1 DESIGNATING A FOR AN EMPLOYEE This functionality may be used where an employee has a primary manager and a dotted line/matrix manager relationship (e.g., Finance, Commercial). It allows the dotted line manager to participate in reviews, and goal setting. It is important to note that the tasks occurring during the specified period will be sent to both the original manager and the matrix manager, and will show in the respective task list. It is therefore critical that you agree in advance who is doing what in both the review and the goal setting and remember that the primary manager has overall responsibility for approving both the review and the goal plan. The various tasks that a matrix manager can complete in the system are outlined as follows: Tasks or Action Write employee review Goal Setting & Approval Quarterly check-in Matrix Manager Access review sections goals, leadership behaviours, strengths and development provide comments and ratings Review relevant goals and provide feedback to the primary manager if any changes are required prior to approval Enter comments for relevant goals Steps 1. Login to access Taleo Performance Employee Center. Click on Talent Browser icon on the top right corner to open the Talent Browser window. 2. From your own performance card, click on the down arrow to view the Go to menu, and select Manage Matrix Manager. Taleo Implementation Team Version 3 Jan 2017 Page 1 of 7
2 3. In the Manage Matrix Manager window, click on the green sign. In the Matrix Manager window, click on the Search icon beside the Matrix Manager Name field Taleo Implementation Team Version 3 Jan 2017 Page 2 of 7
3 In People Selector window, select Search by keywords, enter the name in the Search field (last name or first name) and click on Search. Click to select the name in the Search Results of the dotted line/matrix manager as shown below. Click Select. In the Matrix Manager window, the name of the selected manager will now be shown in the Matrix Manager Name field. The Start Date will be automatically added as today s date or you can select a new date. Check the box Delegate my tasks to this person. Under Delegated Employees, click on the green sign. 4 In People Selector window, select Search by keywords, enter the name in the Search field (last name or first name) and click on Search. Check the box beside the name in the Search Results of the delegated employee as shown below. Make sure to click on the right arrow button in the middle (see below) to move the selected employee to the Selection list. Click Select Please do not select Include Direct Reports checkbox Back to the Matrix Manager window, verify the information and click OK to save. 5 Back to the Manage Matrix Manager window, verify the information and click Close to complete the process. Result The matrix management relationship has been defined. The tasks assigned related to the employee from the start date will be sent to both the primary manager and the matrix manager, and will show in their respective My Tasks list. 6 ENDING/REMOVING A DOTTED LINE/MATRIX MANAGER FOR AN EMPLOYEE Steps 1. Login to access Taleo Performance Employee Center. Click on Talent Browser icon on the top right corner to open the Talent Browser window. 2. From your own performance card, click on the down arrow to view the Go to menu, and select Manage Matrix Manager. Taleo Implementation Team Version 3 Jan 2017 Page 6 of 7
7 3. In the Manage Matrix Manager window, you will see the one or more matrix relationships setup for one or more delegated employees. Select the checkbox beside the name of the matrix manager and employee relationship that you would like to remove. Click on the red sign. The system will request you to confirm. Click Yes to confirm. Click Close to close the Manage Matrix Manager window. Result The matrix manager will be removed, as well as the relationship that you had established for the designated employee.
