1 WebEx Using Breakout Sessions for Group Work A breakout session is a private content sharing session that includes two or more participants. Breakout sessions allow participants to brainstorm and collaborate in small, private groups away from the main training session. Breakout session attendees can be assigned manually or automatically during the training session. To start the breakout session, from the Breakout menu, click Breakout Session Assignment. The Breakout Session Assignment panel will open. You can choose to assign attendees automatically or manually to the break out sessions. If you select Automatically then you must select either the number of sessions or the number of attendees in each session. (Note: the first attendee added to the Breakout Session will be the presenter of the session. To make another participant the presenter, right-click on the desired attendee s name and select Make Presenter.) Next, click ok. To manually create sessions, click Add Session above the Assigned box. Click and drag participants from the Not Assigned box into Assigned box to create a session. Repeat to add additional session rooms.

2 Using Breakout Sessions for Group Work Page 2 Once your session assignments have been made, click on the Start button in the Breakout Session window. As the host of the training session, you have the ability to share a file or the whiteboard application with your various breakout sessions. For more sharing capabilities, you must enter a Breakout Session. As a host, you can join any breakout session. To Join a Breakout Session, click Breakout from the top menu bar, Join Breakout Session, then select the session you d like to join.

3 Using Breakout Sessions for Group Work Page 3 The Voice Conference window will open, click Yes The Breakout Session Panel changes with information about the breakout session that you entered. In order to share materials in a session you must have presenter rights. Gain presenter rights by highlighting your name in the participant list and clicking Make Presenter at the bottom of the participant panel.

4 Using Breakout Sessions for Group Work Page 4 As a presenter in the Breakout Session you may share your Desktop, Files, an Application from your computer, the Whiteboard, Web Content, a Web Browser or your Session Window. To leave a Breakout Session click the Leave Breakout Session prompt in the panel. A window will open confirming that you want to leave, click Leave Session. To send a broadcast message to all attendees, click Broadcast Message.

5 Using Breakout Sessions for Group Work Page 5 The Broadcast Message window will open. Click the To: dropdown arrow, choose All Attendees. Enter your message in the message field, click Send. You will see the message that was broadcasted to all attendees. Click OK. To ask all to return from breakout sessions, click Ask All to Return from the Breakout menu. All participants in breakout sessions receive a message asking them to return to the main training session.

6 Using Breakout Sessions for Group Work Page 6 To end the Breakout Sessions, click End Breakout Sessions from the Breakout menu. The Breakout Session Manager window will open, click Close. To request a breakout session presenter to share content, click Share Breakout Session Content from the Breakout menu. The Share Breakout Session Content window will open. The names of the breakout sessions and the names of the last presenters of the breakout session appear in a list. Select the name of the presenter in the list whom you want to request to share breakout session content, and then click OK. Note: The last presenter receives instructions for sharing content from the breakout session in the main training session.
