3 Curriculum Control Files Path: Scholastic System Functions In PCSchool a subject is linked to Students, Teachers, Classes, Year Levels and Periods. Regardless of what type of Subject is used there are predefined fields created. The predefined fields cannot be changed and may or may not be used. The result field s data may be entered as free formed or pre-defined. Curriculum personnel must set up these features. The following fields are used in reporting, the Period ID must reflect the correct period for the subjects. Periods can be added for future use and subjects entered against those periods. All of the prerequisites are entered via System Functions Curriculum Control Files. Regardless of what type of Subject is used, predefined fields must be created for accurate reporting. These Fields are: Subject Codes Areas of Assessment Achievement Codes Comment Categories Comment Bank Subject Period ID Key Areas (optional) Classification Result Options Created in version /30

4 Subject Codes Before Subjects can be allocated to Students the Subjects will need to be created. Within PCSchool a Subject is linked to Students, Teachers, Year Levels and Periods. Within the Subjects Code tab there are two tabs; Subject Subject Supplement Subject Each Subject requires a unique numeric code for identification. Any numeric code can be entered, but it must be unique. Ideally, one code is allocated to each subject. This code is used when allocating Subjects to Students. Subjects are assigned to the students by class and/or by year level. Created in version /30

5 1. 2. No: Clear View Next Available Click either; Clear View, to clear before entering a new number. Next available, to bring up the next available number. Enter a unique numeric code or accept the default from Next Available. New Zealand: Can be the same as the NZQA number. 3. Tag to Exclude Check if this subject is not to appear on assessment reports. 4. Radio Boxes Enable Result Sync in Personal Markbook; Check to enable saving results to Students in the Personal Markbook. Enable Result Synch in Collating Markbook; Check to enable saving results to Students in the Collated Markbook. Regard as Spare or Non Roll Period; Absence Roll Marking, this will place an asterisk in the period this subject is allocated to in the Timetable, alerting you to the fact that no roll will have been marked. 5. Subject Name: Enter your description for this Subject. 6. Abbreviation: Will default from the description entered. Can edit. Compulsory entry for NZQA. 7. Timetable Abbreviation: Enter if utilising Timetable, the suggestion is 4 characters. Maximum seven characters. 8. Unit Description: Optional Subject Description. 9. Key Area: Optional, links the subject to key areas, such as Language. The Key area can be connected to Comment Categories to restrict the Comments for this Subject. 10. Board of Studies Code: Optional; Enter the BOS code for this subject if applicable. 11. Panel Codes: NZ. Select the MoE Panel code for this Subject. 12. TAFE Code: Optional. Australia. Enter the TAFE code if a TAFE Subject. 13. Units Credit: If applicable; enter the allocated units of credit for this subject. 14. Units If applicable; enter the Units studied each Term. 15. Billing Units: If applicable; Billing Unit is a $ value e.g This field connects with Debtors and can be used as an alternate way of doing Subject charges. 16. Subject Co-ordinator: Optional. Select from the list of Teachers. 17. Classification: 18. Provider Code/Location: Optional; Will Default to the blank unclassified code. If a classification is created with a sort order it can be added to the subject for reporting. Will Default to the School Code; An optional code can be entered if the Subject is to be studied at a different School. Location will default to 01 for the main School; If the subject is to be studied at an alternative location enter 2, 3 etc. 19. Criteria: Optional. Enter an internal subject criterion. 20. Save Click to save the entry. Created in version /30

6 Compulsory Entries for New Zealand New Zealand reporting has several compulsory fields that must have data entered in for accurate reporting. Please check the following areas have data entered. Following is an overview of information required. Further information is available within the NZQA/NCEA and MoE Manuals. 1. No The Subject Number can be the same as the NZQA number. 2. Abbreviation: Subject Abbreviation must be entered. 3. Panel Code: Select the MoE Panel Code for this Subject. 4. Classification: Select NCEA. Created in version /30

7 Subject Supplement New Zealand only; Enter MoE specific Subject information. The number of hours, each year level is studying the selected subject, must be entered. The Subject Supplement Tab enables the user to record associated information against the subject. Data required is annual Hours of Study, Mode of Instruction and the Learning Zone for the subjects. 1. Year Select a Year Level. 2. Pd ID Select the correct Subject Period ID. 3. Hours Enter the annual amount of hours the Subject will be studied. 4. Lang Level Select if this is a Subject with a Language Learning Level. 5. Learn Zone Select the Learning Zone. 6. Fee Non Refundable Enter the value of the Non Refundable Fee. 7. NR Fee Code Select the Cost Centre for the Fee. 8. Fee Refundable Enter the Value of the Refundable part of the Fee. 9. R Fee Code Select the Cost Centre for the Fee. 10. Bill To Select Debtors or Sundry. 11. Save Click to Save the details. Created in version /30

