1 CSU Stanislaus Office of Information Technology Elluminate Introduction & Handbook What is Elluminate? Elluminate is the university s online meeting and conferencing service. Users can create virtual rooms (setting a starting and ending date for the room s availability) and use them for any number of sessions. The owner of a room typically uploads a variety of multimedia content into the session in order to give a presentation. Participants access Elluminate sessions via a web URL but the actual room runs as a small application on the participant s computer. The application is automatically downloaded and installed the first time a participant joins an Elluminate session. Users can use headset mics and webcams, in addition to chat, to communicate during a session. Elluminate also features basic desktop sharing and web site tours. User Accounts User account management is handled by Glenn Pillsbury (gpillsbury@csustan.edu). Eligible users include current CSU Stanislaus faculty, staff, and students (with instructor approval). Users accounts are only required if the user would like to create rooms and moderate sessions. General participants do not need an account to join a session. Users should contact Glenn for password problems or other questions related to their account. 2 Elluminate Introduction & Handbook 2 Some Basics How to create a room: 1. Start at and click My Elluminate at the top of the page. 2. Login with your username and password. 3. Click Schedule a meeting in the left- hand menu 4. Enter a name for the new room 5. Set the starting and ending date for the room s availability. It s perfectly fine to set a room s availability to last for the entire semester! 6. Click Create the session (upper right) 7. The confirmation screen displays the room URL to be used by participants (not you!) to enter the room. this URL or post it to Blackboard. 8. A confirmation should be sent to you that contains that same URL for your participants and another link for you to use. How to join a room: Rooms exist for the duration specified in the starting and ending date when the room was created. There s no need to schedule an individual session in the room through Elluminate as long as the room is still in existence. Just enter the room whenever you need to meet the room will be there! Regular Participants/Students: Go to the URL of the room (this should have been ed to the participants or posted on Blackboard). Participants are asked to give their name before entering so that they can be identified once inside the room. Moderators/Instructors: The confirmation contains a link for moderators to use, labeled Join the Elluminate Live! Session. You must click that link in order to enter the session as a Moderator. o Help! I lost the confirmation ! No problem. Login to your My Elluminate page. Click Display Schedule (upper right) and click the Join link for the room you re interested in. You will then join as Moderator. How to put content on the whiteboard: There are different ways to place stuff on the whiteboard depending on the kind of stuff it is and how your presentation is organized. The whiteboard is a multi- page tool, similar to an old- style flip chart on an easel. Load a presentation of PowerPoint slides: 1. Click the little folder icon at the bottom of the whiteboard tool icons 2. Specify where in the current presentation you want the slides to appear (usually the defaults are fine, but Replace screen is also handy if you want to replace the current screen) and click OK. 3. Set the format dropdown to PowerPoint Files. Last edited by GTP 6/15/10
3 Elluminate Introduction & Handbook 3 4. Select Best quality from the Import Options on the left. 5. Find your PowerPoint file and click Open. 6. Choose Canvas size when asked to specify the size of the imported slides. 7. Each slide will be put onto a separate page of the whiteboard. Use the blue arrows above the whiteboard to navigate among them. Load a single image file: o Option 1: 1. Click the Image icon in the whiteboard tools. 2. Locate your image and click Load 3. Drop the image into the whiteboard by clicking on the spot on the whiteboard where you d like the image to be. You can move it later if necessary. o Option 2: 1. Open the folder on your workstation that contains the image (find it in My Documents, the Desktop, or wherever it is). 