3 What is Connect A rich Web communication system lets instructors reach an audience anytime with engaging multimedia content. Currently, Connect and Acrobat Presenter available at Purdue Users only need Adobe Flash Player to view Connect Presentations and join Connect Meetings Plug-in required for creating presentations, drivers needed for webcams (and some microphones) Adobe Media player required for downloaded recording playback Sample Connect Presentation Sample Connect Meeting Recording

4 What is Acrobat Connect? A web meeting room for online meetings, lectures, and presentations Share ppt and other files Share computer screen Interactivity through: Online polls Chat/audio/video Question & Answers Pod View/Control others screen

5 Activity: Participating in a Meeting room Open your browser and go to: Try out the Chat pod View your status in the Attendee List After you are promoted, work on the whiteboard and see what else you can do Try out Breakout rooms

6 Who can use Connect Faculty & Staff (those on Purdue payroll) Can create unlimited number of meeting rooms after filling out request form Purdue (West Lafayette) Students Each student will have one single meeting room Can t create can record, but need workaround Non-purdue users Can also attend Connect Meetings but faculty or students have to send them URL Host of meeting room has to change their status to presenter or host if they need to present

7 Viewers need Flashplayer to view Connect Meetings Adobe Acrobat Connect Add-in Needed for users who will need to screen share or upload files to Connect Meeting sessions Available at Get Started screen You ll be prompted to install Flashpaper (optional) Install file for PC Only What needs to be installed Allows users to Save any file in Flashpaper (swf) format and share it in a Breeze Meeting Available at Get Started screen

8 Activity: Get your Author and Meeting Host Role Only needs to be done once 1. Open your browser and go to: 2. On the left, click Request Author and Meeting Host Role 3. Log in with your Purdue Career account login and password; at the next screen, click Confirm In the future, log in at

9 Connect Meeting Pods A meeting room contains a number of display panels, called pods. When hosts set up a meeting room, they determine the number and types of pods that participants see. The following types of pods are available: Share Attendee List Chat Q & A Note Camera and Voice File Sharing Poll Web Links

11 Breakout Rooms Breakout rooms ( ) are sub-rooms that can be created within a meeting or training session. Breakout rooms can be used in meetings and training sessions that have 50 or fewer people (up to 5 breakout rooms for a single meeting) Use chat, whiteboard, share screens in the Breakout rooms Host can visit all breakout rooms.

12 Share Pod in Connect Meeting Can upload PPT presentations From your computer From previously-uploaded content Save any other type of document as Flashpaper and upload as a document Share your computer screen Desktop vs. window vs. application

13 Creating a Meeting Room Meeting rooms are like physical rooms Can restrict access to certain Purdue users or make room accessible via URL (anyone can join) You can search all users at Purdue and select participants for meeting (i.e. only those can attend) You can give colleagues host or presenter access ahead of time so they can conduct meeting in your absence (only users w/purdue Career Accounts) You can send Invitations to Current Participants of the room BEWARE of possibility of creating major SPAM

14 Instead of Finish, if you click Next: Other Features of Meeting Rooms You can search all users at Purdue and select participants for meeting (i.e. only those can attend) You can give colleagues host or presenter access ahead of time so they can conduct meeting in your absence (only users w/purdue Career Accounts) You can send Invitations to Current Participants of the room BEWARE of possibility of creating major SPAM

15 Activity: Creating a Meeting Room 1. Go to: 2. Log on with your Purdue Career Account 3. Go to Meetings Tab. 4. Click the New Meeting button 5. Enter a name for the meeting 6. (optional) enter a custom URL (otherwise Connect will assign a number for the room) 7. (optional) summary, start time, duration settings 8. (important) choose access type (only registered users & accepted guests vs. anyone who has URL) 9. Click Finish

17 In your meeting room Create new layout Activity: Create a Custom layout Add the following pods (resize and move them according to your preference) Web links pod Share pod Camera & Voice Chat Poll Presenter Notes Activate Breakout rooms And any other pods you like

18 Dealing with Bandwidth Issues Must presenters use video? Other participants? Consider audio only instead Can a still image be displayed instead? Send slow video To audio or not to audio Is a teleconference a better option? Select appropriate audio setting When more than one speaker, don t lock audio; only broadcast audio when speaking

19 Activity: Optimize your Meeting Optimize your Room Bandwidth Leave in DSL? My Connection Speed Adjust your meeting speed and tell all participants to adjust this, too Run the Audio Setup Wizard (all participants should) To make sure your mic and speakers/headset works Select Camera To make sure Connect recognizes your USB camera

20 Activity Record/Access Meeting To Record session, simply go to: Meeting > Record Meeting Enter title and information, click OK To access the recording of a meeting, simply go to: Connect Manager > Meetings Click on the name of the Meeting room. Near the top of the window, click on Recordings.

21 Preparation is everything Have presenters practice before the big day to iron out technical problems Ask participants to show up 10 minutes early Display instructions to run audio setup and set connection speed Participants give a thumb s up when ready to go

22 Ideas for class implementation Re-use rooms rather than recreating them for each event Have students use their personal Connect rooms to work on class projects For class use, have a private meeting room available at the same time as a class meeting room Can send/take one or a few students there to work while large class meeting in session Promote students to presenter role to present to class virtually
