2 An introduction to your telephone Important notes Which systems are suitable for your telephone This telephone is only intended for connection to telecommunications systems produced by Tenovis. It may not be connected directly to a public telephone network. Declaration of conformity This telephone is intended for connection to digital interfaces of Tenovis telecommunication systems and fulfils the basic requirements of EU directive 1999/5/EU (Radio and telecommunication terminal equipment, R&TTE). This telephone is not designed for direct operation on public telephone network interfaces. When using link and DSS modules: This link / DSS module is intended for connection to T3 telephones and meets the fundamental requirements in accordance with EU directive 1999/5/EG (Radio and Telecommunication Terminal Equipment, R&TTE). The design of this link/dss module means that it is only suitable for operation with T3 telephones. If any problems should occur during operation, please initially contact your specialist dealer or Tenovis Service department. The Declaration of Conformity can be requested from the following internet address. or search for the keyword Conformity in the index. To which telephone system is your telephone connected? You can find out the type of Tenovis system to which your telephone is connected as follows: Press the + key with the handset cradled: If your telephone is connected to the Tenovis I5 system, Contrast appears as the first menu item. If your telephone is connected to the Tenovis I33/I55 system, Loudspeaker appears as the first menu item. 2

3 Important notes An introduction to your telephone Tips on phone location Place the telephone on a non-slip surface, especially if the furniture is new or has recently been cleaned or polished. Enamels or cleaning agents may contain substances which soften the base parts of your telephone, and the softened bases can leave undesirable marks on the furniture. Tenovis cannot assume liability for damages of this kind. Repairs The equipment may only be opened or repaired by a qualified technician. Do not open the telephone yourself. Doing so could damage the unit and cause it to malfunction. Note on description of operating sequences All the procedures described in these operating instructions assume standard assignment of the function keys. If you reprogram function keys, you should note that changed sequences may result. Functions assigned to keys no longer appear in the menu. Additional functions Functions that are marked with - are not part of the standard scope of functions of your telephone. Other functions may be locked or, depending on the system software, may not be available. If you want to use one of these functions, please contact Tenovis Service. 7 The keys at a glance An introduction to your telephone Number keys with letters: To dial numbers and vanity numbers. Star and Hash: For special functions Escape: Terminates the current connection during a call. Otherwise, cancels an entry (the next menu level up is then shown in the display). Clear: Deletes the highlighted character. If the cursor is positioned after the last character, the last character is deleted. In addition, list entries (e.g. in the call list) can be deleted using this key. Up / down arrows: Moves the highlight in the display up or down. +/ -: Increases or decreases the volume or contrast. Left / right arrows: Move the highlight to the left or right in the display. Enter: Calls up a highlighted menu item, or confirms an entry. Function keys: 5 function keys for user assignment, 3 of these having LEDs 3 fixed assigned function keys: Menu, redial and call-back. 7

8 Getting to know your telephone The display helps you The displays guide you step-by-step through the operation of the phone. The display contains various information such as the status of your current connection. The call number of an external ISDN caller will be shown in the display provided the caller has not disabled call number display. You can therefore see who is calling you. 8

10 Getting to know your telephone Basic operating principles Selecting functions in the menu Press Menu function key. or scroll to the desired menu item. The selected function is displayed. In many cases, a sub-menu will appear. You can scroll the sub-menu in the same way as in the menu. Cancelling or terminating a procedure If you have made an error during an entry or setting: Press (several times if necessary) to cancel the procedure. You will then return to the next higher menu level or the idle display. What does the idle display show? 5407 Harris The idle display shows your telephone number and your name. If there is additional information about the status of your telephone, the corresponding signal or indication will appear in the display. i Menu items or list entries, which cannot be completely shown in the display as a result of the text length are abbreviated with.... However, you can use the left and right arrow keys to scroll through the entire text. 10

11 ... making your telephone easy to use Getting to know your telephone You can make the following settings immediately or during your first telephone call: -- The volume of the ringer and handset. -- Adapt the contrast of the display to suit the ambient lighting (see p. 58). -- You can store ten frequently used numbers (see p. 53),which you can then call using the short code key and one digit (see p. 13). In addition, you can store important numbers on the five user programmable function keys (these are the first five keys in the row of function keys) (see p. 49). To call the numbers, press the appropriate function key (see p. 13). 11