8 Areas of Assessment This view is used to enter areas of assessment for a particular subject, once set up these areas will be available for reporting on. Once created and saved the link between assessment and subject is permanent until removed. Comments can be attached to the Area of Assessment for reporting purposes. The link is not affected by updates of PCSchool. Create New Areas of Assessment Code numbers entered must be Unique across all Types. Several Types of Areas of Assessment are available; Academic Audit Academic Audit Personal Criteria Data Field Formula; Levels; allows levels to be attached to the areas of assessment Personal Standards/Modules; mainly for NZQA, can be attached to a Standard Testimonial; When creating the unique Code it is always of benefit, for ease of selection, to group the numbers, a suggestion would be to keep all the Academic codes within a group of numbers, within that group of numbers define further groups to relate to subjects. For Example: All Academic Areas of Assessment could be in the 1000 to 9000 range. Within this range of academic areas you could have English in the 5000 range and Maths in the 6000 range. These would all have the Type of Academic making it easier for selection when allocating the assessment areas to Subjects. Created in version /30

9 Academic/Audit Academic Academic and Audit Academic are used for adding a breakdown of curriculum related conditions to a Subject. 1. Click Clear View before entering in a new code. 2. Enter the new unique code you will be working with. Next Available can be used instead of manually entering in a new Code if you are not 3. grouping your Areas of Assessment. 4. Select the Type of Academic or Audit Academic. 5. Enter your description for this Code. The Abbreviation will default and can be edited. This Field can be used for sorting and 6. searching. 7. Optional; Enter a unique code, this Field can be used for sorting and searching. 8. Optional; Enter information as required. Internal will default, other options are; 9. External; if this is to be assesses Externally Heading; if this is to be used as a report Heading such as Writing or Reading. Optional; A Comment Category and Sub Category can be attached to the Area of 10. Assessment. The Comment must first be created in Comment Categories. If the instructed by PCSchool to attach an XML to the Area of Assessment it would be selected here; 11. The XML would need to be in PCSchool/Data on the server. Select the XML. Remove the entire path before the word Data. 12. Optional; Enter an internal comment appertaining to the Area of Assessment. 13. Click Save once all information is entered. Created in version /30

10 Personal/Audit Personal Personal and Audit Personal are available for behaviour and attitude reporting. 1. Click Clear View before entering in a new code. 2. Enter the new unique code you will be working with. Next Available can be used instead of manually entering in a new Code if you are not 3. grouping your Areas of Assessment. 4. Select the Type of Personal or Audit Personal. 5. Enter your description for this Code. The Abbreviation will default and can be edited. This Field can be used for sorting and 6. searching. 7. Optional; Enter a unique code, this Field can be used for sorting and searching. 8. Optional; Enter your freeform code for an Expected Outcome. Internal will default, other options are; 9. External; if this is to be assesses Externally Heading; if this is to be used as a report Heading such as Writing or Reading. Optional; A Comment Category and Sub Category can be attached to the Area of 10. Assessment. The Comment must first be created in Comment Categories. 11. 11 Criteria An expected criterion can be added to Subjects. 1. Click Clear View before entering in a new code. 2. Enter the new unique code you will be working with. Next Available can be used instead of manually entering in a new Code if you are not 3. grouping your Areas of Assessment. 4. Select the Type of Criteria. 5. Enter your description for this Code. The Abbreviation will default and can be edited. This Field can be used for sorting and 6. searching. 7. Optional; Enter a unique code, this Field can be used for sorting and searching. 8. Optional; Enter your freeform code for an Expected Outcome. Internal will default, other options are; 9. External; if this is to be assesses Externally Heading; if this is to be used as a report Heading such as Writing or Reading. Optional; To attach a comment it must first be created in Comment Categories and Comment Bank; 10. Used to construct testimonial. Also enable comments to be used as constrained result sets, eg. only certain comments can be used from the Comment Bank. 11. Optional; Enter an internal comment appertaining to the Area of Assessment. 12. Click Save once all information is entered. Created in version /30

