Webcast
Purpose of the Webcast Just like a Talk Show on TV, our Communication Direction welcomes guests to examine with them a new topic for each show. The information is shared with no content loss and this moment offers true interactivity with the collaborators. Antoine Billaud Project Manager Communication OBJECTIVES Spread information on all hierarchical levels Gather direct feedback from collaborators Bring together a great number of collaborators Allow people to meet at distance : from France, Switzerland and Spain Create a proximity feeling with the video and the interactivity through the chat Be in touch with field work : the proximity is reinforced by changing the place where the show is recorded for every session 2
The Webcast input 1 Youtube Live RESULTS & BENEFITS Live video stream through the channel Bouygues Construction Gather live questions and reactions Participant s experience is enriched Distant participation from a vast number of collaborators Efficient and playful meeting with an intense interactivity with the TV set Renew the meeting format on a bimestrial rhythm questions Topic treated 367 participants 137 reactions 1 guest to answer all questions Wisembly s little extra A very simple integration of the live stream with the solution interactivity Follow up and tailor-made advices by the Wisembly team 3
How did they set it up BEFORE DURING AFTER COMMUNICATION Communication on the opening of the interactive platform Connection on the webcast platform Share the report of what happened in the meeting MESSAGE Questions asked Identification of problems encountered Questions asked by participants Prioritise questions thanks to reactions Highlight questions for the Q&A phases Export all messages to keep track of all exchanges which happened during the meeting VOTE Ice-breaker vote at the beginning of the webcast QUESTIONNAIRE Questionnaire to know the participants better (jobs/grade ) Know the participants expectations for the webcast Evaluate the understanding of the subjects discussed Gather the feedback and expectations for the next chat Segmentation of messages based on answers to other votes/ questionnaire (cross-data analysis) DOCUMENT Display the agenda of the webcast Display presentations Let the presentations available for download LIVE MEDIA Integrate the link of the webcast Broadcast the webcast Stop the webcast 3
How did they set it up 1 main room with video streaming : gather the speakers and part of the audience in the same room 1 plateform : only 1 Wiz is necessary to collect and answer questions 1 administrator for Wisembly to moderate and pilot interactive elements 1 video stream hosted on a web service (youtube channel or rival broadcast channels) Participants connected remotely on their computer and on their smartphone/tablet for those in the room. The live stream is available only for those who follow the webcast on their computer. 4
How it looks The video stream i is integrated in the «document» part and is displayed in the center of the screen throughout the webcast The videostream is handled by the regie to switch between presentations and videostream Interactivity stream placed on the right so the participants can ask their questions, answer to votes as well as questionnaires 4
How it looks The videostream is integrated in the «live media» section. The participant can choose to display the video in a small window at the bottom The videostream broadcasts the live streaming Presentations are displayed in the central part of the screen Interactivity stream placed on the right so participants can ask their questions, answer votes and questionnaire 4
How it looks The videostream is integrated in the «live media» section. The participant can choose to display the video in a panel on the right The videostream broadcasts the live streaming Presentations are displayed in the central part of the screen Interactivity stream placed on the right so participants can ask their questions, answer votes and questionnaire 4
Open your platform before the event One week before the meeting : communicate on how to use the platform and how to access it Display a slide to present the topics under discussion this day Collect questions to prepare the answers for the live Know your participants by opening a questionnaire which allow you to divide participation by geographic location, jobs, age or other category according to your company specifics TIPS Display the agenda slide so everybody can access it Ask questions in the stream to avoid the «white page» syndrome and trigger exchanges 5
Facilitate the webcast Post a message in the stream to announce the beginning of the webcast. Start posting messages awaiting moderation. Launch an ice-breaker vote before the beginning of the speaker s speech. This will create a relationship with all participants both in the room and those connected remotely. In the main room, broadcast Wisembly s projection mode in order for participants in the room to see that the participation comes from remote participants as well. While the speaker is answering a question, display it as a «popup» TIPS Contributions are anonymous to free the word. In Settings, the most adapted participation mode is «Participant s choice», they will choose to log in or not You can activate moderation during the live. This will allow you to filter the message stream and avoid unnecessary questions To distinguish messages coming from different places, propose to the participants to put #city at the beginning of their messages 6
Ending the webcast Once the meeting time is up, post a closing message in the stream Display this message of thanks as a pop up on all different interfaces to thank everyone and end the session At the same time, you could share with everyone all presentations and let them available for download Before the end of the webcast, start a satisfaction survey with your participants and ask them if they are expecting other subjects to be treated in a future meeting or webcast TIPS If there are a lot of unanswered messages do not hesitate to mention that you will address them later on Respect the ending time scheduled for your webcast. There will always be new questions but you are responsible for the timing 7
Analyse the exchanges In the Analyse view, participation statistics will give you the first elements to sum up what happened on your Wiz Divide the participation to set up overviews which reveal important problematics by participants category (satisfied/not satisfied, by job, by geographic area). Highlight the webcast s results, share the activity report of your webcast with your participants. They can find the key data of this event anytime ASTUCES Add several layers to your filter thanks to the questions of your questionnaire shared before the event and the one shared afterwards. You may share the activity report on your intranet or on your corporate social network 7

APPENDIX
Synchronise Wisembly and a video stream Wisembly : The solution works in real time with no delay Video streaming solutions : Every solution which capture and stream a video has a slight delay in comparison with the real time. The difference between the real time and what will be seen on the stream is caused by the encoding solutions used to make the stream possible. Impact of the delay between Wisembly and the live video stream : Questions are not impacted. The display of a question as a «pop-up» is impacted. The question highlighted will be seen before the answer given orally on the live stream by the speaker. Votes are impacted. Participants at distance will see the vote running before hearing the instructions given by the speaker. Questionnaire or quizzes are not impacted. Our advices : Take into consideration this notion of delay between the real time and the live stream while preparing your meeting. This should not reduce the interactivity you have with your participants.
Projected screen set up Wisembly s projection in the main room for the meeting : If your live stream is integrated in the «document» tab In your launchpad, in the «projection» tab, you can choose where the message stream will appear next to the live stream (bottom/top/right panel) If you do not wish to display the live stream on the screens inside the room then you can add the following text at the end of the projected web page: app.wisembly.com/f/mot-clé? visio=false If your live stream is integrated as a «live media» Our advices : The display of the projection mode will not be impacted by the live stream in this case. The projection mode will work as usual. The live stream will not be displayed on the projection mode For these kind of advanced inquiries, please contact our Success Team. Do not hesitate to contact them on support@wisembly.com