12 Using your telephone as normal Making a call You can use the telephone as usual within and outside of your telephone system. Internal: Dial the desired extension number directly. External: Depending on the system, you may have to dial the exchange access code, e.g. 0. You can redial the number last dialled and dial frequently needed numbers using the destination or short code keys. You can initiate an automatic call-back within your telephone system when an occupied extension or external line becomes free. You can also switch off the number and call charges display. You can also cut into another call within your system if you have something urgent to tell one of the participants. Enter the call number. Lift the handset. Making a call with the destination key Press the destination key for the desired subscriber. Lift the handset. Making a call with the short code Press Short code function key. Press the number key (e.g. 1) on which the number you want to dial is stored. The stored number appears in the display. Lift the handset. i You can, of course, pick up the handset first and then dial the number. You cannot, however, make a correction if you make an incorrect entry. 13

14 Using your telephone as normal Making a call Last number redial Press the Redial function key. The last number called is displayed. Lift the handset. If number is busy (Automatic call back) The internal number dialled is busy. Press the Callback function key. Replace the handset. As soon as the other connection is free, your telephone rings. Lift the handset. The other number is automatically called by the telephone system. Deleting automatic callback Press the Callback function key. Scroll to the Delete callback menu item. Switching off number and call charge display During a call: Scroll to the Call display off menu item. The number and name of your caller will not be displayed and the number will not be saved for last number redial. Also, the call charge display is switched off. However, the call charges continue to be registered internally. 14

Cutting in on another call - You want to make a call to an extension that is busy: Scroll to the Cut-in menu item. All participants hear a cut-in tone. You are now included in the conversation and can give the participants your message. Ending the cut-in - Scroll to the End cut-in menu item. i Cutting in is only possible within a system and must be enabled for your telephone and the target telephone. If you require this option, consult Tenovis Service. To end the cut-in, you can press the Esc key or replace the handset. 15

16 Using your telephone as normal Making a call Telephoning via the system from a remote location - You can telephone via the system from a remote location so that e.g. expensive overseas calls can be carried out via the system. The call charges are then carried by the system owner. This is possible from every telephone with direct access tone dialling (DTMF). from an external phone, e.g Dial your telephone system call number Enter the tie line circuit trunk prefix for your system, e.g. 89. You will hear a dialling tone as confirmation. Enter PIN if required, e.g Enter the system exchange dialling code and the number you want to call via the telephone system, e.g This number is dialled immediately. i Telephoning via the system from a remote location must be enabled by Tenovis Service. Service will tell you what tie line circuit trunk prefix to use and whether a PIN number is needed. In some cases, you can only call via the system from particular predetermined telephones. Service will tell you about this. 16

17 Accepting calls Using your telephone as normal You can lift the handset and speak with the caller as usual. If another subscriber in your system receives a call, you can pick up the call from your phone. When another telephone receives a call (Pick-up) Another telephone rings. Lift the handset. Enter the code. the caller. Enter the number of the ringing telephone. You can now speak to Rejecting a call You are called but do not want to take the call: Scroll to the Reject call menu item. i The code to be entered can differ from that given here in some cases. Please contact Tenovis Service if necessary. 18

19 Activating the loudspeaker Using your telephone as normal You can activate the loudspeaker of your telephone in order to hear the caller without having to use the handset. Press the Monitoring function key. A soon as the other party answers, you will hear them via the loudspeaker. The desired loudspeaker volume can be adjusted using the and keys. You must lift the handset to speak. The loudspeaker is now switched off. Activating the loudspeaker with the handset off the hook You want to switch on the loudspeaker with the handset off the hook so the caller can be heard through the loudspeaker. Press the Monitoring function key. Your other party can now be heard through the loudspeaker. The desired loudspeaker volume can be adjusted using the and keys. If the Monitoring key is pressed again, the loudspeaker will be switched off. You can still continue your conversation via the handset. The call is terminated by replacing the handset on the hook. 20

21 Using your telephone as normal Making several connections simultaneously You can speak alternately to several participants and switch between these whenever you want. You can speak to two parties simultaneously (conference) if this feature is set up for your connection in the system. Enter the number of the subscriber whom you wish to consult. Switching between two parties You want to speak to a caller on hold (e.g. 5058): Scroll to the Interchange with 5058 menu item. Including conference participant in conversation During a call: Scroll to the Conf. with... menu item. Enter number of second conference participant. When you are connected to the number, all three participants can talk to each other immediately. i You can also use the new call to... menu item to initiate the refer-back. 22

