The display helps you Getting to know your telephone The display helps you The displays guide you step by step as you use the phone. The display provides you with a great deal of information, such as the status of your current connection. The phone number of every external ISDN caller appears in the display providing he has not disabled call number display. This allows you to see who is calling. If your phone book already contains the name and phone number of the caller, his name will displayed when he calls. The 10 display keys can be assigned different functions. You can read the current function of each key in the display. 19

Getting to know your telephone Basic rules of operation Basic rules of operation The following pages provide a short description of the basic operating rules for your telephone: Selecting functions from the menu Press the "Menu" function key. or Scroll to the desired menu item. When you reach the end of the list, pressing takes back you to the first menu item. Pressing the list. at the top of the menu takes you to the last item in The selected function is displayed. In many cases a submenu also appears. You can scroll through the sub-menu in the same way as in the menu. If you go to a menu, the corresponding LED lights up and remains lit until you leave the menu. If you press the "Menu" function key while you are making a call or with the handset pikked up, you can view information on the model, order number, software version (T3) or IP settings (T3 IP) and even make settings yourself (T3 IP only). Cancelling or exiting an action If you have made an input or parameter error: Press (several times if necessary) to cancel the procedure. You will then move up one menu level or go to the idle display. What does the idle display show? The idle display shows: Date and time Your name and call number (if set up [ 148]) Additional information on the status of your telephone, e.g. "Second call on". 20

Basic rules of operation Getting to know your telephone Display keys The display keys can have different functions. You can read the current function of each key in the display. Example: "Verdi": The marked display key can be used to call "Verdi". Display keys on seven levels In each case, the display shows one level with 10 key assignments. However, you can give each key several assignments. The following can be assigned to the display keys for the seven levels: destinations (levels 1 to 7), functions (levels 1 to 7), partners (in the case of partner functions, levels 1 and 2 only) and lines (in the case of multiline, levels 1 and 2 only). You can use the level indicator to identify the level you are at. In the following figure, level 2 is activated: Press the level-switching key to display the individual levels. If the level-switching key is held down, level 1 will be activated again. 21

Getting to know your telephone Basic rules of operation Entering text Your telephone has its own keypad for inputting text - the alpha keypad (see Your T3 (IP) Comfort at a glance [ 16]). You can place one of the three supplied masks over the keypad if the keypad is not labelled. Which template to use will depend on which language was configured during Commissioning [ 26]. The following table provides an overview of the masks assigned to the respective languages: Mask QWERTZ QWERTY AZERTY language D/PL/CZ/HU/SI GB/IT/ES/NL FR However, with Select alphanumeric keypad in the "Settings / Keys" menu you can at any time change the alphabetic keyboard assignment to suit the template currently being used (see Select alphanumeric keypad [ 134]). Here are some basic rules for entering text: The letters printed on the bottom of the keys apply by default. For capital letters, the shift key must be held down. Special characters are shown in blue. For special characters, the Alt key must be held down. Country-specific special characters can be created as follows: First of all, select the special accent character from the middle row of keys. Then enter the normal (unaccented) letter. Example: You want to enter the character Á. Press and hold the Alt key. Press (above the D) on the middle row of keys. Release both keys. Press and hold the Shift key. Press the A key. Release both keys. The letter Á will be shown in the display. General comments Deleting a character with the Clear key: If the cursor is to the right of the entered text, then the Clear key is the backspace function. (The characters you have already entered are deleted from right to left). If the cursor is in the middle of the text you have entered, pressing the Clear key deletes the selected character, and the right character moves to the left. If the cursor is in the middle of the text, characters are entered before the cursor position. In phone book entries, the first letter of a word is automatically capitalised. 22

Getting to know your telephone... telephoning made easy... telephoning made easy You can make the following settings immediately or during your first telephone calls: Cutomise the volume [ 160] of the ring tone, the handset and the handsfree settings to your surroundings Customise the contrast [ 162] of the display to your lighting conditions Select the language [ 162] of all display information. English, German, Italian, French and Dutch are available for T3.. Slovenian, Polish, Czech, Russian and Turkish are also supported. Save frequently used call numbers to a personal Phone book [ 60]. You can modify personal phone book entries yourself. 23

