account(s) screen. Enter the financial information for the bank account, including the name of the financial institution, the institution s address and the account type. Choose Add Bank Account to finish. You may add multiple bank accounts as needed. Just go back to the Manage Bank Account(s) screen and choose Add New Account.

28 Employer-level capabilities, continued 8 Pay your invoice online EmployerAccess offers the convenience and flexibility of paying your monthly bill(s) online. Utilize the Pay Premium Now feature for any open invoice. You can even select multiple invoices to pay at one time. Once payment is submitted, your group policy will be updated within three business days to reflect your online payment. Check the box marked Pay for each invoice you choose. Then, select Continue. You ll be able to choose a bank account and authorize your payment. You ll get a confirmation that the payment is being sent to the bank. You ll see a payment confirmation, and an confirmation will be sent to the addresses that have been set up for this account. Note: You re required to pay all invoices in a timely manner, according to the terms of your group contract. Your account is now ready to start paying your invoices through the EmployerAccess site! You have the option to pay online from almost any screen in the Billing section. Look for the Pay Online Now button.