12 Data Field Data from within PCSchool s Database can be included in Reports when attached to Subjects via an Area of Assessment. When Data Fields are attached to a Subject they do not appear on Reports but the Area of Assessment they are attached to will. 1. Click Clear View before entering in a new code. 2. Enter the new unique code you will be working with. 3. Next Available can be used instead of manually entering in a new Code if you are not grouping your Areas of Assessment. 4. Select the Type of Criteria. 5. Enter your description for this Code. 6. The Abbreviation will default and can be edited. This Field can be used for sorting and searching. 7. Optional; Enter a unique code, this Field can be used for sorting and searching. Click Select Data Element, the Data Element can be either; Static Field; Select the field to include from the drop down list 8. Path for the Data Source can be viewed or Area of Assessment; Select the details Path for the Data Source can be viewed. 9. Click Save once all information is entered. Created in version /30

13 Formula TBA Levels Levels can be created and added to Areas of Assessment, Levels are a further breakdown of an Area of Assessment. They are attached to the Area of Assessment through Setup Default Areas of Assessment as a Level. If you had created a Heading or Area of Assessment of Writing, Levels may be; Understanding Oral Assignment 1. Click Clear View before entering in a new code. 2. Enter the new unique code you will be working with. 3. Next Available can be used instead of manually entering in a new Code if you are not grouping your Areas of Assessment. 4. Select the Type of Criteria. 5. Enter your description for this Code. 6. The Abbreviation will default and can be edited. This Field can be used for sorting and searching. 7. Optional; Enter a unique code, this Field can be used for sorting and searching. 8. Optional; Enter your freeform code for an Expected Outcome. 9. Internal will default. 10. Click Save once all information is entered. Created in version /30

14 Standards/Modules Path: System Functions Curriculum Control Files Areas of Assessment The imported Standards file is the basis for the creation of Areas of Assessment within PCSchool for New Zealand. PCSchool will use these Areas of Assessment when assigning Standards to students, rather than the Standard file itself. This enables the school to reduce the Standards file to a more workable size for internal use as only those standards on offer at the time will be converted into Areas of Assessment. As part of the creation of these Areas you have the capacity to add additional internal information, and to alter the display name for the standard. Once the link has been created and the Area of Assessment is saved, the link is permanent and will not be affected by future importing of subsequent Standards files from the NZQA. 1. Click Clear View. 2. Type in the required Standard Number 3. Select the Type Standards/Modules this will open the Window as above. 4. Enter the Standard Number; this will activate the Import Standard button. 5. Important Step; Click Import Standard, the latest version of this Standard will populate all other fields; the fields can be edited if required. 6. Information attached to the Standard. 7. Alternate Provider information. 8. Click Save to finish the process. Created in version /30

15 Standards File Importing Path: Path: Subjects Government Data Capture NZQA-MOE asttle Import Stds Administration Government Data Capture NZQA-MOE asttle Import Stds The Standards file is supplied by NZQA to PCSchool in the form of STANDARD.txt. This is a large file and may take a little time to load. During the import process, you must select one of two options: Read in only those standards for which the school is accredited. Read in all standards that are contained in the file (preferred choice) Importing Accredited Standards will significantly reduce the size of the data file. If using the Accredited Standard import the Accreditation file prior running the Accredited Standards Import. Importing Accredited Standards only will not enable the entry of Standards studied at other institutions if your school is not accredited for them. If you wish to perform the Accredited Standard import, but need to access a few additional standards, you can enter the extra accreditation records at the bottom of the Accreditation grid manually, followed by a reread of the Standards file. Use the information below when working with Standards; 1. Locate the Standard.txt file this will probably be in PCSchool, Data. 2. Select to Import only Accredited Standards only or All Standards. 3. Click Refresh Now. Optional; Routine will test the Areas of Assessment file to confirm that the standards offered 4. by the school are the latest version. This will not update the information but rather will give a display where variances are found. Replace Areas with Most Recent Version; This will replace the version stored within PCSchool with the most recent version. 5. Will impact on all standards where the version has been upgraded. Individual Areas of Assessment can have the standard version updated via Subject Control Areas of Assessment. Replace Description in Areas with Standard Description; 6. This will replace the Description stored in PCSchool. Created in version /30

16 Context file - Importing Path: Path: Subjects Government Data Capture NZQA-MOE asttle Import Stds Administration Government Data Capture NZQA-MOE asttle Import Stds When the Standards file has finished importing you will be asked if you wish to import the Context file, click yes to start the Import, you can view the Context file through the Context Tab. The Context is entered when assigning Areas of Assessment to Subjects. Make a note of the Context code; Go to the Context tab to view the context codes and make a note of the Codes you wish to use. Context codes are entered with Areas of Assessment. Created in version /30

17 Testimonial TBA Setup Default Areas of Assessment Path: System Functions Curriculum Control Files Areas of Assessment Where all students in a year level are studying the same subject the Areas of Assessment can automatically be allocated to all students by a year level. If Students are not all studying the same subject, this can be further broken down, by selecting individual classes. Follow the steps below to select assessment areas for the Subject. Created in version /30

