1 ZAXBY S LEARNING CENTER OTM USER GUIDE Revised September 2014 Version 5
2 HOME PAGE After successfully submitting login information, the Zaxby s Learning Center (ZLC) Home page appears. A red main menu bar spans across the top of the Home page and all other pages in the ZLC. It provides access to the main sections of the ZLC (e.g., Development Plan, Courses & Tests, Class Schedule, etc.). Several administrative links are located above the main menu bar (e.g., My Profile, Admin, My Transcript, etc.). Organization Training Managers (OTMs) primarily use the administrative feature that is accessible through the Admin link. The red superscripted number in parentheses beside the link (e.g., Admin (2) ) indicates how many managerial activities require an OTM s attention; it updates hourly. 34
3 ADMIN After clicking Admin, the ZLC Dashboard appears. OTMs manage their teams and run reports from the ZLC Dashboard, which features the following main sections: Store Management Development Plan Management Course Approval Queue Quick Links Reports and Transcripts Manager Review Activities 35
4 REPORTS AND TRANSCRIPTS The Reports and Transcripts section of the ZLC Dashboard has links to various reports. Training Summary Report The Training Summary Report shows OTMs the Development Plan progress of their team members. OTMs can run the report by store location or by role, as well as schedule it for automatic delivery via on a weekly or monthly basis. 36
5 Rollup Training Summary Report The Rollup Training Summary Report provides a high level overview of the Training Summary Reports for all of the stores OTMs manage. OTMs can see at a glance where a store is ranked in comparison to their other stores, relative to Development Plan completion. They can also schedule the report for automatic delivery via on a weekly or monthly basis. Compliance Report The Compliance Report is designed to help OTMs track which stores are (or are not) in compliance. Run a Compliance Report The steps to run a Compliance Report from the ZLC Dashboard are as follows: 1. In the Choose Entity list, click the entity of choice. 2. Click the Compliance Filter of choice (i.e., All, In Compliance, Out of Compliance). 3. Click View Report to generate the report. After clicking a store link within the report, detailed testing information appears. 37
6 Session Tracker Report The Session Tracker Report is designed to help OTMs track ZLC usage for individual users. This report shows the total number of sessions for which a user has accessed the ZLC, all dates and times of ZLC access within the last 12 months, and the total amount of time a user logged in to the ZLC. OTMs also have the option to expand the user data to show the complete path taken during each individual session. 38
7 ADMIN The My Teams section of the ZLC displays an OTM s store numbers and team rooms, as well as the OTM Team Room. OTMs are automatically assigned to the OTM Team Room; it provides resources and job aids to assist OTMs. All stores have a dedicated team room, within which OTMs have special administrative privileges. Other team rooms are dedicated to specific job roles (e.g., OTM, Certified Training Manager, etc.) or system tests, such as Catering. However, because team rooms are created to provide information for specific groups, OTM roles may vary from room to room. To access store information in My Teams, OTMs click a store number in their Store list. After selecting a store, two new tabs appear: View tab Manage tab 39
8 VIEW TAB The View tab provides communication options for team members. It features lists of Resources, Discussions and Calendar events, as well as a My Team field for sending team notes. OTMs have permission to add, edit, or delete this content. MANAGE TAB OTMs can use the Manage tab to manage the functions of their store team members. They can view and edit team member profiles, de activate team members, and check team members Development Plan progress. OTMs also create new team member profiles and approve or decline registration requests. 40
9 Recent Discussions The Recent Discussions section displays newly created discussion threads. Any new discussion items will be included in the red superscripted number in parentheses beside the Admin link on your home page. The notification number beside the Admin link will remain for 5 days. The Recent Discussions notification box on the OTM dashboard will display the 5 most recently posted discussion topics. Create a New ZLC User The steps to create a new ZLC user are as follows: 1. Click the Manage tab. 2. In the Users and Roles section, click create new user. 3. Complete all User Info information request fields. Click Active to indicate the new user s 41 status. 4. Complete all Personal Info information request fields. 5. Complete all Store Info information request fields.
10 In the Title list, click the team member s current position in the store. 6. Click on Create New Account. Approve a Registration Request If a team member makes a registration request, the OTM must approve the request to activate the user in the ZLC; however, if an OTM enrolls a team member, the user is automatically activated. The steps to approve a registration request made by a team member are as follows: 1. Click the Manage tab. 2. In the Registration Request Approval Queue section (located under Users and Roles), find the registration request and click Activate. Managing Existing Team Members OTMs can manage existing ZLC users via the Manage Users section (located under Registration Request Approval Queue in the Manage tab). Here, they can access various links to view and edit profiles of existing users, de activate users, and access assigned Development Plans and transcripts. Specifically, OTMs use the following links as indicated in the Operations column of the Manage Users section: View: displays a user s profile; also provides access to the Edit tab (see Edit bullet below) Edit: enables OTMs to update a user s profile; for example, changing the Role after a team member changes positions, or uploading a team member s picture De activate: instantly de activates a user Note: To re activate a user, contact the ZLC Administrator via the Contact link in the main menu bar. Transcript: displays the user s transcript of courses, classes, and tests Development plan: displays the user s Development Plan for courses/tests, activities, readings, and reviews 42
