2 w00 AccèsD: Cheque Imaging Who can use it? The service is available to members with computers and Internet access who currently receive their cancelled cheques with their weekly or monthly statement. If you currently an AccèsD user and use the cheque return service, your account will automatically be converted to online cheque imaging. You ll be able to receive, view and archive your cheque images online on AccèsD. If you are not an AccèsD user, please contact a caisse advisor or call DCUNIONS ( ) to sign up for the service so that you can get all the benefits of online cheque imaging. What is cheque imaging? w01 The cheque imaging service allows you to get electronic copies of the front and back of cancelled cheques online. Cheque images can be: Viewed directly from your monthly statement of account or any statement of transactions. Downloaded to your computer hard drive from a PDF file delivered into your AccèsD message box. Each PDF may contain one or more copies of all cheques paid against your account for any month or given time period. Legality of cheque images Legally, electronic cheque images are just as valid as cancelled cheques. Desjardins conforms to Canadian Payments Association (CPA) standards on digital exchanges of information between financial institutions and is therefore able to offer its members the benefits of this new cheque scanning and imaging technology. 2

4 To view cheque images one at a time w02 You may do so: A. From any statement of transactions. B. From the Latest transactions link available from the Transactions/Operations and Savings and investments tabs. A. View cheque images from statements of transactions 1. From the Transactions/Operations tab, select Search for a transaction from the menu on the left. 2. Select account or accounts, desired time period and the designation On-screen. 3. Click on the Validate button. 4. From the Description column in your statement of transactions, locate the cheque you would like to view. 4
5 5. Click on the hyperlinked cheque number. An authentication page will appear. Enter the personal information requested (date of birth, last three digits of your social insurance number), and then click on the Confirm button to make the cheque image appear. Note 1: This page is displayed only once per session, when you attempt to view a cheque image from a statement of transactions or download a PDF file.. Note 2: The authentication page is the same one that appears when you attempt to do a money transfer or other high-risk transaction. An image of the front and back of the cancelled cheque will appear. Use the buttons at the bottom of the page to print the cheque or close the window. Note 1: To save the image, right click your mouse on the cheque image and select Save Picture As Note 2: Cheque images of the last 62 days may be viewed from your statement of transactions. You may request cheques for 31 consecutive days at a time. The cheque history begins on the date you sign up for the online cheque imaging service. 5
6 B. View cheque images from the Latest transactions link You can view cheque images from the Latest transactions link much the same way as you can do so from the statement of transactions. The link is located in the Information column to the right of Personal Chequing Accounts (PCA) and Line of Credit special chequing accounts (LC) from the Transactions/Operations and Savings and investments tabs. Select the Latest transactions link next to the appropriate account. From the Description column in latest transaction statement, locate the cheque you would like to view and click on the hyperlinked check number. 6
7 To receive cheque images in a PDF file w03 You must first request the cheque images, in the form of PDF file delivered to your secure AccèsD message box. Once received, download and save the file to your computer hard drive to be able to search for and view cheque images. How to request cheque images 1. From the Transactions/Operations tab, select Cheque images from the menu on the left. 2. From the Transaction/Operations Cheque images page, provide the information requested about the folio, time period and sort order. Click on the Validate button. Note 1: You may obtain cheque images for an entire month or specific time period of 1 to 31 days. Note 2: Cheques are available for 124 days. The cheque history begins on the date you sign up for the service. Note 3: The sort order determines how cheques are displayed in the PDF file. The Bookmarks tab (left-hand panel) of the PDF file displays the sort order requested. 7
8 3. On the validation page that appears, check to make sure the information entered is correct. Use the Correct button to make any required changes. Click on the Confirm button. 4. The confirmation page that follows displays the details of your cheque image request (folio, period and sort order) and lets you know how many PDF files you can expect to receive in your AccèsD message box. Cheque image files will be delivered within 24 hours of your request. 8
9 To download files from your AccèsD message box A PDF file containing your cheque images will be forwarded to your AccèsD message box. An envelope icon in the upper right-hand part of the screen will flash to alert you that a new message has been received. Note: If you do not have Adobe Reader installed on your computer, you can download it by clicking on PDF document on the AccèsD log on page and following instructions. 1. Click on the envelope icon located under Messages in the upper right-hand part of the screen. 2. From the Subject column in the Messages Received page, click on the message from the cheque imaging service. Note: File must be downloaded within five days of receipt. Otherwise, message will be deleted and you will need to make a new request. Click on 3. Download the file. A window will open, automatically launching the file download process. Click on the Save (Enregistrer) button 9