18 1. Select the Subject you wish to work with. If you have Areas of Assessment to be added to all Subjects; Create a Subject of Adding and allocating Areas of Assessment via this Subject will add them to all subjects. The information entered here must be unique for each line entered; You can have the same Year Level, if you make the line unique, this could be by entering a Class. 3. You can have the same Year Level and Class, if you make the line unique, this could be by entering a Set. The Description does not make the Line unique. 4. You must Tag the lines you are going to allocate to the Subjects. 5. Please read the section on Plan Wizard. If you have a value in the Set column you can use the feature to; 6. Tag all the lines with the value you enter by clicking Tag Set= > Click UnTagAll; to remove all the Tags for the selected Subject. 7. Click into a free Cell; enter or select the Code number. 8. NZ only; if this is a Standard with a Context enter the Context code. 9. Select or enter values as necessary. If adding a Level to an Area of Assessment; 10. First highlight the Area of Assessment Then select the Level. Select an option; Allocate tagged to all Markbooks o You may be asked to go to the Plan Wizard Allocate tagged to all Subjects o Will Allocate the Areas of Assessment selected to EVERY SUBJECT in the 11. nominated Year and Class. Allocate tagged to Markbook o Will allow you to Create a Markbook Allocate tagged to Subject (this would be the most popular selection) o This would be the most popular option and will allow you to allocate the Areas of Assessment to the Subject selected. Allocate Tagged to all Markbooks Allocate tagged to all Subjects Created in version /30

19 Will instigate the following window Select the options you want and click Begin. Allocate Tagged to Markbook The Auto Build Master Collating Markbook view allows you to select the various items you wish to include when building the collated Markbook. Created in version /30

20 1. Select the Subject Period ID you wish to create the Markbook in. 2. Select Items to include in the Markbook, check the codes in the Areas of Assessment. 3. Select the Grade or Result field to include in the Markbook. Validation codes can be entered now, if not available these can be created, to create them; 4. Enter an Alpha or Numeric digit in the bottom box and click +. The codes can also be entered in the Markbook. 1. Select the Column Heading and Column Format to be used in the Markbook. 2. Tick if Subject is to be included in the Markbook. Currently Markbooks will only replace results in your student result set. The option Add 3. or Adjust Results is not available. 4. Will populate the Markbook with Students already attached to the Subject. File Name Template will default to Master %1, this will name the Markbook as Master 5. and add the information from the Subject. Leave as default or enter a different name for the Markbook. Select Begin to create the Markbook. A Markbooks Created window will appear listing 6. the names of Markbooks just created. Allocate Tagged to Subject When you click on Allocate Tagged to Subject you will be presented with the window below. To add the areas of assessment to the selected Subject follow the steps below; Check the items you are going to add to the Subject; Optional; Check Comment if any are attached to the Area of Assessment. 1. Optional; Check Levels if any are attached to the Areas of Assessment. Optional; Check all boxes; the program will only allocate Comments and Levels if they are attached to the Standard. 2. Select any other options. Replace Option, check one; Add to or Adjust Current Entries; this does not override existing data. 3. Remove Current Entries and Replace. CAUTION: This will delete Results if entered. Remove Current Matching Entries. CAUTION; This will delete results if entered.. Remove Current Matching Entries. Do NOT remove results if entered. 4. Check the Period ID is correct. 5. Click Begin to start the allocation. Created in version /30

21 Plan Wizard The Plan Wizard allows you to globally work with the Subjects Curriculum Plans. 1. Click Plan Wizard. 2. Each Line is a Curriculum Plan. 3. Select an Option to implement. 4. Select or enter any relevant details. 5. Click Process. Curriculum Plan Reports Created in version /30

23 Achievement Codes If overall levels of achievement codes are to be utilised, they must first be created, these can then reflect the individual schools requirements. Achievement Codes will be available for selection in, Result entry by Teacher Group and Result entry by Student. A customised Report would be required for entry via Result Entry by Spreadsheet. 24 Comment Categories Comment categories are added to provide a better way of sorting comments. This makes it easier for the selection of comments within the result entry screens. Comment Categories are available for selection in Result entry by Teacher Group and Result entry by Student. A customised Report would be required for entry via Result Entry by Spreadsheet. Comment Categories can be linked to a Subject through a Key Area. Comment Categories are completely user defined and can be used in any way the school wishes. Comment Categories has two fields; Category Sub Category The Category and Sub Category can be added to a comment in Comment Bank. It is advisable that if you are using the system in this way to have a Category of; General With sub categories of; Very High Achievement High Achievement Satisfactory etc Just as Comments can be tied to Areas of Assessment, Comments can also be restricted to Key Areas. 1. Click Clear View. 2. Enter the New Category. 3. Enter the Sub Category. Select the Key Area to attach the Category; Key areas can be attached to Subjects via; 4. Subject Codes by selecting the Key Area. Comment Bank by checking Restrict by Subject Key. Leave blank if no Key Area is to be attached. 5. Click Save. Created in version /30

