1 STANDARD OPERATING PROCEDURE (SOP) FOR CD BURNING IN TRUST IMAGING DEPARTMENTS (RADIOLOGY) DIRECTORATE: RADIOLOGY AIM AND SCOPE OF PROCEDURE The aim of this SOP is to provide instructions on how to burn images from PACS onto a CD. How to access an emergency password in the event of forgetting your own The process to ensure a new emergency password is issued APPROVAL PROCESS APPROVED BY RADIOLOGY DIRECTORATE / GOVERNANCE MEETING DATE KEY STAFF RESPONSIBILITIES POST Chief Radiographer Superintendent lead Radiographers-in-charge for each site Radiographers / assistant practitioners /radiologists/ PACS team Responsible for ensuring that the SOP is followed on all sites Responsible for the day to day implementation of the SOP To comply with this SOP DEFINITIONS: EG: Chief radiographer Radiographer in charge countywide Appointed Superintendent Radiographer-in-charge A radiographer with continuing responsibility for the department Page 1 of 5

2 START INSCRIBE Insert a blank disc into the drive Log in Select media creation Search on cris number or patient name Select patient and tick the studies you want on the CD Select add selection Select next **your selected studies will appear at the top of the screen You can add more at this stage if you need to Check this list to ensure you have the correct patient and correct exams before continuing Page 2 of 5

3 Anonymise - if you want the images to be anonymised on the disc then tick the anonymise box. Encrypted - if you want the disc to be encrypted either leave the password box as default or click custom and input a password. Unencrypted click the down arrow and select custom, leave the password box blank. When everything is set as required click on Disk will auto eject when done. Make sure you check the disk before sending out. Insert disk back into the drive, select run launcher.exe Launch E- film lite Go Follow E-lite instructions, making sure to double check the name on the disc and images. If you have problems with inscribe finding your patient you can push the images to the inscribe study pool from PACS Log into PACS Search for the patient Select the image studies you require by putting a tick in the box on the bottom left hand side of the QA screen Left click on the study and holding the left mouse down drag up to the folder called Inscribe CD Burning. 4 Click on OK in the work list comment box that appears. This will send the ticked studies to a burning worklist on Inscribe. Log in to Inscribe CD burning- shortcut on your desktop. Media Creation Click on Study Pool You will be presented with a list of patients; recently added ones will be at the bottom of the list. Depending on how many images you have pushed you may need to wait for the complete set to be available to you- if the entry in the list is orange then not all images are fully across. Place a Tick in the box for your patient then click Add selection, taking care to ensure you only select the patient you require. Select Next at the bottom of the page Page 4 of 5

5 Continue as instructions above from ** Once your CD has burnt successfully and been checked go back to PACS and delete the entry from the Inscribe CD burning folder, right click on the name and select delete entry Workflow for radiographers to follow when burning CD s Burn CD as per instructions Check CD before giving to patient or sending out. Enter comment on CRIS in event comments screen to confirm burning of CD. If patient does not wait for the CD but comes to collect at a pre-arranged time ensure patient has identification before releasing the CD FORGOTTEN PASSWORD If you have forgotten your password: You will find a password in an envelope for emergency use in an envelope marked CD BURNING: ALEX pinned to the noticeboard in viewing area rooms 1&2 WRH pinned inside the locker in ED x-ray where reference books are stored KTC - yellow useful information folder If you use the emergency password a new one will need to be issued. As soon as practically possible, after using it you MUST notify the PACS team & superintendent radiographer by and inform them that you have used it. Page 5 of 5
