1 GUIDE 1 (22) Guide-LAAPS System This document is a user guide for the use of Ericsson LAAPS (LATIN AMERICA ASP PERSONNEL AND STAFF) application. The objective is to familiarize the user with the structure and functions of this tool. SCOPE This manual is for use of ASP and Ericsson Validators, for control of personnel, crews and certifications. The purpose of this manual is to present a guide to the use of menus and navigation system. 2 GUIDE 2 (22) 1 GENERAL ASPECTS LAAPS (Latin America ASP Personnel & Staff) system was created with the purpose of ASP control their staff and crews in real time and allowing to Ericsson areas collaborate with the administration. It is an application hosted on a web server, with multi functions, so it will be possible to access it through any computer in the world with internet access. Access to the tool can be operated from any browser, even from mobile devices. The address is: To use the system LAAPS is necessary to have an access account and the appropriate password to be entered in the login section. The system administrator will provide this information.
3 GUIDE 3 (22) In the HOME section will be shown notifications and warnings related to staff and trainings expiration, the latest updates and fixes. The supported web browsers for LAAPS System are: Google Chrome, Mozilla Firefox, and Opera. Internet Explorer is not compatible with some scripts used in this application. Also you can log in from the HOME section with your user and password. When you log in, you can view your user information and the welcome message for your account. You can change your , password and language with the User settings option. (Updated: New options in the Change settings section)
4 GUIDE 4 (22) 1.1 USER ROLES Access to the system is divided into two user roles: ASP Validator ROL ASP The available options in the menu are: Home Employee Inventory Crews Reports The ASP will have control over all information related to their employees and forming crews SECTION EMPLOYEE INVENTORY FOR ASP Description: : Add data for a new employee. : Edit the data for one or more employees. : Allows releasing employees when they are not in your company anymore. : Performs searches of existing staff, using a search filter by Full Name (first name(s), last name (both fathers and mothers family name), Ericsson ID Number or Social Security Number.
5 GUIDE 5 (22) ADD EMPLOYEE When you click on the "ADD EMPLOYEE" option, it will appear a new window where you must enter data related to the new employee.
6 GUIDE 6 (22) The fields in this window are: Full Name: Full name of person (first name(s) + fathers and mothers family name). Validate: Validation status for employee s information. When the status is VALIDATED, the employee can t be modified. DNI: Personal Identification Number. MOBILE: Mobile Telephone number at least of the Leader crew. SSN: Social Security Number. SSN Certificate: Certification document of social security number. Competence: Report the staff on the "Competence" that you wish include to the crew in Ericsson, the whole crew must have the same classification. The classification was designed by Ericsson and must be chosen by the options based on the combo box. Subcompetence: Report the staff on the "Subcompetence" that you wish include to the crew in Ericsson, the whole crew must have the same classification. The classification was designed by Ericsson and must be chosen by the options based on the combo box. Other competence: Report another kind of Subcompetence that the staff has and could be different per persons. Position: Position of this employee in ASP Crews Technology: Set the technology to work for the new employee. Personal Protective Equipment: Select per person the full protective equipment assignation. PPE Certificate: Document proof or evidence of the protective equipment assignation. Heights Training: Select per person the heights training. Heights Training Certificate: Document proof or evidence of the heights training. Personal status: Select the state in which the employee is within the company, Active, Inactive or Available. Notes: You can add notes related to employee. Provider: Name of the ASP for this employee. Subcontractor Company: If the employee is part of a company subcontracted by the ASP, in this field you must enter the name of the company. To add the new employee to click on the "Save person" If a required field is empty when you click in Saver person button, it will appear a message like this: If you want to cancel the addition of the employee to click on "Cancel"
7 GUIDE 7 (22) EDIT EMPLOYEE If any employee requires edit one, you can do the following steps: 1. Select the radio button associated with the name of the employee either only one or several in the column SELECT ALL NONE. 2. Click on the button EDIT EMPLOYEE. (Updated: Edit position from the Edit employee option is no longer available, for changing position, use Upgrade installer to leader or Downgrade to Installer options in the Crews section.) 3. Modify the required data. 4. After making changes, click on the "SAVE SELECTED PERSONS" button To cancel the update must click on the CANCEL EDITION option.
8 GUIDE 8 (22) ADD PHOTO AND CERTIFICATES Once you have added a new employee, you must upload the photo of each employee with the button. When you click button you must select a file that contains the photo of employee. Then click in UPLOAD PHOTO button. Next you must draw a square to select the area of the photo than will be saved. Click in SAVE THUMBNAIL to finish. When picture is loaded the button will change to:. The certificate for SSN (Social Security Number), Personal Protective Equipment and Heights Training can be deleted with the button and reloaded with the button. The required format for this certificate is *.PDF. Maximum size for these files is 3 Mb. (Updated: The maximum size of files and format type) When you load the new certificate, the icon will change to button.
9 GUIDE 9 (22) SECTION CREWS FOR ASP This section shows the free leaders (Leaders with no crew assigned) as well as free installers (Installers not assigned to any crew). In the right part, it shows the information about the assigned crews, including its members, project assigned, client, region, acceptance status and certification status. UPGRADING AN INSTALLER TO LEADER (Updated: Change the name from Assing new installer to Upgrade installer to leader ) We can promote an installer to leader following these steps: 1. Click on the option "UPGRADE INSTALLER TO LEADER"
10 GUIDE 10 (22) 2. Fill in the fields with the requested information. For being promoted to leader, the installer must comply with the necessary tool, test equipment and training of heights documentation. When the information is complete, you need to click on the "UPGRADE INSTALLER TO LEADER" option to perform the action. To cancel a leader upgrade, click on the option "CANCEL" Now the new leader is ready to form crews.