2. Drag the image directly onto the whiteboard! Display an excerpt of text: o Click the Text editor icon in the whiteboard tools. o Click on the whiteboard to open a new text box o Paste the text excerpt into the box (cmd- V or ctrl- V only!). o The text box can be resized by dragging the handles on the edge of the window. Display a PDF or Word document: o Sorry. You can t display these types of files directly on the whiteboard without first converting them into a PowerPoint slide or an image file or pasting the text into a text box. o Instead, share these documents with the participants using Elluminate s file transfer feature. Once the participants receive the file they simply open it on their local workstation. How to share documents with participants: Some document types are better served by being transferred directly to the participants, downloaded by them, and opened on their workstation using the relevant application. PDF and word processing files are prime candidates for Elluminate s file transfer feature. 1. Click the file transfer icon in the top row of tools. The file transfer window opens. 2. Click the Load File button to locate the file(s) you would like to transfer and click Open 3. The file will immediately be sent to the participants. 4 Elluminate Introduction & Handbook 4 Note: Latecomers will not miss out on files that were transferred before their arrival. Upon arriving in the room, the system will prompt them to download any files that are in the transfer queue. How to talk to and be seen by participants: Elluminate s audio/video capabilities are some of its most exciting features. To use audio and/or video in your sessions you will need a USB mic and a web cam. Many newer computers have these built in. Note: If you are having trouble with Elluminate not recognizing your mic or camera, visit Elluminate s support site for help. Audio communication 1. Click the mic button in the lower- left of the Elluminate window to activate your mic. Adjust the sliders to set the mic volume (somewhere in the middle is good). 2. Click the mic button again to turn off your mic. Video communication 1. First, open the video window by clicking on the webcam- eye icon in the top row of tools. 2. Click the Preview button to compose yourself. 3. Use the dropdown menu at the bottom to set the video quality Click Transmit to share your video with the session. How to broadcast a video feed of a physical room into an Elluminate session: For example, use this if you re sharing a departmental event and using Elluminate for people to access the event and participate remotely. 1. Create an Elluminate room and distribute the URL for participants to use. 2. Connect a video camera and mic to the workstation and point the camera at the physical room. 3. Open the video window and click Device. 4. Select the video device aimed at the physical room. 5. Click Transmit to transmit the video feed from the physical camera into the Elluminate session. 6. Activate the Moderator s mic to broadcast the spoken activity in the physical space through Elluminate and to the remote participants. How to show web sites to the session participants: Rather than have each participant open their own browser and (mis)type URLs, use Elluminate s web tour feature to display a series of web sites to all the users at once. 1. Click the Start web tour icon on the top row of tools. 2. Enter the URL to start at. A web browser window will open on each participant s computer. They can scroll through the page but can t go anywhere else. Their browser will also follow any mouse clicks you do on yours. Last edited by GTP 6/15/10

Sessions Preparation Design sessions to include interactivity and include variety of content and interaction in your session. Provide opportunities for participants to interact and collaborate with each other. Practice before leading your first session. Become familiar with the session content. Open Web pages, applications needed for application sharing and screen captures before session begins. Find a comfortable place with no distractions to deliver the session. In-Session Tips Greet participants as they join your session. Remind your participants to use the Audio Setup Wizard in order to test their microphone and speakers. Speak clearly and don t rush. Ask questions and provide opportunity for interaction. Poll the class at various intervals to obtain their feedback. Remember to clear responses after each poll. Animate your delivery. Look at the whole screen, not just the whiteboard area. Encourage participants to respond and to raise their hands when they have a question or comment. Use the whiteboard tools to assist you in your delivery. For example, use the Highlighter to call attention to specific regions on the screen. Include features such as application sharing, Web tours, video, multimedia files, quiz manager, and breakout rooms to assist you in delivering your content.