23 Using your telephone as normal Making several connections simultaneously Including conference participant in conversation via Refer-back While you are on the phone (e.g. to 5058): Press the Refer-back function key. The other party is on hold. Enter number of second conference participant. You can start the conference once you are connected to this party. Scroll to the Conf. with 5058 menu item. Speaking specifically to one conference participant If you want to remove one conference party from the conference, in order to speak to just the other conference party: Select Interchange conf ptn, if you want to speak to just the second conference party. Scroll to the Out of conf. xxxx menu item. You can now speak to just the desired participant. If you want to speak to both again, select the Conf. with xxxx menu item. Connecting conference participants together During the conference: Replace the handset. i The third number called does not answer: Press the Esc key to switch back to the first participant. You can also set up a Conference function key. You can find out more about setting up function keys in the section Assigning functions/numbers to keys. You can also connect the conference participants with one another using the Transfer to xxxx function key. 23

24 Using your telephone as normal Making several connections simultaneously Switching conference participant specifically out of the conversation During the conference: If necessary, select Interchange conf ptn if you want to switch the participant you were first connected to out of the conference. Otherwise, the last participant to join the conference will always be switched out. Switch out participant. Ending the conference During the conference: Scroll to the End conference menu item. There is now no longer any connection between the conference participants. 24

25 Diverting calls Using your telephone as normal You can divert your calls to another extension. You can also set up another call diversion destination to only divert calls when your extension is busy. You also have the option to set up a call diversion according to time. Tenovis Service must set this up for your telephone. In this case, telephone calls will then be diverted to the set destination after e.g. three rings. You can then decide whether or not to take the call. A setting can also be made in the telephone system so that your telephone and another telephone ring simultaneously when a call is received (double call). If a voice mailbox is connected to your system, you can divert your calls to this. Callers can then leave messages as with an answering machine. 26 Using your telephone as normal Diverting calls Divert all calls for your telephone Press Menu function key. Scroll to the Call diversion menu item and confirm your selection. Scroll to the Set destination menu item. This step is not necessary if no call diversion destination has yet been set up. Enter the number to which calls are to be diverted, e.g Scroll to the to: 1234 off menu item. Activating the call diversion The LED lights up. i If a call diversion destination you have set up cannot be activated (an error tone is heard after pressing the OK key), then another call diversion destination is already activated. This must then be deactivated (select and confirm with OK ). The Divert call function key allows you to run through a number of operating procedures more quickly. It has different functionality depending on the number of call diversion destinations you have set up: No call diversion destination has yet been set up: Pressing the Divert call function key takes you to the Call diversion menu. One call diversion destination has been set up: This call diversion destination set up can be activated and deactivated by pressing the Divert call function key (the LED lights up when on ). Several call diversion destinations are set up: If a call diversion destination is active (LED on), it can be deactivated by pressing the Divert call function key. If no call diversion destination is active, you enter the call diversion menu and you can then activate a diversion that is already set up or set up a new call diversion destination. 26

27 Diverting calls Using your telephone as normal Only divert calls for your telephone under certain circumstances - If you have set up the call diversion as described on Page 26, all calls will be diverted to the desired call number. If you only want to divert your calls 1. if your telephone is busy 2. or when you have not answered a call after a particular number of ringing tones then proceed as described on page 26 and, instead of to:, select 1. On busy: 2. No reply: i If a call diversion destination you have set up cannot be activated (an error tone is heard after pressing the OK key), then another call diversion destination is already activated. This must then be deactivated (select and confirm with OK ). The Divert call function key allows you to run through a number of operating steps more quickly. It has different functionality depending on the number of call diversion destinations you have set up: No call diversion destination has yet been set up: Pressing the Divert call function key takes you to the Call diversion menu. One call diversion destination has been set up: This call diversion destination set up can be activated and deactivated by pressing the Divert call function key (the LED lights up when on ). Several call diversion destinations are set up: If a call diversion destination is active (LED on), it can be deactivated by pressing the Divert call function key. If no call diversion destination is active, you enter the call diversion menu and you can then activate a diversion that is already set up or set up a new call diversion destination. 27

Select active call diversion (indicated by on ), e.g. to 1234 on. Deactivate the call diversion. i If the Divert call function key is programmed, you can deactivate an activated Call diversion to or Call diversion on busy by pressing this key once. 28

29 Diverting calls Using your telephone as normal Changing call diversion from another phone - You can call from outside of your telephone system to set up and change a call diversion for your telephone or another telephone. This is possible from every telephone with direct access tone dialling (DTMF). Dial the subscriber whose call diversion is to be changed from an external phone, e.g Dial your telephone system call number Enter the tie line circuit trunk prefix for your system, e.g. 89. You will hear a dialling tone as confirmation. Enter the number of the extension for which you want to change the call diversion, e.g Enter PIN number, e.g Now set up, change or deactivate the call diversion: Setting up or changing the call diversion: Enter the code for Activate follow me, e.g. star, 14. Enter the system exchange code and number to which the calls are to be diverted, e.g After a few seconds, an acknowledgement tone sounds as confirmation. Deactivating the call diversion: Enter the code for Deactivate follow me, e.g. star, 14. i Changing call diversion from another phone must be enabled by the Tenovis Service department. Service will tell you what tie line circuit trunk prefix to use and the PIN number. In some cases, you can only set up the call diversion from particular predetermined telephones. Service will tell you about this. 29

