1 Creating a smartbinder Presentation Overview: This job aid shows you how to create a smartbinder Presentation in smartdocs. A smartbinder is an HTML document that creates a Table of Contents with links to each document. The smartbinder Presentation is composed of sections including Order Information, Document links, optional Public Correspondence, and optional Public Work Tasks. 1. Enter the Order Number in the smartdocs search field, then press the Enter key on your keyboard while the cursor is still blinking in the field. Note: All documents to be included in the smartbinder Presentation must already be posted to the order in smartview. 2. Click the Action drop down menu located in the top left corner. Select the Package Documents option. 1

2 3. In the Package Documents screen, select the smartbind Presentation option in the top left corner. Enter a Name for the smartbind document. Enter a Description. This will be the header at the top of the smartbinder Presentation. Select a Numbering Style if desired. Note: Global Numbering will place numbers next to each of the document names in the smartbinder Presentation. Sectional numbering is used if you are adding documents from multiple orders. 4. Click to highlight any document listed in the Available documents list along the left side of the window, then click the Add button located in the middle of the window. -or- You can double click on any document listed in the Available Documents window to automatically move it to the Selected Documents window. Note: You can hold down the Ctrl key on your keyboard to highlight multiple documents from multiple folders, and then click the Add button to add all selected documents. 2

3 5. Once all documents have been added to the Selected Documents window, you can organize the order that these documents will appear in the smartbinder Presentation. Highlight any document, then use the sorting buttons located along the right side of the Selected Documents window to organize the list as desired. Note: If necessary, you can rename the document description under the Selected Documents window by right clicking on the document name. Once you have made your modifications, hit the Enter key on your keyboard to close out of the Document Description window. (Please note that any modification to the document description is for the smartbinder Presentation only. The original document name will remain the same in the smartview order.) 6. Complete the section in the bottom right corner of the Package window to personalize your smartbinder Presentation. You can enter the information of who the smartbinder Presentation was prepared for, as well as prepared by. You can manually enter information or select from an Order Participant for both sections. 3

4 7. Click the checkbox to include Order Information. If you want to include any Correspondence or any Work Tasks also check the box next to them. 8. If you checked the box to include Correspondence in Step 7, click on the word Correspondence. In the Correspondence Selection window, check the box next to each Correspondence you wish to include in the smartbinder Presentation. Then click the OK button in the bottom right corner. 9. If you checked the box to include Work Tasks in Step 7, click on the words Work Tasks. In the Work Tasks Selection window, check the box next to each Work Tasks you wish to include in the smartbinder Presentation. Then click the OK button in the bottom right corner. 10. Click the Save button in the bottom right corner of the Package window. 4

5 11. Your new smartbinder Presentation will now show posted to your order in the smartbinders folder. Note: The smartbinders folder will automatically be created when the first smartbinder or smartbinder Presentation is created in each order. All additional smartbinders or smartbinder Presentations created in that same order will be posted to this same smartbinders folder. 12. The smartbinder Presentation can be distributed to any Customers. When opened, the smartbinder Presentation will open in an internet browser. 5
