3 Admin login Dormitory The dormitory module in the school management software helps in the proper management of the students in the dormitory of the given school. From this module we can get to know about the hostel, wardens and students who are using hostel facility. On the main dashboard, it appears as: To reach Transport module follow these steps- I. Click on Navigation Panel. II. This will show tiles of modules. III. From that click on Dormitory 3 of 38

4 You can get a PDF, Excel or Print at every page of this module. Also there is Take A Tour button on top-right side which will help you in guiding the page. On clicking Dormitory, it will show its sub-modules. 1. Manage Warden 2. Manage Hostel 3. Manage Room 4. Manage Allocation 5. Mess Details 6. Mess Timetable 4 of 38

5 Manage Warden On clicking this option under the Dormitory module, the admin would be directed to a page as: The page of Manage Warden section displays the information in subsequent rows like name of the warden, contact number, address and a column for Action as edit and delete. 5 of 38

6 Edit Option: The admin can edit the information about a particular warden of the dormitory like name, contact number and address. Then the changes can be saved by clicking on the option Submit Changes at the bottom. It appears as: After making changes, click on update.it will show a pop message of Warden Updated Successfully. 6 of 38

7 Delete Option: With this option, the admin is given the right to delete a particular row of information. A confirmatory message appears as: If you want to delete then click on Delete or you can cancel it by clicking on Cancel.It will show a pop-up message as Warden Deleted Successfully. 7 of 38

8 Note-You cannot delete a warden it he/she is allocated to any hostel. In the Manage Warden section, the admin can also search for a particular warden by entering the details like name, contact number or address in the Search Bar. Add New Warden: This page permits the admin to add new warden in the dormitory module. It appears as: Steps for Add Warden: I. Enter name of Warden I. II. Enter Phone number of Warden 8 of 38

9 III. Enter id of Warden After the details are filled properly, the admin can proceed to click on the option Add Warden. This will give the message as Warden added successfully. 9 of 38

10 Manage Hostel This is another important page in the Dormitory module that helps the admin in the proper management of the different hostels of any school system. Upon clicking this, a subpage opens as: 10 of 38

11 This page displays the information like the name of the hostel, the type of hostel, the hostel address, the contact number, and the warden name. There is also an Action column that has options as: Edit Option- Admin can make changes in it. It appears as- 11 of 38

12 Click on Update, it will update the changes done and will show the message Hostel Updated Successfully Delete Option: With this option, the admin is given the right to delete a particular row of information. A confirmatory message appears as: 12 of 38

13 If you want to delete then click on Delete or you can cancel it by clicking on Cancel.It will show a pop-up message as Hostel Deleted Successfully. Note- Admin cannot delete that hostel which is allocated to student as students are present in the hostel.admin can delete the hostel if no student is allocated to it.it display message like this- In the Manage Hostel page of the Dormitory module, the admin can also search for particular hostel information by entering the particular hostel name or type in the Search Bar. Add New Hostel: This page lets the admin in adding the new hostel details. It appears as: 13 of 38

14 Steps for Add Bus Stop: I. Enter Hostel name. II. Enter Hostel Type. III. Enter Hostel phone number. IV. Select warden name. V. Enter Hostel address. After Clicking on Add button it will display a message Hostel Added Successfully. 14 of 38

15 Manage Room This page of the school management software under the Dormitory module can help the admin in the management of the hostel room and its allocation to different students in the system. It appears as: 15 of 38

16 The page displays the information like the floor number, the room number, number of beds, number of available beds, total number of occupied beds, the room description and the room fare. Admin can see floors hostel wise, when admin select hostel then all room for that hostel will be shown There is also an option for Edit and Delete under the Action icon. Edit Option: It lets the admin in editing the details of the hostel and the room details. It appears as: 16 of 38

17 The admin has the right to edit the hostel details like hostel type, hostel name, floor name, room number, number of beds and so more. Once all the details are duly filled by the admin, then he or she can click on the Update icon at the bottom to save the changes and a message will be shown as: Delete Option: By clicking on this icon, the admin is given a confirmatory message whether or not the admin wants to delete the particular row of information or not. 17 of 38

18 Click on Delete, it will delete bus stop and will show the message Hostel Room Deleted Successfully as. Add New Room: In the Hostel page of the dormitory module, there is also an option to add the details of the new hostel room. It appears as: 18 of 38