30 Using your telephone as normal Taking calls somewhere else (follow me) - You can also set up a call diversion for your telephone from other telephones. You must first prepare your telephone for this. Follow me is activated and deactivated by particular codes. Please ask Tenovis Service for the valid codes. You hear a confirmation tone. Replace the handset. Enabling follow me from another telephone At another telephone: Lift the handset. Press the Star key and enter the code, e.g. 14. Dial your own number. You will hear a confirmation tone and the call diversion LED on you own telephone will light up. Replace the handset. Your telephone is now diverted to the other telephone. i If follow me has not been prepared at your telephone, you will hear a busy tone. Calls for your telephone will not then be diverted. 31

You hear a confirmation tone. Replace the handset. Disabling follow me from another telephone At another telephone: Lift the handset. Press the Hash key and enter the code, e.g. 14. Dial your own number. You will hear a confirmation tone and the call diversion LED on you own telephone will go out. If no call diversion was active, you will hear an engaged tone. Replace the handset. 32

33 Telephoning made easy Editing the call list - If you do not answer a call, the call will be stored in the call list with the day of the week and time of the call, provided the call list is activated. You can display this list at any time and return calls to the subscribers entered in it. The list contains the 10 most recent entries. Symbols in the call list An entry in the call list might appear as follows: :36 03 * Caller s number 14:36 Time of last call 03 Number of times caller rang * Call has not yet been viewed Dialling a number from the call list The List message appears in the idle display and the LED next to the Call list function key flashes. Press Call list function key. Scroll to the desired number, e.g Lift the handset. i If you call back a caller from the call list and a connection is made, the entry in the call list is automatically deleted. This List message remains in the idle display until you have called back or deleted all the callers entered. 34

Scroll to the desired entry, e.g Press the Clear key: The marked entry will be deleted. Deleting all entries The List message appears in the idle display and the LED next to the Call list function key flashes. Press Call list function key. Scroll to the Delete all entries menu item. i This List message remains in the idle display until you have called back or deleted all the callers entered. 35

36 Telephoning made easy Looking for messages If a voice mailbox is connected to your system, callers can leave messages for you as with an answering machine. You can search for these messages by calling. It is also possible to receive pure text messages from a server. 38 Telephoning made easy Looking for messages Listening to voice messages - You will see the Messages symbol in the idle display : Press Menu function key. Scroll to the Message menu item. Scroll to the desired entry, e.g. Voice mailbox Your telephone switches on the loudspeaker automatically and calls the number of the voice mailbox. You will then be guided through the operation of the voice mailbox. Cancelling diversion to the voice mailbox Press Menu function key. Scroll to the Call diversion menu item. Select active call diversion to the voic (indicated by on ), e.g. to 4321 on. Deactivating call diversion to the voice mailbox The LED goes out. i If the Divert call function key is programmed, you can deactivate an activated call diversion by pressing this key once. 38

39 Looking for messages Telephoning made easy Deleting a message - You will see the Messages symbol in the idle display : Press Menu function key. Scroll to the Message menu item. Scroll to the desired entry, e.g. Voice mailbox Press the Clear key: The marked entry will be deleted. Deleting all messages Press Menu function key. Scroll to the Message menu item. Scroll to the Delete all entries menu item. 39

40 Telephoning made easy Viewing charges - All call charges incurred since the last reset are stored and totalled in your telephone system. You can view the charges for your last call and delete the indication provided you have activated charge indication. During a call, you can view the currently incurred call charges in units or in your local currency. In addition, your telephone system can record and bill the call charges for individual projects or for private calls. 42 Telephoning made easy Viewing charges - Recording call charges for private calls and projects - You want to dial a number using a project or private PIN. Enter the exchange code that is set up in your telephone system for dialling with a project or private code, e.g. 1. This exchange code can have 1 to 5 digits. Enter the code that is set up in your telephone system for private calls or the specific project, e.g This code can have 1 to 9 digits. Enter the desired call number. Lift the handset. The charges for this call will now be recorded and billed in the system with the appropriate project or private code. i For security reasons, the code is not shown in the display or in redial. The number cannot be stored in the telephone directory with the code. If you want to call back a number from the call list using a project code, you must enter the exchange code and the project code into the call list display manually. 42

