3 1 Process Overview Use service indicators to provide or limit access to services at your institution for an individual or organization. Service indicators can be holds that prevent a student from receiving certain services or positive indicators that designate special services to be provided. Service indicators consist of one or more impact values that identify the types of specific services that are restricted or provided. When a service indicator is assigned, the corresponding negative or positive service indicator button appears on most pages about that individual or organization. One button can represent one or several service indicators. You would click the buttons on any of those pages to navigate to the appropriate details page, where you can determine how many and which restrictions apply. (negative service indicator) (positive service indicator) Appears on a page when a negative service indicator is assigned to the individual or organization. Click to access the Manage Service Indicators page, from which you can view details about the service restrictions associated with each negative service indicator for the ID. Appears on a page when a positive service indicator is assigned to the individual or organization. Click to access the Manage Service Indicators page, from which you can view details about the service privileges associated with each positive service indicator for the ID. 4 2 Related Information PREREQUISITES AND ASSUMPTIONS PREREQUISITE/ASSUMPTION DETAIL KEY DEFINITIONS TERM/ACRONYM Plan Program Sub-Plan Term Values DEFINITION A plan is what the student is admitted into and pursuing. A student can have multiple plans. (Major, Minor or Certificate) A program is the academic program to which a student applies and is admitted and from which the student graduates; a program offers plans and sub-plans A sub-plan is an emphasis, concentration, or option within a plan. Term values are 4 digits: o 1 st digit is the century (ex: 2 for 2010) o 2 nd and 3 rd digits are the last two numbers of the year (ex: 10 for 2010) o 4 th digit represents the term: 2=Spring, 5=Summer, 8=Fall o Fall 2010 is represented as 2108 Service Indicators BPG Page 2

5 3 Placing a Service Indicator Step 1 Component Navigation (use the left hand navigation bar): Campus Community Service Indicators (Student) Manage Service Indicators Your menu options may vary based upon your security setup. Step 2 1. Enter the student ID or you can search by last and first name 2. If multiple students come up when searched by name, then select the correct student by clicking on the blue hyperlink for the associated student. Service Indicators BPG Page 3

6 Step 3 Select add a service indicator 1. If a student does not currently have any service indicators the page will look like the following: 2. Select the add service indicator hyper link to place a new service indicator. Step 4 You will enter Service Indicator Data Service Indicators BPG Page 4

7 1. Enter the service indicator code and reason code for the student. You will only be able to select from codes that you have security to. 2. Enter the effective dating information is the default start term and means that the code is in effect indefinitely until it is removed. A user can enter an end date or term if they wish for the service indicator to become inactive after a certain point in time. 3. The information entered in the comments area can only be seen by administrative staff. It is not required and is not retained once the service indicator has been removed. 9 4 Releasing a Service Indicator Step 1 Component Navigation (use the left hand navigation bar): Campus Community Service Indicators (Student) Manage Service Indicators Step 2 1. Enter the student ID or you can search by last and first name 2. If multiple students come up when searched by name, then select the correct student by clicking on the blue hyperlink for the associated student. Step 2 Once you have entered the page, select the blue service indicator code hyperlink to select the code that is to be removed. Service Indicators BPG Page 7

10 Step 4 1. Select the release service indicator button. Step 5 You will be prompted to validate the release of the service indicator. Click OK. Service Indicators BPG Page 8