Getting to know your telephone Initial operation of your telephone Initial operation of your telephone Connecting the telephone (T3 IP only) After connecting to the LAN (Local Area Network) and the power supply (only if the telephone is not powered via the LAN), the telephone software is activated. A search for a gatekeeper (responsible for access authorization) then starts automatically. Usually a gatekeeper is found, and then you can immediately make a call. However you will not yet be able to answer calls. To do this, you first have to enter your call number and PIN in the "User administration" menu (see Entering your own call number and PIN [ 25]). From the time it is commissioned, the IP phone checks repeatedly whether there is another device in the network with the same IP address and is therefore interfering with network access. This is indicated in the status line and the information line with IP address conflict. If this is the case, the terminal is not functional. Your system administrator must clear the error in the network. Instead of using the default gatekeeper you can select a gatekeeper when you log on [ 25]. If the automatic search does not find a gatekeeper (T3 IP only) The automatic search for a gatekeeper does not come up with anything. The display of your telephone has been displaying the message "...Searching Network..." for some time. However you now have the option of selecting a gatekeeper from the gatekeeper list, provided the list actually has any entries: Scroll to the Gatekeeper list menu item. Select the gatekeeper, e.g. GKxyz The search for the gatekeeper you specified now starts. After 10 seconds at most, a message appears in the display if the log-on has been successful. 24

Initial operation of your telephone Getting to know your telephone Entering your own phone number and PIN (T3 IP only) Scroll to status message Log on new user.... Enter extension number. Scroll to the PIN or SecPIN menu item.... Enter your PIN (up to 6 digits). The display then shows the message "Secure log on complete" or "Log on complete!". From now on you are also available under the entered call number (extension number) The Default setting for the PIN for an unencrypted communication (if "PIN" is queried) is "0000". Please ask your system administratior for the Default setting for the PIN for an encrypted communication (if "SecPIN" is queried). After your first log-on for secure communication you will be prompted in an information message to change your PIN. It is recommended to change the PIN immediately to prevent others who know the default setting of your PIN from logging on to another telephone with this call number. You can only ever be reached on one telephone under your call number (extension number). If you therefore log in to a second telephone number with PIN and extension number, you will then be available there under your call number (extension number) but no longer on the first telephone. Selecting the gatekeeper when logging in You can select a gatekeeper other than the standard gatekeeper when you log in. This requires your system administrator to have compiled a list of gatekeepers. The phone shows the log-on display. Scroll to status message Gatekeeper list. Confirm selection. Scroll to the desired gatekeeper, e.g. GK 2. Confirm selection. Now enter your own phone number and PIN as usual [ 25]. 25

Getting to know your telephone Initial operation of your telephone Selecting the language for the display and minimails Scroll to the status message Deutsch/English/Français/Italiano/Español/ Nederlands (T3) or D/GB/F/I/E/NL/H/SLO/PL/CZ/RU/TR (T3 IP). Select the desired language for display texts, e.g. English. Select the language for minimail texts, e.g. English. You can change the language at any time later. More information can be found in the section entitled Setting acoustics, contrast and language [ 160]. 26

After you have performed this operation, you will be asked whether you want automatic redialling to resume. Automatic redialling is cancelled when a call is accepted. No prompt will follow. Deactivating phone number and charge display During a call: Scroll to the Phone number display on/off menu item. The phone number and name of the other party are no longer displayed and the phone number is not saved in redial or the journal. The charge display is deactivated. However, the charges continue to be counted internally. Reactivating phone number and charge display Select the Call no. display on/off menu item again. Joining another call (cut-in)* You want to speak to a party whose line is busy: Scroll to the Cut-in menu item. All subscribers will hear a cut-in tone. You are now included in the conversation and can give the subscribers your message. Cutting in is only possible within your system and must be programmed for your telephone and the other telephone concerned. Please refer to your system administrator if necessary. 30

Calling someone Telephoning as usual Ending cut-in* Scroll to the End cut-in menu item. The cut-in can also be ended by pressing the "Esc" key or by simply hanging up. Using the T3 telephone outside the company network (SoHo)* With your T3 Comfort you can call via your company telecommunications system even when you are outside the company network. For this to be possible, your telephone must be connected to the public ISDN network via an ibus-k box. You will also need to log your telephone into the company system. This is done by simply pressing a key. All of the functions of your telecommunications system will then be usable via your telephone without restrictions. If you are no longer logged onto the company system you will still be able to take incoming calls but not make outgoing calls. Your call charges will be registered in the telecommunications system. Logging the T3 telephone onto the company telecommunications system Press "Log on / off" function key. The information message Logging-on started now appears. Once logging-on is completed, the status message Logged on appears and the LED in the function key comes on. If you have not assigned "Log on / off" to a function key, you can log on via the "Settings -> Keys" menu. Taking an incoming call does not automatically log you on. However you can log on while you are on the call. If you are logged on but do not make any connection with your company system for five minutes you will be logged off automatically. 31