19 The admin can proceed to enter the required details in the specific fields to create an entry for a new hostel room. For example: Once all the details are entered, the admin can click on Add Room icon. This will save the new entry for the hostel room. After click on Add Room, a confirmation message will be shown as: 19 of 38

20 Manage Allocation This page is concerned with the allocation of the hostel rooms to each student present in the school management system. It appears as: I. This page depicts the different hostel names and corresponding to each name, there are column as the student name who resides in the hostel, the type of hostel, the floor, room number, food available or not, registration date, vacate date, transfer date and the status of the allocation. 20 of 38

21 II. III. IV. Transfer date field show the date if any student has transferred to other hostel and update the date when transfer takes place. Status field shows status present if student is living in the hostel or absent if student has left the hostel. There is also a column for Action that appears as: This action icon with edit, vacate and transfer options appear for the Present status of the allocation page. For those with status as transfer or vacated, there is an option of Already transfer in the Action icon. Edit Option: Upon clicking this icon, the admin can edit the details of the allocation status along with different details as: 21 of 38

22 Once all the changes are made, the admin can click on the Update icon to save the desired changes. IT will generate a message after this as- 22 of 38

23 Vacate Option: Upon clicking this icon, a message pop up will be show as: The admin can choose the desired option for changing the status from present to vacate of a particular student when any student wants to leave the hostel. On clicking yes it will generate a message as- After vacate status of the Student status will get update as vacated, shown below- Transfer Option: If a student wishes to change the hostel accommodation, then the admin needs to update the same in the school management software under the Dormitory module. This can be achieved by clicking on the transfer icon of the hostel allocation page. It appears as: 23 of 38

24 Once all the details are entered properly by the admin, then the icon Submit can be clicked to save the changes. After transfer the student status changed to transfer with the date,as shown below- In the Manage Allocation page, the admin also has the option to search for a particular hostel detail by entering the hostel name in the Search Bar. 24 of 38

25 Mess Details From here you can see list of mess details such as name, description and price. You can also get a PDF, Excel or Print of the Mess Information. On reaching this page, the admin would come across two options as: Add Mess Details: This page of the Dormitory module will help the admin in the addition of new Mess details. 25 of 38

26 Steps for Add Mess: I. Click on Add Mess Details. II. Enter Name of Mess. III. Enter Description of Mess. 26 of 38

27 IV. Enter amount and Click on Submit. After the details are filled properly, the admin can proceed to click on the option Submit. This will give the message as Mess Details added successfully. 27 of 38

28 Mess Details List: This page displays the list of all the Mess names along with the details like the number of Mess name, the description, amount and additional actions. It appears as: The admin can also search for particular Mess information by entering the desired mess name in the Search Bar. The different actions are: 28 of 38

29 Edit: This option would help the admin in editing the details like mess name and the description of the same. It is displayed as- After making changes, click on update.it will show a pop message of Mess Details Updated Successfully. 29 of 38

30 Delete: This will let the admin in deleting a particular row of information about the mess details. Upon clicking this, a confirmatory message would popup as: If you want to delete then click on Delete or you can cancel it by clicking on Cancel.It will show a pop-up message as Mess Details Deleted Successfully. 30 of 38

31 Mess Timetable From here you can manage the timetable of a specific mess by selecting it from the select mess dropdown. For adding time table click on plus icon (+) which is top of the timetable page. After clicking on add timetable screen will displayed as: 31 of 38

32 Click on add mess timetable after filling all fields. After clicking on add mess timetable this pop-up message will display. 32 of 38

34 Parent Login Parent can see his child details of Dormitory if their children are using Hostel facility. To access Dormitory, follow the steps- Login from Parent Id Click on navigation Panel. Click on Dormitory. After Clicking on Transport this screen will appears: 34 of 38

35 This screen shows all Childs of particular parent. 1. Adil: in this parent can see all information about Adil s dormitory he/she using dormitory facility. After clicking on Adil this screen will appears: 2. Prince: Here prince is not using dormitory facility so screen will appears as 35 of 38

36 Student Login In student login students can see his/her dormitory details which they have opted. To access Dormitory, follow the steps- Login from Student Id Click on navigation Panel. Click on Dormitory On clicking Dormitory, it open up as- 36 of 38

37 This shows the details of dormitory, warden, hostel, room, Register date, vacating date, transfer date and more. 37 of 38
