1 instacount Connection Volume I, No. 2 December 2010 From the Vice President s Desk: Red Cross Berlin Customer Visit Dear instacount Customers, Hello and welcome to the second edition of the instacount Connection! I hope you enjoyed the first newsletter and from the feedback, many of you did. We appreciate the thoughts, ideas and encouragement. In September, I had the privilege to participate in the Aesculap Academy s Global Perspectives in Quality Instrument Manufacturing course held in Tuttlingen and Berlin Germany and Nowy Tomyśl Poland. We were 25 strong, customers and Aesculap personnel that attended the course from the United States. One of the main highlights of the course was the tour of the Red Cross Hospital in Berlin. We toured the entire hospital including the CSSD to learn more about their processes in Europe. Everyone from the USA was very impressed with the CSSD department, which is run by SteriLog (an international service provider within the B. Braun Group division specializing in designing and operating CSSD departments). Some of the highlights of the CSSD were: Each assembly workstation has instacount PLUS, forced air and ergonomic/height adjustable tables with supplies organized and located at the technicians fingertips. The hospital does not use flash sterilization since they are properly stocked with instruments and sets that are required. The instacount team completed the installation of instacount PLUS at The Ohio State University Medical Center in Columbus, Ohio during the last week of July. This installation was one of the largest in instacount history. It included 62 user licenses used in three facilities at the Medical Center including the main hospital, James Cancer and Ross Heart. instacount PLUS will track 6,000 sets through 96 checkpoints throughout the hospital including decontamination, washers, assembly stations, sterilizers, storage areas and the ORs. The hospital is already planning the next phase which will use the Operation module in instacount PLUS to scan instrument sets to patients. Overall the installation was a great success and Richard Baird Project Leader, IT Portfolio Management Office at OSUMC said the following about the installation: This has got to be the best collaborative effort I have ever seen on a project since I started working at OSUMC back in March of There was great communication on all levels throughout the project as well as dedication and hard work from all sides. 2 Each instrument set is optimized meaning only containing the instruments that are utilized which saves processing time and money! There are zero wrapped sets! All the sets are in rigid sterilcontainers. They also use reusable instruments that we typically dispose of like bovies and trocars. The Red Cross Berlin is truly focused on being a green facility. They have state-of-the-art new equipment including washers, endoscope washers and sterilizers. They used parametric release instead of biological indicators. The layout of the CSSD was large and spacious! It was laid out taking into consideration the work flow, processing and the employees who work in the department. There are many windows to the outside allowing plenty of natural light. There was plenty of room for back up instrument stock with spacious organized drawers. instacount PLUS is used for "down to the one" tracking and there are pictures to display each instrument. They are also using the maintenance feature of instacount PLUS which alerts them when a set needs to be sent out for maintenance. instacount PLUS is interfaced with the sterilizers allowing electronic tracking of sterilization records. We were all very impressed with the Red Cross Hospital in Berlin and many of the customers were planning on bringing back some of the things that they saw to implement in the future in their own CSSD departments. Zebra ZM400 printers are located in between the two workstations. instacount PLUS is interfaced to the sterilizers allowing electronic tracking of sterilization records. instacount PLUS and tracking instruments to the Patient featured during the Managing Today s OR Suite Conference The 23rd annual Managing Today's OR Suite conference took place on September 29- October 1 at the Walt Disney World Dolphin Hotel in Orlando, FL. instacount PLUS and tracking instruments to the patient was one of the main features of Aesculap s booth. Attendees were interested in learning more about the Operation module in instacount PLUS which provides the link with the patient enabling users to scan sets to patient, reports all sets used on specific patient and reports all patients utilizing the same sets. Aesculap also displayed sterilcontainers, laparoscopic instruments, general instruments and cardio vascular instruments in the booth. 3 instacount Employee Spotlight- Shawn Holland Shawn Holland joined the instacount team in August of this year as our newest Field Services Consultant. Shawn has been in perioperative nursing for 25 years and spent the last eight years with SRI Surgical where she was instrumental in the start up and management of four CSSD management accounts in the Dallas area. During this time she worked very closely with Aesculap team members in developing set lists, optimizing efficiencies and developing policy and procedures for CSSD departments. Shawn is looking forward to bringing her Operating Room and CSSD experience to instacount PLUS customers throughout the country and helping them meet their goals of instrument management. I really feel that with the proper training and support, customers will find instacount PLUS an easy tool to use and managers will find the QA capabilities and reports priceless. I really look forward to working with the sales team in bringing instacount PLUS to the frontrunner of instrument management systems in the market. When not on the road with Aesculap, Shawn loves spending time at home with her two Bolognese dogs and husband Marty. She is also a huge sports fan. We are very excited to have Shawn join the instacount team! Managing Media Files, Unraveling the Mystery Part 1: File Type, Size and Naming instacount PLUS supports many different formats of media files for instrument images. Not only instrument images, but also short instructional videos, PDF files with manufacturer reprocessing instructions and detail image blow ups. Also, more than one media file can be attached to a specific instrument or set. The ability to view and use instrument and set media files and videos in instacount PLUS has proven to be a very helpful and often a vital component for the users of the software. Managing those images however can be a daunting task. There are many things to consider when adding and maintaining images and videos for your sets and instruments including size of the image files, location of the files (where the image files are stored) and how to get them to show up in instacount PLUS. To effectively manage image files, it is necessary to have a basic understanding of image files and video files themselves. Image file size is primarily controlled by its file format, for example,.jpg,.bmp and.wmf. The JPEG file format (.jpg) is the preferred file format for instrument images in instacount PLUS because it provides the best quality image at an acceptable file size (see the FAQ section for all acceptable formats). 4 MANAGING MEDIA continued from page 3 The size of a picture is a very important criterion as well. Each picture consists of pixels, which is defined by the width and height of each picture. For example, if a picture size is 300 x 450, those sizes are measured in pixels, which means that picture is 300 pixels by 450 pixels in size. The file size, together with the screen resolution determines the picture size and quality on the screen. The final quality of the picture resolution ultimately depends on the monitor on which it is displayed. On the latest generation of monitors, which have much higher resolutions the previous generations, an image file resolution of 640 x 480 has proven to be ideal for viewing in instacount PLUS. Best practice is to try and keep the image files as small as possible and never more than 1 MB in size. Also, images should be named as informative and succinctly as possible. The names of instrument pictures should be the catalog number of that instrument. The names of set pictures should be the name of the set and abbreviate when applicable so that others will know the name of the set. In part 2 of this series we will review how to manage image file directories on the Server Share and how to add them into instacount PLUS. The following format types are compatible for pictures of sets or individual items.instruments: Windows bitmap file format (file ending BMP ) Windows metafile format (file ending WMF ) PCX file format (file ending PCX ) GIF file format (file ending GIF ) JPEG file format (file ending JPG ) Apart from picture formats you can also separately incorporate two video file formats and one audio file format into the media database: MPEG file format (file ending MPG ) AVI file format (file ending AVI ) Wave file format (file ending WAV ) 2. I have a new PC and my missing label is not printing. How do I add a mandatory comment specific to an item in a set?