43 Locking your telephone Telephoning made easy You can protect the telephone against unauthorised use by locking it with a PIN (Personal Identification Number). 44 Telephoning made easy Locking your telephone Changing the PIN (Personal Identification Number) Press Menu function key. Scroll to the Lock menu item. Scroll to the Change PIN menu item. Enter your current PIN (not when entering your PIN for the first time). Scroll to the New PIN: menu item. Confirm. Enter the new PIN. i The PIN number to be entered can have four to six digits. The first digit of this PIN may not be 0 or 1. In case of difficulty, please consult Tenovis Service. 44

You can then execute these functions or call these numbers by simply pressing a key. If you have changed the assignment of the function keys, you can use the free labelling strips from the sheet (for making entries by hand). Function keys with LEDs Your telephone has 3 function keys with LED displays. The LED indicates the current status of the key function. For example, you can see whether the corresponding function is switched on or off. 52

Switch to Anonymous call on. i If you want your number to be displayed to the called parties again, scroll to the Anonymous call on menu item and then press OK. 59

60 Customising your telephone Enable auto. direct access tone dialling (DTMF) You can set up your telephone so that all numeric keys pressed during a call are sent as a tone. This allows you to interrogate a voice mailbox or operate an answering machine remotely. These digits will neither be displayed nor entered in the repeat dialling memory. Auto. direct access tone dialling (DTMF) Press Menu function key. Scroll to the Settings menu item. Scroll to the Dial settings menu item. Scroll to the DTMF switchover: N menu item. Switch to DTMF switchover: Y. i If you want to switch direct access dialling off again, scroll to the DTMF Switchover Y menu item and then press OK. 60

61 Change duration of DTMF tone - Customising your telephone When automatic direct tone dialling DTMF) is on, ( Page 60), you can change the duration of the DTMF tone (DTMF = Dual Tone Multi-Frequency). This may be necessary if an answering machine does not respond to the signal from your telephone. Some answering machines require a tone duration of 100 ms (fast), others require 500 ms (medium). Your telephone is preset to 1000 ms (slow). Change duration of DTMF tone Press Menu function key. Scroll to the Settings menu item. Scroll to the Dial settings menu item. Scroll to the DTMF duration: slow menu item. The current setting is shown in brackets ( [langs.] ). Select the desired setting, e.g. medium. 61

69 Additional equipment Additional equipment - You can connect various additional equipment to the individual interfaces on the links: -- Com4Tel for operating the most important telephone features from a PC. -- Other PCI applications for PC-supported dialling, e.g. Lotus Organizer. -- Headset for convenient telephoning or listening. -- External hands-free equipment for high quality speech. -- Second earpiece for listening in to a call. -- Recording device to record telephone calls. -- Door visual indication equipment to signal particular conditions. -- Second alarm bell for additional signalling of a call. Most of the additional equipment listed here has its own operating or installation instructions. Therefore only devices or functions not explained in those instructions are described below. 70 Additional equipment Additional equipment - The CTI/Audio link (! p. 65) can be used to connect a headset or a convenience headset (e.g. Ellipse) to your telephone. To do this, you only have to make the following setting in your telephone s menu: Activating the headset Press Menu function key. Scroll to the Settings menu item. Scroll to the Setting the link menu item. Scroll to the Equipment: none menu item. The current setting is shown in brackets ( [none] ). Select [Headset] or [Ellipse]. Confirm your selection (the selected menu item is no longer in brackets). i If you are using a headset on which Sleep mode has to be deactivated, then you should also set the Wake up tone for the headset to Yes in the Set link menu ( Wake up tone heads...y ). In case of difficulty, please consult Tenovis Service. 70

71 Additional equipment Additional equipment - Headset - making a call Enter the desired call number on your telephone. Press Monitoring function key. The LED next to the function key lights up and the microphone symbol ( ) appears in the display. A soon as the other party answers, you can speak to them via the headset. If you want to end the call: Press Monitoring function key again (the LED goes out). i If the call number you want to dial is stored in the call list or the redial list, you can dial from there and then press the Monitoring function key. In order for someone else to be able to hear your call, you must first of all lift the handset. The other party can then also be heard via the handset (it is not possible to speak into the handset). Then select the Loudspeaker on menu item and press the OK key to activate your telephone s loudspeaker. The other party can now be heard through the headset and the telephone loudspeaker If you do not want the other party to hear what you are saying, you can select the Mute menu item on your telephone or press the appropriate key on the headset. If you press the key again, then you can once again be heard. 71
