Other personal information needs to be changed in the HR system, which will then flow through into IRIS. 4 find where a particular dispatched resource comes from? know which people have a medical restriction? right-click the resource in the pane and click Find in Resource tree. run an Advanced Search (CTRL+4) search for anyone with a Medical Restriction of 3, 4 or 5 locate people with a particular skill / accreditation? IRIS now offers to Load that location and/or remove any Filters you may have applied, in order to display the person sought. create a resource? ensure that resource does not exist, to prevent duplicates! Then decide where you wish that resource to be located in the tree and Load that location s resources CTRL+3 or Window, Show Resources expand the Resource Types click the green one that you wish to create, e.g. select where you want them to list e.g. carefully complete the box, using an existing resource as a guide ~ i.e. Surname, First Name complete the Properties for anything known click the Create button. Created resources are shown with a blue triangle next to their name, e.g., indicating that you can edit their details or delete their record entirely. delete a created resource? delete a brokered resource? Right-click, Delete. If it doesn t have a blue triangle icon, you cannot delete it you need to fix the source data by talking to the appropriate HR people. 6 form crews based on Templates? from the menu, choose Window, Crews or CTRL+1 drag the crew template that most closely resembles what you need down onto the lower (empty) pane right-click then Delete Role on anything you don t need from the Crew Templates pane, click then drag-and-drop additional Roles onto that crew (as required) fill the roles from the pane drag-and-drop the crew, by its name, to the pane In the tab, you can use CTRL+F to find a particular role. form a non-standard crew (i.e. one not based on a Template)? in the lower (empty) pane of the, right-click and click from the Crew Templates pane, click and drag-and-drop the required Roles onto that crew In the tab, you can use CTRL+F to find a particular role. drag-and-drop from the pane onto those roles right-click then Rename Unit on the crew if required drag-and-drop the crew, by its name, to the pane. You can directly drag from the pane onto the non-standard crew (without first dragging roles onto the crew). However failing to specify in which role a person is acting, means their experience will not be recorded and cannot be fed automatically back into FireWeb. Note also that creating a New non-standard crew fails to provide you with a cross-check (i.e. to tell you if your selected personnel meet the requirements of that crew type) that forming a Template crew would provide. Additionally, any Reports you create, summarising the number of people in particular roles, will miss those people, as they are not recorded in a 'role'. form my own Template crews (e.g. for Standby Rosters?) 8 click Reports, 691 then print the worksheet for that crew note the file s name, and close Excel Each time you go to run a Report, you should ensure that no version of Excel is currently open. Give IRIS the chance to open it for you. Reports are date/time stamped when automatically saved, and are saved to C:\Data\IRIS\Reports - so you can get a history of the incident s progress if you need. If your reports are going to Excel 2010 and then stopping, you need to ~ in Excel 2010 ~ click the tab, click, then. When you next open a file containing macros, agree that it s OK to let those macros run. add a person / vehicle to a crew I ve already dispatched? use Window, Advanced Search (CTRL+4) or Find to display that resource in the pane drag that resource directly across to the bucket of the FIRE DISTRICT managing the fire, completing the Dispatch details If you've recorded a Travel Time, you'll need to right-click Arrive that crew (to acknowledge their safe arrival). drag-and-drop that arrived resource onto a vacant role within the crew. If there is no Role to drop to, you should drag-and-drop one from the Window, Crews, section onto the Crew s name, then drag-and-drop a person from the pane onto that role. 10 set up the pane for a Level 3 Incident (e.g. multiple fires from lightning strikes, all managed by one IMT?) varies according to your Region s Business Rules let s assume that you will run your Level 3 multi-incident event at the FIRE DISTRICT level, managed by one IMT, and you elect to run each lightning strike fire as a separate Division which can be broken into Sectors if required the could look something like this pane deploy crews to my incident? drag-and-drop crews from your incident's bucket, onto the appropriate portion of the tree All crews dispatched with Travel Times recorded, must be right-click Arrive-d before they can be drag-drop deployed. 