VCH and PHC are implementing the Desktop Transformation Program (DTP) to ensure that health authority hardware remains up-to-date and functional. Under the program, all new desktops, laptops, tablets, LCDs, and docking stations will be leased on a three-year term, rather than purchased. Leasing offers increased flexibility for updating hardware and ensures employees have efficient tools to assist them in their work. Through the Accelerated Technology Refresh Project (ATRP), VCH and PHC are working with our vendor, IBM, to replace 6,000 devices this fiscal year, with another 6,000 to be replaced in the fiscal year. Once complete, all devices across VCH and PHC will be on a three-year refresh plan. -1-

2 What are the costs to my department? As ATRP has been initiated by the health authority, all costs will be held centrally. Departments with special change requests for certain devices will require appropriate manager/director approval. Any incremental costs will be charged back to the requesting department s cost centre. When is my site scheduled for our new computers? A discovery and deployment schedule can be found on the VCH Desktop Transformation Program intranet site, found here. How often will the computers be upgraded? Every 3 years to coincide with the lease schedule. What happens to the old equipment? IBM (our vendor) is responsible for disposal of the old equipment. Old devices will be permanently removed from the network, all data on the hard drives will be permanently deleted, and the device will be disposed of in an environmentally friendly manner. Any legacy devices not currently used by staff should be disconnected and disposed of. What are the specifications for the new computers? The current standard PC is the Lenovo M91p, featuring: o Intel Core i5-2400s Quad Core 2.50GHz o 4 GB RAM o 250 GB Hard Drive o Integrated Intel Graphics o Lenovo 22 Widescreen LCD The current Laptops are the Lenovo X220 & T520 featuring: o Standard laptop: Model T520: -2-

3 Intel Core i5-2520m processor, 2.50 GHz 4 GB RAM, 350 GB Hard Drive Integrated Intel Graphics 15.6 W LED backlit display Laptop weight is 5.54 lbs. Battery life is 7.7 hrs on 6-cell battery o Small Laptop: Model X220: Intel Core i5-2520m processor, 2.50 GHz 4 GB RAM, 160 GB Hard Drive Integrated Intel Graphics 12.5 W LED backlit display Laptop weight is 3.31 lbs Battery life is 9.2 hours on 6-cell battery Devices are replaced on a like-for-like basis. Any requests to change from a desktop to a laptop must be reviewed and pre-approved by your Manager/Director. Requests to change from a laptop to a desktop will be accommodated without addition approvals needed. What about my scanner, label printer, digital camera or other peripheral devices? Requirements for reinstallation of peripherals are: o The device software must be Microsoft XP compatible o The device must be USB compatible if it requires a port to connect to your new computer Net-new device requests will be charged to your department s cost centre. Locally attached printers will require a print assessment. Contact your Service Desk to request local printer support from Output Management Group. Department-owned hardware will not be addressed through ATRP. Departments or programs are required to maintain their 3 rd party HSSBCunsupported applications through the transition to new workstations. Site contacts should make arrangements with the associated vendor(s) to ensure that all 3 rd party HSSBC-unsupported applications are reloaded on the newly deployed workstations. You are asked to contact your service desk for assistance with re-attaching external devices. -3-

4 Can I give my old laptop to a co-worker? There will be no cascading of devices. Cascading refers to the process of relocating existing devices within an area after a new device is deployed. This request is common; however it is extremely resource intensive and costly. Any requests to cascade a device will be declined. What about my software? Software is also replaced on a like-for-like basis. Any requests to change software must be reviewed and pre-approved by your manager. The new equipment will be pre-installed with the following: o Windows XP Professional, Service Pack 3 o Microsoft Office (Word, Excel, PowerPoint and Outlook) o Internet Explorer, reinstalled for like-for-like version. Alternate browsers such as Firefox, Chrome are not supported. o Visio Viewer o Media Player o Microsoft Silverlight o Adobe Reader, Adobe Flash Player, Adobe ShockWave o AntiVirus software o Disk Encryption (for Notebook PC s only) o Software specific to VCH or PHC o Websites, favorites and bookmarks. Every effort is made to copy all bookmarks to the new IBM Lenovo workstations. If you or your staff have critical links or bookmarks and would like to confirm they will migrate to the new workstations, contact your HA service desk for confirmation and assistance: VCH Service Desk: PHC Service Desk: What can I expect when the team arrives to switch my computer? To begin with, a discovery team will arrive at your site to inventory eligible devices and the associated software. Following this stage, the deployment team will arrive with the new computer already configured with the correct software. The preparation and physical deployment will be carried out by the vendor, who will ensure that: o The new computer is operating properly -4-

5 o Any pre-approved specialty software is reinstalled o Additional desk side assistance is provided at the time of deployment o Information sheets are left for each staff member receiving a new device o Devices are locked down for security purposes (where applicable) Every effort will be made to minimize the impact to work schedules.