7 Whiteboard Tools Quick Reference Guide Elluminate Live! provides powerful and versatile whiteboard tools that allow all users to draw or write on the whiteboard. Multiple users can interact on the whiteboard simultaneously. Moreover, the Elluminate Live! whiteboard is object oriented meaning that all objects placed on the whiteboard can be edited. The moderator controls access to the whiteboard. Available Whiteboard Tools The whiteboard tools are located on the left-hand side of the whiteboard. Attributes Panel The attributes panel is displayed along the bottom of the Whiteboard window and is available when you select a whiteboard tool. Some attributes are common to all objects, and some are dependent upon which tool has been selected. These attributes allow you to edit your object. Examples are color, line thickness, font, bold/italics, etc. Pen Tool To use the Pen tool, click on the pen ( ) and select the color and line thickness from the attributes panel. Press and hold down your mouse button and drag the cursor to where you want to end your line. Highlighter Tool To use the highlighter click on the Highlighter ( ) and select the color and line thickness from the attributes panel. Press and hold down the mouse button and drag the cursor to where you want to end the highlighter stroke.
8 Line Tool To draw a straight line, click the Line tool ( ) and select the color and line thickness from the attributes panel. Press and hold down the mouse button and drag the cursor to where you want to end the line. You can draw a horizontal, vertical or 45 degree angle by holding down your Shift key while drawing the line. Text Tool To enter text, click the Text tool ( ) and select the color, size, bold and/or italics from the attributes panel. Click the whiteboard to place an insertion point, and then type your text. Press the <Enter> key when you are done typing each line of text. Text Editor To enter multiple lines of editable text, click the Text tool ( ) and select the color, size, bold and/or italics from the attributes panel. Click the whiteboard to place an insertion point, and then type your text. Press the <Enter> key when you are done typing each line of text. Ellipse or Rectangle Tools To draw either an ellipse or rectangle click on either of the tools (,,, ) and select the color and if applicable the line thickness from the attributes panel. Press and hold down the mouse button and drag your cursor until the shape is the desired size. You can draw a perfect circle or rectangle by holding down the Shift key while drawing either an ellipse or rectangle. Laser Pointer To use the laser pointer, click the Laser Pointer ( ) and select an image from the attributes panel to use as your pointer. As you hold down your mouse and move the pointer on the whiteboard, or single click anywhere on the whiteboard, the participants will see the movement or image. Eraser Tool To erase foreground objects, click on the Eraser tool ( ). You will be presented with a Confirm Erase dialogue box where you have three options: My Objects -- only erase foreground objects you created All Objects -- erase all foreground objects Cancel -- cancel the erase The eraser tool is only available when there are objects in the foreground. Loading Images To load an Image on the whiteboard click the Load Image tool ( ). You can load any JPEG, GIF, Animated GIF or PNG file. Loading Clip Art To load clip art to the whiteboard, click the Clip Art tool ( ) and choose from the available clip art collections. Loading a Screen Capture Use the Screen Capture tool ( ), to capture your desktop or selected area of your desktop to a JPEG or PNG file and load this file on the whiteboard. Selection Tool To select an object on the screen, click the Selection tool ( ) and then click on the object. The selected object will appear with a border around it. You can select more than one object by using your Shift key while clicking on each object. To de-select the object, click on a blank space on the whiteboard, or click on the selection tool again. Manipulating Objects Grouping Objects Click the selection tool ( ) and hold down the Shift key while you select the objects you would like to group. Then click the Group button ( ). To ungroup objects, use the selection tool ( ) to select the grouped objects and then click the ungroup ( ) button. Moving Objects to the Background/Foreground Only the moderator can move objects into the background or foreground. Objects placed in the background cannot be deleted by participants. Click the selection tool ( ) and select the object you wish to send to the background. Click ( ) to move the selected objects to the background. To move objects in the background to the foreground, click the move all objects button ( ). This button is only available if there are objects in the background.
9 Cut/Copy/Paste/Delete Objects Click on the selection tool ( ) and select the object(s) you wish to manipulate. Then right mouse click anywhere on the whiteboard (for Mac users, hold down your Control or Command key and click on your mouse). You will have the following abilities: Cut Object(s) - cut object on the whiteboard and place on clipboard Copy Object(s) - copy object from the whiteboard on to clipboard Paste Object(s) - paste a previously cut or copied object onto the whiteboard Delete Object(s) - delete object from the whiteboard 2009 Elluminate Inc.
