2 Procedure In this topic, you will learn how to Generate, Review and Print Invoices for Students. 1. Note: Prior to performing this procedure, Late Fees Processing - Billing and a Billing Request must be created. The billing request number should be noted. See the training documents entitled Late Fees - Billing and Create Billing Request_Student. All student invoices will be generated via a batch process once per month. This procedure exists in case of an emergency situation where we would need to create a bill for an individual student. This would only be done by the Student Accounts Manager or Accountant. The rest of the staff may need to reprint an invoice that has already been generated but would not be allowed to generate a new invoice for a student. 2. 4 4. Once you sign in, you will see a list of navigation links that relate to your roles and responsibilities. Bill Customers is within Student Financials menu. Click the Student Financials link. 5. 11 14. Invoice Info Student tab displays invoice information such as type, status, prior invoice amount and total billed and due date. To view invoice information for the next student's invoice, click the Next in List button. 15. Bill Career tab display's the student's academic information, load, residency and campus. 15 20. Manually enter the Run Control ID. Click the Add button. 21. Print Options: Enter the Business Unit ILSTU or click the Look Up button to select from the list. Click the Print Invoice By drop down link and select a value from the list. Click the ID Look Up button to select a student from the list. 16 22. Override Bill Request: Click the Override Bill Request Layout checkbox. The invoice Layout should default to ISUINV01 once the invoice number is selected. NOTE: The Aid From and Aid To fields are mandatory, but they are inactive. To activate them, click the Invoice Layout Look Up button and change from ISUINV01 to ORGINV01. 17 23. Click the Aid Term From and To Look Up buttons and select a term from the list. Click the Address Usage Look Up button and select a value from the list. To include printing a schedule of classes, click the checkbox and select a Term. Click the Run button. 24. Check the printer for the printed Invoice. 25.