10 Note: This window is displayed in French or English, according to the language of your browser. 4. From the Save As window that appears, select the folder in which you would like to save the cheque image file. At this stage, you can also rename the file. By default, the file name is made up of your caisse transit number, folio, and start date of period covered. (e.g.:cheques_999_ 99999_999999_DDMMYYYY_1of1.pdf) Click on the Save (Enregistrer) button. 5. When download is complete, another window will open displaying the download status. You may then view the PDF file by clicking on the Open button. Note: We recommend you close your AccèsD session prior to opening the file, as you will be logged out automatically after eight minutes of inactivity 10
11 Description of cheque image PDF files w04 PDF files contain a Bookmark tab (left-hand panel) that allows you to browse the file. Cheques appear in the sort order selected at the time of request. PDF files may be displayed in two sort orders: by cheque number in ascending order by date paid (date appearing on your statement of transactions) Use the Bookmarks tab to locate specific cheques in the file. Cheques displayed by date paid This is an example of a cheque image file displaying cheques by date paid. The Bookmarks tab (left-hand panel) contains a tree hierarchy showing the contents. Cheques are displayed first by account type, Personal Chequing Account (PCA) and Line of Credit special chequing account (LC). Cheques are further listed in order of date paid under each account type. Cheques are further listed in groups of 20 cheques (maximum) in ascending cheque number order. Use this sort order to search for cheques by date paid. Note: Click the plus sign (+) to open each sub-menu in the hierarchy. 11

13 Replacement images Occasionally, a cheque image may not be available. In this event, the reason will be indicated in the space in which the cheque should have appeared. This is what we call a replacement image. It replaces the cheque image either temporarily, until the cheque is processed by your caisse, or permanently if the cheque was either returned or cashed at the teller counter and retained by your caisse. Returned or corrected cheque The replacement image lets you know that the cheque requested and whose information appears below the image has been returned to the payee. This can occur for a number of reasons: a missing, illegible or irregular signature, a post-dated cheque cashed too early, etc. The cheque image is therefore no longer available. Cheque cashed at the teller counter The replacement image appears when a withdrawal to your account (transaction code ROP or CCQ) is made at the caisse. Cheques cashed at the teller counter do not go through the clearing process and are retained by the caisse. If you ever need a copy of the cheque, you may request it from your caisse. A fee is usually charged for this service. Image temporarily unavailable The replacement image appears when a cheque has been paid but not yet scanned for viewing. As a rule, cheques are scanned and images available on the same day. If a replacement image has not been replaced with a cheque image after four consecutive days, contact your caisse. Technical problem The replacement image appears when a scanning problem prevents the image from being displayed online. Cheque information is, however, displayed below the replacement image. Please contact your caisse if the transaction described is suspicious. If you ever need a copy of the cheque, you may request it from your caisse. A fee is usually charged for this service. 13
14 Answers to frequently asked questions w05 Question How can I get all of a month s cheques? Can I get cheque image if I receive weekly paper statements? Must I be registered for online monthly statements of account to be able to view cheque images? Once I sign up for cheque imaging, will I automatically have access to cheque images of the last 124 days? Can I get cheque images for my US dollar chequing account? What cheque imaging services are available? Answer Request your cheque image file the second working day of the following month. Cheque imaging is available to all AccèsD users who have a chequing account registered for the online cheque imaging service. No. The online monthly statement of account and cheque imaging are two separate services. The cheque history begins on the date you sign up for cheque imaging. From that moment on, you have access to cheques drawn on your account since the beginning of the month. Yes, cheque imaging is available for both Canadian and US dollar accounts. Two cheque services are available: online cheque images printed cheque images The online cheque imaging service offers more benefits than the paper service. It allows you to: access information faster, in the early part of the month and at any time manage cheques more easily build a digital cheque image history instead of keeping paper copies on file search for cheques in a PDF file (from a visual table of contents, sorted by date or cheque number) save paper (no need to print cheque image files) and do your part to protect the environment. AccèsD users may only be registered for one cheque copy service. 14