Telephoning as usual Calling someone Logging the T3 telephone off the company telecommunications system Your telephone is in the idle state: Press "Log on / off" function key. The information message Logging-off started now appears. Once logging-off is completed, the status message Logged off appears and the LED in the function key goes out. If you are logged off and try to make a call or use a blocked function of your telephone, the message "Please log on" will be displayed. However, you cannot log off while you are on the call. Once you are logged off the partner display disappears. Remote telephoning using the system* You can call your telecommunications system from outside, e.g. to make expensive overseas calls via the system. The charges are then incurred by the system. This is possible from any telephone with DTMF suffix dialling. Dial the phone number of your telecommunications system, e.g , from the external telephone. Enter the source discrimination code for your system, e.g. 89. You will hear a dial tone as confirmation. If necessary, enter your PIN, e.g Enter the system s external line code and the phone number you want to call via the telecommunications system, e.g This number is dialled immediately. "Remote telephoning using the system" must be enabled by your system administrator. Your system administrator will also tell you the source discrimination code and whether a PIN is required. In many cases, you can only telephone through the system from certain pre-set telephones. Your system administrator will inform you of this. 32

Answering calls Telephoning as usual Answering calls You can lift the receiver and speak with the caller in the normal way. Re-establishing a connection All devices to which your T3 telephone is boned and all their access data are saved in the list "Known devices", even if the link is temporarily deactivated. Each application (e.g. Bluetooth headsets) has its own list. Activating a bonded device does not require exchange of device names or Bluetooth PIN numbers, merely selecting the desired device. Press the "Menu" function key. Scroll to the Settings menu item and confirm selection. Scroll to the corresponding menu item, e.g., Blue Link port 1 (if the Blue Link is plugged into port 1), and confirm selection. Scroll to the desired application, e.g. Use PDA application (off), and confirm selection. Scroll to the on menu item and confirm selection. Scroll through to Known devices menu item and confirm selection. Scroll to the desired device e.g., Device_name_BD_AD1224, and confirm selection. The window "PDA application - Device_name_BD_AD1224" will be displayed. This activation does not require the selected device to be within the Blue Link radio range! You will then receive a status message regarding a faulty or missing connection. The connection will be automatically re-established when the Blue Link "discovers" the device within its radio range. 194

Integral Blue Link T3 Links* Deleting a bond permanently You can easily prevent a previously established connection to a Bluetooth device from being reactivated. The device will no longer appear in the list. All access data will be deleted. To be able to use a device with the T3 telephone after it has been deleted, you must recreate the Bluetooth link. You can delete all Bluetooth devices from the list at the same time. Instead of entering a device name, select the Delete all devices menu item and confirm. If you wish to give the PDA to someone else, you should delete the Blue Link bonding data there also. Refer to the PDA user manual to find out how. 195

Links* Integral Blue Link T3 Operating several applications on the Blue Link You can combine the following Bluetooth applications with one another: Headset - PC (with Blue Card USB) Headset - PDA External handsfree equipment - PC (with Blue Card USB) External handsfree equipment - PDA Blue Voice L - PC (with Blue Card USB) Blue Voice L - PDA The Blue Link menu of the T3 telephone now only lists the applications that you can operate together with those that are currently active. 196