11 GUIDE 11 (22) SETTINGS: FREE LEADERS OPTIONS Displays information about Test Equipment, tool, and allows training Heights upgrade at any time to keep up to date information on the leader. PICTURES: Display the status of the receipts for each requirement (Test Equipment, Tool, Heights training). The icons represent the following: Correct date and Image uploaded Effective Date expired or about to expire The image of the receipt has not been charged. DOWNGRADE TO INSTALLER: Downgrade the leader to installer. CREATE CREW: Create a crew from the selected leader. When you click this button you must write the fixed number of crew for the leader. (For example: 1, 3, 4) After click in the Save button, the crew is created on the right side of the window and the leader is no longer free.
12 GUIDE 12 (22) ASSIGN INSTALLERS TO A CREW To add installers to a crew do the following steps: Select the option button of installer or installers that will be added to the crew. In the field "Assign installers to" choose the crew to assign the new members. Finally click on the button "ADD TO CREW" Installers are no longer available and now are displayed in the crew that was assigned.
13 GUIDE 13 (22) CREWS ASSIGNED This section shows the formed crews including information about the assigned project, region and Project Manager. It also shows the status of certification leader of the crew, which will define the state certification crew according to the assigned project. The actions available in this section are: Dissolve crew: Deletes a crew. This action will return to the "Free" as the leading installers who formed the crew. Remove from crew: Remove from crew: Removes an installer of the current crew and returns to its "Free Installer Finish crew edition: Specifies the validator that has finished creating the crew and is ready for review by Ericsson SEARCHING FOR CREWS In section search filtering crews will be held from the name, allowing one or more results to display. To search should follow the following format: MyASP-1, MyASP-6, MyASP CREW VALIDATION PROCESS When crews are created by the ASP shall be subject to approval by Ericsson. To indicate that the crew Ericsson been created and is ready for review, you must click the option to "FINISH CREW EDITION".
14 GUIDE 14 (22) When selected, the crew state will pass to "WAITING ACCEPTANCE" and an will be sent to the validator by the LAAPS system indicating that the crew have been updated and require review. If Ericsson accepts the crew, the state of the crew changed to "ACCEPTED". When this state is shown Crew will be no longer editable until the Ericsson staff approves the edition again. ASP also will receive a notification via by the LAAPS system that his crew has been accepted by Ericsson. If the crew is rejected the "Rejected" status can change the ASP crew according to remarks. The comments must be filled in the "Notes" field the reason. When Ericsson requires the update of crews, an will be sent to the ASP by the LAAPS system to indicate that the crews have been released and are available to be updated by the ASP REPORTS ASP s can access to the reports section with the "EXPORT GENERAL REPORT" option, it displays a report that contains the information about employees located in the EMPLOYEE INVENTORY section and CREWS section.
15 GUIDE 15 (22) ROL VALIDATOR The available options in the main menu are: Home Employee Inventory Crews Certifications Reports The Validator has access to the windows of the ASP, with the limitation of not being able to make changes to personal information, or crews, but he can validate crews from the "Crews" option from the main menu VALIDATE EMPLOYEE S INFORMATION (New: The Validation column has been added to the employee inventory) The Validator has to check for all the information loaded by ASP for personnel is valid and updated. When the information is complete and updated the Validator must click in the Validate button. When validator requires changing the validation status must click in the padlock icon. The information is complete and can t be modified by ASP until Ericsson requires changes in this information. The information is incomplete and the ASP has to complete the required fields.
16 GUIDE 16 (22) VALIDATE CREWS At the top of the screen is the "Current ASP Validation" field. It shows the available ASPS to validate. To review a specific ASP crew you must select it from this list. After selecting the ASP, you can review all crews information from the Settings option and the crew members. Also you can check the current certifications for the crew leaders in the Certification status with the Show button. (New: The validator can see all the certifications for leaders in each crew)
17 GUIDE 17 (22) For accept or reject crews, assign project or region, must click in Actions right arrow to show crew additional options: The available options in the Actions menu: Edit Project & Region: Allows the assignment of project, the working region as well as the Project Manager. Allow crew edition: Changes the status of the crew and allows the ASP edit again. Accept / Reject Crew: When any of these options select the validator indicate whether you accept or reject the assignment of the crew. Notes: Specifies additional data and causes for the crew rejection. When you establish the state of acceptance Accept Crew and click in Apply, the crew will be locked for ASP, until validator activate. When you establish the state of acceptance Reject Crew and click in Apply, the crew will be available for ASP for information update. To apply the changes click the APPLY" option.
18 GUIDE 18 (22) CERTIFICATIONS The certifications section is available only to the role "Validator" and allows view and edit the status of certifications for ASPs from the option "Actual ASP Validation" NEW CERTIFICATION To register personnel certifications you must choose from the option button that person will be assigned the new certification. Below you need to click on the button "New certification". This will display the fields corresponding to personal certification.
19 GUIDE 19 (22) Once the information is completed, click on the option to "SAVE CERTIFICATION" If you want to cancel the certification clicking on "CANCEL" To return to the main screen of certifications to click on "RETURN TO CERTIFICATIONS" To view the certifications by a person, click on the "Certification Details" option.
20 GUIDE 20 (22) This will display the list of certifications also the details of it. Print Diploma The diploma is a document that can be printed and sent by to the ASP clicking the button Print Diploma. The digital stamp can be verified with any code-bar scanner application for mobile devices. The digital sign is registered in a database and will show the details of the diploma when is verified.
21 GUIDE 21 (22) The diploma has a digital stamp and a digital sign that verifies its authenticity.
22 GUIDE 22 (22) REPORTS The Ericsson validator personnel have access to the reports section and can access to the options: FULL ASP S INFORMATION REPORT: Displays a report containing personal information contained in the section "Employee Inventory" and the section "Crews".