25 Subject Code Path: System Functions Curriculum Control Files Subject Codes Subject Comment Bank Path: Assessment Result Entry by Student (also Result Entry by Teacher Group) Comment Bank Comment Categories must be created before you can enter comments into the Comment Bank. Comment Bank is where pre defined comments can be entered. Each comment must have a Unique Comment Number with a Category and Sub Category attached. Many characters can be included allowing for dynamic contents within the comment. For example where an * is used and the comment is assigned to a Student the * will be replaced randomly by the Students name. Created in version /30

26 1. Enter a unique comment number. 2. Select a Category. 3. If attaching a Numeric equivalent for the comment enter the number. 4. Type in your comment, a spell-check is available within the Text window. 5. List of all the characters that can be used for dynamic contents. 6. Click Save when finished. You can specify if you want to use the Students Given name or Known as Name in; Path: Utilities System File Maintenance Assessment Defaults Created in version /30

27 Subject Period ID Path: System Functions Curriculum Control Files Subject Period ID PCSchool places a Period ID on all Student Curriculum information. This enables the software to store Student Subject Information for the life of the student at the school. Term or Semester information is stored separately and can be reported on either as a unique period, or a cumulative result taken across multiple periods. Generally speaking you would have a Period ID for each Reporting Period in school year. If your school does report cards each semester, then you would have 2 Period ID s for that year, however if you report every Term, you may have 4 Period ID s. Housekeeping Features are also available in the Subject Period ID tab. Set up a Period ID for each reporting period for the Year. 1. Click Clear View before entering in a new Period ID. 2. Enter the code for the new Period. 3. Enter your Name for this period. 4. Optional; you can attach a Default Result Field to the Period, this is used when reporting. Set the Default Periods for Subject, Timetable and Co-Curriculum. 5. Select the Current Period Click the appropriate Set Default button. If you wish to work in a different Period to the ones selected as Defaults you can; Select the Current Period you wish to work in 6. Then click Set Session Subject pd to Current Once you refresh the screed this will revert back the Default Current Period. 7. Click Save when you have finished. Housekeeping features include; Update All Markbooks to New Version 8. Delete All Markbooks in Selected Period Delete All Subjects in Selected Period Click the appropriate button for the action required. Created in version /30

28 Key Areas Optional; Create the Key Learning Areas the school wants to assess students against. If Key areas are to be used the Key Learning Areas of study such as Languages need to be created. If you are studying the Key Area of languages you may study English, French or Japanese these are defined as Subjects. Key Areas can be added to Subjects or Comment Categories. 1. Enter an Alpha, Numeric or combination Keyarea code. 2. Enter your description. 3. Optional; enter a print order. 4. Optional; check to suppress in Assessment Reports. 5. Click Save when finished. 6. Click Clear View before entering another Keyarea code. Created in version /30

29 Classification The classification of subjects is used to group subjects together for the purposes of placement on academic reports. This field is also used in the upload of subjects to an external programme such as the Board of Studies. NCEA (NZ) and Unclassified (Aust & NZ) must have a subject classification created for reporting. All subjects will default to Unclassified if no Classification is selected. If Unclassified and NCEA are not available for selection, please create them. The classification for the Print order on Reports in entered in Subject Coded/Subjects. 1. Click Clear View. 2. Enter the new Code. 3. Enter Your description. Print Order is used for advanced reporting; 4. Enter a Print order and attaché to the Subject When printing Student Assessment Reports this will be the order the Subjects print in. 5. Click Save to save the entry. Created in version /30

30 Result Options Result Options can be created to further define the Student s results by drilling down to how the result was achieved. Result Options can be used in Assessment Reports. 1. Enter a Unique Code. 2. Select the Option this will be attached to. 3. If this is to be used in Assessment Reports you may wish to add a sort code for Printing. 4. Enter your Result for this code. 5. Optional; If this is attached to an individual Subject select the Subject. 6. Optional; Enter a Numeric Equivalent. 7. Click Save when Finished. 8. Click Clear View if making further entries.