Links* Integral Blue Link T3 Status messages The status messages in the idle state of the T3 telephone provide you with information on the current status of all currently active Bluetooth devices. A message indicating that there is no connection to a device appears if: the device is switched off, the device is out of radio range, the connection has been otherwise interrupted or disturbed. If you have activated a headset, two status lines always appear: The first is with respect to headset activation, the second lets you know if there is a connection to the headset. If a disrupted connection to a headset has been re-established, the display in the T3 telephone is not automatically updated. This only happens when the T3 telephone tries to establish a connection to the headset. Headset The following descriptions apply if a headset (Bluetooth, DECT or cordless headset) is connected to your T3 telephone. See the list of preferred devices for those headset recommended by Avaya for use on your T3 telephone with Blue Link. The list is located on the Internet at Before you can connect and use a headset with the Blue Link, you must first delete other headsets, e.g., to the CTI link. Please note that the "Headset Profile" notes of you Bluetooth headset apply for your T3 telephone with Blue Link. The Blue Link does not support additional functions on the headset such as diverting, refusing etc. The Blue Link and headset have different transmission powers. This means that when you are at the range limit, it is possible that you can still hear the person you re talking to but they can t hear you. If the Bluetooth connection to the telephone cuts out, you will hear an alert tone. 197

Links* Integral Blue Link T3 Calling You can dial a number from the telephone, PC or PDA. From the telephone... Enter the desired call number. Press the "Handsfree / Monitoring" function key. If you want to end the call, press the "Handsfree / Monitoring" function key again (the LED goes out). The most convenient way to accept a call is directly on the ringing headset. Brief connecting delays are possible when the call is answered at the telephone. If you are using a cordless (DECT) headset or a Bluetooth headset, you can also press 198

Links* Integral Blue Link T3 the corresponding key on the headset instead of pressing the "Handsfree/Monitoring" function key on the telephone. A second call is not signalled on the headset. When you switch off your headset you cannot accept calls via the T3 telephone using the "Handsfree/Monitoring" function key. You cannot accept calls on the PDA with Palm OS and dial help. If you are outside the radio range of the Blue Link with the headset and you receive a call, it will not be signalled on the headset. Even when you re-enter the radio range, it will not be signalled. But you can accept the call however. Continuing a call with the headset If you are making a call using the handset but now you want to continue the call with the headset: Press the "Handsfree / Monitoring" function key. The LED next to the function key begins to flash and you can speak to the caller via the headset. It is now no longer possible to speak via the handset (only listening). You can hang it up. Ending a call Press the "Handsfree / monitoring" function key again (the LED goes out and you can use the handset again). Replace the handset. With a DECT or Bluetooth headset you can also press a corresponding "call button" on the headset instead of pressing the "Handsfree / Monitoring" telephone function key. Monitoring/Mute If someone else in the room with you wants to listen in on the call, you have two options: 1. Select the Monitoring menu item and press the "OK" key. The person you are talking to can now also be heard over the loudspeaker. 2. Pick up the handset. The person you are talking to can now also be heard over the handset (speaking over the handset is not possible). You can deactivate monitoring by pressing "OK" again (in the first case) or replacing the handset (in the second case). If you do not want the caller to hear what is being said at your end, press the "Mute" function key on the telephone or press the corresponding key on the headset. The caller will be able to hear you again once you have pressed this key again. 199

Links* Integral Blue Link T3 Using a Blue Card USB You need a Blue Card USB on your PC for the Bluetooth connection between your T3 telephone and PC. Where necessary, consult the Avaya homepage to find out whether other Blue Card USBs are permitted for operation with Avaya T3 telephones. The Blue Card USB has a Bluetooth and a USB interface. Insert the Blue Card USB into an available USB port on your PC. The Blue Card USB comes with software that allows you to set up (bond) and configure the Bluetooth connection to the telephone from your PC. Bonding You should bond the T3 telephone with Blue Link and the Blue Card USB from your PC. Consult the operating instructions of the Blue Card USB to find out how to search for other Bluetooth devices. PC configuration notes Ensure that you install the right Bluetooth SPI driver for your CTI application! Use the information on the mini CD that came with the Link. You must configure the Bluetooth protocol SPP in the Blue Card USB. Determine which COM port the Bluetooth software is using for the Bluetooth connection. You must specify this COM port in the CTI application. T3 telephone configuration notes Depending on which CTI application you are using, you may have to set the appropriate protocol on the T3 telephone. Users of Com4Tel or other TAPI applications must select the "Y to ETSI" protocol. Users of HAYES dial help must select the "AT command" protocol. If you are connecting from the T3 telephone, it is not possible to establish a connection from the Blue Card USB to the T3 telephone. If the Blue Card USD is no longer connected to the CTI application on the PC, this is notimmediately shown on the T3 telephone as a Bluetooth connection malfunction. 200

Integral Blue Link T3 Links* Setting the protocol Press the "Menu" function key. Scroll to the Settings menu item.
