Financial Aid-Campus Community Training Registration Procedure In this topic you will learn how to register for a UITS training class. 1. Click the UITS Support & Resources link. Page 1

6 2. Click the Workshops link. 3. Select the applicable workshop from the End-User Workshops and Tutorials UAccess area. Click the Basic Reports and Dashboards -- General link. 4. A list of classes available for the workshop chosen will display. Page 2

7 5. Click the register link. Page 3

8 6. If you have already been through Web Auth before logging into UITS you will not be prompted to log back in at this point. If you have not yet been through Web Auth before logging into UITS, you will be prompted at this time to enter your NETID and password then click the LOGIN button. 7. Click the Complete Registration button. 8. A registration complete screen will display confirming successful registration in your chosen workshop. Page 4

9 9. Click the Manage My Workshops link to view a list of current and previous workshops you have registered for. 10. A list of current and previous workshops display. Viewing Service Indicators for Students Use service indicators to provide or limit access to services at U of A for an individual or organization. Service indicators can be holds that prevent an individual or organization from receiving certain services or positive indicators that designate special services to be provided. Service indicators consist of one or more impact values that identify the types of specific services that are restricted or provided. Examples: Negative service indicators include: no check cashing privileges, enrollment verification or transcript holds, and denied registration for classes. Positive service indicators include check cashing privileges, front-of-line service, use of the gym, special services for disabled students, and so on. You might define a positive service impact to permit specific students to receive their student identification cards earlier than the remainder of the student body. You might define a negative service impact that prevents specific students from receiving their student identification cards until, for example, they submit past-due enrollment deposits. Procedure In this topic you will view Service Indicators assigned to Student. Navigate to: Campus Community, Service Indicators, Person, Manage Service Indicators Page 6

Viewing Checklists for a Student This chapter provides an overview of the 3Cs communications, checklists, and comments and lists common elements. The 3Cs communications, checklists, and comments are a flexible way to track and analyze correspondence, lists of requirements, and notes about the students, staff, constituents, and organizations in your database. Procedure In this topic, you will learn how to view a checklist for a student. Navigate to: Campus Community, Checklists, Person Checklists, Person Checklist Summary 25. Click the scrollbar. Page 14

19 26. Click the Checklists link. 27. Click the Person Checklists link. 28. Click the Checklist Management - Person link. Page 15

20 29. Enter the desired information into the ID field. Enter " ". 30. Click the Search button. 31. The Checklist Management 1 tab let's you view any Checklist assigned to a student. 32. Instead of "Contacts" in your prior system, you will now use-checklist Management for assigning student "To-Dos", assigning Counselors and assigning counselor's "To-Dos". 33. You can review what type of checklist and what is needed from the student. 34. The Status field indicates if it was initiated or complete. Once the student completes the task, then it is set to Complete by a FA officer or automatically. The Due Date is below. 35. Notice these icons, they are Service Indicators. Please see the Service Indicator section for more details. 36. The Variable Data button is used when and 3Cs are assigned. It defines the Aid Year for the 3C in question. Page 16

21 37. Click the Checklist Management 2 tab. 38. The Status field informs you of the current status of the Checklist. A counselor will be assigned to this Checklist item table. And you can inform the student of the counselor that has been assigned to them. 39. This page gives you a summary of the checklist. Page 17

The 3Cs communications, checklists, and comments are a flexible way to track and analyze correspondence, lists of requirements, and notes about the students, staff, constituents, and organizations in your database. Procedure In this topic, you will learn how to view a Comment for a Student. Navigate to: Campus Community, Comments, Comments - Person, Person Comment Entry 42. Click the Campus Community link. 25 46. Enter the desired information into the ID field. Enter " ". 47. Click on the "Search" button. 48. On this page, you can see the date and time that the comment was assigned to a student. 49. Procedure In this topic, you will learn how to view a communication for a student. Navigate to: Campus Community, Communications, Person Communication, Communication Management. 53. 29 57. Enter the desired information into the ID field. Enter " ". 58. Click the Search button. 59. On this page, you can view the Communication that was sent to the Student. 60. In this example, you can see that an was sent on January 20, 2010 by the FA office. The Letter Code field gives a brief description off what the 's subject was about. Page 25

