1 Online Eligibility and Billing System

2 Overview As a group administrator you can use the Ascension Online Eligibility and Billing Portal to: Enroll new members, terminate existing members or update member information. Print your own invoice. View / print current and past invoices and download Excel versions of your monthly billing rosters. Track and view payments. Request ID Cards. 4 Accessing the Portal Once you have been set up in the portal, you will receive an from The will include the user name and a link to activate the account. Clicking on the link, will prompt you to create a password and security questions. Log into the portal at Your address is your user ID and the password is the one you created. Compatible Browsers include Internet Explorer 10+, Google Chrome, Firefox and Safari. To add additional users, just send a written request to corps@ascensionins.com If you forget your password or user name, you can click on the links to retrieve them. 5 Accessing the Portal (cont d) Once logged in, you will see three program applications: Mail Secure is a secured that you can use to send us sensitive information. Program Enrollment Admin is the application you will use to access your program. Eligibility is the application you will use to print ID cards Click on Program Enrollment Admin. 7 Available Actions: Help Desk Tab The Help Desk tab is a tool that places valuable resources at your fingertips. It can be customized specifically for The Corps Network Health Plan. Resources include: Template for importing a member roster in Excel into the portal. 8 Available Applications: Enrollment Tab Go to the Enrollment tab. Double click on your group name to open your member roster. The tools you will use for enrollment/eligibility are circled below in red. They are: Add Edit Terminate Refresh (only used if more than one person is logged in and both are working at once) ASCENSION CLIENT PORTAL PRESENTATION 2016 ASCENSION INSURANCE, INC. 7

9 Enrollment: How to Add a Member Click on Add and the Member Details Window will open. Enter the member s information down to effective date and hit save. The remaining information will be completed by Ascension. (Be sure to enter ALL of the member s personal information. If you leave any blanks, the member cannot be enrolled). MEMBER DETAILS WINDOW The member details window includes not only the member s personal information but also their Cigna and ID card Information. Cigna ID Card #: This is the member s Cigna assigned ID number. This will be the number listed on their ID card. Medical Benefit: This will automatically update after you hit send. It is the benefit code that Cigna uses. Dental/Vision Benefit: This will only update if your program is enrolled in one of the optional dental/vision plans. Budget Code: If your program uses program or budget codes, they can be entered here. The codes will appear on your monthly billing roster. Kristin can set this up for you should you want to utilize this function. ID Card: This is the status of the ID card for your member. To request a replacement ID card type the word RESEND in this box. Date Sent: This is the date the ID card was sent. Auto Term: Click this box to add a future termination date. 10 Enrollment: How to Import Multiple Members If you have a large number of enrollments and/or terminations to do, instead of entering them one by one, you can import them all at once using a specially formatted Microsoft Excel template. To do this, you must be using the Import Template on the Help Desk tab. No other excel spreadsheet will work. Open the Import Template Copy/paste or enter the member information into the appropriate columns on the template and save. Be sure to enter the branch code in column A and the correct import code in column V. Your assigned branch code can be found in the upper right corner of the Enrollment tab. The import codes are: NW for New Enrollments and CN for Terminations ASCENSION CLIENT PORTAL PRESENTATION 2016 ASCENSION INSURANCE, INC. 9

12 Enrollment: How to Import Multiple Members (cont d) Click on Browse Locate the folder you saved your template in. Highlight the spreadsheet and click open. You will see a list of your members. If an error message pops up, then you have formatting errors. If there is a field with incorrect formatting, it will have an orange x ( ) next to the invalid field. You can edit or delete each member record or you can correct the data on the actual spreadsheet and re-import it ASCENSION CLIENT PORTAL PRESENTATION 2016 ASCENSION INSURANCE, INC. 11

13 Enrollment: How to Import Multiple Members (cont d) After you have corrected any remaining formatting issues, click on validate. If it accepts the changes, validate will change to apply changes. Click on apply changes to import the roster into the portal. If a member is already in the portal, it will not load them a second time. If an entire line is highlighted in yellow the member is already in the portal. It will not let you import a member who is already in the portal. (active or inactive). Instead, you will need to delete this member by highlighting the line and clicking on delete. After you finish the import process, go back to the enrollment tab and view your terminated members. Then open the member detail window and click restore at the top center of the box.. ASCENSION CLIENT PORTAL PRESENTATION 2016 ASCENSION INSURANCE, INC. 12

14 Enrollment: How to Terminate a Member Highlight the member s information line. Highlight name Click Terminate. The program will ask you if you are sure you wish to terminate; select Yes. 15 Enrollment: How to Edit a Member Highlight the member you need to edit. Click on Edit. The same box will pop up but will be filled in with the members information. Correct the information as needed then hit save. You do not need to notify Ascension of any information changes, they will automatically be sent to Cigna. 16 Available Applications: Invoice Tab To view your invoice, click on the invoice tab. Click on the + next to the year you wish to view. Then select the month. 17 Invoice Tab (cont d) Once you have highlighted the month you wish to view, you will again see your program name listed. Click on Print Invoice to view your invoice and billing roster. Print and/or Save Option To create an excel spreadsheet of your billing roster: Double click your program name to view the billing roster. Then click on Export to File at the top left corner. A save as box will open. Click on Save then click on the result file on the bottom of the screen. The spreadsheet should then open. 20 Search Member Tab The search Member tab is beneficial for groups that have a large number of members. Instead of scrolling through pages of members to locate a specific member, you can enter the last name or SSN for a member and pull them right up. 21 How to Send a Secure You can send a secure to Ascension using the online portal. After signing in to the portal, click on Mail Secure. In the Mail Secure application you will find it is set up like an box. If you have received any , it will be in your inbox. To send an to Ascension: Click on Create and new mail box will open. Click on To and another box will open. You should see Kristin Legendre s name listed. Check the box beside her name and click on select. Type your as you normally would and send. The and any attachment added will be delivered securely. When Ascension responds to your or initiates a new you will receive a notification through your normal address.
