3 What is Impact BioUpdate I mpact BioUpdate is a web accessible tool for submitting biographic update requests to ADIS for entry. How to use this manual This manual is intended to provide general instructions for submitting biographic update information on individual alumni and donors using the Impact BioUpdate tool. Organization records cannot currently be updated using this tool. Submit Organization updates to adis@osu.edu. Logging into Impact Go to The following window will appear: This login screen is administered by the Office of Information Technology (OIT). It safeguards not only Impact, but also a number of other University web-based resources; it is used to ensure that only authorized University staff and affiliates will be permitted to view the secured site requested. Because OIT's login screen safeguards many different sites, the specific site address being requested will be listed. 2

4 Your Username for the Impact system will always be "lastname-dotnumber" format, for example, doe.999. Username and Password are required to login. OIT refers to this username as an "OSU Internet username," or the "name.n." If you're not sure what your username is, and/or do not know the password connected to it, you can follow the links on this login screen for additional information, or just contact OIT directly. Any questions or concerns about the OSU Internet username or this screen will need to be addressed to OIT. (OIT's Help Desk can be reached via phone [688-HELP] or Impact's Initial Display After you log in, you'll be able to use the Impact site. Impact is divided into three separate panes as detailed below: The Banner Frame Impact's banner extends all the way across the top of the display. The default starting banner includes the system icon and name at the left-hand side and the Search screen options at the right-hand side. The banner changes as you use Impact to include a "Current Record" indicator which provides information to help identify the data displayed in the Data Frame. 3

5 Accessing Impact BioUpdate Step 1: Locate the record Search for an individual record in Impact. (To update an Organization record, send an to i Note When searching for ID, leading zeros may be dropped. For example, typing will work as well as Use the ID number or the name of the record you're trying to locate. Click the Search button (or press enter) to perform the search. When Impact successfully locates a record using the ID number, the default starting screen will display in the data frame. For an individual, this starting point is initially set to be the General Overview Screen. You can use the default options screen to choose a different screen to display first when reviewing an individual's record. (see "Customizing Impact VIEW," in the Impact VIEW manual for additional information and instructions.) i Note The link to BioUpdate is found at the top right of the screen. Step 2: Click on Update Biographical Information 4

6 Step 3: Biographic Edit screen After selecting Update Biographical Information, the following data frame will appear. This screen is divided into six sections indicated by tabs at the top of the screen. When the screen is first opened it defaults to the Demographic tab. To correct information on the screen overtype any updated information into the appropriate box and include any comments or clarifying information in the comments box. 5

7 Step 4: Go to the tab(s) that contain the information you want to update. Step 5: Enter in updated biographic information as appropriate. Enter in comments for ADIS processors to clarify data as needed. Be sure to check that the Information About You screen is correct. 6

8 Step 6:When you are done entering information under all the tabs, click the Review then Submit button at the bottom of the screen. 7

9 Step 7: Review the information you have submitted. The information that is currently in the system will be on the left and the changes you have entered will be in the column on the right in bold. 8

11 Step 8: When you are finished reviewing, click the Submit to ADIS button. The changes will be reviewed by an ADIS processor and entered into IMPACT. You will be notified by when the processing is complete. You are done! An example is below: 10