30 61. Click the scrollbar. 62. The Communication Process Detail section gives you information on the date, if there were any comments and what Dept. sent the U of A will not be using this function at this time. This check box is available only if the individual to whom you are assigning the communication has a joint relationship on the Relationships component. 64. The Communication Outcome section indicates when you run either the Letter Generation process or the Communication Generation process, the system automatically completes the fields in this group box to indicate the outcome of the communication. 65. Click the Communication Recipient Data link. 66. The Communication Recipient Data gives you a brief overview on the communication sent. Page 26

Viewing Student Groups Track student membership in various groups for reporting, fee calculation, or degree progress assessment. You track groups within an academic institution, so students of any program or career can be associated with the same group. Procedure In this topic, you will learn how to view Student Groups. Navigate to: Home>Records and Enrollment>Career and Program Information>View Student Groups by Student 69. Click the Records and Enrollment link. Page 28

View Packaging Status Summary This page provides an overview of information from components in the Financial Aid menu. Students cannot see this information from UAccess Student. Procedure In this topic, you will learn how to view the Packaging Status Summary for a Student. Navigate to: Financial Aid, View Packaging Status Summary, Financial Aid Status 77. Click the Financial Aid link. Page 32

38 79. Enter the desired information into the ID field. Enter " ". 80. Click the Search button. 81. The Packaging Status Summary page provides a summary of the wide variety of information the Packaging routine uses. It includes Federal and Institutional Verification Status, Disbursement Hold, Satisfactory Academic Progress, and Packaging Information. 82. The student's EFC Status (Expected Family Contribution) represents data from the financial aid application. The status can be Official, Rejected, or Unofficial. 83. The following screenshots are defined for everyone, however, only a few will have access to update and change values. The majority of the staff will only have view access. 84. The Aid Processing Status field indicates where the student is in the awarding process. The values are: Active:The system assigns this value automatically when you load the student s first ISIR into the system. Canceled: You have canceled the student s financial aid application. You must enter this value manually. Restricted: The student has applied for restricted aid only. You must enter this value manually. 85. The Checklist Review Status field has the following values: 1. Incomplete: Can be any of the reasons below - (a) No Valid ISIR or ISIR loaded and Checklist Review Status has not been run. (b) Tax and/or Non-Tax Checklists are assigned and not complete. 2. Complete: Tax and Non-Tax Checklist are complete or were not assigned. 86. The Checklist Type field has the following values: 1. None: Can be any of the reasons below - (a) No valid ISIR or ISIR loaded and Checklist Type Update has not been run. (b) Tax or Non-Tax checklist is not assigned. 2. Tax: Tax Checklist is assigned. Even if Non-Tax Checklist assigned. (3) Non-Tax checklist is assigned and Tax Checklist is not assigned. Page 34

39 87. The Federal Verification Flag field has the following values: 1. Not Reqd: Can be either- (a) No valid ISIR or ISIR loaded and Federal Verification Flag Update has not been run. (b) Verification Selection Ind on ISIR = N 2. Verification Selection Ind on ISIR = Y 88. The COD Verification Status field has the following values: 1. Not Select: No valid ISIR or ISIR loaded and COD Verification Status Update has not been run. 2. Verified: Tax verification student and/or parent) is complete. 3. Sel No Vrf: Student is selected for verification by CPS, but does not meet institutional verification criteria. 4. Wtht Doc: Grants are disbursed under a temporary status because the student has applied for a tax extension. Student must be verified prior to the close of COD reporting for an award year. 5. Blank: Student is not selected for verification by CPS and has not been verified by UA. 89. Default: Identifies aggregate source to be used based on value defined on FA Installation Defaults. NSLDS: Indicates that awarding and packaging will use the NSLDS aggregate totals. 90. Click the TERM link. 91. Use the Financial Aid Status Term Information page to view the student's term, career, and other term information. 92. Click the Return link. 93. Click the ISIR Information link. 94. Use the ISIR Information page to view information from the student s most recently loaded ISIR and information from Campus Community. 95. Click the Return link. 96. Click the Database Matches link. Page 35

40 97. Use the Database Matches page to review or manually override a student's status for the U.S.E.D. federally required database matches (populated by the ISIR data load process). The majority of the staff will only have view access. 98. Click the OK button. 99. Click the Need Summary link Use the Need Summary page to view the student's cost of attendance and need, calculated with both federal and institutional methodologies. At this time, UofA will only be using the Federal section Click the Return link Click the PELL link Use the Pell Information page to review Pell information or to initiate Pell Payment processing for a student if they have received a Pell Grant award. The majority of the staff will only have view access Click the OK button Click the PELL Calculation Override link.
