2 CooBill is a billing system developed by ZYCOO Europe and is designed to integrate with our CooVox Series IP Phone Systems. Its primary purpose is to aid enterprises in managing their telecommunication billing process, and allow them to access a detailed account list of daily calls or to produce bills for customers. Once integration with CooVox IP Phone Systems is complete, CooBill can be used to check billing for each extension, recharge for a selected extension, etc. There are two mandatory components that make up the CooBill application, CooBill patch & CooBill client. CooBill patch can be downloaded directly from ZYCOO official website. Once downloaded and installed, your CooVox IP Phone system will be upgraded with the new billing features. You will however need to purchase and apply a license before the billing system is enabled. Meanwhile, download CooBill client and configure it as detailed in the instructions within this document. 1. Installation Requirement CooBill Client installation filename: CooBill-en_win CooBill Client requires installation on a compatible system and supports the following operating systems: Windows 7/ Windows Vista/Windows 8/Mac OS. Windows XP is not compatible. Supported Languages: Chinese, English, Polish. If your PC system language is one of the three supported languages, then the CooBill client will automatically match this language on startup. However, if your system language is not supported, then the CooBill client will default to English. 2. How to install CooBill patch to CooVox Series IP PBX 2.1 Install CooBill Patch Login to your CooVox IP Phone system and navigate to the System Upgrade screen. Ensure that web upgrade is selected and click browse to locate the billing patch on your PC. Finally select upload to apply the billing patch. NOTICE: DO NOT upgrade your phone system once the CooBill Patch is installed; otherwise, Copyright ZYCOO All Rights Reserved 2 / 24

3 CooBill system will not work normally. 2.2 Apply Billing License After your CooVox has successfully upgraded, you will find that the sub-menu License now appears in the System menu: Copyright ZYCOO All Rights Reserved 3 / 24

4 Click Download to download a licensing information file from your CooVox system. The file will be named license.raw Once you have the downloaded file you need to contact ZYCOO sales who will issue you with permit license that is required to activate the billing feature on your system. After receiving your permit license, upload it in the upload license section of the license screen. Finally, after the upload has completed successfully, you need to reboot the system to allow the billing feature to take effect. 8 3.6 Configure CooVox IP Address Before starting the CooBill application, you first need to connect the billing platform to your CooVox system. To achieve this you must configure the IP Address and related port of your CooVox IPPBX into the information screen as detailed in the below example. Click the left-bottom link of the login page to see the above figure. Reference: Host IP address of the CooVox IP PBX which has CooBill system patch installed. 3.7 Login Input the username and password, select the language to login. If you are an administrator, please tick Admin Panel to sign in. Extension users can sign in with their extension number and password. Copyright ZYCOO All Rights Reserved 8 / 24

9 Reference: Username Password Language Admin Panel Administrator should sign in with admin username; Extension user should sign in with their extension number. Administrator should use the admin s password. The password for an extension nuser should be assigned by an administrator. Select the language. (Currently supports Chinese, English and Polish) If you are the administrator then please tick this option to enter into the administration panel. 4. General Settings 4.1 Settings Settings page will display the general information of the billing system including Application version, current device URL, server version and server build date. 10 4.2 Rate This page allows you to define the billing rate for each extension. You can add, delete or edit the rate rule here. Right click the corresponding rate rule to Edit, Activate/Deactivate, Remove or check the Rate History. Click Add rate to create a new rate as below: Copyright ZYCOO All Rights Reserved 10 / 24

11 Reference of Add Rate: GENERAL SETTINGS Prefix number Prefix number of dialed number. Prefix number must match the outbound route rule of CooVox IP Phone system. Any prefix number can be matched if it s null. Number length The number length should be the total length of outbound call from CooVox IP Phone system(including prefix number). E.g. If the number rule is 9xx, you delete the first digit and when you dial a number for example , the number length is 9 digits. Rate Defaulted USD. Unit(s) Unit is in second (s). If rate is $0.2 and unit is 60s, then the rate for this extension is $0.2 per 60 seconds. (When time is less than the rate time, it will be charged as 1 unit) From & To Init cost & Init time [s] Extension (Un)check all OTHER SETTINGS Defines the time duration for billing If Initial cost is $0.2 and initial time is 180s, then billing will be charged $0.2 for the first 3 minutes. 12 4.3 Extension The Extension page allows you to check/edit an extension s status and also amend the pay type. Click Clear button (at the bottom) and all of the rate information for the extension will be reset, regardless of the Total Charge/ Balance. Click (Un)check all to select all the extensions displayed on this page, and then select either Edit, Recharge or Clear. 13 Reference for Edit extension: Extension Extension Number Password change Click Generate to receive a random password for this extension login. Status Admin can define two different status. These are LOCKED and UNLOCKED. If set to LOCKED, this extension cannot make outgoing call. Limit credit If you are a PREPAY user, when your balance is less than the defined credit limit then your outbound calls will be blocked. If you are a POSTPAY user, you can use as much call time until you reach the credit limit. Pay type PREPAY or POSTPAY Copyright ZYCOO All Rights Reserved 13 / 24

15 4.4 Recharge history This page allows you to check recharge history by date and extension. 16 4.5 Call Logs This page allows you to check call logs and the cost of each call. All logs and costs will be displayed in the bottom window. Reference: Start date & End date Field Filter Download Delete selected row Call start Caller Source Destination Bill sec. Disposition Cost Download Delete selected row Define the time duration of filter. Filter by Caller Name, Source, Destination and Disposition. Click Filter to display the results. Download the filtered information to the local PC as file format(.csv) Click Delete selected row to delete the selected call log. 17 4.6 Statistics This page will display billing statistics. Reference: Extension Start Date & End Date Duration Filter Download Date Extension Calls Total duration Average duration Total cost of calls Define an extension Define the time duration for statistics Define the period for statistics(daily/ Monthly) Click Filter to display the result in the following list Download filtered statistics to the local PC as file format(.csv). 18 5. Extension User Login 5.1 Generate extension password Click Generate on the Extension page, a random password will be generated as the extension password for login. See below figure: Click Save and make the password take effective. Copyright ZYCOO All Rights Reserved 18 / 24

20 5.3 Settings This Settings page will display the basic information of this extension including extension number, name, status, etc.. And the password can be modified here. Reference: EXTENSION INFO PASSWORD SETTINGS The extension info shows the total charges, balance, limit credit, pay type of the extension. Here is for password modification of the extension. 21 5.4 Recharge History This page allows extension user to check the recharge history of his/her extension. Reference: Recharge date Prebalance Recharge Post balance The detail time for recharge Prebalance is the balance before recharge. 22 5.5 Call Logs This page allows extension user to check the call logs by filtering callee name. Reference: Start Date & End Date Field Filter Download Define the time duration for check Check the call log by destination or status Click filter button, the result will be displayed in the following list. 23 5.6 Rates This page will help the extension user to check the rate of calls. Reference: Pref. Prefix number of dialed number.