11 summarising what s at the incident? right-click the incident to Report on in the pane of IRIS click Reports click the style of report you re after allow macros to run (if asked) click the Sheet tabs across the bottom to view the various analyses Reports are auto-saved to C:\Data\Iris\Reports\ with appropriate names and date/time stamps. Click the section of the Shift of interest, before running Reports, Deployment Orders this report is only relevant to the fireline portion of the IMT. copy an existing Shift's structure? switch to the 2: Tasks pane (CTRL+2) right-click the Shift whose structure you wish to copy choose Copy Task to Window modify that Shift in the lower-half of the Window, by a combination of: drag-dropping additional Divisions and Sectors as required using Delete and Rename Task on the Shift and the Divisions / Sectors as required running Properties and click the tab and completing Strategies and Tactics for the Shift and the Divisions / Sectors as required drag-drop the entire renamed and tailored Shift onto the Event to which it reports plan for the next SHIFT? release an individual from a deployed crew? It can't show that location if it's currently hidden via a Filter. determine the currency of the IRIS database I'm using? swap people between the Crew Leader and Crew Member roles in the pane? (e.g. John White is showing as Crew Leader and Mary Smith as Crew Member, and it should be the other way around) from the menu, choose Help, Server Status right-drag the person from one role to the other, then release the right-mouse button choose the Swap roles option temporarily hide grey locations that aren t of interest? click the Hide unloaded areas filter use the Advanced Search while forming a crew for dispatch? drag-drop the template onto the lower pane, as usual switch to the Window, Advanced Search pane (CTRL+4) run the search from the pane, drag the resource you need onto the tab ~ do not release the left-mouse button! when the 1: Crews pane displays, continue dragging the found resource down onto the vacant role, then release find out what all the colour-codes mean? repeat as required Review the manuals or the IRIS Symbology document on FireWeb s IRIS pages. 13 absolutely ensure a (e.g.) person does not exist in the database, before creating them (to avoid duplicates)? conduct a Window, Advanced Search (CTRL+4) on all potential spellings before creating that resource determine where a grey / grey italics person / resource has been deployed to? click that person in the pane in the lower half of the pane, look at where they were DISPATCHED TO and that they were IN CREW whatever to go to that resource in the pane, right-click the resource and Find in Destination pane move people from one crew to another at an Event (e.g. when they arrive with one crew but are moved to another?) send deployed people back to their original work centres? i.e. the difference between Disband and Release to Home Location. drag-and-drop when a crew is Release(d) to HOME LOCATION from an incident, it returns to the location in the pane that (a) the dispatching person was logged into at that time, or (b) the location by conducting a Window, Advanced Search (CTRL+4) on a crew component, you can establish via their Properties where they were DISPATCHED TO and that they were IN CREW whatever if you Find that DISPATCHED TO location in the pane, and look in the Not Deployed bucket, you will find those resources you can then right-click and Disband them they ll then reappear as available resources in the pane... view other connected IRIS users? Choose Window Administration Everyone connected to the Server will list.... send a message to another IRIS user?... get out of the Administration screen? Choose Window Administration Right-click the person of interest and click Message Client Write then send your message. 14 Why Can't I? 1. edit or delete a resource? You can only edit / delete created resources top-right corner). (indicated by a blue or red triangle at their Any resources that have been brokered across from their original databases, cannot be edited in IRIS. 2. locate a particular resource? Check the following possibilities: you are using right-click Find and IRIS is looking within the portion of the tree you right-clicked on perhaps the resource sits in another portion of the tree? you are misspelling the name / identity of the resource e.g. Smith vs Smyth, or Barbeti, Bernard instead of Barbetti, Bernard? you are using Find and Find only looks through Load-ed resources try Load or Load All for the location you suspect the resource lives. Better still try a Window, Advanced Search instead. the resource may have a Has As Fire Base Location (in FireWeb) that is different to their Has As Base Location (which comes down from HR) you may need to check both locations to find what you are after. you are using Find incorrectly by using asterisk * wildcards for unknown characters, when none are needed. 3. connect to IRIS Central? There may be several reasons, including: you are using an old (incompatible) version of IRIS 4. find an item of equipment or plant? 5. access grey italicised resources in the pane? your network is down (for whatever reason) IRIS Central is down (for whatever reason) your regional / district Server s IRIS version is not current If what you re after has not been entered into FireWeb or GIMS, it will not come across into IRIS What you re after has been entered into FireWeb or GIMS, but so recently that it has not yet been copied across to IRISCentral Those resources may have been dispatched to an event in the.pane On being Release to HOME LOCATION by the incident s managers, they will be remain sitting in the Not Deployed bucket in the pane of whichever Work Centre / Fire District / Region / IMT formed them, until they are Disband-ed.
